Warwickshirehasfiveceremonyroomslocatedinthemainregistrationofficesthroughout the county, the details of which can be found below. All our ceremony rooms have disabled access and are decorated to a high standard. You can view photographs of our venues on our website at www.warwickshire.gov.uk/registrations.

For a ceremony in an Approved Premise, you will also need to make arrangements with the venue. There will be a fee payable for the attendance of registration staffatyourceremony;inadditionyouwill both need to give notice of marriage or civil partnership in the district where you live.

A provisional booking for a ceremony can be made by telephone or in person.

Weareabletoofferyouaprovisionalbooking up to two years before your chosen ceremony date.

LEGAL FORMALITIESUnless you are holding your ceremony in a Church of England or a Church in Wales, both parties are required to attend personallyataregistrationofficeinthedistrict(s) where you reside to give a notice of marriage or civil partnership to the Superintendent Registrar. You must have lived in that registration district in England or Wales for at least eight days prior to your notice appointment.

If you both live in the same district, you should ideally attend your local registrationofficetogether.Ifyouliveindifferentregistrationdistricts,theneachof you will need to give notice in your

own district, preferably as near to each other as possible.

You will need to bring documents to your appointment and we will advise you in advance of what they will be. The fee for your notice appointment will be payable when you book. After giving your notices, there is a waiting period before your ceremony can take place.

A notice of marriage or civil partnership remains valid for one year for the venue stated. If one or both parties is not a national of the European Union please contactyourlocalofficeforadvice.

PLEASE NOTEYour ceremony cannot go ahead unless the legal formalities have been completed. You and your partner must give notice in person – no one can do so on your behalf. Where a provisional booking for a ceremony has been made, it is essential that notice is given within the timescale requested by the registrationofficetoensurethatyourbooking remains secure.

RELIGIOUS CEREMONIESIf you wish to have a religious ceremony in a Church of England or Church in Wales, you should speak to the minister about the arrangements. If you wish to have a religious ceremony of any other denomination,youshouldfirstarrangeto see the minister or other person in charge at the building to discuss your requirements, before contacting your localregistrationofficetocomplete

the legal preliminaries. It is usually only possible to have a ceremony in a religious building situated in a district where one or both of you live. You may however hold your ceremony in a religious building in a district where neither of you lives, if either or both of you usually worship there.

The religious building will generally have a person appointed to register your ceremony. If this is not the case, you must ensure that a registrar from the district in which the building is situated is present at your ceremony by prior arrangement. If you are unsure whether you need a registrar to attend, please contact your localregistrationofficeforadvice.

PLANNING AHEADWe know that planning a wedding ceremony can be both time consuming and stressful, so here are a few helpful suggestions on what you may need to arrange before the ceremony to ensure that everything runs smoothly.

12 – 24 MONTHS BEFORE• Book your ceremony venue• Book the reception venue and

book the registrars• Book the caterers• Look into wedding insurance

9 – 12 MONTHS BEFORE• Arrange an appointment to give

your legal notice of marriage (Please note that this can be no more than 12 months prior to the ceremony. Once notice is given thisconfirmsyourbooking)

• Order your invitations or start making them yourself

WHAT HAPPENS ON THE DAY?

ARRIVAL AND MEETING THE REGISTRARYou are both required to be ready for a pre-ceremony interview by the registrar before your ceremony can begin – this interview is essential to ensure that all of your personal details are correct for the registration of your marriage or civil partnership. Interviews can take place separately or together. Your guests will be seated whilst this interview is taking place and so it may be useful for you to appoint an usher who can help co-ordinate this.

It is very important that you and your guests arrive in plenty of time – it is probable that the registrars will have other ceremonies to attend on the same day and so we are unable to delay the start of your celebration so that we do not risk being late for any other couple’s booking. If you are late for your ceremony we may not be able to proceed as

planned, so to avoid disappointment, please make sure that you arrive at the venue in good time.

WITNESSESOn the day of your ceremony, you must have two other people to witness your ceremony and sign the marriage register or civil partnership schedule. They may be relatives, friends or colleagues provided they can speak and understand English and the nature of a legally binding ceremony.

NUMBER OF GUESTSEach ceremony room will be licensed foraparticularnumberofguests;thesenumbers cannot be exceeded as they areimplementedbythefireofficer.Additional guests are not permitted to stand in the ceremony room. Please note that any children over 2 years old are counted as individual guests and must be included in your overall numbers.

