OWNERS JOURNAL • JUNE 2015, v1 Experience the beauty and serenity Strata President’s Report “Mid-March Mulch Mania” was a very successful and busy weekend. Our volunteer crew joined Jay, of Sharp Designs team, to spread 80 yards of mulch throughout our beautiful gardens. Our crew was made up of PSOE, PSFRA, Vacation Internationale, and the whole owners. A great, motivated team! We all enjoyed Jim Reid’s fabulous chili and thank Bernadette and Birgitte for the wonderful sweet treats to keep our energy high. There have been many trees removed for safety concerns, and for ones creating damage to the buildings, the roofs and the underground pipes. More decks, roofs and support posts have been replaced and rebuilt this winter & spring. Our strata maintenance contract is being fulfilled, with great results, by TKG Maintenance & Repair. The water features at Pacific Shores have been refurbished, cleaned and revitalized. The entrance water feature is fully functional and will have a Pacific Shores Resort sign installed, compliments of The Kerr Group, in the near future. TKGM&R has just reopened The Point hot tub. It has been closed due to repeated vandalism from local youths. The landscaping has been cut back to open up the view all around, and glass walls now replace the wooden slats. The results are beautiful and hopefully will deter late night visitors. Looking forward to another wonderful summer, Kate Britton, President Strata VIS 2036 We are well into another busy spring. The staff at Pacific Shores have been very busy over the winter and spring, catching up on maintenance and taking on some much needed brightening of our B units and some of our urgent items in a couple of our units, especially some of the 500 block units. The staff have been preparing our units for another busy summer. We are very happy to introduce our new Resort Manager, Paul Dodds. Paul has been learning about our complex and very special community since early February and has already made some very positive progress. We also welcomed our new TPIMC Director of Resort Operations, Joanne Hallert, to Pacific Shores in December. Joanne has great experience in timeshare resort management and is proving to be very responsive, effective and a valuable asset to our continued success. Please Advise Us of Your Plans

What are your vacation plans for this year? What are your vacation plans for next year?

It is important that owners give some consideration to their vacation plans ahead of time. Are you going to use your unit? Are you going to deposit it with RCI or TPI? Are you putting it into the rental program? Don’t know? This is possibly going to cost you money.

It is your responsibility to pay your annual assessment. This can be expensive if you do not get some benefit from your unit.

If you will be using your unit, it helps us to know that. Please advise us of your use intentions when you pay your annual assessment, if possible. If we do not hear from you, we assume you will be using your unit and no action will be taken on our part. If your plans change, you can still put your unit into the rental pool up to 60 days before the start of your week.

In July and August 2014 (the highest demand months), our occupancy rate was 84% and 86%. That means a number of units sat vacant because owners did not advise us of their intentions, or their plans changed. Had we known those owners would not be using their units, we would have suggested putting them into the rental pool which

would have given them some income to help offset the cost of the annual assessment.

If your weeks are still ahead of you this year, please think about what you are going to do and advise us if you have not already done so. You can “reserve” your week at [email protected] or phone them at 1-800-365-6480 extension 1. If you will not be using your week and have not advised us accordingly, please do so now and register your wishes.

Have your plans suddenly changed? Even if it is short notice, please check with TPIMC to determine whether they may be able to assist you in renting out your unit or accepting a deposit on short notice. Sometimes there are people on a “wait list” wanting to access our resort.

Remember, nothing happens without you advising us of your plans.

Commercial Centre Reportfrom Kate Britton

Pacific Shores Resort Centre, PSRC, has quickly come to its first anniversary. The positive feedback from our owners & guests is great. Everyone is enjoying the amenities and services, such as the newly-remodeled restaurant, Smoke ‘N’ Water, and the first-class AquaTerre Spa.

There have been some challenges in the first year of operation. At this time, a viable affordable solution to supply and service the Deli Store has not been accomplished. Also, the gym has lost some of its aged-out equipment, and due to funding challenges, items are currently not being replenished.

David Jones, of Smoke ‘N’ Water, has had a very busy first quarter of 2015. His open mic, local and international musician nights are proving to be a great success. Owners, guests & local residents have been filling the restaurant to enjoy these memorable evenings. David is working hard on continuing to energize our community with more open air live performances this summer.

