The Valerie Walsh Award

Are you entering all three disciplines? If you complete at least one class in

each of the three disciplines; Music, Dance and Speech & Drama you will be

automatically considered for the Valerie Walsh Award.

This Award is given to the competitor who gains the highest aggregate score

across the three disciplines.

A prize of £150 will be awarded to the winner.

January 6th 2014 at 2:30pm – Nutland Award Concert

Do not miss this wonderful concert featuring entrants from the Nutland

Award Class. It is held in the atmospheric Sanders Room at Cheltenham

Ladies College and is a great way to spend the afternoon for anyone who

enjoys music.

We will be holding a Performance Arts Workshop, for Under 18’s, in

January in which you can learn a range of performance skills whilst

working towards an end of day performance.

CHAMPIONSHIP CLASSES

Keith Nutland Award – Sunday 18th

May 2014

A special recital competition on the evening of the second Sunday of the Festival for Year 13

students intending to enter Music College or read Music at University.

Now in its 20th year, the award is in memory of Keith Nutland, a former President of the

Festival. There will be a £500 cash prize plus free admission to the 2014 Cheltenham Music

Festival, of which Keith Nutland was Treasurer for many years. There may also be the

opportunity to perform at the Cheltenham Music Festival.

To qualify the student’s home must be in Gloucestershire, and applications must come

through their school’s Head of Music or Music Teacher.

Choral Day – Saturday 17th

May 2014

THE GOLD CUP (Classes C1, C2, C3) presented by the late Mr. A. N. Price will be awarded to

the choir from the Adult Choir Classes which in the opinion of the adjudicator gave the most

memorable performance.

THE SILVER PLATE will be awarded to the Youth Choir which in the opinion of the

adjudicator gave the most memorable performance.

Adult Vocal Championships – Friday 16th

May 2014

THE GERTRUDE MACE MEMORIAL SHIELD: The winners of Classes V15a, V15b, V16a,

V16b, V17a, V17b, V18a, V18b,V19, V28, V30, making up to 11 winners in all (or more in

the event of a tie) will go forward to sing in a final, with their accompanist, to select the

winner of this shield. In the event of a performer winning more than one of these Classes and

qualifying for the final, he or she will be at liberty to select one of their winning songs for the

final.

THE FOXWELL ROSE BOWL: The winners of Classes V33 to V38 will compete for the

Foxwell Rose Bowl. Each finalist, with their accompanist, will perform one song. The trophy

is held for one year.

CLEEVE VALE ROTARY CLUB TROPHY: The winners of Classes V12, V20, V21,

V26, V27, and V29 will compete for the Trophy. Each finalist, with their accompanist, will

perform one song. The trophy is held for one year.

The Lyric Championship – Sunday 18th

May 2014

A challenge to the best Verse Speakers in the Festival! The first four placed in each of

Classes SD8 - SD10 will be invited to compete in the Lyric Championship performing any

Sonnet of the speaker’s own choice (but not one performed in this year’s Festival). Teachers

are requested to prepare their pupils for this class. In the case of a split qualifying Class, the

overall top four places of the age group will be eligible for this competition.

General Rules

Please read these carefully before entering G1. The Competition shall be known as the “Cheltenham Festival of Performing Arts”.

G2. There is no geographical restriction for any of the Competitors, except for the Keith Nutland Award

where to qualify the student’s home must be in Gloucestershire.

G3. No persons gaining all or a principal part of their livelihood by music, speech, drama or dancing may

compete, except in the classes marked “Open” (This Rule does not apply to Conductors of Choirs).

The Committee reserve the right to refuse entry to an Open Class where the performer’s experience may

be insufficient.

G4. The management of these competitions and all matters relating thereto shall be in the hands of a

Chairman and a Committee with a Secretary and Treasurer, whose decision on any points shall be final.

G5. In the event of there not being a sufficient number of entries in any Class, or in the opinion of the judges

the competitors do not show sufficient merit, the Committee reserves to itself the power to withdraw all

or any of the awards.

