CHAPTER 1

IntroductionWe are pleased to welcome you to the SASSI family!

This guide is intended to assist individuals using SASSI computer pro-grams. Our goal is to make the installation and operation of the variousprograms go as smoothly as possible. Each of the programs is describedseparately to facilitate greater utility and ease of use. We’ve included illustra-tions that depict many of the operations or features in an easy-to-understandformat.

You may also want to refer to the FAQs document that is included on the SASSI Installation CD for further information on the operation of the SASSI program.

To review the FAQs document or this User’s Guide at any time, first installthe SASSI 4.0 program. Upon successful installation, click onStart>Programs>SASSI>FAQ for SASSI 4.0 or Computer User’s Guide4.0. You can also review the FAQs document and this User’s Guild whilein the SASSI program by clicking the Help button on the Windows task bar.

Technical Assistance

The information in this guide was developed with the assumption that the user has some basic operational knowledge of a personal computer systems. If computers are new to you, it may be helpful to become some-what familiar with the operation and features of your system before install-ing and operating the SASSI program. (This includes the setup and opera-tion of your printer.)

If you experience technical problems while installing or operating the SASSI program, be sure to review the appropriate section in this guide and to check that your computer system is functioning properly. Although we have made every attempt to foresee potential problems, it’s possible that you may still experience installation or operating difficulties that are not dis-cussed in this guide. Clinical Assistance

One of the benefits of the SASSI computer program is the availability ofautomatic scoring and brief reports describing clinical information related tothe SASSI scores. While these features provide the clinician with accurate,quick and convenient access to SASSI results, users often want to knowmore about the scoring and/or the interpretation of SASSI results.

The SASSI Institute provides a number of ways for you to become morefamiliar with the administration, scoring and interpretation of the SASSI.

Clinical Consultation

Results can be reviewed with a SASSI clinical consultant by calling 1-888-BY-SASSI (1-888-297-2774), Monday through Friday 9am to 5 pm. Our clinical staff can provide general clinical information concerning the administration, scoring and interpretation of the SASSI or answer specific questions about a particular SASSI profile.

SASSI User’s Guides

We highly encourage you to review the Adult SASSI-3 and AdolescentSASSI-A2 User’s Guides which are quick references for administration andscoring. Installation and Start Up

System RequirementsThe SASSI software release 4.0 is a Windows based program that must beinstalled on the hard drive of an IBM or compatible PC and operated withinthe Windows environment. The minimum system requirements are:

1. 233 MHz or higher processor

2. 128 MB RAM

3. 48 MB free hard disk space

4. CD-ROM Drive

5. Windows XP or higher

6. Adobe® Acrobat Reader (Download current version at http://get.adobe.com/reader/)

Loading the SASSI Program

Installation from the SASSI CD-ROM

1. Load the SASSI Installation CD into the CD-ROM drive of your PCand follow the on-screen insructions

2. If the installation does not begin automatically, click on Start > Computer>D:SASSI> setup.exe

3. When the SASSI installation is complete, the Adobe® Acrobat Readerinstallation can be initiated by clicking Next at the bottom of the screen. If you already have Adobe® Acrobat Reader installed on your PC, you can bypass the installation by clicking on the check box that ap-pears next to Install Adobe Acrobat. If you do not have Adobe Acrobat, please download the curren tversion at http://get.adobe.com/reader/ before installing the software.

Helpful Hints:

1. Be sure to read the SASSI Letter of Agreement and to click that youaccept the terms specified in the license agreement. You will not bepermitted to continue with the SASSI program installation if you clickthat you do not accept the terms of the agreement.

2. At the Setup Type screen, do not change the default setting of Typicalas this is the standard for the majority of installations. The Tech Sup-port setting should only be used when directed to do so by the SASSIHelp Desk.

Initial Program Activation

At the end of the installation process, you will be instructed to call SASSIcustomer service at 800-726-0526 with the 12 digit number that appears onyour screen. The technician will give you a corresponding number to enter,which will activate the number of tests you originally ordered. You will not

be able to change the number of questionnaires youactivate as it is based on the amount that you pur-chased. However, you will be able to activate morequestionnaires when needed (see Activate MoreQuestionnaires in Chapter 6).

