G Suite is a collection of Enterprise Office communication, productivity and collaborative solutions and software offered by Google for Business. 1.0 OVERVIEW OF G SUITE SOLUTIONS G Suite consists of a suite of cloud based enterprise communication and collaboration suite applications provide by Google. The applications are used within an enterprise setup and control such as within an organization domain e.g. example.co.ke and with ability to add and control more domains. The organization has full control of the users and data with Google and us, Pawa IT, acting as technology and platform providers and reselling providers.

1.1 Gmail Gmail within Google Apps for Work is the enterprise web mail provided by Google for enterprise use within an organizations’ own domain name and control. Gmail offers highly secured and encrypted email connection with SSL and HTTPS security protocol enforced on all Gmail connections. It includes 30GB Mailbox size per user, offline support, custom enterprise email addresses such as [email protected].

1.2 Google Hangouts – Now Google Meet Google Meet within Google for work is a web based video conferencing facility. It also provides instant messaging via text chats. Google Hangouts is integrated with Google calendar to allow for remote participation in meetings via video links automatically. It also allows users who are not in your domain to both join and participate in your videoconference.

1.3 Google Calendar Easily schedule meetings at times that work for everyone, get meeting reminders and share calendars. With Google Calendar, multiple employees can post events on a single calendar that the entire company can access and edit accordingly. Google calendar has inbuilt SMS notifications that work across all ISPS.

1.4 Google Drive Google Drive is both a web and desktop application that allow users to create, store, share and collaborate on various files and work from whatever geographical location and time one is. With Google Drive, files can be accessed through the web or through desktop application available on both Windows, MacOS, Linux, Android, iOS and Windows Mobile. It allows you to store files in the cloud, share them, and have access to them from anywhere. Google Drive storage is shared between Gmail for Work but the storage capacity for Google Drive can increased per user based of demand.

2.0 OUR G SUITE VALUE PROPOSITION Our G Suite Value Proposition for your organization is based on the most important aspects of the business that are available within G Suite. As we have seen some of the core Google product offerings before, we shall explore the strategic and important aspects of G Suite that would help your business;

2.1 Cost G Suite is a subscription service that is billed per user per duration that is either monthly or annually at fixed rates by Google defined below. As Partners however, working in collaboration with the Google Territory Manager, we can manage to secure competitive pricing for your organization for the plans.

2.2 Post-Deployment Services G Suite comes with very many services and tools that enhance communication and collaboration.

1. Groups and collaborative inboxes: We shall create groups for teams and functions. With groups, users can easily create groups to communicate more easily with their departments, teams, and special-interest groups. They can also create groups that people outside your organization can send messages to – ideal for your customer service, support, and sales teams. Users can manage their own group memberships and even create their own groups.

2. Managing users and creating an organizational structure: We shall create organizational units beneath your top-level organization then move users and devices to that sub-organization. With organization units, users and services can optimally be managed with settings being applied to certain organization units as fits with companies’ information policies.

3. Provision Calendar Resources 4. Google Contacts and the G Suite Directory: Enable contact sharing and make it as per

Client data and information sharing policies. 5. Mobile devices: Managing and working with mobile devices issued by the company. Any

device issued by Client would be able to be remotely wiped if managed in the Admin Console. Set up printers, scanners and third-party apps: We shall configure all available printers to running on the network to be able to allow print, scan and send scan via email. Each Printer has a license or is an account within G Suite

2.3 Management and Reduction of License Many organizations are buying licenses they would ordinarily not need for G Suite or for other competitive products such as O365 make you pay than they would need. G Suite in itself, has legal and clever methods that can be implemented to reduce the number of licenses an organization would buy hence saving on costs. Our proposal to manage and reduce on license while maintaining the same level of communication and production would involve the following measures;

2.3.1 Use of Email and Domain Aliases G Suite has a feature that allows for creating alternative email addresses to users that can send and receive emails through a main user’s inbox at no extra cost.

Ø For instance, let us assume the company has over 10 branches or departments and each have an email address such as [email protected]. This department addresses are accessed by the manager who as well has a unique email address such as [email protected] . We can create up to 10 aliases accounts per user and hence offer substantial savings on license charges.

Ø Using individual aliases, we can reduce this by creating branch/department alias that is owned by the manager so that [email protected] both can send and receive emails from both [email protected] and [email protected] .

Ø If you have more than 1 domain that you use in your organization, we can as well add a domain alias or multiple domain aliases to give all users email aliases in the other domain so that say;

Ø If our main domain is abc.com and we have another domains abc.net, and we have users in abc.com with email addresses such as [email protected] and would love the same users to have the same email on the other domain so that if any user confuses sending an email to [email protected] instead of to [email protected], the emails are delivered to the same user in the primary domain abc.com without any committing for new licenses.

Ø This feature could save the organization license costs ranging from 10-40%

2.3.2 Use of Shared Inboxes though Group Inboxes G Suite through the Groups service allows for shared inboxes between teams with various rules for sending and receiving emails such as blocking the public from sending emails to the group.

2.4 Security Management/Measures G Suite has a wide array of security features that serve to protect the organization from threats posed to email. In addition to the default email encryption and https enforcement for access of your organization email, which protects your email from being intercepted by intruders, there are additional slightly sophisticated measures that make your organization email and data even more watertight and protected. Some of the security measures we shall put in place include;

1. Encryption; All data in G Suite Gmail and Google Drive are by default encrypted on transit and on rest. Two Step Verification (2FA/2SV); Enable for use across organization or particular OUs

2. Password Enforcing; 3. Activity Auditing; Enable and enforce G Suite Sends admins notifications and where

possible, blocks an account if it suspects it has been accessed by suspicious users by way of new IPs etc.

4. Less Secure Apps Blocking; Enable and enforce blocking less secure apps and password specific for such Apps such as Outlook.

5. Spamming Control; Gmail has a strong inbuilt anti-spamming that reduces up to 99% of spam. Train ICT to whitelist/blacklist domains. Also train to show users to mark as spam from inbox

6. Phishing and Spoofing Control; Deploying SPF, DKIM, and DMARC policies that would make it impossible for one to forge emails from your domain. This would do away with such threats

7. Manage Data Sharing through Google Drive; Manage data sharing or external and internal parties. Train users on the various sharing options within Google Drive

2.5 Data Migration We have migrated thousands of user inboxes from varied mail services to G Suite and we know how this process can be painful and yet crucial. With our experience and technical skills, we are able to help move your user data from legacy system such as webmails, MS PST/Outlook files or any IMAP compliant Email platform painlessly as possible.
