STYLE BASICS CIT produces a range of material written for a variety of audiences. The tone selected as relevant for the intended audience should be used consistently throughout.

It is important to say what you mean as simply as possible. (ie. use give not provide, ask not enquire, or find not locate.)

Avoid use of metaphors, similes, jargon or other figures of speech. Never use a foreign phrase or scientific word if you can think of an everyday English equivalent.

Never use a long word where a short one will do (ie. use expect, not anticipate). If it is possible to cut out a word,

always cut it out.

FIRST/ThIRD PERSOn

Use first- or third-person depending on what is appropriate for the circumstances. If the text would be better served by the use of ‘I’, use it.

LAnGUAGE

Use the language of everyday speech, and always strive to use inclusive language.

Do not use language that discriminates on any basis, be it race, gender, sexuality, religion or otherwise.

The word TAFE should not be used – instead the word VET should always be used.

Use Canberra Institute of Technology or CIT, not the Canberra Institute of Technology or the CIT. The term institute should be avoided where possible.

Always refer to the government as the Australian Government, never the Federal or Commonwealth Government.

Use Aboriginal and Torres Strait Island/Islander – NOT simply ‘Aboriginal’ or ‘ATSI’. Aboriginal and Torres Strait Islander is preferred over Indigenous. When Indigenous does need to be used (for sentence clarity) ensure capital ‘I’ is used.

ROOm nUmBERS

When referring to CIT room numbers, state the campus followed by the block letter and then directly the room number (ie CIT Reid A202).

URLS

Website URLs should be written without the preceding ‘www’ (ie cit.edu.au).

INTRODUCTIONThe CIT Style Guide outlines the correct style to use for all written material. All written material produced by CIT should be written in Plain English, to help communicate your message to as many people as possible.

FIGURES Use words for simple numerals from one to nine, except in references to percentages. Use figures for numerals from 10 upwards, and for all numerals that include a decimal point or a fraction (eg 4.25).

Never start a sentence with a figure – always write the number in words instead.

Do not use a hyphen in place of the word ‘to’, except in the case of figures (ie On top of study, he worked 20 – 30 hours per week but He expected to complete his study within two to three months).

Use a comma to separate large numbers into groups of three numerals (ie 1,000 and 100,000).

The term million can be spelled out, or a lower case ‘m’ can be used (ie two million or $12m).

Landline phone numbers should include the area code within brackets followed by two groups of four numerals separated by a single space (ie (02) 6207 4101). Mobile phone numbers should be grouped as four numerals, followed by two groups of three numerals separated by a single space (eg. 0401 234 567).

DATES

Dates should be written as per the following: Tuesday 30 June 2012.

PERCEnTAGES

In the case of percentages, use the symbol as opposed to the term per cent (ie. 4 %, not 4 per cent).

TImE

Time should be written as follows: 1:30pm or 2:45pm.

Use a colon between the hours and minutes, and no space between the time and the am/pm.

If the time is on the hour, do not include the 00 (ie 11am or 7pm).

QUICK TIP

BASIC GRAmmAR Use active, not passive language.

Be direct. A hit B describes the event more concisely – and accurately – than B was hit by A.

SYnTAx

Use simple, clear sentences, and make sure they make sense.

SPELLInG Always use Australian English rather than British or American English or any other kind.

Use -ise, -isation (realise, organisation), rather than -ize or -ization and program rather than programme.

PUnCTUATIOn

ACROnYmS AnD ABBREvIATIOnS

Unless an abbreviation or acronym is so familiar that it is used more often than the full form (ie CIT or ACT), write the words in full on the first appearance. Following the full form, insert the abbreviation in brackets, but only provide this if it is subsequently referred to.

Do not separate the letters of an acronym with full stops.

Use full stops at the end of abbreviations (a shortened form where part of the word is used such as encl. or incl.) but not contractions (shortened forms where at least the first and last letter of the word are used such as Qld, Mrs or Dr).

Use lower case kg and km and other measures. When used with figures, these lower-case abbreviations should follow immediately, with no space (ie 15kg, 11am, 35mm, 4:30pm).

Always spell out the words page and pages.

APOSTROPhES

Apostrophes have two uses: contractions (you’re, they’re, can’t) and possessives.

Contractive apostrophes show the omission of letters when two words are joined. For example, you are becomes you’re.

Use the normal possessive ending ‘s after singular words and after plurals that do not end in s: the media’s, a student’s. Use the ending s’ on possessive plurals that end in s – the Joneses’ – including plural names that take a singular verb, eg, Reuters’.

Do not put apostrophes into decades: the 1990s, not the 1990’s.

BRACkETS

(If a whole sentence is within brackets, put the full stop inside.)

CAPITALS

The use of capitals should be minimised, but there are some that cannot be avoided.

Always capitalise the following:

– names of each qualification when referred to in full, but lower case in other circumstances (ie Advanced Diploma of Visual Art and Design Practice or visual art)

– name of each centre when referred to in full, but lower case in other circumstances (ie CIT Health, Community & Wellbeing but there are a wide range of health subjects available to study).