INTERPRETERIt is essential that both you and your two witnesses fully understand the content of your marriage or civil partnership ceremony, and therefore the full legal implications of such a celebration. If there areanylanguagedifficulties,youmustprovide a suitable interpreter to attend with you who must sign as a witness andissatisfiedthatyouunderstandthenature and purpose of the ceremony.

CANCELLATION POLICYIn the event that you need to cancel a ceremony, you will be required to notify us in writing as per our terms and conditions which are provided when you make a provisional booking. All booking fees are non-refundable and remaining balances may be refundable in accordance with our cancellation policy.

You may wish to consider taking out an appropriate insurance policy in case your ceremony has to be cancelled or postponed due to unforeseen circumstances.

PERSONALISING YOUR CEREMONYTHE PERSONALISATION OF ALL CEREMONIES IS ENCOURAGED AND WE ARE ALWAYS HAPPY TO DISCUSS YOUR OWN IDEAS, OR PRESENT OUR AVAILABLE CHOICES TO YOU. The marriage ceremony includes the required legal declaratory and contracting words but you may choose additional promises, readings and music if you wish. All other ceremonies may be tailored to your personal wishes, on the understanding that there can be no religious content and the dignity of the occasion should be respected.

For ceremonies at Approved Premises you will need to liaise with them regarding your music.

You will receive an options booklet to assist you with your planning which includes a ceremony planning form which you should return to the relevant registrationofficeatleasttwomonthsbefore your ceremony for approval.

CHANGING YOUR NAME ON YOUR PASSPORTYOU SHOULD THINK CAREFULLY ABOUT WHETHER YOU WISH TO CHANGE YOUR NAME ON YOUR PASSPORT IN ADVANCE OF YOUR CEREMONY DATE OR WHETHER YOU WAIT UNTIL YOU HAVE RETURNED FROM ANY HONEYMOON OR FOREIGN TRIP.

This is because you should ensure that the name on your passport matches the name in which you have booked your travel. Even if you have your marriage orcivilpartnershipcertificatewithyou,some countries may refuse entry and some travel companies may not let you boardtheirflightsifyournameisdifferenton your tickets than on your passport.

You should check with your travel agent or the consulate of the country you plan to visit prior to making the decision to change the name on your passport in advance, particularly if visas are involved.

If you decide to change your name on your passport (to your future married or partnered name) in advance of your ceremony, you can do so up to three

months before the ceremony date. Her Majesty’sPassportOffice(HMPO)willcancel your old passport and issue you with a new one. But please note: the new passport will be dated to become valid on the day of your ceremony and therefore cannot be used before. Similarly, when IPS cancels your old passport, any visas on that passport may become invalid.

To amend your passport before your ceremony, you need to complete a standard application form but also a form PD2 which you can obtain from the Post Officeordownloadfromtheinternet.

After you have completed your section of the PD2 form, a Superintendent Registrar will also need to complete part

of the form. Please take the form into therelevantRegistrationOfficeduringopening hours and we will gladly do it for you – you do not need to make an appointment. There is no charge for this service. Alternatively you can post the form to us enclosing a stamped addressed envelope.

If you decide to change your name on your passport after your ceremony when you have returned from any trip overseas, you need only complete a standard application form and send your marriageorcivilpartnershipcertificatetoIPS with your application – form PD2 is not required.

RE-REGISTRATIONACCORDING TO LAW, A CHILD’S BIRTH WILL NEED TO BE RE-REGISTERED IF THE PARENTS HAVE ENTERED INTO A MARRIAGE OR CIVIL PARTNERSHIP WITH EACH OTHER SINCE THE BIRTH. At this time, a new birth record will be created showing the child as a child of the parents’ marriage or civil partnership, this new record will supersede the original registration and all future copy birth certificateswillbeissuedfromthenewentry.

MARRIAGE AND CIVIL PARTNERSHIPAfter a ceremony, both parents need to fillinaformLA1whichcanbeobtainedfromanyregistrationofficeinEnglandorWales. Once you have both completed and signed the form you should contact theregistrationofficewhereyouwouldliketo have the re-registration appointment. You will need to take your marriage certificateandchild’sfullbirthcertificatewith you to your appointment along with the completed form. If you have more than one child, you will need to complete

an LA1 form for each child. If you were married abroad, please contact your local registrationofficeforadvice.

TheGeneralRegisterOfficeauthorisesallre-registrations of children born to same sex couples. Please contact them on 0300 123 1837 to initiate the process.

You do not have to return to the same registrationofficewhereyouoriginallyregisteredyourchild’sbirth;howeverthe new birth record will still have to be entered in their registers. So if you have moved since your child was born, you can complete a re-registration appointment at alocalregistrationoffice,theregistrarwilltake all of the relevant information from you and forward it on your behalf to the registrationofficeholdingtheoriginalbirthentry – this is called a declaration.

