2. The entire process is digital and includesmany steps. The following may help youunderstand the process better. 3. When you dictate into either the speech micor the handheld protg, it all goes intowhat we call the VXP interface and then goesto the transcriptionist via the VXP Player.From there it is transcribed and this includesthe following: All clinic transcriptionists transcribe allproviders and all work is done oldest in firstout. We strive for a 48-hour turnaround time. 4. The clinic transcriptionist opens the VXPinterface, player and Instant Text and startson the next provider in the day. 5. She prints out a patient schedule for theprovider using Meditech. 6. The clinic transcriptionist opens the dictationand opens the Meditor program in Meditechand the shared folder for transcription andopens the appropriate providers folder andtranscribes the report and proofs for errorsor sends for QA then saves the report inshared or sends to sign list if in Meditor(Meditech). 7. NOTE: It is very important that you know howsensitive the speech mic and the handheldProtg are. They pick up every single noisewhether it is the spoken word, paper shuffling ordropping a pencil. Sometimes that backgroundnoise can really interfere with what is beingsaid, we cannot hear it to transcribe it, and thena blank or incorrect word is the result. If youforget to shut off the handheld protg andleave it on, for example, while in the car, it willpick up personal conversations on the phone or ifyou have someone in your car that you aretalking too. Or perhaps your pet will dictate they turn the protg on and meow or bark intothe machine. So please make sure it is turnedoff. 8. The clinic transcriptionist will then E-maileach clinic contact person(s) and theprovider with date of dictation, date oftranscription, if a complete day or partialday transcribed and if a partial day, thepatients they transcribed and then anyquestions or blanks are addressed to theprovider in that same E-mail. We send only 1email to save time and cut down onconfusion as to who gets what. 9. The transcriptionists move onto the nextprovider and start the process over. 10. I hope that you now have a betterunderstanding of what is involved intranscribing your dictation and why we dowhat we do. 11. OPENS VXP INTERFACE, THE VXPPLAYER AND INSTATEXTPRINTS OUT A PATIENT SCHEDULEFOR THE PROVIDER SHE IS WORKINGONOPENS MEDITOR (MEDITECH) ANDSHARED TRANSCRIPTION FOLDERTRANSCRIBES THE REPORTPROOF READS THE REPORT ORSENDS FOR QASAVES THE REPORT IN EITHERSHARED OR SENDS TO SIGN LIST FORE-SIGNINGEMAILS THE CLINIC CONTACTPERSON(S) AND CC THE PROVIDERWITH ANY QUESTIONS OR BLANKS.SHE WILL ALSO INCLUDE THE DATETRANSCRIBED AND IF A COMPLETEDAY OR PARTIAL DAYSTARTS THE PROCESS OVER WITHANOTHER PROVIDER
