1. The contractor will providing at least one Engineer on all working days. The engineers should be equipped with mobile phones to ensure their availability. Occasionally, the

services of the engineer of the contractor may be required on non working days or

beyond office hours on working days and in exceptional circumstances, on holidays to

meet emergent situation. The contractor shall ensure that the personnel are deputed on

such occasions also.

2. The service provider would put asset number on each of the system being maintained by

them. These should correspond to the number/s of equipment to be maintained in a

separate register along with details of room/place where they are placed/located. It there

is shifting of the equipments under this AMC, the service provider will have to make

changes in record accordingly so it would assist the service provider in this task and

insure this to be dome under his/her supervision.

3. The service provider will prepare log book of machines to be done under his/her

supervision.

4. The contract will be valid for a period one year from 01.04.2016 to 31.03.2017. The rates

quoted will remain in force for the full period of the contract. It will be open to the

Commissionerate to extend the term of the agreement on the same terms and conditions

for a further one year, if necessary.

5. The service provider shall check all the computers and printers within 3 days of signing

the contract and submit report to the Administrative Officer(Hqrs.). In case no report is

submitted within stipulated time, it will be assumed that all the machines are in running

conditions.

6. At the end of the AMC period, both the user and AMC holder shall certify separately that

all the systems are in satisfactory working condition and that no fault or complaints are

pending. The service provider shall provide services for at least 15 days from the date of

expiry of the contract for smooth transfer of the AMC to the new contractor without any

extra cost.

7. Where ever any Computer/Printer/UPS under warranty, minor problems should be

attended in case of emergency. However Department will lodge the call with

manufacture’s firm.

8. For all equipments, maximum acceptable downtime will be one day for Udaipur. For

other locations except Udaipur, maximum acceptable downtime limit will be two

working days excluding holidays.

9. Penalty for completing the calls after the time limit will be Rs. 100/- per day for Monitor,

printer, UPS, Modems etc. and Rs. 200/- per day for PC. Maximum penalty will be

limited to systems value. Penalty shall be deducted from the running payments.

10. Whenever during the period of the maintenance contract, the service provider is found to

be not satisfactory or it the service provider is found violating any of the conditions

governing the Maintenance Contract, this office has the right to terminate the contract

immediately without any compensation.

11. The department reserves the right to cancel the vendor bid/AMC services, if any

information provided by the vendor is found false or unverifiable during the selection

procedure or during the AMC period.

1. The scope of work covers comprehensive annual maintenance of Hardware (such as

Computers, Printers, Scanners, UPS, Networking components, LAN etc. of different

make & models) and various software installed in the jurisdiction of Central Excise

Commissionerate, Udaipur.

2. Special cleaning of the Monitors, Printers, Key Board, Mouse etc. from outside with

liquid cleaner should be cone once in a month. The service provider shall remove dust

from the equipment by vacuum cleaning by a small vacuum cleaner.

3. A scheduled preventive maintenance is to be carried out in every three months for all

systems and peripherals. Preventive maintenance means quarterly servicing of the

equipment irrespective of whether the equipment has suffered a breakdown or not, and it

includes- checking of all the keys of the keyboard for proper operation, servicing and

cleaning of machines and printers, cleaning of grounding and safety of equipment,

running of test programme to ensure quality print/date reliability, ensuring that the

covers, screws, switches etc. are service provider fastened in respect of each equipment,

updating virus definition, scanning of all types of virus and climanation and vaccination

of the same.

4. AMC shall include services and replacement of all defective parts. The hardware

maintenance support includes corrective and preventive maintenance, repairs of

replacement of defective parts and Operating System support.

5. The Service engineers would take up any reported fault within 3 hours. As far as possible, the repairs would be carried out on site itself. However, in case the equipment to

be taken out to the workshop the service provider would for repair with proper

permission of the competent officer would be at the company’s own risk and expenses.

6. A standby inventory of Monitor, CPU, Laser Printer, HDD, RAM etc. should be kept in

the department.

7. Anti-virus support is compulsory wherever in the case of infection.

8. Software support is required for Windows, 98/XP

Professional/2007/2008/Vista/Linux/Unix/UnixWare and for MS Office 2000/MS Office

XP/MS Office 2003/MS Office 2007/MS Office 2010 and latest version etc.

9. AMC will not include the cost of consumables, plastic items and supply items such as

ribbons, Media like magnetic tapes, paper, toners, cartridges, CD/DVD/Floppy Diskettes,

Print Head, Drum, Teflon, pressure roller, fusion assembly, RD assembly, UPS Battery

etc.

10. Where the parts/components have failed/been damaged or gone into disuse due to any

reason, the same shall be replaced by the service provider with the same make

specification and brand of item/components/part. In case the model/brand has become

obsolete, the same shall be replaced with equivalent of the items/part/components.

11. The service provider shall acknowledge each call from the department with a unique call

number, which will be issued for reference. The service provider have to maintain “Call

Sheet” for each call in triplicate and will get all the “Call Sheets” signed by the user after

completion of the call. A copy of such complete call sheet is to be handed over to the user

and another copy is to be submitted to the Administrative Officer on monthly basis and

the third copy to be kept by the service provider.