G6. Time limits must be strictly adhered to and competitors who over-run will be penalised with the loss of

one mark per minute or part of a minute.

G7. In the event of there being fewer than 5 entries in a Class, the committee reserves to itself the power to

cancel that Class. In that event, a refund of the fees will be given.

G8. The well-groomed personal appearance of competitors will be taken into account when adjudicating

performance and awarding marks

G9. (a) IN ALL CLASSES other than Adult Music, Open Music and Group Music Classes, certificates will be awarded to competitors gaining the following marks: Outstanding 90 and over; Honours 85-89;

Distinction 80-84; Merit 75-79.

(b) Certificates and Adjudicator’s Mark Sheets will be available 30 minutes after any competition is

completed. Certificates not collected during the Festival will be sent by post on payment of £1 until 2

months after the festival closes when they will be destroyed.

G10. (a) No trophy or challenge cup will be awarded under 85 marks

(b) In the event of more than one person being awarded a Challenge Cup, they shall hold it for a

proportionate time in alphabetical order of surname.

(c) Medals will be awarded on the following basis:

1st Place 1 silver gilt medal (but see rule G10(d)), 2nd Place 1 silver medal, 3rd Place 1 bronze medal,

providing a mark of 80 or more has been achieved, unless there are multiple entrants on the same mark.

NO medals will be awarded in any “Open” classes throughout the Festival

(d) The winners of Cheltenham Festival Cups receive a special Cup Winners Certificate instead of a

medal. Cup Winners can purchase a gold medal from the Festival Office if they so wish.

G11. All entries must be entered online or be sent to the respective secretary on or before 1st February. Paper

entries must be on an Entry Form and accompanied by the Fee. A SEPARATE ENTRY FORM MUST

BE USED FOR EACH CLASS. LATE ENTRIES MAY BE RETURNED AT THE SECRETARY’S

DISCRETION.

G12. In the case of numerous entries the committee reserves the right to divide any Class which may be

considered too large for adjudication.

G13. Age limit is reckoned as on 1st January for Dance and 31st August for Music and Speech & Drama

in the year preceding the Festival and this will be strictly observed. All ages under 19 years must be on

the Entry Form. Entry Forms without the competitor’s age (under 19 years) will not be accepted.

G14. The Committee regrets that Fees cannot be refunded under any circumstances other than rule G7.

G15. Competitors are urged to ensure they have entered the correct Class on the entry form as transferring

Classes cannot be permitted after the commencement of the festival.

G16. The Festival is bound by copyright law AND CANNOT ALLOW any type of photography, tape or video

recording during a performance or adjudication.

G17. Competitors in “Own Choice” Classes may not offer items with which they have already won prizes in

past Cheltenham Festivals.

G18. Competitors may not enter more than once in the same Class unless specified, nor may they enter the

same piece in more than one Class.

G19. Competitors should perform in the order given in the programme unless involved elsewhere, in which

case they must notify the steward. Those not answering to their names when called will be recalled at the

end of the Class, however the adjudication will not be delayed.

Rules for Dance Classes D1. Nationality must be specified in all National Classes and name of Dance in Character.

D2. The Festival is not liable for any copyright infringement caused by CD recordings supplied by the

competitor.

D3. The Festival requires music on CD. There should be a single recording on the media. Music to be played

by officials only. The quality of recording will be taken into account.

D4. A Competitor may not perform the same Dance in more than one Class.

D5. The time allowed must be strictly adhered to.

D6. In the Groups all performers must be on the stage and active during the major portion of the dance.

D7. Competitors may not dance more than once in any Solo or Duet Class, neither may a competitor dance in

more than one Classical and one Cabaret Class.

D8. No School may enter more than 3 groups in the Group Classes, and a group must consist of at least 5

persons.

D9. Competitors may NOT TRANSFER to another Class without prior permission from the Festival Office.

D10. Cabaret Solos, Duets and Trios are to be WITHOUT SONG except in Classes D56, D57 & D58.

