Vision The vision of CPUT Libraries is to be the innovative leading information partner enabling the institution to be at the heart of technology education in Africa

Mission CPUT Libraries will develop an efficient and sustainable library service to enable us to pro-actively respond to the teaching, learning, research and scholarship needs of the institution, through innovative services, cutting-edge systems as well as excellent facilities and resources.

In 2014 CPUT Libraries continued to grow the range of services to the university community. Support for teaching and learning especially through Information Literacy programmes played a major role in the collaboration with faculties. Services are also being extended to the newly established Research Chairs to ensure that researchers, postgraduate and postdoctoral students are fully supported to carry out their research work. Work continues on the Research Data Management Pilot Project and a number of tools and services are being developed to enhance the MediaTUM Platform.

The range of information resources available to students and staff has also grown exponentially and is able to meet the broad information needs of the university community.

The project on improving library spaces is also continuing and in 2014 the focus was on the Bellville Campus. New Library Buildings are coming up in Wellington (for Education and Agriculture) and Mowbray and these will be ready for use in later part of 2016.

Our international collaboration with various universities in Europe and the US are also continuing and providing staff with opportunities to learn from other environments. Our leadership and stewardship in library statistics has seen the number of South African Higher Education libraries participating in the CHELSA Statistics Database grow.

In 2015 we hope to continue the collaboration with faculties as well as the units that fall under the DVC: KITS (Knowledge, Information and Technology services) as we build better synergies and provide efficient services to the university community.


2014 Highlights and overview of library activities

2014 was an exciting year for the library as we continued to build synergies with faculties and other service providers across the university. University support for open access and related services, such as the RDM pilot project, development of library spaces, the rollout of the statistics database to academic libraries in South Africa and the signing of collaboration agreements with two international institutions underlined some of the library’s highlights for the year.

Open Access and Research Data Management Policies Acceptance of these policies laid the foundation for a number of library initiatives such as the Signing of the Berlin Declaration (planned for 2015) and the piloting of the Research Data Management (RDM) project. Rollout of the RDM pilot project The MediaTUM software was installed and the Institute of Biomedical and Microbial Biotechnology (IBMB) identified as partner in the pilot project to test and develop the software.

Advanced Information Literacy Certificate course Building on the current Information Literacy Course being presented to students, the library developed and piloted an advanced course for post graduate students.

Development of library spaces The reconfiguration of library spaces and distribution of new furniture continued at Cape Town and was extended to include Bellville. A new library space was opened at MediaCity while at Mowbray plans for the development of the library space were approved and a new library was planned for Wellington with building starting in 2015.

Rollout of Statistics database to CHELSA Libraries With the acceptance of the Statistics Database as a platform for academic libraries in South Africa by CHELSA, two workshops were held for the training of staff at other institutions.

Memorandums of Understanding The library signed Memorandums of Understanding with two institutions: University of Oslo and Akershus and VirginiaTech.


Library staff structure During 2014 the library was restructured in order to align its services more closely to the University’s objectives and provide better faculty support. The Library Deputy Director assumed responsibility for the Client Services cluster within the Library. Library Managers within this cluster were each assigned a faculty and assumed responsibility for the overall management of the branches related to their faculty. The only exception is the Library Manager for Applied Science who is not responsible for a branch, but takes on the new portfolio of Research Support (which includes management of the Digital Knowledge and Research Data Management projects). Client Services librarians include Branch, Faculty and Circulation Librarians who support all students and staff within their faculty or branch with Information Literacy training, research, collection development and general library assistance. The Staff Training and Development Librarian and Research Support Librarian complete the Client Services cluster.

A Director’s Support Unit was formed to support the Library Director. This unit consists of the Quality Assurance Office and Finance who provide strategic information to Library Management and the Marketing Unit, responsible for the marketing of CPUT Libraries across all platforms. The Technical Services and Library IT Managers also report directly to the Library Director. The Technical Services Manager has overall responsibility for the purchasing of books, periodicals and electronic resources for the library while the Library IT Manager ensures access to these resources and provides general support of library platforms.

Teaching and learning During 2014 the Information Literacy (IL) certificate was rolled out to a number of departments, with students in 39 departments undergoing the full 5 module course. Most of the training was for 1st year and ECP students. Senior Library Assistants who completed the Train-the-Trainer course supported librarians by assisting with IL training at Bellville, Cape Town, Granger Bay and MediaCity. In 2014, 3079 students registered for the Information Literacy certificate. Certificates were issued to students who completed the assessment with more than 50%. Training room Bellville

The Business Faculty with the highest number of students had the most training interventions. There was a fairly even distribution of training across all the other faculties. In 23 departments all ECP or 1st year students underwent library training. For a full breakdown of the percentage of students trained per department see Students trained per Department.

