Budget Tuition Plan (BTP) Debit Dates The Budget Tuition Plan provides a convenient way to spread out tuition payments over each term by automatically debiting the payment method of your choice. There are two plan types, a fixed debit amount plan and a variable debit amount plan. To participate, complete an online application through Hokie Spa by the due date for each term and submit a $35.00 enrollment fee payment. The Office of the University Bursar will debit the account provided on the application on the third Friday of each month from August through November for fall and January through April for spring. Important Academic Year 2016-2017 Dates Billing and Due Dates The Office of the University Bursar will bill the first Friday of each month with a due date of the 25th of the month unless the due date falls on a weekend, then payment would be due the following Monday. Virginia Tech would like to welcome you to the 2016-2017 academic year. As the third party processor for the VTC School of Medicine, we would like to introduce you to several of the services we provide. The Office of the University Bursar and the Office of University Scholarships and Financial Aid work closely together to facilitate the billing, payment, and financial aid processes.

As a VTCSOM student, you will use Virginia Tech’s student portal Hokie Spa for activities such as viewing your student account details, making online payments, and enrolling in direct deposit for refunds.

Utilize the following online services by logging onto Hokie Spa at www.hokiespa.vt.edu with your PID and password.

Select Enroll in Direct Deposit from the University Account Information menu.

Enter bank information and select “Submit”

Review account information and if correct select “Add This Bank”

Select “Exit”

Please enroll in direct deposit on the Hokie SPA for a fast, reliable, and safe method to receive refunds. Direct deposit information is effective at midnight on the day of enrollment. If a student does not enroll in direct deposit, any paper checks will be mailed to the permanent address on file (address type ‘PR’ on Hokie Spa).

Select View and Pay E-bill fr om the University Account Information menu to access the online payment portal QuikPay.

Enter the amount of your payment

Follow the payment instructions Other parties can make payments on your behalf through the online parent payment portal on the VTCSOM website at www.vtc.vt.edu. Payers will need your student information, including student ID number, to submit a payment.

Create or Maintain Student Contact Information using the Hokie Plus menu tab. Updated contact information is important for paper checks, bill mailings, and other official correspondence. It is important for students to maintain a ‘BI’ (billing) address, a ‘PR’ (permanent) address, a ‘MA’ (local or mailing) address, and current telephone contact information through Hokie SPA.

Select “Update Address and Phone”

Enter your information

Select “Submit”

Select FERPA (Family Educational Rights and Privacy Disclosure) from the University Account Information menu.

Choose Family Educational Rights to Privacy Act (FERPA)

Enter the individual’s information and assign a passcode

Inform the authorized individual of their passcode

FERPA is a federal law that guarantees students the right to access their academic record via email, phone, written notice, or in person. This law also provides guidelines for third party access and the appropriate security of the educational record. Learn more about FERPA and third party disclosure through the VT University Registrar’s website at www.registrar.vt.edu. It is important to note that students control FERPA disclosure and at any time the third party permission may be revoked. Students are recommended to set up a passcode for themselves and any person that may need access to their student information. Passcodes are required for all parties other than the student when contacting VT.

Penalties for Late Payment A late payment fee of 10% of the past due balance (not to exceed $125 per term) will be assessed to students who have not paid or do not have sufficient financial aid or other credit to cover the balance due. VTCSOM may also impose additional penalties and holds including withholding grades and the prevention of exam completion. If there is a past due balance remaining at the end of the term, finance charges will also be assessed. Finance charges will be charged monthly at the rate of .667% per month (8% APR) on the past due billed balance after the term is completed. Collection actions may also occur for overdue balances.

Financial Aid Please contact the VTC School of Medicine Office of University Scholarships & Financial Aid to discuss aid options and eligibility. This office can also assist with accepting, declining, or reducing aid packages. A FAFSA is required for federal or state student aid. The VTCSOM school code is G42186 and there is a yearly priority filing deadline of February 15th. When accepting your financial aid award package, be sure to accept only the amount of loan aid that will be needed. If the needed amount changes, federal loan reductions and cancelations are allowed within 14 days of disbursement. After this time, requests for federal loan reduction or cancelation will need to be prepaid to the VT Bursar’s Office before the request will be processed. Please contact the VTC School of Medicine Office of University Scholarships & Financial Aid for more information, including request deadlines.

Short Term Loans Short term loans are available in amounts of up to $1,000 to cover unforeseen or emergency expenses. Loans must be paid back within 30 days and an application fee of $5 will be assessed. Please Note: Due to the timing of the Spring 2017 financial aid disbursement, Spring excess aid refunds will not be available until after classes begin in January. Be sure to plan ahead for the timing of any expected refund. If you will need temporary assistance for January living expenses until you receive your excess aid refund, you may apply for a short term loan. The deadline to apply for short term loan disbursement in December is 12/05/2016. Please contact the VTC School of Medicine Office of University Scholarships & Financial Aid for more information.

Refunds The Office of the University Bursar will begin to process the first refunds of excess financial aid and overpayments during the first week of classes each term. Refunds will then be calculated weekly. Please do not hold checks; be sure to cash all refund checks upon receipt.
