5. ITE 2013 Rules and Regulation- Exhibitors shall be bound by the conditions, rules and regulations set forth by the Organizer of
ITE 2013.
- Exhibitor is a company or institution which meets the following qualification :

- Exhibitors shall not be permitted to exhibit unless the full payment has been done prior to the
exhibition of all the fees agreed to.
- Exhibitors are not permitted to place any type of materials outside their booth space area.
- Exhibitors from NTO shall not be permitted to do hard selling in the booth due to raise the
uniqueness of the respective country in any kind of performance or delivery information
especially related to tourism.
- All printed matter or advertisement of any kind attended for distribution in the Exhibition may
only be distributed from the Exhibitor booth and shall not be distributed in any other location
including within the building or in the neighbourhood of the entrance or exits.
- The booth must be fully staffed and stocked all the times. Exhibits are not to be removed until
the Exhibition has closed. Exhibitors cannot leave or close the stand before the closing time.
- Exhibitors must ensure that their booth is ready at least one hour prior to the opening of the
Exhibition each day.
- Interference with normal aisle traffic flow or overflow into neighboring booths is prohibited.
Each Exhibitor is responsible for ensuring proper traffic flow, and aisles should not be
obstructed at any time
6. Rearrangement & Relocation of the BoothThe Organizer will allocate booth in accordance with the nature of exhibits and based on actual
number of booth sold.

7. Floor Plan
8. TidinessExhibitors will at all times keep their booth and the space in front of their booth at all times
clean, tidy and un-obstructed and provide bins for disposal of waste.
9. Security- Identification badges must be worn at all times by the Exhibitor, Buyer, VIP, Crew and
Contractor (for Contractor during setting up and dismantling period).
- The Organizer has arranged security personnel to ensure the safety of all Exhibitors in general.
However, these security personnel cannot pay attention to each booth and not responsible.
- Exhibitors are strongly urged to remove valuable exhibits from the Exhibition Area as soon as
possible after the closing of exhibition each day.
- Exhibitors are reminded not to leave their booths unattended until all valuable items have
been removed.

- Exhibitors and their staff are not allowed to be in the Exhibition Hall after the show-hours. If
your display is considered highly valuable or sensitive for theft and you wish to hire security
personnel to attend to your booth exclusively during off show-hours, please contact the
Organizer for further information. Please note that exhibitors are not allowed to hire security
personnel from any other security agency.
- The Organizer and Istora Senayan will not be responsible for theft, loss or damage of exhibits
or any other equipment belonged to Exhibitors, contractors or visitors.
- For security and safety purposes, the moving of exhibits in and/ or out of the venue during
show-hours is not permitted.
10. InsuranceThe Organizer will not be responsible for the safety of the properties, exhibits or articles of any
kind brought into the exhibition by the Exhibitors, their staff, agents or contractors, public or
any person whatsoever.
11.PaymentThe Organizer of ITE 2013 will issue an invoice of 100% rental fee upon receiving a contract
signed by the Exhibitor. This invoice is payable within 30 days of issue. No Exhibitor is allowed to
start building their booth and or move their exhibits into the Exhibition Hall or its surrounding
areas until full payment has been received by the Organizer.

B. ADVERTISING AND MARKETING MANUAL
1. Directory of ITE 2013The Organizer will publish Directory of ITE 2013 that will serve as media of promotion for the
Exhibitors and will be distributed to all visitors during the event.
2. BadgesAll Exhibitors are entitled to procure the Regular Exhibition ID Badges based on square meter
taken. The exhibition badges are valid within the Exhibition Area and shall not give any rights

3. Setup & Dismantle Regulationsa. General Rules and Regulations during Booth Construction
- All exhibitors shall be bound by the Rules and Regulations and comply with the Event working
hours set forth by the Organizer.
- The Exhibitors and their contractors should bear badges issued by the Organizer onsite during
set up, exhibition and dismantle period.
- All Exhibitors are responsible to inform all personnel and third parties concerning the Rules

and Regulations of the Event. The Exhibitors should inform the Organizer all names of their
personnel and third parties who will work during the construction of their booth.
- The Organizer suggests that Exhibitors pay close attention to the Agreements made with
booth designing companies.
b. Rules and Regulations during Exhibition Period and Dismantle
- Exhibitors are strictly prohibited to carry products or exhibited equipment outside the venue
during the exhibition period (within visiting hours or not). Official permission from the
Organizer is required in exceptional occasions.
- All booths shall remain opened with at least one person in charge until the closing time and
shall not be dismantled even partially within that time
- Exhibitors are requested not to leave their booth unattended during move-out operations.
Dismantling and packing should start immediately after show closing.
c. Exhibitor Responsibilities for Damages
- All Exhibitors are responsible for any loss or damage to their properties, other Exhibitors
property, Organisers property, visitors property or the exhibition area and its equipments
which is caused by their employees or agents acts that may occur during the build up and
dismantle periods or during the exhibition period (within visiting hours or not).
- The Organizer assumes that all Exhibitors accept all information regarding services provided by
the Organizer and comply with the instruction given in the Exhibition Contract and Exhibitor
Manual.
- The Organizer is not responsible for any damage caused by the Exhibitors.
- All damages or possible damages should be reported.