D11. In Tap Classes ‘standard’ taps (single sound) only must be used. Jingle taps will not be allowed.

D12. Tape Recording, Video Filming and Photographing of Classes are NOT ALLOWED.

D13. Pointe work is not permitted for any competitor under 13 years of age.

D14. Competitors will be allowed to re-dance but will not be eligible for first, second or third place.

D15. Individuals shall not be eligible to enter this year’s Festival if they have changed dancing schools during

the preceding 12 months and those schools attend the Festival, unless permission has been obtained from

the previous teacher(s).

D16. Age limit is reckoned as on 1st January 2014 and will be strictly observed

D17. Individuals attending full time vocational dance schools are not eligible to enter.

Rules for Speech & Drama Classes SD1. Competitors entering “Own Choice” Classes must ensure the selected pieces conform to the standard of

tests set at the Festival and the Committee reserves the right to refuse a piece that is not of the required

standard.

SD2. (a) None but hand properties (e.g. fan, stick, handkerchief, scarf etc.) will be permitted. In “Own Choice”

Classes, a script must be given to the Adjudicator before performing in the Class.

(b) Stage costume may NOT be used, but rehearsal skirts will be allowed. Competitors attention is drawn

to rule G8.

SD3. The Adjudicator and Stewards will not prompt if words are forgotten; therefore competitors are advised to

provide their own prompter who must NOT be their teacher. In case of difficulty competitors may ask for

help from the office.

SD4. SD5. SD6. SD7. SD8.

Age limit is reckoned as on 31st August 2013 and will be strictly observed

Time Limits must be strictly adhered to but do not include introduction to scenes

Coaching. No instruction, mouthing of words or gestures by teacher, tutor or parent is allowed during

performance. This and/or any other off-stage direction will incur a penalty.

The adjudicator’s decision is final.

Alterations. Competitors wishing to make alterations to their published performance time must inform

the Speech & Drama Secretary a minimum of one week before the Speech & Drama section begins.

Alterations will not be accepted after this time except in exceptional circumstances.

Rules for Music Classes M1. “Own Choice” titles do not need to be notified on the Entry form. “Own Choice” pieces must conform to

the standard of tests set at the Festival and the Committee reserves the right to refuse a piece, in the Class,

that is not of the required standard. Titles of “Own Choice” music must be announced.

M2. A copy of own choice music must be handed to the adjudicator at the beginning of the class, and in the

“Set Piece” Classes the prescribed edition and key, where specified, must be used. Failure to do either of

these will mean that the competitor will receive an adjudication but no mark.

M3. Time limits must be strictly adhered to. Competitors who over-run will be penalised by the loss of one

mark per minute or part of a minute.

M4. Competitors in “Own Choice” Classes may not offer items with which they have already won prizes in

Cheltenham Festivals in the past 3 years, nor may they enter the same piece in more than one Class.

M5. Competitors may not enter more than once in a Class unless specified.

M6. Entrants are advised that the Festival no longer engages official accompanists. Please see next page

for further information.

M8. Backing Tracks whether CD, Tape or other media are not allowed unless specifically allowed for a Class.

M9. Performer’s Age is reckoned as on 31st August 2013 and will be strictly observed

M10 SONGS FROM THE SHOWS: Competitors are reminded that due to Performing Rights no costume or

scenery may be used. Movement is allowed.

COPYRIGHT RULES

SPEECH & DRAMA CLASSES: Entries in poetry, prose or solo dramatic works to a limit of 10 minutes are covered

by agreement with the Author’s Licensing and Collecting Society. Duologues and group dramatic activity are not

covered by this agreement and copyright for these items should be sought by performers at the time of entry.

MUSIC CLASSES: The Festival cannot legally allow anyone to play/perform from photocopied music, and has no

choice but to disqualify performers who do so, unless before their class starts, they can produce evidence showing

that the publisher’s agreement has been sought and given or an original copy is in the room. The only photocopies

the Festival can allow in law are:

1). Copies for the adjudicator’s use, which will be destroyed at the end of each class;

2). For an awkward page-turn which may hinder a performance;

3). Those that comply with current photocopy laws.

