Screen Layout

Chapter 8 USER GUIDE8.1 Screen Shot and Description Login PageOur application contains a login page where only administrator and employees can login.

Home PageThe following forms contain the menu and logout page.

Manage Resource Request

Select the Make/Update/Close Resource Request menu item under the recruiting menu. The following form shows the Resource Request coming from Group Leaders.

Close Resource Request

User selects the request that needs to be closed by clicking the appropriate icon in the Close Request column in the list.

The System displays the selected request detail for the user to edit i.e. Closing Status. User selects the closing status and clicks the Ok button to save the data or cancel button to cancel the operation.

Clicking the Ok or Cancel button performs appropriate action and takes the user to the Make/Update/Close Resource Request listing screen.

Accept Resource Request

Once login to the application, the admin and HR user can select from recruiting Menu and select the Accept Resource Request menu item.

Once user can click on the Accept Resource Request, the following screen will be open and it displaying the existing Accepted Request (if database contains).

Once user can click on the Accept Resource Request, the user will be redirected to the manage resource request form. Manage Question BankOnce login to the application, the admin can select from recruiting Menu and select the Manage Question Banks menu item. Once user (admin) can click on the Manage question Banks, the following screen will be open and it displaying the existing Question banks (if database contains).

Delete a Question bank

User selects the Question bank that needs to be deleted by clicking the appropriate option button and clicks the delete button.

System prompts the user to confirm the deletion.

User clicks the ok button to delete and cancel button to cancel the deletion.The following form contains the functionality for deleting particular question.

Manage Test SuiteThe admin or HR user can select Manage Test Suites menu item from recruiting Menu

The system displays Test Suites listing screen with the available list of Test Suites.

Manage TestUser selects the Test Suite for which the Test needs to be defined by clicking the appropriate option button in the Test Suites screen and click the Manage Test button.

The system displays the Manage Test screen with the list of exiting question if any for the selected Test Suite

Modify Test

User selects the Test Name that needs to be updated by clicking the appropriate option button in the Manage Test screen and clicks the modify button.

The System displays the Modify Test screen with the selected test details for the user to edit.

Candidate ListThe admin or HR user can select Manage Candidate Registration menu item from recruiting Menu.The system displays Candidate List listing screen with the available list of Registered Candidates.

Modify Candidate InformationUser selects the Candidate Name that needs to be updated by clicking the appropriate option button in the Candidate List screen and click the update button.

The System displays the Modify Candidate Registration screen with the selected candidate details for the user to edit.

User can modify the Candidate details and click the save button to save and cancel button to cancel the changes

Clicking the Save or Cancel button performs appropriate action and takes the user to the Candidate Listing screen.

To view the test results of the candidate click on the Test Result link. The system will display the test results in a new window with the following information

Hiring List

The admin or HR user can select Hiring menu item from recruiting MenuThe system displays Hiring List listing screen with the available list of Candidates.

User clicks select button in the select column for the candidate whom the offer letter need to be given.

User clicks the Modify button to enter new offer details or update the existing offer details and cancel button to cancel the operation and go to the parent screen.

Clicking the Modify button the system displays the Candidate offer Details Screen

Candidate Offer DetailsThe following form displays the offer status, joining status and update status of the selected Candidate.

Hiring Update

The candidate Hiring screen displays all the existing offers in a drop down list if the selected candidate holds one or more offers else the New radio button is selected. If the selected candidate does not hold any offers the system displays the below screen.

Select the resource request for which the offer needs to be given.

Select the Hiring Status Employee if the candidate is hired as an employee or Trainee if the candidate is hired as trainee.

Enter the offer letter date, Acceptance Date, Proposed Joining Date.

The Acceptance Date should be greater than offer letter date and the proposed joining date should be greater than Acceptance Date.

Select the HR name who is giving the offer

The Acceptance Status will be Offered. If the Acceptence Status if Accepted, the user will be allowed to select the Joining Status.

If the Joining Status is Joined the user will be allowed to enter the Actual Joining Date and Employee code.

Click the Hire button to save the hiring information.

Candidate Offline Test Entry

The Candidate ID is entered by the admin for giving the candidate offline test result.

Edit Candidate Test ResultsThe following form allows admin to enter the result, score and date at which he applied the test.

Candidate Test Result ReportThe following form allows the admin to view the test result report. It shows the result as per the Candidate ID.

Training ModuleOnce login to the application, the admin and HR can select from Training Menu and select the Training Module menu item.

Displays a list of training modules for the user to select the training module details viz. training module name, description and a set of trainers (from a list). User can delete a training module by selecting a training module from the list.Once user can click on the Training Module, the following screen will be open and it displaying the existing Training Module (if database contains).

Modify Training Module

User selects the Training Module that needs to be updated by clicking the appropriate option button and click the modify button.

The System displays the selected Training Module details for the user to edit i.e. training module name, description and a set of trainers (from a list).

Training Program

Once login to the application, the admin and HR user can select from Training Menu and select the Training Programs menu item.

