ABSTRACT

Industrial training is provided for student to test their encouragement and standard learning outside from university. It also develop student’s skill to adopt the critical situation in training place. As a training student, we need to apply all knowledge that we got from three years learned in university then applied to our industrial training company. Besides that, this program can build our responsibility and good attitude toward our society. During my industrial training, I was assigned to the Academic Unit for one month. After that, I was directed to move to School Management Unit. I was headed to develop a system, called “Pelaporan Dialog Prestasi Sekolah-Sekolah” and web portal, called portal “Koperasi Pendidikan Daerah Batu Pahat”. For the system, I worked with another practical student to develop it. This system targets three users which are admin, officers and schools. The main objective of this system is to help school sending their “Dialog Prestasi” report easily which had been done every month at PPD. Briefly, “Dialog Prestasi” is a meeting of senior assistant teacher with district educational officer and academic staffs. For administrator, manage to check and read the report send by school. At the same, administrator also can upload the entire report about the meetings. For school, they have to submit and update the report on the system. For the portal, I have built the portal until half-finished but the cooperative has been confiscated by the state education department for a specific issue. Therefore, the development of the portal is not continued so I just focus on the system. However, the portal was developed to help user make online registration as member “koperasi pendidikan”. In addition, users also can get some information about “koperasi pendidikan” such as galleries and products. The system and the portal uses programming language PHP and a database, Phpmyadmin for data storage systems.

INTRODUCTION

Educational Institutions normally have a titular leader (Marianne & Derek, 2010). Batu Pahat District Education or in

Malay it called as “Pejabat Pendidikan Daerah Batu Pahat” is one of the government office located at JKR BP (P) 2350

Jalan Zaharah, 83000 Batu Pahat, Johor. District Education Office is under the supervision of Johor State Education

Department (SED) and both of it are the agencies under Ministry of Education Malaysia. Batu Pahat Education Office

was established in the year of 1982 and had been led by several committed and credible leaders currently En. Mohd

Said bin Md Daimon (DG58) is the Director of PPD Batu Pahat and the Deputy Director En Sajali bin Ibrahim (DG48).

The total number of education officers working here to support the national education aspirations is 84 public

managers, while they are assisted by 28 committed staffs. Under the administration of PPD Batu Pahat, there are

90000 students with 600 teachers and 3000 staffs. The total number of school is 175 where 144 is primary school

and the rest is secondary. Because of the broad geographical area, it is one of the challenges need to be faced by

PPD Batu Pahat in managing each and every schools to make sure they are well managed and properly supervised.

Public learning is the great difficulty of designing any scientific or even systematic experiment in studying society

(Schon, 1983).

Responsibilities I was assigned in with School Management Unit where the busiest unit in this company.

This is because there have many important role that always involved the society people, in command word, face every

day. The unit headed to primary, secondary, pre-school, kindergarten, information technology, counseling and quality

school. Besides that, four accommodation that served for customer which are schools, students and teachers. “Sinergi

Memacu Transformasi”, as trademark for this organization, so we are really indeed to reach the goal and serve the

best service to accomplish customers request in any situation. I was responsible to develop web portal for “Koperasi

Pendidikan Daerah Batu Pahat” also system “Pelaporan Dialog Prestasi Sekolah-sekolah”. I also responsible to help

staff and assistant officer for instance solve their problem in computerize, teaches about Microsoft especially in

Microsoft Excel, update data in system SAPS, and ESPL KPM. Besides that, I got opportunities to join DTP (Dialog

Prestasi Pelajar Peringkat Daerah) as secretary and manage for the minutes of meetings. I also was responsible to

record all the minutes regarding to BSKG (Borang Status Kedudukan Guru) for primary and secondary school.

Services that I provided with staff are teaching, solving and update the program system in computer. I

teach them about compressed folder and extract file, compress the size of picture from pdf and searching name in easy

way. I also do formatting laptop for the staff who ask for.

PROJECT DETAILS

Every project will be always has pro and cons and there are many types of issues that always be arise in project. To

develop a system or web, I need to find out what issues that arise in company. I need to focus more about

environment and hard situation to adopt it.

Objectives for this system is to facilitate administrators to review reports and allows users to submit

reports directly into the system “Pelaporan Dialog Prestasi Sekolah-sekolah”. While for the portal is to allow user

make online registration for member of “koperasi pendidikan”.

Scopes of this system, uses the web as the main platform. This system also use Malay language as the

medium of instruction and developed for “Pejabat Pendidikan Daerah Batu Pahat” to facilitate the administration of

the organization.

Durations of my project took about two month, started from September until November 2017, which was

handled by me and other practical student in the same course. I start the project by discussing with Head Officer of

School Management Unit and two main officer from the same unit. Finally, they ask me to start develop the simple

portal as long it meet the functions while for the system, I have to build it with another trainee as it seems quiet

complicated to be completed within a short period of time. Unfortunately, the portal I had made up half-finished

because of the issues raised and the cooperative had to be confiscated by the department of education. So I just focus

on the system “Pelaporan Dialog Prestasi Sekolah-sekolah”.

