Customer Plus User Manual Operations Development and Technology Version 6 Page 1 of 16 COD/COV Instruction > COD/COV Users can apply COD/COV by three instruction methods: Voyage (Batch Assign) – a new instruction method designed to simplify the procedure by voyage level instruction. All containers pre-defined in this voyage can be instructed with COD/COV instruction at one time through this interface. Container No. – an instruction method available today that supports user type-in or Copy and Paste function to apply for COD/COV as per container number specified File Upload – a new instruction method designed to save data- input time. User can repetitively apply for this instruction with 100 containers at a time. The template is available in the Reference Tab on the website.     COD/COV

    Instruction > COD/COV

    • Users can apply COD/COV by three instruction methods:

    • Voyage (Batch Assign) – a new instruction method designed to simplify the procedure by voyage level instruction. All containers pre-defined in this voyage can be instructed with COD/COV instruction at one time through this interface.

    • Container No. – an instruction method available today that supports user type-in or Copy and Paste function to apply for COD/COV as per container number specified

    • File Upload – a new instruction method designed to save data-input time. User can repetitively apply for this instruction with 100 containers at a time. The template is available in the Reference Tab on the website.

    There are two functions for you to apply for, i.e.

    • Change of Discharge Port (COD)

    • Change of Voyage (COV)

    • After clicking ‘COD’ or ‘COV’ hyperlink, then an alert message of transfer charges required will be prompted as below

    • Click ‘OK’ to proceed

    COD • Select ‘Terminal’ that is a mandatory field. HIT is the defaulted

    value.

    • Select ‘Owner’ that is a mandatory field

    • Enter Vessel/Voyage Code that is a mandatory field

    • Application will be rejected if

    The voyage is estimated to arrive in 6 hours

    The voyage is locked

    • Select the type of instruction methods

    • Click ‘COD’ button for COD application

    • If by Voyage (Batch Assign), the following screen will prompt up:

    • User define either the New POD/Block Code, New FD/Train Code, or both

    • If by Container No., the following screen will prompt up:

    • Enter the target containers, POD/Block Code, FD/Train Code or Remarks field

    • Max. 100 containers can be applied at one time

    • local or cross terminal outbound and transshipment outbound containers are allowed to apply for

    • Enter the target containers, POD/Block Code, FD/Train Code or Remarks field in the upper “Assign” row to avoid duplicate entry

    • Select the rows to “assign”

    • Press “Assign”

    • Click ‘OK’ button to confirm entries

    • If by File Upload, select the file by pressing “Browse”, then press “COD”, the following screen appears:

    • Details of target containers will be retrieved for verification before submitting the application

    • To remove the wrongly input container, check the ‘Delete’

    checkbox next to ‘No.’ column and then click ‘Delete’ button

    • Click ‘Confirm’ button to submit the application.

    • Email notification message box is prompted, asking whether user needs e-mail notification.

    • Click ‘OK’ if needs e-mail notification, ‘Cancel’ to process without e-mail alert and show the result.

    • Email Notification content box will be appeared if user confirm to

    process with e-mail notification.

    • Click ‘Email List’ button to list out Email list.

    • User information and Email address will be retrieved to Email List.

    • Click ‘To’ or ‘CC’ to select Email Address.

    • Input Email address and Email content if any.

    • Click ‘OK’ to send email and show the result.

    • Email content is similar as the following.

    • Result will be responded instantly as below

    • COD will be rejected if

    The container is not outbound status

    The container is not in HIT yard

    The container is already planned for loading

    The container is under movement

    The container is updated by others

    The original or the target POD is locked

    • Click ‘Continue’ button to perform COD instructions for other containers

    • Click ‘Amend’ button to amend the rejected records if any. Amend button will only be enabled if there is any rejected application

    • Click ‘Exit’ button to quit the function

    Remarks:

    • Container with DT, DU or PC hold is allowed for COD, but a warning will be displayed in the Remarks column as a reminder accordingly.

    • For any query of COD failure, please contact Ship Planning section at 2619 7920.

    COV

    • Select ‘Terminal’ that is a mandatory field. HIT is the defaulted value.

    • Select ‘Owner’ that is a mandatory field

    • Enter Vessel/Voyage Code (original voyage) that is a mandatory field

    • Application will be rejected if

    Original voyage is estimated to arrive in 6 hours

    Original voyage is locked

    • Click ‘COV’ button for COV application

    • If by Voyage (Batch Assign), the following screen appears:

    • User define either the New POD/Block Code, New FD/Train Code, New Vessel/Voyage, New Vessel Name.

    • New Owner is by default the original owner if no new value is input

    • COV application screen will be displayed as below

    • Enter the target containers, target Vessel/Voyage Code, new

    POD/Block Code, FD/Train Code, Owner or Remarks field

    • Max. 100 containers can be applied for at one time

    • Only local outbound and transshipment outbound containers are allowed to apply for

    • Click ‘OK’ button to confirm entries

    • Details of target containers will be retrieved for verification before submitting the application including current hold condition:

    • DT, DU, PC and PV hold codes will be highlighted in red colour for easy reference and user can perform follow up action accordingly

    • To remove the wrongly input container, check the ‘Delete’ checkbox next to ‘No.’ column and then click ‘Delete’ button

    • Click ‘Confirm’ button to submit the application

    • Click ‘Confirm’ button to submit the application.

    • If berthing terminal of old or new voyage is at partner terminal, MTL, then a pop-up message box is prompted to remind user. It reads,

    “Please note an ITT email must be provided 24 hours prior to vessel’s ETB to HIT gatehouse in order for trucking to be applied.”

    • A similar message is added to the REMARK on email notification

    • Email notification message box is prompted, asking whether user needs e-mail notification.

    • Click ‘OK’ if needs e-mail notification, ‘Cancel’ to process without e-mail alert and show the result.

    • If berthing terminal of OLD or NEW voyage is at partner terminal, MTL, then the email contact is as follows:

    COD and COV History Enquiry

    • Select ‘Terminal’ that is a mandatory field. HIT is the defaulted value.

    • Select ‘Owner’ that is a mandatory field

    • Enter Vessel/Voyage Code that is a mandatory field

    • Click ‘COD/COV History’ button for enquiry

    • COD/COV History Enquiry screen will be displayed as below

    • You may enquire COD history, COV history or Both by

    • Voyage

    From Voyage: the original voyage where the container COV from

    To Voyage: the target voyage where the container COV to

    If To Voyage is selected as a criterion for searching, only COV will be allowed for enquiry where COD and Both button will be disabled.

    • Individual container

    • COD and COV history result will be displayed as below

    • Click ‘First’, ‘Previous’, ‘Next’, and ‘Last’ buttons to jump page and view more

    • Click ‘Exit’ button to quit the function after enquiry
