This Community Fundraising Kit contains everything you need to

know to get started, including guidelines, fundraising suggestions

and information about your responsibilities as a fundraiser.

We exist to make sure children and families are happy, healthy and safe. This is possible when families can provide their children with the best possible foundation in life. As part of this, families need to be able to meet the material needs of their children.

Families often look to their support networks for assistance in providing their children with the best possible start. For some families, they are supported by their relatives and social networks, for others, they may be more reliant on government and welfare supports.

Support networks that are well-resourced and able to identify the unmet needs of families are best placed to assist them to raise happy, healthy children. Through our network of social

workers and Maternal Health Nurses, we identify those who need extra support in the form of essential material aid. We provide the social worker and Maternal Health Nurses with the resources to help mums and families when they need it most.

Our incredible volunteers, and donations from families who no longer need their baby goods, enable us to assist by recycling and rehoming high quality nursery items and clothing to Victorian families.

We provide families in need with cots, prams, car seats, clothing and all the essentials they need for their young children.

In the 2018/19 financial year, it will cost us almost $3million to deliver our free service. Every dollar you raise will help keep babies happy, healthy and safe.

Step 1: Decide what type of fundraising activity you would like to organise and what you need to host the activity. Please read and agree to the Fundraising Terms of Agreement in this kit.

Step 2: Complete the Permission to Fundraise form on our website.

Completing the form will enable us to provide you with a letter of authority to fundraise and any extra help you need.

Step 3: Once we have provided you with your letter of authority to fundraise please go ahead with your fundraiser! There are tips in this fundraising kit to help you!

Step 4: Once your fundraiser is complete make sure you thank your wonderful donors!

Please return your funds to Geelong Mums within 14 days of the completion of your fundraising activity. It’s quick and simple to return funds via the Donate button on our website or by EFT or bank transfer:

Fundraising for Geelong Mums• Due to limited resources, Geelong Mums is

not able to take a coordination role in your event (the ‘Event’), such as assistance with ticket sales, soliciting prizes or organising celebrities. The Event, including the financial aspects, fundraising, raes, record keeping and management of the Event shall be conducted in your (the Fundraiser’s) name and is the sole responsibility of the Fundraiser.

• The Fundraiser’s arrangements for the Event must be planned with the approval of Geelong Mums and Geelong Mums expects a reasonable level of liaison and information about the Event.

• Any changes made from the original details provided on the Permission to Fundraise Form must be reported to Geelong Mums and may result in a new authorisation letter being distributed.

• Geelong Mums requires that there be no door-to-door appeals, street collections or telephone solicitation of any kind to the public in connection with the Event.

Financial aspects of the event• Any expenditure involved with the conduct of

your Event and any disposition of funds and profits resulting from the Event must be properly authorised by Geelong Mums beforehand.

• The Fundraiser must take all reasonable steps to ensure that the expenses do not exceed a fair and reasonable proportion of the gross proceeds obtained from the Event. The Charitable Fundraising Act states this as expenses not exceeding 40% of the gross proceeds.

• The proceeds of the Event are to be sent to Geelong Mums within 14 days of the conclusion of the Event.

• For donated goods and services, Geelong Mums requires correspondence from the company or individual stating the donated value of goods or services to the Event.

The use of Geelong Mums name and logo• The Fundraiser has no right to the names

‘Geelong Mums’. Nor is the Fundraiser given the right to raise funds in that name. This means you cannot call your event a Geelong Mums event i.e. A Geelong Mums Trivia Night, however you can call it an event ‘supporting Geelong Mums’. Recommended wording would be, ‘This event proudly supports Geelong Mums’.

• Any printed materials or advertisements to be used by the Fundraiser in relation to the Event must be submitted to Geelong Mums for approval and must also state how the proceeds from the event are to benefit Geelong Mums e.g. ‘all proceeds from this event’ or ‘all proceeds from the auction’. Please allow 10 days for

approval of your material.

• If the Fundraiser wishes to use the Geelong Mums logo on any materials or products, the Fundraiser must obtain prior permission from Geelong Mums.

• Should you wish to include some stories, testimonials or case studies in your promotional material the Geelong Mums Fundraising Manager will be able to provide you with appropriate material.

Media and public relations• All media materials and press releases must be

approved by Geelong Mums prior to circulation. Please allow 10 days for approval.

Permits• Some activities require permits e.g. raes where

the total prize pool is over a certain amount. Please visit www.vcglr.vic.gov.au for more information.

• Permits are also required by councils and shopping centres for outdoor events.