4). Copies bought from a legal website such as musicroom.com are acceptable.

The Festival has to be strict with this regulation. You are asked to comply with it to avoid unpleasant situations

arising during the Festival.

ACCOMPANISTS - IMPORTANT INFORMATION Entrants are advised that the Festival no longer offers official accompanists. It is the responsibility of performers who require an accompanist to find their own in good time before the Festival.

The following accompanists have agreed to their names being published in this syllabus. It is

recommended that you should make contact with your accompanist by 1st March, 2014 to allow for preparation time.

You must expect to pay a fee for your Festival performance and any rehearsals you arrange. Whilst you

may consider it beneficial to have a rehearsal, you are not under any obligation to do so. Payment is now a matter between the accompanist and the performer, as rates are no longer set by the Cheltenham

Festival of Performing Arts. Music must be sent direct to the accompanist when the engagement is

made.

You are advised to inform your accompanist if you are unable to attend your Festival Class, or you may still be charged with the agreed fee.

CHILD PROTECTION SAFEGUARDING POLICY: Implemented from

September 2012

Preliminary Statement

The safety of children and vulnerable adults is paramount and all, without exception, have the

right of protection from abuse. All suspicions and allegations of abuse will be taken seriously

and responded to swiftly and appropriately. All the charity’s trustees, officers and volunteers

have a responsibility to report concerns.

1. PURPOSE AND FUNCTION OF ORGANISATION

Our aim is to advance the education of the public in the Arts, and in particular the Arts of Music, Speech

and Drama and Dance in all their branches.

2. THE FESTIVAL ENVIRONMENT

We endeavour, as far as it is practicable to do so, to provide a safe environment at the Festival. We

inform all parents, guardians, carers and teachers of competitors up to age 18, that the well being and

safety of children remains their responsibility whilst at the Festival and that neither the Festival, nor its officers or helpers will accept this responsibility. The Festival takes place in buildings which are

generally open to the public. In addition the surrounding external areas of the Festival buildings are

open for public access. Parents/ teachers/carers and guardians should take note of this when arranging

for transportation to Festival locations, and the supervision of children whilst on site. Parents/ teachers/carers and guardians will receive a copy of this policy and are expected to establish and

maintain processes of supervision whilst their children and pupils are taking part in Festival activities.

The Festival is a charity which is run entirely by volunteers with the occasional addition of one part time

paid member of staff. It is the policy of our Festival to inform and involve parents/guardians/carers and teachers in partnership in order to ensure, as far as it is reasonably practical, a safe environment at our

Festival. We do this by ensuring that you receive a copy of this policy at the time you are making

arrangements to attend the Festival.

3. TO WHOM THIS POLICY APPLIES This policy relates to children under the age of 18 years and those vulnerable adults of any age who are

identified to the organisers by Parents/Guardians/Teachers/Carers prior to their arrival at the Festival.

This should be done by contacting the relevant Section secretary in writing. Our Festival actively seeks,

wherever possible, to meet these needs, but must know beforehand in order to prepare support – or to let you know that we are unable to help.

4. FESTIVAL PERSONNEL

All personnel are volunteers and registers of names and addresses are kept by the Office Manager for

Office Helpers and the Chief Steward for Stewards. The recruitment of new volunteers comes either from the recommendation of an existing helper or an offer of help from someone interested in the work

of the Festival. References for all new helpers are asked for. Individual helpers who will be, or likely to

be, in the sole company of a child will have completed a Criminal Records Bureau Disclosure form (CRB). Other volunteer helpers will ensure that they are not placed in potentially vulnerable situations

and therefore, where appropriate, will always be working in pairs. A job description is provided and all

jobs are reviewed to see if an enhanced disclosure from the CRB is needed.