Custom InstallationUse this feature to customize features of your SASSIprogram, such as organization name and systempassword. To run this option at any time, clickStart>Programs>SASSI>Customize SASSI 4.0.

Screen One (see Figure 1)

1. Enter your organization’s name and an initial system passwordinto the corresponding fields. The password must be exactly 5characters in length, such as SASSI or PLANE. Write down thepassword in a safe place that you will easily remember as you willneed it to access test results and other features in the program. Tochange your password after initial installation, you will need touse the Change Password feature at the main menu.

2. Six miscellaneous fields are available to recordsupplementalclient information, such as Social Security Number or Birth Date.The data fields associated with each Misc. Field label are 10characters in length. Type a label that best describes the data to beentered in the field. Field labels may be changed later by rerun-ning the custom installation program. However, doing so willcause the existing data to be relabeled. To collect a new categoryof data, use a new, unused Misc. Field.

3. When finished with entries, click Finish to save your settingsand exit the custom installation program. If you will be connect-ing a Scantron® reader to your PC, click Next and see the nextsection.

Screen Two (Scantron® Users Only)

If you will be connecting the SASSI software to a Scantron® opticalreader, use the drop down menu at this screen to select the COM Portof your PC that will be connected to the Scantron® reader (typically thisis COM 1 or COM 2). If you are unsure, please refer to the operationsmanual that came with your PC.

Click Finish to save the customized settings or Back to return to theprevious screen.

Program Start UpThe SASSI program is now fully installed and can be run by clicking on:

SASSI 4.xxx.lnk on your desktop

or by clicking:

Start>Programs>SASSI>SASSI 4.0

To edit custom installation settings at any time, click:

Start>Programs>SASSI>Customize SASSI 4.0

System Navigation

There are several ways to navigate through the SASSI program.

uuuuu Keyboard arrows.

uuuuu Tab key. Use the Tab key to move from field to field.

u Mouse Point and Click.

uuuuu Hot keys. These are underlined letters found on buttons of certainscreens. Press the letter key that is underlined to activate the feature.

Note: Some operations require pressing letter keys or the Enter key on thekeyboard and cannot be activated by using the mouse buttons.

Uninstalling the SASSI program(You may want to export or backup your SASSI data prior to removingthe SASSI program from your PC. For further instructions, see Chapter5 on Data Management.)

If at any time you wish to uninstall the SASSI program from your PC:

1. Click Start>Settings>Control Panel>Add/Remove Programs.

2. Select SASSI 4.0 and click OK

3. At the Program Maintenance screen, click the button next to the

Remove option and click Next

The SASSI program should now be removed from your system.

Reinstalling the SASSI programIf you have a computer system failure and the SASSI program is inadvert-ently lost from your hard drive, you will have to use the SASSI installation CD to reinstall the software. In most cases, you should not need to call the SASSI help desk to reactivate the number of unused question-naires you had remaining on the SASSI program. However, if you don’t have a current backup file, you will lose the database that contains your client data.

It is important that you use the Data Managment option on the SASSImenu to regularly Backup the SASSI database file and store it some-where other than your C drive so that you can use this file to Restore yourclient data to the SASSI program in the event of a hard drive crash.

See Chapter 5 on Data Management for further information about theBackup and Restore procedures.

Administering Tests

Select Batch

It is recommended that you use this function to select a batch name for yourSASSI data files prior to entering any data, adminstering questionnnaires orentering scale scores. Otherwise, data will be stored in a batch namedDEFAULT.

Each SASSI client record is stored in an active database file. Subsets or “batches” of client records within this database file can be tagged or identified by selecting a batch name for each subset (e.g., 083101 as the date of adminstration). In this way, batch names can be used to label subsets of client records with names that are more meaningful and useful. Batches can be backed up, archived or exported for analysis at a later time. (See Data Management in Chapter 5).