Liability• All aspects of financial and public liability

and public safety are the responsibility of the Fundraiser. As Geelong Mums is not the Fundraiser we are unable to cover any liability on your behalf.

• The Fundraiser agrees to release Geelong Mums to the fullest extent permissible under law for all claims, except where such liability arises because of the negligence of Geelong Mums or its agents. Therefore, please ensure that any space or venue used for your fundraising activities has the required public liability insurance.

Prohibited activitiesGeelong Mums will not accept funds raised via or from:

• Sports betting – e.g. horse racing, greyhound racing and boxing matches.

• ‘Pokie’ machines.

• Adult entertainment.

Geelong Mums reserves the right to refuse any fundraising activity that does not align with it’s values or ethics.

Tax-deductible receiptsPlease note that we can provide one (1) tax-deductible receipt only – this can be made out to you as an individual, or to your organisation. We are unable to provide multiple receipts if several people have contributed to your donation – in this instance we are happy to provide a Certificate of Appreciation to the group; please email [email protected] if this is required.

FUNDRAISING TERMS OF AGREEMENTThe Australian Government has developed legislation governing the conduct of fundraising. Under the 1991 Charitable Fundraising Acts in each state, anyone wishing to raise money for charitable purposes must hold an authority to fundraise issued by the charity. So, before you start your fundraising for Geelong Mums, we will need to authorise your fundraising activity. All individuals, groups or organisations who wish to fundraise must register with us, whatever the size of the event or the donation (cash or in-kind). These Fundraising Guidelines are designed to assist you in planning your fundraising activities in support of Geelong Mums. We need you to read the guidelines, then complete, sign and send back the “Permission to Fundraise form” to the Geelong Mums Fundraising Team (for more information please email [email protected]). The Fundraiser is not authorised to use Geelong Mums as its beneficiary charity until it has received the authorisation letter in return.

CommunicationLet people know about your fundraiser early and remind them regularly.

Tell your supporters what we do and why you are fundraising for us.

Let your family and friends know why this matters to you.

Start promoting your fundraiser to your friends and family to get the ball rolling and use social media to spread the word.

Create an online fundraising pageBelow are instructions on how to create your unique fundraising page which you can share with your friends and family.

1. Go to fundraise.giveeasy.org

2. Sign up as a fundraiser (by clicking on the ‘sign up’ button) if you have not created an account before.

3. Once signed up, you will be asked to create a personalised fundraising page.

You will then be able to share the link to your own fundraising page with your family and friends. This page will also allow you to track the funds raised so you can send personal thank yous to your supporters. All donations will be automatically receipted.

Use social mediaSocial media is a great way to spread your message further. Create an event page that your contacts can share. Tag and thank people when they donate - this will help spread your message! Keep your social media updated and share your progress.

Don’t forget to tag us in your photos of the day of your fundraiser so we can share them on our social media!

If you know that you want to fundraise for Geelong Mums, but need some help deciding what your fundraising activity will be, here are a few ideas:

Take part in an existing event Enter a fun run, walk, or bike ride event and have family, friends and colleagues sponsor you.

Take on a personal challengeDo something that’s a personal challenge that your friends will sponsor you for – give up chocolate or learn a new language!

Host a fundraising event• Organise a morning tea for friends, at

your workplace, or at your local library, community centre or sports group.

• Throw a dinner party and ask each of your guests to make a small donation.

• A night at the movies – many cinemas have small screens that they can provide for charity screenings and will provide a discount ticket price. If the cinema charges $10 per ticket, perhaps you could charge $25 per person, with $15 going to Geelong Mums.

• Throw on a trivia night – everyone loves a pub quiz!

• Girls/Boys night in – ask your friends to bring food, have a night in and donate the money that would usually be spent on a night out.

• Movie night in – get together with friends, share your favourite movies, grab some ice cream and popcorn and donate what it would usually cost to go to the cinema.

• Get out your BBQ tongs and organise a sausage sizzle.

• If being active is your thing, what about a golf day or barefoot bowls fundraiser!

• Have a casual clothes day at school or work.

• Set up a lemonade stand or cake stall at work, school or a sporting event.

• Ask for donations in lieu of gifts for a birthday, Christmas or special celebration.

• Wash cars, mow lawns or help with other odd jobs – offer your services to friends, family and neighbours and get them to make a donation in lieu of what they would normally be charged.

Have fun with your fundraiser.

Other ways to get involvedFundraising is just one way that you can be involved with Geelong Mums. There are many ways you can support us, including:

• Making regular donations through Workplace Giving and ask your employer to match your donation

• Volunteering with us

• Volunteering with your workplace

• Considering leaving a gift in your Will