Faculty support Students and staff are supported with 1-to-1 training and reference queries by library staff. During 2014 most queries handled were from the Faculty of Health and Wellness followed by the Faculty of Education & Social Sciences.

Library Guides developed for each department are updated regularly and provide links to key resources and other information to assist students in their studies.

Research support

The library supported research at CPUT by assisting with research queries and provided training to M&D students as well as staff and researchers. Training covered areas such as Information resources, Mendeley and Bibliometrics. Many training sessions were provided in cooperation with Faculties, Departments and the Research Directorate.

In 2014 the focus of the department broadened to include support for Research Units and the Technology Transfer Office.

Advanced Information Literacy programme An Advanced Information Literacy programme for post graduate students consisting of nine modules was developed and trialed. It can be viewed at: http://libguides.library.cput.ac.za/advancedil

Bibliometrics Mendeley The library was identified to play a leading role in embedding bibliometrics into processes at CPUT. A Bibliometrics Working Group was established and a project plan drafted. A guideline for drawing up a bibliometric guide was developed and is available to library staff via Blackboard. Librarians developed Bibliometric profiles for nine lecturers in the Faculty of Business.

The practical aspects of Scientometrics were also explored.

The Research Support librarian developed an approved Harvard-CPUT citation style for Mendeley. Mendeley is being installed on computers in the library and a general University-wide rollout is envisioned.

Research Data Management

This project encapsulates the digitizing of all Masters and Doctorate theses produced by CPUT students as well as those produced by the Cape and Peninsula Technikons prior to 2005 and has been extended to include all research output produced by the University. In 2014, 215 theses were added and there was a total of 9 114 downloads, of which 2 987 were for theses.

A submission process for theses was accepted and implemented. Training on the process was rolled out to academic staff.

The acceptance of the Open Access and Research Data Management Policies created the foundation for the installation of the MediaTum software and the identification of the Institute of Biomedical and Microbial Biotechnology (IBMB) as the pilot group to trial the e-Research Infrastructure and Communication.

The usage of print materials continued to decline in 2014. Loans dropped by 17% and in-house usage by 34% compared to 2013. This is further supported by the percentage of titles used at each branch in 2014 with Groote Schuur showing the highest percentage use of 36% compared to 6% usage at George.

In comparison to print titles, the usage of electronic books has continued to increase, showing a 26% in 2014. The usage of print materials includes both loans and in-house usage. Currently 9% of book titles are in electronic format. Full-text downloading of journal articles has shown a 21% decline from 2013 while the number of database searches has decreased by 31% compared to 2013.

All other library staff members are employed by WCCN. Athlone library has a varied collection with a well-used fiction component responsible for 11% of the loans in 2014.

Plans for the redesign of the library space have been approved and will be completed in 2015. It is the only library to provide students with study cubicles for individual study.

Services were centralized with the movement of binding and lamination to the Circulation desk. A space was prepared for the installation of compact storage units.

It is fully utilised by students for studying, researching, typing assignments and printing. The library will be moving at the end of 2014.

A new library space was provided and library services resumed. The access control gate was installed in September. Lack of gate statistics from March to August has resulted in a low figure for the number of library visits.

An extensive chart clean-up resulted in an improved collection and many discarded items were made available to students.

Main focus areas for the staff included the managing of available space and collection development.

December 2014 saw the dismantling of the library at Wellington as it moved into the CP van der Merwe Hall while awaiting the completion of the new library.

Collection development The Library contributes to the support of teaching and learning and research by providing access to a collection of carefully selected resources comprising of books, audio-visual resources, periodicals and electronic resources. In the case of some journals, the purchase of an electronic copy includes a free print copy.

In 2014 the trend of spending most of the budget on electronic resources has continued.

Print resources Books In 2013 the average cost of a book was R796.69. 2014 showed a slight (1%) decrease with the average cost a book being R789 as shown by the breakdown of the number of items purchased and the average cost of the items per faculty. In 2014 the library was able to purchase 3 169 items. However, a total of 1409 donations were also received.

Periodicals The move to electronic journals continues with 469 print-only subscriptions in 2014. Online subscriptions increased to 242 while the number of subscriptions available in print and online was 100. Six online-only new titles were added to the collection while 4 titles were cancelled.

The library is currently undertaking a project to discard issues of periodicals available online and 11 223 issues were withdrawn.