Everytime the SASSI program starts, the batch name is automatically set toDEFAULT. All client records entered after creating a new batch name willbe labeled and stored in the program with the new name.

There are several options beyond using the DEFAULT batch label.

Creating a new batch name

u Click on the Select Batch button at the main menu

u Click on New at the right side of the dialog box

u Type the name of the new batch (maximum of 15 characters)

u Press Enter or click on Select

Selecting and reviewing a different batch

u Click on the Select Batch button at the main menu

u Use the Tab or Arrow keys or click on the desired batch

u Click Select

Working with all batches simultaneously

u Click on the Select Batch button at the main menu

u Click All

Helpful Hints:

u If you do not want to use the batch feature, leave the selectedbatch as DEFAULT, and all data will be written to that batch.

u The selected batch remains in effect until it is changed orupon exiting the program. At program initiation the batch isreset to DEFAULT.

u New tests are automatically assigned the current batch name.The name of the current batch is displayed on the right side ofthe main screen just under the number of questionnairesleft (see Figure 2). If All batches are being viewed, thenew test is assigned to the DEFAULT batch.

u When using the Review Results function to retrieve test results,only those tests in the current batch will be retrieved. Select theAll batch option in the batch dialog box to review the results ofall tests.

u The batch to which a test is assigned can be changed by usingthe Edit feature of the Review Tests function. Changing thebatch assignment of a test can only be done when the All batchis being viewed.

Administer Adult Questionniare

Administer Adolescent Questionniare

On Types 1 and 3, this option allows full keyboard administration and scalescore entry of the Adult SASSI-3 and Adolescent SASSI-A2 tests. Type 2only permits scale score entry of previously hand scored tests. The operat-ing instructions are identical for both the adult and adolescent SASSI. Pressthe desired adult or adolescent button at the main menu to administer a test.

Selecting Administration Option (See Fig-ure 2) (This feature may not apply to your software configuration)

Full keyboard administration

If the client will complete the SASSI at the keyboard,press F on the keyboard. This feature cannot beactivated by using the mouse button.

Scale Score Entry

If you will be entering scale scores from a previouslyadministered SASSI, press S on the keyboard. Thisfeature cannot be activated by using the mouse.

Entering Additional Client Data

At the next sceen, simply enter the appropriate data in each field. In-structions for data entry in each field are displayed at the bottom of thescreen. Data that are not available at the time of administration, such asemployment status or total number of arrests, can be entered later usingthe Review Results function (see Chapter 4, Reviewing Results).

Time Frame for Frequency Items

You must select a time frame for the frequency items that result inthe Face Valid Alcohol and Face Valid Other Drug scales on theSASSI. The time frame does not apply to the true/false items.

The data that were used to norm the SASSI were gathered frompeople who were instructed to respond to the frequency items on thebasis of their lifetime experiences. However, in some cases you maywish to administer the SASSI with instructions to respond to thefrequency items over a six-month period of time.

Prior research on the adult SASSI-1 suggests that use of a six-monthtime frame increases the rate of false negatives (i.e, people who havea substance use disorder but are not identified by the SASSI).However there may be situations in which the six-month time frameis useful. For example:

u If you are evaluating a client who has completed a treat-ment program, you may want to know about the client’suse since treatment

u If your client is incarcerated, you may want to know abouttheir substance use before detention

u If your primary concern is acute care, you may need tofocus on recent substance use

Click on the arrow next to the Time Frame for FaceValid Items box and move the cursor to the desiredoption. If you select 1 for The Client’s Entire Life or 2for The Past Six Months, no further input is required.If you select 3 for The Six Months Before a CertainDate or 4 for The Six Months Since a Certain Date,you will be required to enter a related event or experi-ence in the text box that appears below (for example,the six months before the current incarceration or thesix months since completing treatment) (see Figure 3).

Misc. Fields

These optional fields can be labeled at the custom installation screen.They should only be completed if you have given a specific name tothe field, such as Date of Birth or Social Security number, etc. (SeeCustom Installation in Chapter 2 for more information.)