All helpers receive a copy of our Policy, are briefed on their obligations and agree with its

implementation. Whilst on duty they will wear an official badge stating their role. In case of a problem,

anyone wearing a badge may be approached and will be able to help. All problems reported will be

taken seriously, documented and dated. During the Festival there is an administrative office which is

staffed by a member of the Festival Executive Committee.

5. PREPARATION FOR ATTENDANCE AT THE FESTIVAL

A copy of this policy is sent out to all parents/guardians/carers/teachers and group leaders with the

tickets/programmes or timetables. We do this to impress upon you that responsibility for the safety of the children in your care is yours and that you then become partners with us in implementing this

Policy.

Private teachers/group leaders are asked to forward a copy of this policy to parents/guardians/carers who have children under the age of 18 years who are attending the Festival. They will be asked to confirm

by email or post that the CPP has been distributed, and failure to reply will result in their entries

not being accepted as it may damage our charity irreparably if you fail to follow our safeguarding

policy.

Parents/Teachers/Guardians/Carers should ensure that they remain in the Festival buildings and are

available to collect and supervise their children at all times.

Where Parents/Teachers/Guardians/ Carers are not personally attending with their children, this Policy

requires them to be satisfied that their children will be accompanied to the Festival and adequately

supervised by responsible adults acting on their behalf..

6. PERFORMANCE AREAS AND CHANGING ROOMS Public areas and practice areas are unsupervised. Changing facilities for dancers are closed off from the

general public. Responsibility for the supervision and patrolling of the changing areas rests with

the Parents/Teachers/Carers/Guardians.

7. PHOTOGRAPHS, VIDEOTAPES, AND PRESS PHOTOGRAPHY Photography, filming, videotape recording, digital recording or recording by any means by members of

the public or fellow competitors is strictly prohibited in any of the competition rooms. A professional

photographer is in attendance during the Dance classes but is not employed or endorsed by the Festival.

Parents/Guardians/Carers/Teachers must be in attendance and agree to the photographs being taken.

Press photographers will be required to display an appropriate identity card and are only allowed to take

photographs with the prior permission of the Executive Committee. He/she must be accompanied by a

member of the Executive Committee at all times.

8. THE LEGISLATION AND GUIDANCE THAT SUPPORTS THIS POLICY The Rehabilitation of Offenders Act 1974: The Children Act 1989: The Police Act 1997: The Data

9. POLICY REVIEW

The organisers will constantly review their policy revising and enhancing it as necessary. In doing this

they will look to The British and International Federation of Festivals for support and that body, in turn

will look to other agencies for good practice, most notably the NSPCC and Arts Council of England policy Guidelines

DATA PROTECTION POLICY STATEMENT

The Cheltenham Festival of Performing Arts needs to collect and use certain information about

individuals in order to successfully run the Festival. The Cheltenham Festival of Performing Arts ensures that personal information is treated lawfully and correctly. To this end, the Cheltenham Festival

of Performing Arts fully endorses and adheres to the eight principles of data protection as detailed in the

Data Protection Act 1998.

Information collected is processed fairly and lawfully; is used only for specific and lawful purposes; is

accurate, adequate, relevant and not excessive; is kept for no longer than necessary; is processed in

accordance with the rights of the individuals; is kept secure and is not transferred to countries that do

not offer adequate data protection.

Access to information is strictly limited. All Festival personnel are made aware of their duties and

responsibilities in accordance with the Data Protection Act 1998. Information will not be given to third

parties without the prior consent of the individual (or their guardian). Any requests to access information held by the Festival must be made in writing and will be dealt with promptly by the Data

Protection Officer.

ACCESSIBILITY

The ground floor of the Town Hall is fully accessible from street level without encountering any steps by using the ramps at either side of the front entrances. The entrance on the right-hand side has

automatic doors.

There is an induction loop system on the ground floor of the Town Hall and there are accessible toilets in both the Ladies and Gents as well as a further accessible toilet at the rear of the main hall.