Task that I got during my internship, I had been assigned to develop a system for my organization at the

same time built a portal for “koperasi pendidikan” under School Management Unit. Briefly, this system was

developed to facilitate the parties involved in the monthly “Dialog Prestasi” and to keep updated with teachers and

students issues. This system help the administrator examine which schools are not active in making monthly student

performance reports. Another purpose is to monitor the performance of school students and teachers in terms of

attendance and achievement. Besides that, it also helps the school to send reports directly into the system and

updates can be done any time. The system was develop using PHP programming language and database,

phpmyadmin as data storage.

PROPOSED SOLUTION

Strategies to overcome I had making discussion with my head of unit, also meet practical student

that took same with my course. In the discussion, I ask about company’s server, the programming language and

opinion about system. I make a meeting with practical student that same with my course. The aim of this meeting

to ask their opinion about my system and source code for programming language in HTML and PHP. So, it will be

easy for me to develop this system by the short duration that given by my company supervisor. Then, to get their

information, I find out unit’s pamphlet and ask the staff by make an appointment with them. Besides that, I ask ICT

supervisor to get their profile pictures and environment of unit.

The constraints for me is I was assigned to develop this system in a short period of time to finish it to

present with the head of my unit. So to develop this by own need to brainwash about issues and problem

encountered that being arise in company. Other than that, I need to handle another task besides to finish my industry

project. For instance, I need to make audit report for BSKG, handle the event like be committee member in invitation

and registration part. That was big responsible to walk on with them in this event. But, I take this as opportunity for

me to face this environment calmly.

LESSON LEARNED

By face the constraints and problem encountered in company, it take much strength to solve and adopt the situation.

The environment of educational company not as easy as ABC like other people said about it. As long as we through

new environment, we will learn new lessons every day.

New skills acquired in this company that I had learn for 20 weeks. Firstly, I learn new programming by

Technical supervisor which is cPanel. cPanel is a Linux-based web hosting control panel that provides a graphical

interface and automation tools designed to simplify the process of hosting a web site. Besides that, I learn more

about Microsoft especially Microsoft Word and Excel, combine together by mail merge to make an exchange letter

for schools and certificates for participant. By use this method, it will be easy for staff and me to do another works.

Moreover, I also learn about protocol for formal event although I had this experience in formal event in college. For

example, event which is “Perhimpunan Pendidikan Pejabat Pendidikan Daerah Batu Pahat Bil 2/2017”. Among them

were headmistress and principals. So, the staff of my company taught me about the way to treat the honor guests.

Experiences that I got during my internship so valuable and precious. Firstly, I got the opportunity to

join “Dialog Prestasi Pelajar” and be the secretary also report the minutes. I also learned how to handle student

affairs from pre-school, primary to secondary. It was not easy to serve peoples’ mobility when it required high

professional attitude in solving their problems. I learn that to be the best, we need strength cooperation among

them and beat the rest. Secondly, I met new and important people. For example, I met the chief clerk (CC) of state

educational department during follow the officer went to department located at Johor Bahru to send confidential

letter which is need to be send by hand. I also got opportunity entering the sectors and met the headman. Finally, I

had finish my system completely. There were my best experiences that I got and it so worthy that I was placed in

this company.

Benefits to company and student are their work become fluent by give good cooperation from

internship student. For example, I taught them about program in computer such as how to compress the size of pdf

file, extract the file and make an auto-correct pictures by Microsoft Office 2010. Besides that, I also learn new

knowledge where I learn how to mail merge between Microsoft Excel and Word. Thus, we can exchange our

knowledge together.

CONCLUSION

As the conclusion, the internship program give the opportunity for student to increase their skill and challenge to

their ability. Some interns become aware of the only after they start to dissipate (Wilson, 1981). This training will

give student the real work experience besides learn new environment out of the boundaries. I am so grateful that I

had finished my internship very well and proud of myself because finally I had success develop the system for my

company. Even though many problem encountered and constraints of myself, I can handle these problems with my

supervisor and training students. The most thing is I got the experience and knowledge that I think I can’t get from

any place. I build my self-confidence while handle big event and how to face the hard situation with community. Big

thanks to both supervisors that give me opportunity and support during my internship. Special thanks also to those

who help me throughout my internship especially my partnership in my company.

Recommendations that I want to suggest with next training student are prepare the mental and

physical to face the critical situation. Although we are a programmer, not every time in work, we will develop system.

Sometimes the company will ask our ability out of the box. So we need to accept the challenge and do the best.

Make them proud of who we are. Lastly, I hope the student will learn more on how to be a great leader in project

somehow to build the system according their request. Remember that customer always right.