Once data entry on this screen is complete, click Save on the bottomrow of buttons to save the data. On Types 1 and 3, the next screen willbe the first item of the test (SASSI-3 or SASSI-A2) or the screen forscale score entry of a previously scored SASSI-3 or SASSI-A2, de-pending on the option you selected (F or S). For Type 2, the next sreenwill always be for scale score entry.

Administering the Questionnaire

True/False Items

Each SASSI item will be displayed one at a timestarting with the true/false items (see Figure 4). Theclient must respond by pressing either T for True or Ffor False. No other character will be accepted. Thescreen will automatically advance to the next itemonce the T or F is pressed. Be certain to adviseclients that they will have an opportunity to reviewand change their responses at the end of the true/falsesection.

Note: When the option to review responses is sel-ected, the program will cycle back to the the firsttrue/false item. Clients can advance through theitems by pressing T, F or Enter.

Frequency Items

After the true/false items are completed, the firstfrequency item will be displayed along with the timeframe instructions that were previously selected. Theclient must acknowledge reading the instructions byclicking on OK before proceeding (see Figure 5).Clients must respond by pressing the appropriatenumber from 0 to 3. No other characters or numberswill be accepted. The screen will automaticallyadvance to the next item once a number from 0 to 3is pressed. After the last frequency item, clients willhave a chance to review and change their responses.

If Yes is selected, the screen will automatically cycle back to the firstfrequency item. Once No is selected. a pop-up window informs theclient that the test is complete and to contact the test administrator.

Items B1-B6 (Adolescent SASSI-A2 only)

Following the frequency items on the SASSI-A2, aseries of items labeled B1 through B6 will be dis-played one at a time. The client responds by clickingthe button in front of the desired answer for each item.The Next button advances to the next item while theBack button returns to the previous item (see Figure6). After the 6 items have been completed, click theSave button to finish the administration.

Entering Scale Scores (see Figure 7)

If the client has completed the SASSI-3 or SASSI-A2on a paper questionnaire, enter the SASSI scale scoresfrom the scored test in each of the appropriate fieldson the screen (see the SASSI User’s Guides forscoring instructions). Use the Mouse, Tab or Arrowkeys to navigate between fields.

When you have completed the score entry, click Saveat the bottom of the screen or Quit to return to themain menu without saving the data. After clickingSave, a prompt appears at the top right hand corner ofthe screen. If you wish to save the scale scores forthis record and continue, press the Y on the keyboard.If you wish to modify any of the scores, press N onthe keyboard. You must press either the Y or N on thekeyboard to continue. Clicking on the Y or N on thescreen with the mouse will not work.

(When entering SASSI-A2 scores, after clicking Y,the next screen will display items B1 to B6 for completion. See Items B1-B6 above).

Viewing/Printing/Saving the Results

When prompted, enter the password that was selected during the custominstallation. You will have three attempts to enter the correct password. If thepassword is entered incorrectly after this, you may be transferred back to themain menu. If this happens, click on the Review Results feature and entersufficient identifying data to retireve the test you were working with. Oncethe desired record is displayed, click the Report button at the bottom of thedata retrieval screen. Enter the correct password at the next screen and pressEnter.

The Adobe® Acrobat Reader will open and display the report in PDFformat. Use the tool bar or icons at the top of the screen to change viewsettings, save, or print the report. Saved reports can later be sent as e-mailattachments. Click Help on the tool bar for online assistance with theoperation of the Acrobat Reader program.

When you are finished with the report, you can either exit the Adobe®

Reader if you will not be reviewing additional reports or simply leave itopen to review other results.

Reviewing Results

Review ResultsStored SASSI results can be retrieved, viewed, saved to a file and printedusing this option. Records can also be updated with additional clientinformation that was previously unavailable.

Retrieving SASSI Records

When retrieving SASSI results, it is important to remember that searcheswill only retrieve records from the currently selected batch or batches. Becertain to select the appropriate batch for the data you want to retrieve priorto conducting the records search.