The Town Hall has a special lift to assist performers on to the stage if required.

Speech & Drama – The Thomas Cranmer Award Class

The Speech and Drama Committee is pleased to include in this year’s Festival a heat of the National

Prayer Book Society Competition - THE THOMAS CRANMER AWARDS This competition is open to

candidates ages 11-18 inclusive who will be required to speak an extract from the gospels or the Book of Common Prayer 1662 to be selected from the following list and chosen with reference to the age list

below:

1) Set of Collect, Epistle and Gospel from the Book of Common Prayer for any Sunday or Holy

Day. 2) A passage consisting of one or more of the Psalms and/or Canticles.

3) Any suitable passage from the services of Morning or Evening Prayer or the Services of Holy

Communion but excluding the Absolution Blessing or Prayer of Consecration or other

material appropriate only for speaking by a Priest. 4) Any suitable passage from the Services of Baptism, Marriage or Burial, but not including the

priestly words of blessing.

5) Any suitable passage from the Catechism or from the Special Prayers and Thanksgiving, or

the Litany.

Age Groups:

1) 11 Years – Own choice of any gospel

2) 12 and 13 Years – Own choice of any collect and gospel 3) 14 and 15 Years – Own choice of any Psalm or gospel and own selection of Evening Prayer

How to enter

We would encourage you to enter online wherever possible.

You can enter Music and Speech and Drama Classes online, Dance is

only via the paper entry form.

Online Entry Process

1. Go to www.cheltenhamfestivalofperformingarts.co.uk

2. Go to the ‘Entries’ page

3. Click on the button for the relevant discipline or choose the multiple entry

form.

4. Complete the required sections of the form.

5. You will receive email communication to confirm receipt of your entry,

normally within 24 hours.

6. Shortly after, you will receive an invoice by email inviting you to pay for all

classes which have been entered for. Please note for 2014 the payment must

be made by cheque or bank transfer.

7. Entries close at midnight on 1st February 2014, as with paper entries.

By entering online you acknowledge that you have read the Rules of the Festival

in the current syllabus and agree to abide by them. You also acknowledge that

you have read the Festival’s Child Protection Policy document included in this

syllabus and available on the website.

Paper entry If you are unable to enter online, please complete one form per Class/performer entry

and send it to the appropriate Secretary. Unfortunately, we cannot acknowledge

paper entries, and recommend that you buy a programme wherever possible for full

information on class times and dates. The final timetable will be available from April

1st, 2014.

Tickets and Programmes For 2014, tickets will only be required for Competitors who are over 18.

Programmes and tickets along with tickets for teachers will be sent out in the first

week of April.

Advertise in our 2014 Programme An advertisement in our programme normally reaches over a thousand households.

Reasonable advertising rates are available for full, half and quarter page

Child Protection A copy of the Policy (updated for 2014) is available on the website and is contained

within this syllabus. Teachers are asked to inform parents/guardians/carers about our

Child Protection Policy. Parents and Guardians are asked to read this

information carefully when making arrangements for their children to attend the

Festival.

Provisional Timetable

It is very difficult at this stage to provide accurate information regarding

timetabling of Classes for 2014. Factors, such as the number of entrants and

availability of rooms and adjudicators, affect the final Festival schedule, and

these remain unknown until all entry forms have been received. The

following is for information only and is liable to change.

hopefully will be in line with 2013 timetable.

Saturday 14th December 2013 - Music Vera: A Whale of a Christmas

7.30 pm at All Saints Church, Cheltenham

The concert will be conducted by the Choir's Musical Director, David Dewar,

and will be accompanied by John Wade.

The programme will include a performance of Jonah-Man Jazz as well as carols

for Choir and audience. The Choir of Charlton Kings Junior School will also

perform conducted by Jane Ward Watts.

Admission £10, to include refreshments. Free admission to under 16’s.

Tickets can be purchased at the door, and will be available to buy in advance

from Cheltenham Tourist Information Centre, from the beginning of November.