There is no charge for this service, only afeeforanynewcertificatespurchased.Only one parent needs to attend the re-registration appointment, although both are welcome.

You will need to book an appointment to re-register your child(ren) at any of our WarwickshireRegistrationOffices,butonly after your marriage or civil partnership ceremony has taken place – re-registration cannot be completed in advance.

Maybe, as a younger couple, you held your marriage or civil partnership ceremony abroad in an idyllic tropical setting? Now that you are home and the photograph album has been shared with family and friends, perhaps you would like to relive the moment and let those closest to you witness the restating of your vows to each other and follow with a celebratory party at the venue of

your choice. We are happy to assist you with planning and conducting such a ceremony.

Renewal ceremonies can take place atanyofourregistrationofficesinWarwickshire or at any of our Approved Venues.

As the renewal ceremony has no legal standing: this allows the freedom for each couple to create a unique celebration. We do provide an options booklet and ceremony planning form to help you personalise the service. A renewal of vows ceremony may contain:

• The acknowledgement of any children of the marriage.

• Readings by friends or the couple themselves.

• Re-dedication of rings, or giving of new rings or gifts.

• The signing of a commemorative certificate.

NAMING CEREMONIESA NAMING CEREMONY IS A WONDERFUL OPPORTUNITY TO CELEBRATE THE BIRTH OF A BABY OR WELCOME ADOPTED OR STEPCHILDREN INTO YOUR WIDER FAMILY CIRCLE.

This ceremony is designed as an alternative to a religious celebration and has no legal standing, but it creates a special event at which to gather together familyandfriendsforadignifiedbutrelaxed occasion. We provide an options booklet and ceremony planning form to help you personalise the service. A naming ceremony may contain:

• a welcome of a new child or children into your family and enables you to express love, care and commitment to them in front of your family and friends.

• a celebration of the name of a new child or children.

• supporting adults and grandparents promises to help and support your child or children as they grow up within our community.

Our ceremony is designed to meet the individual needs of your family and you may choose to personalise it further by including readings and poems. Every ceremonyisdifferentandyourownchoice of content will ensure that it is a truly unique celebration that you and your family will remember as your child grows older.

CITIZENSHIP CEREMONIESONCE AN APPLICATION TO BECOME A BRITISH CITIZEN HAS BEEN APPROVED BY THE HOME OFFICE, EACH NEW CITIZEN (AGED OVER 18) IS REQUIRED TO ATTEND A CEREMONY IN ORDER TO ACHIEVE CITIZENSHIP STATUS.

Thefinalpartoftheprocessofbecominga British citizen is to attend one of these special ceremonies. Group ceremonies take place regularly at Shire Hall, Warwick in the presence of a civic dignitary or alternatively, individuals can opt for a private ceremony at any of our registrationoffices(anadditionalfeeischarged for this).

The ceremony formally welcomes new arrivals into the British family. It confers rights and acknowledges responsibilities. Bydefinition,nationalitymeanstohavemembership of a particular nation – in this case, the nation is the United Kingdom.

At a citizenship ceremony, new citizens are required to make promises and swearoraffimanoathtothesovereignthat they will be faithful citizens. They must also make a formal and public pledge to be loyal subjects and observe the laws of this country.

The ceremony concludes when new citizens are presented with their certificateofnaturalisation.

FREQUENTLY ASKED QUESTIONSHOW MUCH WILL OUR CEREMONY COST AND WHEN DO WE HAVE TO PAY?The price of a ceremony is dependent on the day and location that you have chosen. Please contact one of the WarwickshireRegisterOfficeswhowillbehappy to provide you with details or visit our website – www.warwickshire.gov.uk/registrations.

A non-refundable booking fee will be taken when provisionally booking your ceremony, with the remaining balance becoming due twelve weeks before the ceremony date.

CAN ONE OF US BE ‘FASHIONABLY LATE’?Unfortunately not. You must be ready to start your ceremony on time – we are unable to delay the start of your celebration as we will most likely be conducting another ceremony after yours and we will not risk being late for another

couple’s booking. If you are late for your ceremony, you risk us not being able to proceed as planned so please make sure that you arrive in good time.

I DON’T WANT TO BE SEEN BY MY PARTNER/GUESTS PRIOR TO THE CEREMONY – IS THAT POSSIBLE?We are able to conduct separate interviews at all of our venues and staffarewell-practicedinkeepingyouhidden until the last moment. We will also endeavor to assist with this at our registrationoffices.

