    3.1 RE-FX Flexible Real Estate Management

    3.1.1 Deleting and Archiving Real Estate ObjectsUse

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200)a cross-application function, DataArchiving (CA-ARC), is available for deleting and archiving real estate objects.For detailed information on data archiving in RE-FX, refer to this text.

    Also as of the new release, there is a new function for deleting real estate objects without archiving. Formore information, refer to the Release Information for this function.

    3.1.2 Other Customizing Settings (Default Settings, and So On)Use

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the following additional options areavailable in Customizing:

    o For contract types, you can specify that you do not need option rate methods.

    o For periodic posting, you can enter a different account for costs and revenue unrelated to theaccounting period.

    o You can specify partner groupings dependent on the partner type and company code for partnersthat are created from RE-FX applications.

    Effects on Customizingo In the Default Option Rate Method for Contract per Contract Type IMG activity, set the No Option

    Rate Method indicator.

  • o In the Replace Account Symbols IMG activity, enter the Different Account for those accountsymbols, for which you want to distinguish revenue unrelated to the period.

    o Specify partner groupings in the Define Company-Code-Dependent Number Range (PartnerGrouping)

    3.1.3 RE-FX-BD Basic Data

    3.1.3.1 Deleting Real Estate Objects Without ArchivingUse

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) you can easily delete real estateobjects from the database. You can call this function in the RE Navigator, or directly from processing ofthe object:o Application menu -> RE Navigator. Right-click on the object in the tree display, choose Additional

    Functions -> Delete.

    o Application menu -> (for example) Usage Master Data -> Process Business Entity -> BusinessEntity -> Delete

    @1A@ This function deletes the objects irretrievably from the database! However, the system ensuresthat deletion is possible only if certain prerequisites are met. When you call the function, you can displayan information text listing the prerequisites that have to be met before the given object can be deleted.The Archiving function is to be used for removing all other real estate objects (see: Release InformationArchiving).The Deleting Real Estate Objects Without Archiving function is active for the following objects:

    - Real estate contract (Prerequisites)- Business entity (Prerequisites)- Property (Prerequisites)- Building (Prerequisites)- Rental object (Prerequisites)- Architectural object (Prerequisites)- Participation group (Prerequisites)- Settlement unit (Prerequisites)

    3.1.3.2 RE Navigator

    UseAs of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the new RE Navigator tool providesa single entrance for processing functions for all activities relevant to Flexible Real Estate Management.

    o Central access to processing of the following objects:- Real estate contracts

    - Master data of the usage view

    - Master data of the architectural view

    - Master data of service charge settlement

    o Call of the following functions:

    - Resubmission

    - Find object- Appointment calendar

    - Information system

    o Simple navigation between all objects that were displayed or processed in the RE NavigatorIn a separate browser, you can select and sort objects by certain criteria (for example, by processor). Youcan display the objects with all their data, and if applicable with their subordinate objects, in a treehierarchy. You can navigate within this hierarchy and call objects for processing.You can also create new objects in the browser.

    3.1.3.3 Changes to Resubmission

    UseAs of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the Resubmission function is

    o Rental objectYou can call the resubmission function in the RE Navigator and within master data processing of theobjects listed above. The function enables you to define resubmission dates on which some kind offurther action is required for the object.

    3.1.4 RE-FX-CN Real Estate Contract and Offer

    3.1.4.1 Changes to Object Assignments in the Real Estate ContractUse

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the following changes were madeto the assignment of objects to the real estate contract:o You can assign the following objects to a real estate contract, in addition to the real estate objects

    that are allowed by the contract type: functional locations, equipment, orders, WBS elements andand cost centers.

    o If you are allowed to assign rental objects to the real estate contract, you can use a new search help,Rental Objects by Availability, to select and assign the rental objects.

    o It is now possible to assign objects to the real estate contract for informational purposes only.o For contracts for apartment leases, there is a new Rental Objects tab page for the assignment of

    rental objects that replaces the Objects tab page. On this new tab page, the assigned objects (usuallythere is only one for apartment rentals) are not displayed in a list. Instead they are shownimmediately in detailed form. The "SAP Contract: Apartment Contract" screen sequence has to be

  • assigned to the given contract type in the Contract Type IMG activity.

    3.1.5 RE-FX-RA Rental Accounting

    3.1.5.1 Accrual/Deferral

    UseAs of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the following functions areavailable for receivables and revenues, where posting of the actual document does not correspond withwhen the expense was incurred or revenue earned, to ensure the correctness of financial statements issuedon a particular key date:

    o Accrual/deferral: contracts

    o Post accruals/deferrals

    o Display accrual/deferral results

    o Reverse accrual/deferral postings

    These functions are executed using the Accrual Engine, an SAP tool.

    Effects on CustomizingRefer to Accrual/Deferral Using Accrual Engine in RE Environment.

    Make the following additional settings for RE-FX:

    In the Flow Types IMG activity, assign the necessary accrual type from the Accrual Engine to the flowtypes for which accruals/deferrals are posted.

  • 3.1.6 RE-FX-SC Service Charge Settlement

    3.1.6.1 Changes in Service Charge Settlement

    UseAs of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200)the following changes andenhancements have been made in the Service Charge Settlement (SCS) component:General Changes

    o All service charge settlement master data is now incorporated in the RE Navigator with display ofthe whole settlement structure in the navigation area.