We are excited to welcome our new tenant, Kyiah Kristina Photography. Kristina has many years’ experience in Calgary and is thrilled to be here at such a beautiful location to continue her craft. Kristina’s work is displayed at the entrance to the resort and in her new studio. She is available for appointments and looks forward to providing a wonderful way to capture your family memories at Pacific Shores or other loved locations in the Oceanside area.

“Walk on Water Paddle Boarding,” a local business, has joined our community to rent brand new adult & children’s kayaks and wakeboards. Craig Bay is the perfect location for all ages to enjoy, or learn, to do these activities. Equipment will be available down at the boat ramp seasonally.

Do You Have Questions About Renting Your Unit?I will try to give you some quick answers here.

PSOE and TPI Management – Canada Inc. (TPIMC) have put a rental program in place. It is however, up to you, the owners, to put your unit into the program if you wish to rent it out. This does not happen automatically.

What can I deposit for rental?

You must deposit your whole unit into the rental pool, i.e. the 2 bedroom unit.

You cannot deposit your unit into the rental pool if you are an RCI points member; you must contact RCI and work with them to withdraw your unit from the points program back into a week’s ownership.

What must you do to place your unit into the rental program?

• Pay your annual assessment (if your week is early in the year, you may need to pay an amount equal to the previous year’s

assessment, then catch up any shortfall once your assessment arrives); your assessment must be paid at least 60 days prior to your ownership week date (paying by pre-approved automatic payment does not qualify you as having paid your assessment).

• Notify TPIMC as early as possible that you wish to place your unit into the rental pool.

• If your plans change, you must contact TPIMC and determine whether your unit has been rented or whether you can pull it out to use it (it may be too late).

When do I receive my rental income?

• TPIMC tracks rentals in the pool for each month.

• TPIMC charges a commission of 35% for their services.

• In addition, TPIMC will recover all costs associated with the rental units from the revenue. These include commissions

to booking agencies, (e.g. Expedia), housekeeping and credit card charges.

• The net revenue will be divided between the units in the rental pool; i.e. if 7 units are put up for rent, but only 5 are rented, the net revenue will be divided among the 7 units.

• The rental incomes are reconciled the following month and the net proceeds sent to the owners who were part of that rental pool by the end of that following month.

Manager’s Reportfrom Paul Dodds

It has been a wonderful three months getting to know the resort and learning more about the specific challenges involved in managing a resort that operates as both a timeshare, fractional and standard hotel under one umbrella. I am honored to join such a dedicated community and look forward to working with everyone as we move forward.

Originally form Nova Scotia, I have spent the past 24 years working in hotels and resorts on the East Coast, in Canada’s North and now on Vancouver Island, most recently as General Manager of the Best Western Tin Wis Resort in Tofino. My wife, Natasha, owns and operates the mid-island Molly Maid franchise and I have a wonderful son, Logan, who will be turning eight this summer.

I would like to thank everyone for making me feel so welcome and for all of your assistance and patience with me as I learn and plan for future projects and enhancements.

The past few months have been spent completing the last of the units scheduled maintenance work, numerous “spring cleaning” projects around the resort and managing several changes in the resort center. Most notably, our store operator left in March and consequently we have created a guest common area with vending, and reading room, and future plans involve adding games, television and table tennis.

Our maintenance department completed a busy week in late April having the pool area cleaned. They painted several walls and doors, with the change rooms floors sealed and all lockers fixed and keyed. Currently, all resort

guests and members must now stop by the Front Desk to sign in and out of the area, although we will be adding electronic ving card locks to this area to assist us in making access more convenient for everyone.

Housekeeping has been very busy, and our new manager, Blake Bridges, has been instrumental in driving some great operational changes while re-establishing our in-house laundry centre. We have reduced the dishware in the B side units and added Keurig Coffee brewers. Additional flavours are available for purchase from the desk staff.

The AquaTerre Spa recently introduced the Babor Makeup line and feedback so far has been very positive. Just a reminder that all owners receive a 15% discount on any treatments and retail purchases.

Our Guest Services department are very busy with online travel agent bookings, in addition to owner reservations, and are training several new staff for what will be a very busy summer.
