FOOD & BEVERAGE GUIDELINES
Food and Beverage Policies Due to fluctuations in availability, food and beverage prices cannot be confirmed until 6 months prior to the event. All such prices are exclusive of prevailing service charges and taxes; which are presently 20% and 10.5% respectively. At least 72 business hours before the day of your event, you must confirm the guaranteed attendance for all food and beverage events. If you do not provide a guarantee of attendance, the Hotel will use the number of guests indicated on the Banquet Event Order to determine the charges for which you will be responsible. Food and Beverage - Legal Restrictions In order to adhere to state laws, no food or beverage may be brought into the Hotel. The exception would be special-occasion cakes approved in advance. If such items are brought in with or without consent, the items in question will be collected and held for the Group contact at the conclusion of the event. Likewise, no food or beverage may be removed from the Hotel. Finally, in order to comply with the Arkansas Beverage Control we must enforce a variety of regulations. First, of course, alcoholic beverages may neither be served to anyone under the legal drinking age nor appearing to be intoxicated. Anyone suspected of being under this age will be required to show proper identification. Additionally, all empty bottles must be disposed of immediately after the event. For this reason, any inquiries concerning your bar billing must be addressed at the conclusion of your event since we are unable to retain the bottles that would be in question. The State of Arkansas Alcoholic Beverage Control Division established the following guidelines for alcohol service and consumption: Monday through Friday - 7:00 a.m. until 2:00 a.m. Saturdays - 7:00 a.m. until 1:00 a.m. Sundays - 12 noon until 10:00 p.m. No alcohol will be served or consumed on Christmas Day or past or before above stated hours. Miscellaneous Services The following are current charges for additional services that may be requested or required for your events:
• Cake Cutting Fee: $50.00 per cake • Cashier Fee: $75.00 per cashier • Bartender Fee: $150.00 per bartender (1 per 100 guests) • Chef Fee: $175.00 per chef
Audio Visual and Other Services Audio-visual equipment and services that cannot be provided by the Hotel will be coordinated through the Hotel’s retained vendors. All types of entertainment, or usage of entertainment, must be approved by the Hotel prior to the date of the event. In order to retain the residential environment of the Holiday Inn, all music must end no later than 11:00pm and occasionally earlier depending on the size, the specific event room or other activities taking place in the hotel. Decorations All decorations must meet Arkansas Fire Department Codes. All open-flame decorations must be surrounded by glass. Standard linens, tables, floral centerpieces and chairs are provided at no charge. Specialty linens and room décor are available at an additional rental charge. There may be a delivery fee assessed for any special requirements and two weeks prior notification is required. Glitter, sparklers, rice, confetti, potpourri and birdseed are not permitted. In addition to these prohibited items, the Group is not permitted to nail, tape or pin items to any surface. Improper display or installation could result in damage to the Hotel property.
The client agrees to be responsible for any damage done to the event room or any other part of the Hotel by the Group, its guests, employees, independent contractors or other agents under the Group’s control. Setup To ensure proper coordination with entertainers, florists, bakers or any other outside vendor involved with the event, setup time must be scheduled through the Hotel. The DJ and Band must be setup and ready to play at least one hour prior to guest arrival. Normal setup and breakdown of banquet events is included in the cost of the room. However, if unusual or advanced setup or clean up is required, a $20.00 per hour, per person service charge will be assessed. In addition, any labor intensive changes not communicated within 24 hours preceding the event may be assessed an additional charge. Method of Payment Payment in full is expected at the conclusion of the meeting. We accept all major credit cards, cash and check. If you wish to establish credit with the Holiday Inn Airport Conference Center, please complete the enclosed Direct Bill application and return it to our office at least 90 days prior to arrival. Should you receive direct bill status, payment in full will be due within thirty (30) days of your event. Unless otherwise indicated, all individuals will settle their own sleeping room accounts prior to departure. Cancellation In the event of a cancellation or lack of performance by you, damages will be calculated as a percentage, based on the date of cancellation, of total anticipated gross revenue from all food, beverage and meeting room rental listed in this document.