E-resources

Based on database and e-book usage statistics for the first half of the year a decision was taken to cancel two databases (Jaypee Digital and Small Business Resource Center). Material Connexion was also identified as having low usage, however CPUT is the only institution in South Africa subscribing to the database which covers all areas of design and the library is therefore promoting it to improve usage.

Information technology Access to e-resources The library continues to provide access to electronic databases and e-books for both on- and off-campus users. EBSCO has provided the library with a six month trial of its Discovery tool, EDS. Library Management System upgrades: Aleph version 22 was installed and the Aleph Reporting Centre (ARC) was upgraded from version 3 to 4. A CAS server is now in place for the implementation of single signon access for PRIMO and Aleph. Library web site The library website was updated to include RSS feeds to e-book titles and to incorporate the use of banners for marketing purposed. Two electronic forms were made available, one for requesting Inter-Library loans and the other for ordering library materials.

Research support DSpace and MediaTum are being hosted at CPUT Libraries. Although some problems were experienced, assistance has been received from the CPUT MIS Department and Technical staff at TUM.

Staff training and development With 101 staff, staff training is an important part of the Library’s strategy to ensure a workforce capable of delivering on its strategic goals.

Quality assurance The Quality Assurance Department is responsible for providing statistics and relevant data for library and faculty reports. These include reports requested by senior staff, monthly analytical reports, quarterly library reports, library resources and usage data for faculty review reports and reports pertaining to student training.

With statistics a key focus of the Department, the staff offered two workshops to train other librarians on the use of the Statistics database and contributed to the development of the CHELSA measures for statistics document. The Department organized an international LATINA workshop during 2014 and did the initial planning for the Signing of the Berlin Declaration which will be finalised in October 2015.

A number of Libguides were developed to support library staff. These included Quality Assurance and Library Research libguides as well as the development of a libguide for the Library statistics course which has been shared with other libraries such as NMMU.

In 2014 the scope of the Department was extended to include the support of library research. Two research projects were identified: Value of Cape Peninsula University of Technology (CPUT) Libraries; and Studying students and their library use at Cape Peninsula University of Technology (CPUT) Libraries. Initial proposals for these research projects were developed and literature reviews done. Surveys for each research project were identified and will be carried out in 2015.

Marketing services Library website During 2014, the main marketing focus was on the digital environment and social networking. Although the Marketing Librarian supported library staff with marketing projects, the key area was the development of the library website to incorporate RSS feeds for digital books and the development of banners to highlight resources and online forms. A study was undertaken to access the user perception of the library website and changes made to the menus to streamline access.

Library Facebook page During 2014, CPUT Libraries started actively using Facebook to connect with staff and students by sharing information about library activities, general tips and encouraging messages.

First year experience PowToons software was used to develop short clips for the 2015 library orientation during the First Year Experience week.

A library Mobile App was developed and linked to the CPUT Mobile App


Outreach – Community engagement and partnerships

Staff at Athlone library allowed the Sarah Baartman Centre to set up their donations box in the library.

Library staff and representatives from Education & Social Sciences and Business Faculties visited Desmond Tutu High School. An assessment report and outreach application to assist or advice school on library services was submitted in May.

Library staff supported the “Pottie Potlood” Primary School outreach project. Stationary received during the Library Week campaign and weeded picture books were distributed to needy schools.

Substantial donations of discarded (but still useable) items such as encyclopaedias and dictionaries were made to schools and the Afrikaanse Taalmuseum in Paarl.


National and International collaboration and partnerships CHELSA workshops The CHELSA workshops for training librarians from South African Universities in the use of the Statistics database were presented at WITS and NMMU. In total 52 librarians from 20 institutions attended.

VirginiaTech A collaboration agreement has been signed with Virginia Tech opening the way for a staff exchange programme starting in 2015.

University of Oslo & Akershus A LATINA planning workshop in collaboration with staff from the University of Oslo and Akershus took place in September. It was attended by library staff as well as representatives from Fundani and E-Learning. A draft programme for a joint workshop in 2015 has been developed.

Conclusion

In 2015 CPUT Libraries will continue to work and collaborate with faculties and departments to support teaching, learning and research.

The new challenges affecting South African higher education libraries of budgetary constraints and introduction of VAT on electronic resources will impact negatively on our operations. We hope to be able to stimulate our community to explore alternative sources of information especially the open access resources. It is in this spirit that we plan to sign the Berlin Declaration on Open Access in 2015.

The Library work on Digitization and Research Data Management will continue to grow in 2015 and we will engage more researchers on the benefits of Open Data.

In 2015 we will embark on an exercise to investigate a new library system as look towards implementing the cloud based NEXT Generation Library systems in 2017 after the expiry of the current contract with ExLibris.