Enter the desired search criteria in any given field or combination of fields.The program will retrieve any record that meets ALL search criteria. Forexample:

To retrieve all records in the DEFAULT batch that were initially entered ona certain date:

1. Press the Review Results button on the main menu

2. Select the DEFAULT batch

3. Enter the desired date in the date field (MM/DD/YYYY)

4. Click Search

To retrieve all male records in a batch named CPS that were entered on acertain date (see Figure 8):

1. Press the Review Results button on the mainmenu

2. Select the CPS batch

3. Enter the desired date in the date field (MM/DD/YYYY)

4. Enter M in the sex field

5. Click Search

If the desired records are not retrieved, check the selected batch name andeach of the data fields to ensure that the correct batch and search criteriahave been entered.

Editing SASSI Records

Retrieved records can be reviewed by clicking theNext and Previous buttons at the bottom of thescreen. The Next button will become inactive(fade) when the last retrieved record is displayed.To go back through the records, click on thePrevious button

To edit a SASSI record, click Edit. Each of thehighlighted data fields can be updated by clickingon the appropriate field and making the desiredchanges (see Figure 9). To save the changes,click Save.

Deleting SASSI Records

This feature should be used only when you no longer wish to retain a clientrecord in the active database. As a protection, records deleted using thisfunction are assigned to a batch named DELETED. The DELETED batchcan be permanently eliminated from the active database by using theArchive feature (see Chapter 5). Until permanently removed, the records inthe DELETED batch can be accessed using the Review Results option.Certain standard reports can also be run using the data in this batch (seeStandard Reports in Chapter 5).

1. Retrieve the desired records using the appropriate selection criteria.

2. Click Search

3. Click Delete

4. At the pop up window, click Delete to continue the operation orCancel to discontinue and return to the previous screen.

Viewing/Printing/Saving Retrieved SASSI Results

(See Chapter 3, Administering tests for further information.)

Batch PrintThis option generates reports in the Acrobat Reader for all tests in thecurrent batch and date range entered. Use the Tab or Arrow keys to enterthe desired date range. Tests results can be viewed or printed in the AcrobatReader.

CHAPTER 5

Data ManagementThe Data Management feature provides a number of tools to manage the active database file or a selected batch or batches within the file. In addition, unused activated administrations can be transferred between PCs and standard reports can be generated using this module. To activate this feature, click Data Management on the main menu. To discontinue any operation within this module, click Cancel.

Managing the Database FileThe active database file or selected batches can be backed up, archived, restored and exported in the Data Management option. Remember that a batch name is simply a tag or identifier that is associated with a set of client records. A batch allows the user to readily identify subsets within the entire client database. The database file is comprised of batches of records that the user has named individually or of the single batch called DEFAULT.

The data can be backed up or archived in a database format to another drive and/or directory. Archived client records can later be restored to the active database file in their original format. Another feature exports selected client data as a text file for analysis by other software applications.

The backup, archive and export functions save data to a directory orfolder that you select. In order to minimize potential errors in data transmis-sion, it is recommended that you create a separate and unique directory/folder to use as a data storage site. This should be done prior to using anyof these functions. The storage directory/folder can have any name otherthan SASSI 4.0 and can reside on any available drive.

The files for each of these features move or copy selected records to a filenamed according to the following format:

Archive files: YYMMDDax.dbf

Backup files: YYMMDDbx.dbf

Export files: YYMMDDex.txt

Where: YY stands for the last 2 digits of the current year

MM stands for the numeric month

DD stands for the current day

a=archive, b=backup, e=export, and

X is a sequence number from 0 to 9, then a to z.

Create Backup (see Figure 8)

Use this option to create a backup (i.e., duplicate copy) of the SASSI database file on another drive/directory of your choosing. The Backup feature can also be used to copy data to a SASSI to Go disk (see SASSI to Go on page 20).

In order to protect against the loss of data due tohardware failures, etc, a back up should becopied to some medium other than the hard driveof your PC as frequently as possible, ideally justprior to terminating the SASSI program when-ever new data is entered.