WHAT HAPPENS IF I FORGET WHAT I HAVE TO SAY IN THE CEREMONY?You do not need to learn and remember the words you need to say during the ceremony. The Superintendent Registrar will ask you to repeat everything after them in small bite-size chunks.

I AM WORRIED THAT I MAY MAKE A MISTAKE IN MY VOWS OR START TO LAUGH OR CRY?We understand that these ceremonies aresignificanteventsinyourlife,emotions may run very high and you may be nervous. If you make a mistake, the registrar will repeat what you need to say or help you correct the words. Please don’t be embarrassed – all of your guests are there to celebrate your special occasion with you and will not mind if you show some nerves or make a mistake. If you have a giggle or shed a tear, most of them will probably join you!

CAN WE WRITE OUR OWN VOWS?You must say the legal declaratory and contracting words but you can choose to add some extra words, if you wish. You will need to have these approved by the Superintendent Registrar prior to the ceremony, so please return them with your planning form in plenty of time.

CAN A FRIEND/FAMILY MEMBER WRITE A READING FOR OUR CEREMONY?Yes,althoughtheregistrationstaffmustapprove it prior to the ceremony, so please include it with your planning form. If they are writing it as a surprise for you, they can send it to us directly, but it will still need approval.

IS THERE ANYTHING I NEED TO AVOID WHEN WRITING MY OWN VOWS OR CHOOSING MUSIC AND READINGS?Religious content in your ceremony is prohibited by law and so we are unable to include hymns, religious music or readings that have religious connotation.

CAN MEMBERS OF OUR FAMILY BE WITNESSES AT OUR MARRIAGE/CIVIL PARTNERSHIP?Your witnesses can be members of your family, you can even have friends or work

colleagues. They must be able to speak English and understand the nature and purpose of marriage or civil partnership.

IS THERE ANY PARTICULAR WAY I HAVE TO SIGN THE REGISTER OR SCHEDULE?You will be asked to sign your usual signature on the register or schedule in the same way that you would sign an application form or cheque.

WHAT IF WE NEED TO CANCEL OUR CEREMONY – WILL WE GET ANY MONEY BACK?The registration service has a detailed cancellation policy which will determine whether you are entitled to a refund – this depends on how much you have paid and how far ahead of the ceremony date you have cancelled. If you do need to cancel your ceremony, please contact us as soon as possible and we will advise you. The full cancellation policy can be found on our website and is stated in our terms and conditions that you receive when booking.

CAN WE HAVE A CEREMONY OUTSIDE?We have some licensed structures outsideatsomeofourvenues;ceremonies can take place outside between March and October. Please contact us if you wish to know which venues have this option and the terms and conditions surrounding such bookings.

CAN WE HAVE A CEREMONY IN OUR BACK GARDEN?Currently, the law requires that a marriage and civil partnership ceremony must be held at a licensed venue and so this prevents the option to have a ceremony in your house (excluding those that qualify under the housebound section of the Marriage Act). We will only conduct naming or renewal of vows ceremonies at Approved Venues or at ourRegistrationOffices.

WE ARE HAVING A BLESSING IN A CHURCH/OVERSEAS AFTER THE LEGAL CEREMONY. CAN WE SIMPLIFY THE CIVIL CEREMONY?We understand that you may be having another celebration and are happy to accommodate your wishes for a simplifiedceremony.Youmustexchangevows and sign the register or schedule in front of your witnesses, but may choose to leave the exchange of rings and readings until your blessing. Please just indicate this on your planning form.

CAN I CHANGE MY NAME ON MY PASSPORT BEFORE MY CEREMONY?You can apply to change your name on your passport up to three months prior to your ceremony date by completing a PD2 form to accompany your application. Please ensure that the name onanyofyourflight/travelbookingsandthe name on your passport is going to be the same if you are going overseas after yourceremony–iftheyaredifferent,youmay be refused boarding onto aircraft or entry into another country.

CAN WE WRITE OUR OWN CEREMONY?The registrar performing your ceremony will provide the script that contains the legalvows;howeverwedoinviteyouto personalise your ceremony script by choosing additional words or promises. You may choose to write additional personal vows and we would be more than happy to include them, provided they do not contain any religious content and they are suitable for the occasion.

CAN OUR GUESTS SING A SONG AS PART OF THE CEREMONY?You can include a song instead of a reading if you wish for either your guests to sing as a group or for one guest to sing for you. However, as with all content, it cannot contain any religious connotation.