– people. Use upper case for ranks and titles when written in conjunction with a name, but lower case when on their own (ie Centre Director [insert name], but the centre director)

– organisations, departments or acts etc when the full name is used (ie Amnesty International, the Gillard Government or the government, Department of Education, the Health and Safety at Work Act)

– places – geographical places, regions, areas and countries (ie Australia, Canberra, CIT Bruce)

– titles (ie The Canberra Times).

Titles of publications should also be capitalised, and should be italicised (ie Apprenticeships in the 21st Century Report).

Names of subjects are to be written in sentence case (ie Contexts for art and design practice).

Unless an abbreviation or acronym is so familiar that it is used more often than the full form, write the words in full on the first appearance.

COLOnS

Use a colon to expand upon what you have said in the preceding words. (ie They brought their own equipment: chairs, handouts and a laptop to show the PowerPoint presentation).

COmmAS AnD FULL STOPS

Use commas as an aid to understanding, specifically to pause for ‘a breath’ in longer passages. Too many in one sentence can be confusing. Often it is wiser to break longer sentences into two with a full stop.

Use plenty of full stops. They keep sentences short which help keeps copy clean.

Do not use full stops in abbreviations.

Commas (,), colons (:), semi colons (;), full stops (.), hyphens (-), exclamation marks (!) and question marks (?) should always abut the words or other punctuation marks they follow, that is, there should not be a space between these and the words or punctuation they follow.

DOT POInTS

When a series of dot points is used, there are two different rules.

– If the sentence is a full, standalone sentence, it should begin with a capital letter.

– In this case, all dot points should end with a full stop.

If the dot points run on from an introductory lead-in sentence, the initial sentence should end in a colon and then:

– each point should be under a new dot point

– each point should commence with a lower case letter

– no punctuation should be used for any points except the final point

– the final point should end with a full stop.

hYPhEnS

Use hyphens in the following circumstances:

– fractions (ie one-third, two-sixths etc)

– some words beginning with a prefix (ie on-campus, non-existent). Note that this isn’t always the case (ie antibiotic, nonstop)

– some titles (ie vice-president, director-general)

– to avoid confusion (ie a little-used car instead of a little used car)

– adjectives formed from two or more words (ie right-wing groups, private-sector wages, the 70-year-old man)

– separating identical letters in some cases (ie re-emerge, pre-eminent but not override, withhold)

– the quarters of a compass (ie north-west, south-east)

– in the case of a compound modifier, where two or more words are used together to describe a noun (ie up-to-date information, a 10-step process, ex-footballer)

– nouns formed from prepositional verbs (ie bail-out, call-up, get-together, shake-up)

– note that adverbs ending in ‘ly’ do not require a hyphen (ie the expensively trained doctor).

Avoid unnecessary hyphens (ie coordination not co-ordination, multicultural not multi-cultural). If the word makes sense without a hyphen, do not hyphenate it.

InvERTED COmmAS

Use single inverted commas only for quotations within quotations (ie “When I say ‘immediately’, I mean some time before April,” said the spokesman).

For the relative placing of quotation marks and punctuation, if an extract ends with a full stop or question mark, put the punctuation before the closing inverted commas.

ITALICS

Only use italics in exceptional circumstances.

SEmI-COLOnS

Semi-colons should be used to mark a pause longer than a comma and shorter than a full stop. Don’t overuse these.

Use them to distinguish phrases listed after a colon if commas will not do the job clearly. (ie They agreed on only three points: the course should start in April; it should be supervised, preferably by a senior teacher; and a further inquiry into the future of the course should be held).

SPACES

Single spacing should be used between words and following punctuation. Ensure single spacing is used between sentences.

A logo is one of the most important tools in creating a corporate image for any organisation. It clearly and quickly brands the organisation, its products and services. The CIT logo is designed to reflect the modern, dynamic nature of our organisation.

The logo comprises of three components (logo block, tagline and key descriptor and URL).

All three components of the logo must be utilised whenever possible for all internal and external communication including print and electronic formats. The minimun standard size of the primary CIT logo block should be 30mm in width. When the need arises for the logo to be smaller than this, the key descriptor and URL are dropped (as seen in the secondary logo).

When supplying the CIT logo to external stakeholders, the CIT logo with no tagline is to be used.

There must be a minimum 5mm clearance space surrounding the logo block and text.

The CIT logo should be placed 10mm from the edges of any printed material or documents.

TIPS FOR WRITInG A CIT BYTE

CIT microBYTES should be written and styled in exactly the format shown below. Headings should be centred, in capital letters, and Calibri 14 point bold font.

Body text should be left aligned, Calibri 11 point black regular font.

Where possible, use lists and bullet points to break information up:

– Keep it concise. If you have a lot to say, put it on the SIS and send a link.

– If action is required, make it clear in the heading or first sentence.

– CIT Marketing is happy to proof-read emails before distribution. Email [email protected]

– Does your message apply to all staff, including CIT Solutions, CIT Student Association (CITSA), teachers and non-teachers, staff across six locations, etc? If it’s only relevant to some, make it clear.

– Spell out acronyms (Advanced Skills Teacher, Teacher Band 1 etc). Exceptions include common acronyms like CIT, ACT and VET.

All microBYTES should come from the CIT All Staff Email mailbox.