1. Click on the Create Back Up option until it ishighlighted

2. Click Select

3. Highlight the desired drive/directory to copy thedata file to and click Select

The SASSI data file should now be copied on thedrive/directory that was selected and renamed usingthe format YYMMDDbx.dbf (e.g., 010928b0.dbf).The Restore feature can be used to copy this datafile back to the SASSI program (see Restore).

Archive (see Figure 9)

This option will archive (move) individual batches ofclient records from the active database to a newdrive/directory and delete those records from theSASSI program. Only data from selected batch or

batches will be removed from the active SASSI database file and stored onthe selected drive/directory. This feature can also be used to move data filesto a SASSI to Go disk (see SASSI to Go on page 20).

1. Click on the Archive option until it is highlighted

2. Click Select

3. At the pop up window, click OK to continue or Cancel to exit

4. Highlight the desired batch name and click Select=>. This will placethe highlighted batch in the right-hand box for removal. Use the<=Unselect button to remove a batch that you do not want toarchive. Click All=> to move all of the batches to a new directory.

5. At the next screen, click the desired drive/directory then click Select

The archived batches should now be stored in a file on the new drive/directory that was selected. The archived file will be named according tothe format YYMMDDaX.dbf (e.g., 010925a0.dbf).

Restore

Use this feature to restore a previously backed up or archived file to theSASSI program. By combining the Archive function on satellite stationswith the Restore function on a network server or similar central station,SASSI data from various data collection sites can be aggregated for furtheranalysis. The Restore option can also be used to restore data from a SASSIto Go disk (see SASSI to Go on page 20).

1. Click the Restore option, then click Select

2. Find and click on the archive file (YYMMDDaX.dbf) then click OK

3. Highlight the desired batch name and click Select=>. This will placethe highlighted batch in the right-hand box to be restored. Use the<=Unselect button to remove a batch that you do not want restored.Click All=> to restore all of the batches to the SASSI program.When ready to continue, click OK (see Figure 9)

The backed up or archived data files should now be restored to the SASSIprogram.

Export

This option is used to export SASSI client data records to a “comma delim-ited” text file than can be stored on any drive/directory of your choosingwithout removing any data from the SASSI program. The exported text fileis renamed in the format YYMMDDeX.txt, which can be imported intoother software application for analysis.

1. Click the Export option, then click Select

2. At the next screen, click the desired batch name and click Select=>.This will place the highlighted batch in the right-hand box to beexported. Use the <=Unselect button to remove a batch that you donot want to export. Click All=> to export all of the batches to a textfile. When ready to continue, click OK (see Figure 9)

The selected batch(es) should now be stored in a text file(YYMMDDeX.txt) on the selected drive/directory.

SASSI to Go

Unused administrations can be transferred from one PC to another by usingthe SASSI to Go feature. This enables users the flexibility of transportingunused administrations between PCs that may be located at different sites,thus permitting added convenience for administration and operation of otherprogram features. In addition, any or all of the client data from the sourcePC can be moved or copied to other PCs.

Note: The SASSI program must be installed on each PC that will be usedprior to initiating the SASSI to Go procedure (see Chapter 2 for installationinstructions).

Transferring from computer using SASSI to Go feature1. Click on Data Management at the main menu,

then SASSI to Go, then click Select. You canalso click the SASSI to Go button on the mainmenu if this button was previously added.

2. Create folder on a removable media such as a thumb drive or disc that is labeled SASSI To Go. This folder can also be located on a network drive.

3. Follow the on-screen instructions

Step 3 gives you the option to Archive (move) or Backup (copy) active database files to the SASSI to Go folder (see Figure 10). To remove any or all batches of client records from the source PC to the SASSI to Go file for transfer to another PC:

1. Click Archive.

2. Select the batch or batches that you want to transfer to the SASSI to Go folder and click Select.

This will move the selected records to the SASSI to Go folder and

delete these records from the SASSI program.

To copy all client records without removing them from the source PC:

1. Click Backup

2. Click Select at the next screen. If your SASSI to Go folder is in a drive other than A: you will need to change the directory to the letter that matches the location specified.

To complete the transfer process without moving orcopying data files, click Finish. To add a SASSI toGo button to your main menu screen for faster accessto this feature, click Next and follow theinstructions on the next screen.