4. Participation Typesa. Standard Shell Scheme
- Standard size 3m x 3m
- 3 (three) side panel partitions in white finish. In case of corner booths, it will be 2 (two) side
walls and 2 (two) fascia boards
- Fascia name with graphic of PVC cut out in white vinyl lettering
- 1 (one) reception desk
- 3 (two) folding chairs
- 2 (two) fluorescent lamps at fascia
- 1 (one) power single phase socket with electricity 2 Amp.
- No additional booth fittings or display may be attached to the standard shell scheme
structure.
- Wall panels must be returned after the exhibition without any damages. Nailing, drilling,
wallpapering, inappropriate cellotape, etc are prohibited. Please make sure that you have
enough chains, support brackets or special double-stick pads to display / hang your graphics.
b. Space Only (Raw Space)
The booth location determined by the agreement and indicated on the floor plan is rendered to
the Exhibitor as an empty space with marked borders. The Exhibitor is to build a special booth
based on the companys requirement either by themselves or by appointing a booth designing
and or construction company (please refer to FORM 1). The Organizer accepts the Exhibitor as
the responsible party. Construction of booth is not permitted without the approval of the
Organizer.

5. Special Design Rules and RegulationAn official contractor will be appointed. However, an Exhibitor has the right to use his own
contractor as long as the booth drawing and set up must be sent to the Organizer for prior
approval (please refer to FORM 1). When creating a special design booth and or creating items
which will be displayed in the booth, there are some aspects to comply in order to adjust with
the dimension of the Exhibition Hall.

b. Booth Design
- Copies of booth layout including elevations, plan, perspective and
materials used should be presented to the Organizer for approval no later
than 18 October 2013.
- All design proposals should indicate at the positions of all entry points for the services
required i.e. electricity and telephone.
- The name and booth number of the Exhibitor should be prominently displayed.
- Bespoke build booths are not permitted to attach any material to the shell scheme walls. All
partition surfaces build above the standard (2,5 metre) shell scheme height must be
decorated. In addition, all booths must be finished both front and back.

6. Electric Supply- All wiring and installation work may only be carried by official contractor. No
private generators may be used anywhere on the site.
- Electricity will be provided at 9am during exhibition day and will be turn off at 9pm
- Exhibitor must turn off MCB panel and all the electronic when the exhibitions end.
- Organizer is not responsible for any damage caused by violating regulation above.
- For Exhibitors using electronic units such as computer, printer must install stabilizer unit to
prevent damage from unstable electricity.
Standard Shell Scheme booth will get :
- Free 2 Amp 220 Volt power consumption (based on exhibition hours) for every 9 sqm space
taken.
Space Only site will get :

- If you need additional electrical supply, please order accordingly on ADDITIONAL ELECTRICAL

7. IdentificationAll workers employed in the construction of the booth should wear identification badges
provided by the Organizer at all time during the set up period.

8. Dress CodeAll workers are required to be neatly dressed during build-up period and show days and should
wear appropriate working shoes.
9. Removal of RubbishContractors appointed by the Exhibitor should collect and remove all construction debris or
garbage from Istora Senayan area on a daily basis. Please do not use Istora Senayans refuse
compartments as the Exhibitor will be charged at USD 50.00 per box (1 cubic meter) for the
removal of any refuse.
10.Floor Covering- The whole of the carpeted area will be covered with multiplex for each
exhibit before the booth construction period.
- Plywood underlay and carpeting is required for booths which contain heavy objects that may
damage the existing carpet.
- The Organizer will be responsible for laying carpet for each booth or aisle for visitor flow.
11.Noise LevelExcessive noise levels from Exhibitors promotional videos and displays are not permitted.
Please be advised that the Organizer reserves the rights to ask the Exhibitors to reduce the
volume or shut down the source.
12.MedicalFirst Aid Room with medical assistance including doctor and ambulance in case of emergency
will be available at Istora Senayan during the exhibition period.

13.Fire PrecautionsNaked flames or temporary electrical connections are strictly prohibited. Explosive, petrol,
dangerous gasses or inflammable substances are prohibited inside the building. Exhibitors who
require special extinguishers or fire-fighting equipment, owing to the nature of their exhibits,
should make their own arrangements to provide such items.
14.Emergency ExitsAll gangways leading to emergency exits ad doors must remain clear of debris at all.
15.Custom ClearanceThe control of temporary imported goods for exhibitions is carried out at the port of entry. A
declaration should be made to HM Customs & Excise and as long as the goods are re-exported
after the show, they are exempted of duties.