Once user can click on the Training Programs, the following screen will be open and it displaying the existing Programs(if database contains).

Modify Training Program

User selects the Training Programs that needs to be updated by clicking the appropriate option button and click the modify button.

The System displays the selected Training Program details for the user to edit i.e. training program name and description

User enters the Program details and clicks the Save button to save the data or cancel button to cancel the operation.

Clicking the Save or Cancel button performs appropriate action and takes the user to the Training Program listing screen. User can attach one or more training modules to a training program and also define the skills covered by each training program. He can also assign employees/trainees to a training program.

Training Classes

Once user can click on the Manage Training Classes, the following screen will be open and it displaying the existing Training Classes (if database contains).

Modify Training ClassesUser selects the Training Classes that needs to be updated by clicking the appropriate option button and click the update button.

The System displays the Training Class details for the user to edit i.e. name, Description, Module Name, Trainer, Test, QB, No. of Question, Passing Score and Employee and Trainee List.

User enters the Training Class details and clicks the Save button to save the data or cancel button to cancel the operation.

Clicking the Save or Cancel button performs appropriate action and takes the user to the Manage Training Classes listing screen.Training SessionsUser selects the Training Class for which the Session needs to be defined by clicking the appropriate option button and click the Manage Session button.

The system displays the Define Training Class Session screen with the list of exiting Session if any for the selected Training Class.

Modify Trainee Session

User selects the Training Session that needs to be updated by clicking the appropriate option button and click the modify button.

The System displays the selected Training Session details for the user to edit i.e. Session No, Description, Date and Time.

Conduct Training Class

Once login to the application, the admin, HR and Trainer user can select from Training Menu and select the Conduct Training Classes menu item.

Attendance

Click on the Attendance button in the Conduct training Classes Screen to add a attendance details of employee and trainee.

System displays the Attendance screen for the user to add attendance details i.e. Session no, Actual Data and Time and Schedule Date and Time.

User enters the Attendance details and clicks the Save button to save the data or cancel button to cancel the operation.

Clicking the Save or Cancel button performs appropriate action and takes the user to the Conduct training Classes listing screen.Test Score

Click on the Test Scores button in the Conduct training Classes Screen to add Test Scores details of employee and trainee.

System displays the Test Scores screen for the user to add Test Scores details i.e. Score and Result.

User enters the Test Score details and clicks the Save button to save the data or cancel button to cancel the operation.

Clicking the Save or Cancel button performs appropriate action and takes the user to the Conduct training Classes listing screen.Test Results Click on the Test Results button in the Conduct training Classes Screen to View the online Test results details of employee and trainee.

System displays the Test results screen for the user to view the Test results details i.e. Trainee/employee Id, Trainee/employee Name, Test Type, Score and Result.

Clicking Cancel button performs appropriate action and takes the user to the Conduct training Classes listing screen.

Online Test for Trainee

The candidate who has to give online test have to first enter their trainee id, to verify whether trainee is applicable or not.

Online Test

Manage TrainerA group of trainee is allocated a trainer the following form displays the trainer who conducts training for a particular topic.

DesignationThe user can select Manage Designation menu item from Staff Administration Menu.

The following screen shows the designation available in the company.

Employee ListThe user can select Employee List menu item from Staff Administration Menu.

The following screen shows the employees working at the company.

Create Employee DetailsThe admin fills the employees information personal details, address, salary details, bank account number.

Clicking on Save or Cancel performs the appropriate operation After clicking Save/Cancel it redirects to the Employee List form.Leave Application The user can select Leave Application menu item from Staff Administration Menu

The system displays the Leave application listing page for the user listing all the leave applications applied by the user.

Manage Recreation CalendarOnce login to the application, the admin and HR user can select from enrichment Menu and select the Manage Recreation Calendar menu item.

Once user can click on the Manage Recreation Calendar, the following screen will be open and it displaying the existing events (if database contains).

Manage Employee SurveyOnce user can click on the Manage Employee Survey, the following screen will be open and it displaying the existing Employee survey List (if database contains).

Click on the Create button in the Manage Employee Survey Screen to add a new Survey.

System displays the Create Employee Survey screen for the user to add a new survey details i.e. Survey name, Description, Post Date and End Date.Modify Employee SurveyThe following form modify the surveys viz. description, name, postdate and end date.

ReportsResource Request by Position and Target Date

User selects the Resource Request Hiring by Position and Target Date report from the Reports Menu.

User enters the date range.

Click the Submit button to display the report and cancel to navigate to the Welcome page

The Resource Request by Position and Target Date report displays all the requests within the defined period.

Test Result Enter/select test date.

Click submit to display the report or cancel to navigate to the Home screen

Clicking the submit button will display the all the candidates who have taken the test for the given date.

Training Program

Enter/select the Form date and to date and the trainer name

Click submit to display the report or cancel to navigate to the Welcome screen

On clicking the submit, the system will display schedule details for the given period for the selected trainer