Transferring from SASSI to Go disk to com-puter

1. Click on Data Management, then SASSI to Go,then Select. You can also click on the SASSI toGo button at the main menu if it has already beencreated

2. At the next screen, click the Get unused testsfrom a SASSI to Go disk option (see Figure 11),and follow the on-screen instructions

If data were previously moved or copied to the SASSI to Go folder, these records can be restoredto the current PC by clicking the Restore button. You will have the option to select and restore data in any previously copied or archived file. You can also restore some or all of the batch files in the data file that you select.

1. Click the Restore button at the SASSI to Go screen(see Figure 12).

2. Select the data file that you want to restore. If thereis more than one file name listed and you need helpidentifying the files, see page 17 for a list of filename formats

3. Choose the batch or batches that you wish to restore and click Select.

All files in the selected batch(es) should now be restored to the SASSIprogram on your PC. The number of records restored will briefly flash inthe upper right hand corner of the SASSI screen.

Standard Reports

In addition to the data management features mentioned above, a number ofstandard reports can be created, displayed on screen, printed, copied or savedas a text file. To select a report:

Click on Data Management, then the desired report, then Select.

Once the report is on screen, scroll to review or select one of the followingoptions:

Print -sends report to printer

Copy to clipboard -copies report to clipboard

Save As -saves report to a file you name

Quit -returns to main menu

Batch Analysis

Use this feature to create a report that illustrates the percentage of clientcases classified according to four categories based on the SASSI decisionrules. Notice that category classifications for adults are based on Sub-stance Dependence Disorder while those for adolescents use the broadercategory of Substance Use Disorder. This is because the Adult SASSI-3measures the likelihood of Substance Dependence while the AdolescentSASSI-A2 measures the likelihood of a Substance Use Disorder, includ-ing both Substance Abuse and Substance Dependence (see the SASSI -3and SASSI-A2 Manuals and/or User’s Guides for further explanation ofthis difference).

Category 4 = High Probability of Severe Substance Dependence (adult)

For Scantron users, an additional report field labeled Inconclusive, liststhe percentage of cases where a Decision Rule classification could notbe determined due to missing or double-marked items on the Scantronform (see Inconclusive Cases below for a related report option).

The percentage of adult SASSI-3 cases where the RAP score is greaterthan one and the percentage of adolescent SASSI-A2 cases where theVAL is greater than 4, is also listed in the Batch Analysis report.

Percentages across the entire report are calculated separately for data ineach selected batch as well as for all selected batches. The procedurefor selecting batches to be included in the report is the same as otheroptions in the Data Management feature (see, for example, Archive orRestore on p xx).

Case #s by Category

Use this option to create a report that lists each of the four categories followed by the client case numbers associated with each of the cate-gories. This report will retrieve all client records in the active database (all batches). Reports for individual batch files are not available at this time.

Inconclusive Cases (Scantron Users Only)

This option creates a report listing the client case numbers in which theresults are inconclusive due to missing or double-marked items on theclient’s Scantron form that was scanned. These cases can also beeliminated from the active data base and saved to a batch named DE-LETED (see earlier section on pxx for information on deleting SASSIrecords).

Elevated RAP or VAL cases

To create a report listing adult SASSI-3 client case numbers where theRAP score was greater than 1 or adolescent SASSI-A2 client casenumbers where the VAL score was greater than 4, select this report.

Misc. Features

Activate More QuestionnairesAllows on-site activation of additional questionnaires. You must call TheSASSI Institute while the SASSI program is running in order to completethe activation of questionnaires in your program. If you obtain a 12-digitnumber using this feature, exit the SASSI program and later call for anactivation code that matches this number, you will be instructed to restartthe SASSI program, enter the activation module, and obtain a different 12-digit number for activation.

Note: Please have your customer ID and the serial number of your SASSI program (both printed on the Installation CD) prior to calling as you will need these during the activation process.