    Enhancements to Participation Group

    o Assignment of business entities, properties, buildings and other participation groups with the optionof excluding individual subordinate rental objects from settlement participation.

    o Assignment of pooled spaces without automatic assignment of extracted rental spaces.

    o Participation groups can be created and changed in the settlement unit dialog.

    Enhancements to Settlement Unit

    o It now has a validity period (this information was previously implicit from the participation group).Changes to Settlement Unit

    o Data Exchange Settlement Unit (Data Exchange SU):- This corresponds to the collective settlement unit/credit-side settlement unit of Classic RE and

    contains the data of the "heating system" of Classic RE. Any settlement unit can be changed toa data exchange SU if the appropriate indicator is set. An additional tab page is displayed forthe settlement company where you define the details for data exchange. Further options:

    a) Complete exchange of D + M/L tapeb) Only M/L tapec) Only D tape (this can also be entered manually)d) Basic components for transfer by M/L tape can now be individually defined

    for each settlement unit

    o Cost Object Settlement Unit (Cost Object SU):- This is a special kind of SU that can only be created within an existing SU or master settlement

    unit (MSU) for each service charge key. By assigning the cost object SU to superior SUs orMSUs, the following scenarios can be mapped:

    e) Grouped service charges for a settlementf) Detailed display of service charges for account assignmentCost object SUs cannot be settled separately; they are settled through the superior SU or MSU andconsequently credited.

    Enhancements to Cost Collector

  • o With transaction RECATRACE you lock and unlock cost collectors.

    o With transaction RESCCC you trigger the mass generation of cost collectors.

    o Cost collectors can then only be generated if the settlement unit does not contain any errors. Anyerrors that occur are logged.

    Effects on Existing DataProgram RFREMICAALL (to be started once after the upgrade) converts Customizing table TIV80 andapplication tables for settlement unit and participation group (where technical changes have also beenmade to the structures).

    Effects on CustomizingDefault values can be defined in Customizing for each service charge key. Refer to the documentation onthe Customizing activity Characteristics of Service Charge Settlement Keys.

    You no longer use the condition group to determine whether a condition type is an advance payment or aflat rate and therefore must be taken into account in the settlement. You now do this in Customizingunder the characteristics of the condition type. Refer to the documentation on the Customizing activityCondition Types.

    For service charge settlement postings, the advance payments that are transferred to the objects in theperiodic posting are now cleared. To do so, you have to make the necessary settings in Customizing forreference flow types.

    The conditions agreed in the contract (advance payments and flat rates) can be adjusted on the basis ofthe settlement result.If you want the calculation procedure for partial periods to be different from the standard procedure, youhave to enter the appropriate settings in Customizing for each service charge key. Refer to thedocumentation on Different Calculation of Service Charge Condition.

    3.1.7 RE-FX-SR Sales-Based Rent and Settlement

    3.1.7.1 Sales-Based Rent Settlement

    UseAs of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) functions for processing andsettling sales-based rent agreements are available. Sales-based rent agreements consist of:

    o Rules for calculating sales-based rent (sales rules)o Rules for how sales have to be reported to the landlord (reporting rules)

  • In addition to pure sales-based rent agreements, profit agreements or agreements for settlement ofpayments to an advertising company are also possible.

    Sales reports can relate to certain categories of products (sales type) or to all sales.You can also report and enter statistical sales information. This can be useful if there is no sales-basedrent agreement, but you want to run reports on sales information, for example.

    This function is relevant for commercial leasing processes.

    3.1.8 RE-FX-AJ Rent Adjustment

    3.1.8.1 Adjustment of ConditionsUse

    Adjustment methods are available for index adjustments and for the adjustment of conditions. In addition,you can adjust advance payments and flat rates after service charge settlement so that they reflect thesettlement results.

    3.1.8.2 Adjustment of Conditions (Formerly Rent Adjustment)Use

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) functions for adjusting conditionsare available.

    Differences between the new functions and Classic RE:

    The term "rent adjustment" has been replaced with the term "adjustment of conditions," since theadjustment process relates to more than just rent, due to the new real estate contract and the new rentalobject in RE-FX.

  • The adjustment method has been replaced by fixed adjustment methods that you specify more exactly bysetting up adjustment rules in Customizing (see: Effects on Customizing). The following adjustmentmethods are available in the new release:

    o Index adjustment (see: Release Information for index adjustment)o Free adjustmento Service charge settlement

    The adjustment type of the contract or rental unit no longer determines how a condition is allowed to beadjusted. You have to assign one adjustment rule that was defined in Customizing to each condition thatis to be adjusted. You make this assignment in the contract or rental object. You can specify inCustomizing if the adjustment rules can be changed in the contract or rental object. For more information,refer to this documentation.

    There is now only one adjustment program for all adjustment methods.Effects on Customizing

    You have to create at least one adjustment rule in Customizing for each adjustment method you want touse. For more information, refer to the Create Adjustment Rules IMG activity.The following optional settings can also be made for adjustment rules:o Combined Adjustment Ruleso Maximum Increase per Adjustment Rule

    As of SAP R/3 Enterprise Financials Extension 2.00 (EA_APPL 200) the method of adjusting conditionsbased on index levels is available in addition to the Free Adjustment and Service Charge Settlementadjustment methods (for more information, refer to general Release Information on Adjustment ofConditions). You have to make the additional settings in Customizing for index adjustments to be able touse them.
