1 Create any ODBC archives prior to creating any JDE Media Objects archives.

2 Remember the watch and store folders of any ODBC archives you want to be compatible with JDE Media Objects archives.

NoteA JDE Media Objects archive can only share store files with exactly one other ODBC archive.

JDE Media Objects Archive SetupUse the following steps to install the JDE Media Objects Archive:

1 Run Create!archive server.2 Select Administration - Configure Archives… from the menu bar to

open the Configure Archives dialog box.Click Add to create a new archive.

3 In the New Archive Wizard dialog box, enter the following information:

The name of the JDE Media Objects archiveSelect JDE Media Object (ODBC) from the combo boxClick Next.

4 Type in the path to the watch folder for the JDEMO archive.If the path is unknown or a new folder needs to be created, click the Browse… button to browse for the folder or to create a new oneClick Next.

5 In the Configure Store dialog box, enter the following information for the System DSN:

Choose the DSN to use from the combo box. If a new one needs to be created, select New DSN… from the bottom of the list which launches the ODBC Data Source Administrator.Type the User name.Type the Password.

NoteYou cannot use the JDE datasource that is setup by default. This uses a custom JDE ODBC SQL Server driver. A datasource must be setup to connect to the JDE database that uses the standard SQL server ODBC driver.

6 Type the store folder information in the PDF store directory section.Type the path to the store folder, or press the Browse… button to browse for it or to create a new folder. This can be a unique folder, or the store folder for an ODBC archive that's to be linked to this JDE Media Object archive.If the store folder is unique, click the Send job direct to store directory check box. If the store folder entered is the store folder for an ODBC archive, then do not click the check box.If the Send job direct to store directory check box is left uncheck, then click the Send job to alternate directory check box. In the field below which is no longer disable, enter the path to the ODBC archive's watch folder or click the Browse… button to browse for it. Now the JDE Media Objects archive and the ODBC Archive are linked together.

NoteSee Appendix 2 for more information on this dialog box.

7 Type the default user name for JDE Media Objects from this archive.

NoteFor this example none of the folders are shared, so the archive will only work on the local machine. Store and watch folders can be shared so that they can be accessed on a network by multiple users.

Use the following steps to configure Create!archive for Media Objects:

To configure Create!archive for Media Objects

1 Create a file called “JDEMOObjectLookup.dat” in <installdir>\Create!archive\External using a text editor such as Notepad.

2 Enter [Lookup list] as the first line for the new file.3 Enter in all the objects that will be used in the archive in this file, each

on its own line, formatted as follows: <ObjectName>=<NumberOfKeys>. Picture below is a small example file:

Configure the Archive Port

Configure the Archive PortUse the following steps to configure an Archive Port

To configure an Archive Port

1 Run Create!archive port.2 Click Create to create a new archive printer.

A message box will pop up saying a new printer is being created using the Create!archive port. Click the Yes button.

3 By default the new printer is named Archive Printer. To rename the printer, click on the name and type in a new name.

4 Highlight the Printer and click the Settings… button, or double click the printer to browse for the JDE Media Objects archive watch folder.

If the watch folder does not have a network share, a warning dialog box will pop up. Press the No button to keep it a local folder, or press the Yes button to create a network share for it.

Create a Document to ArchiveUse the following steps to create a document to archive:

To create a document to archive

1 Run Create!form Designer.2 Create a new project or open an existing project.

To create a new project, select File - New… from the menu bar. For help with creating a new project in Designer, select Help - Help Topics from the menu bar.To open an existing project, select File - Open… from the menu bar.

3 Select Project - Archive Variables... from the menu bar to open the Archive Variables dialog box.

Click the Add graphic button to add archive variables.The table below describes the archive variables that JDE Media Object archives use:

4 Click OK when finished adding all the archive variables.

ARC_DOCJDEOBJECT A required archive variable. Its value must be set to an object in the lookup list or else it won't be insert properly.

ARC_DOCJDEKEY[n] These are required archive variables. The type of object determines exactly how many keys are required.

ARC_DOCJDEUSER An optional archive variable. If this is not entered, the module will fill it in automatically with the default user.

ARC_DOCJDETITLE[n] These are optional archive variables. There can be as many titles as necessary. If this is not entered, the module will fill it in automatically with the filename.

5 Select File - Print… from the menu bar.If the archive port printer is not select, press the Select Printer… button and select it.Click the Print button.

After printing the project, Create!archive handles the rest. The documentwill be in the store folder for the JDE Media Objects archive and the JDEMedia Objects archive database table will be updated. If the archive hasbeen linked to an ODBC archive, then both archive database tables willbe updated. If the document was not sent directly to the store folder, thenthe document is in the ODBC archive's store folder only.

Appendix 2

The dialog box above is used to configure one of three possible userscenarios. Here is how you deal with each:

Scenario 1 The user wants to take a merged PDF and attach it to an E1 data record asa media attachment (i.e. make it available via the paper clip icon).The product has to accomplish two things: 1 Add an index record into the F00065 table in E1 pointing to the

merged PDF file and 2 Placing the merged PDF file in the correct folder location.Create!archive formulates an 'Add' transaction based on the fieldsrequired for the F00065 record by using the ARC_DOCJDE variablesdeclared in the PDF file (discussed later in their write-up) along withsome system values that it generates automatically. There is only oneremaining piece that is missing and it is the specific physical storagelocation for the actual PDF file. It should be a path pointing to the folderlocation where the media object (the PDF file in this case) is to be foundby E1.For that last piece, the interface uses the value entered at 2 (set to "C:\Program Files\Create!form\Create!archive\Store" in the screen shotabove). The path entered here is just a passthru value. The interface willuse that path location without actually validating it. It just uses thatvalue to construct the index record and add it to the F00065 file.

Once a value is supplied in 2, the interface is all set to finish the first taskof adding the index record to F00065. There only remains the secondtask, which is to actually put the merged PDF file into that storagelocation. That is accomplished by placing a check mark in the boxlabeled 1 in the screen shot (we'll see below why this is optional).In this scenario, Items 3 and 4 are left blank.

Scenario 2 In addition to Scenario 1, you also want to add the PDF to a traditional(i.e. ODBC) Create!archive archive.First, you set up Scenario 1. Then you have to set up the handoff toCreate!archive. That is done by checking item 3 (Send job to alternatedirectory) and entering item 4 (the secondary archive folder). Item 4must point to a valid Create!archive 'watch' folder. When these items areselected, then AFTER copying the merged PDF to the E1 destination (in2) and updating the F00065 file, the merged PDF will ALSO be copiedto the Create!archive 'watch' folder. From there, Create!archive Serverwill read and process the PDF file into the archive normally.This allows the merged PDF to be retrieved from E1 as a mediaattachment (using the paper clip) as well as allowing Create!archiveusers to search for and retrieve the merged PDF from our archive.The only drawback to this scenario is that there are now TWO copies ofthe merged PDF stored on disk - one in E1 and one in Create!archive.This could cause maintenance issues with processes such as aging wherethere would need to be a synchronized procedure for ensuring that bothlocations are aged similarly and concurrently. And, of course, it doublesthe storage requirements.