1. Click Activate More Questionnaires at the mainmenu. Click Finish at the next screen to con-tinue.

2. At the next screen, enter the number of tests youwould like to purchase and press Enter (seeFigure 13). 25 to 50,000 tests may be purchasedwith a single activation .

3. Call the SASSI Institute at 1-800-726-0526 torequest an activation code. You will need the 12-digit number that appears in this window to getan activation code.

4. Upon calling, you will be asked for the 12-digitnumber on your screen, your customer ID andthe serial number of your program. Give thisinformation to the technical support person andpress Enter. If you press Enter before calling,the next screen will remind you of the 12-digitnumber to use when calling.

5. At the next screen, enter the 12-digit activationcode that is given to you over the phone andpress Enter (see Figure 14). If the incorrectnumber is entered, a message will appear on thescreen verifying this.

Inform the technical support person of this and you will be given furtherinstructions. If entered correctly, a message on the screen will indicatethe requested number of questionnaires have been activated.

Change Password

This option can be accessed at any time to change the SASSI password.Remember that your new password must be exactly 5 characters in length.Passwords of greater or lesser length will not be accepted.

1. Click Change Password at the main menu.

2. Follow the on-screen instructions and click OK.

A message will appear in the upper right-hand corner of the screen indicat-ing that the password was changed correctly or that an incorrect old pass-word was used. If you cannot remember your old password, please calltechnical support at 1-888- 251-4147 for further instructions.

Don’t forget to write down your new password in a safe place that you caneasily remember.

Erase NamesNames can be deleted from client files without changing or deleting anyassociated client data, including test results. This is a convenient way toprotect client confidentiality when conducting data analysis that doesn’trequire client identification or when sharing data with outside sources. Ifusing this option, you may want to keep a separate listing of the namesassociated with the case number of each data file.

1. Click Erase Names at the main menu

2. Enter the correct password at the prompt

3. Click Yes to erase all names or No to cancel the operation

If Yes is selected, the message ALL NAMES ERASED will briefly flash inthe upper right corner of the screen. If No is selected, the message NONAMES ERASED, will appear in the same location.

QuitTerminates the SASSI program.

CHAPTER 7

Scantron®

Most Scantron® optical mark readers require a “null modem” or “crossover”serial cable to connect to the COM port of your PC. Please contact yourScantron® representative if you require further assistance with the set-up ofyour scanner.

Installation InstructionsScantron® installations are for the most part auto-matic. However, one additional screen of user inputis required to complete the installation. For questionsand/or assistance during installation of the SASSIsoftware, please call SASSI technical support at 1-888-251-4147.

1. Initiate the Custom Installation feature (see Chap-ter 2, Custom Installation) and click Next at thebottom of the first screen

2. Use the drop down menu to select which portyour scanner is connected to (see Figure 15)

3. Click Finish to save the setting and exit CustomInstallation

Process Scantron Form(s)1. To process SASSI Scantron® forms through the scanner, click Pro-

cess Scantron Form(s) at the main menu.

2. Follow the on-screen instructions.

Note: You may want to review each form prior to scanning to ensurethat all items have been completed. If you find missing or double-marked items on a test form, try to have the client complete the itemsprior to scanning.

3. The program will process all forms fed into the scanner and savethem to the current batch. If you want to save different groups oftest forms to different batch names, be sure to arrange the formsaccording to batches and ensure that the forms fed into the scannermatch the current batch selected in the software. Each time you begin to scan a new batch, you will first need to change the batchname to match the group of test forms you are processing (see SelectBatch in Chapter 3).

4. After all the forms have been scanned successfully, press the ENDkey on the scanner.

The program displays a screen summary of those items which did not scanproperly (one page per form). For each form with missing values, you mayprint the list, ACCEPT or REJECT the form. If you choose REJECT, thatform is not entered into the active database. If possible, have the clientcorrect any unmarked or double-marked items and rerun the form throughthe scanner.

To view, edit or print the results of scanned forms, click Review Results atthe main menu and enter the desired retrieval data at the next screen (seeReview Results in Chapter 4). To print a group or batch of reports at thesame time, click Batch Print at the main menu and follow the instructions.
