1. Introduction The College of Environmental Design has a long history in design computing research and providing computing support to the disciplines of the college. This reference guide is intended to be a starting point to navigating the services within the college and its departments. The computing enterprise of the college is a complex collection of systems managed jointly by the departments, the college, the campus, and the university. The student’s main contact, however, will be the lab managers of their respective departments. Please feel free to contact them or any other member of the college computing staff with questions, comments or suggestions; they are here to make your tenure with us productive. 3. Student Workstation Guidelines All departments in the College of Environmental Design recommend that new students acquire a personal computer prior to the start of classes. Students are permitted to bring laptop or desktop configurations. Students should balance the expense of mobile computing platforms with the cost of acquisition and security. The College of Environmental Design workstation inventory is almost entirely based on the Microsoft Windows operating system. All lab machines and discipline specific software applications used in instruction operate on a Windows platform. There are UNIX based server platforms and a few Macintosh based workstations, however, the recommended platform for student workstations is a Windows machine. Students may use a Macintosh, however, available software remains limited at this time. In addition, the student will be responsible for maintaining his or her own equipment and applications, so the acquisition of a hardware service contract (usually available at cost with the purchase of new machines) is highly advisable. The College does not specify any particular vendor’s hardware, and students are free to acquire equipment from the vendor of their choice. Campus maintains a computer store known as The Scholar’s Workstation (TSW), which is located at Hearst Field Annex Bldg D1 (between Sproul Hall and Hearst Gym), south side of campus, (www.tsw.berkeley.edu). The Scholar’s Workstation maintains student pricing on several brand name vendor’s products including Dell, IBM, Toshiba and Apple Computers and also provides technical support for those products for a fee. Additionally, physical security should be a primary concern when using equipment in the design studio or in any public space on campus. Wurster Hall operates on a 24/7 schedule and building and studio security is maintained by limited card keyed access, combination keypads on studio doors and security cameras at entrances and exits, however individual security is at the student's discretion. The studio furniture provides a steel storage locker that can be secured with the student’s own lock but they are not tamperproof. It is large enough to hold a mid-tower computer configuration but will not hold a computer monitor. There are provisions in the furniture configuration for power and for students to lock desktop equipment with cable

University of California, Berkeley Design locks or other non-destructive security devices available from most computer equipment retailers. Supplemental locks are highly recommended.

4. Service Outline One of the most pressing issues for CED technical staff is how to provide service to all the users of systems within the college. Both computer users and CED have key responsibilities to ensure in the smooth operation of computing facilities within the College. Below is an outline of the primary responsibilities of each group: CED

• Provide and maintain computers in the Labs • Maintain the file servers • Maintain the network infrastructure • Provide applications on Lab computers which are integral to College coursework • Provide computer facilities for instruction and workshops • Provide printing services • Provide assistance to users for Lab equipment and applications • Provide Applications for user install (architecture only) • Provide Workshops

Computer Users • Maintain user owned equipment up to university standards: including operating system

patches, security, virus protection and personal firewalls. • Follow safe computing procedures and guidelines. • Report workstation, application, or network problems to the appropriate College

computing staff • Follow Lab rules to maintain safe, clean, dependable workspace • Report suspicious persons or behavior to campus police • Be considerate of fellow computer users while using College facilities • Keep an eye out for bulletins and announcements from College staff regarding computer

facilities, computing policies, and facility availability Additionally the following table should help you understand who is responsible for providing a service you may require. The CED computer staff is primarily responsible for maintaining the network, equipment and laboratories of the college and not student workstations. The lab managers provide general support to a peer-to-peer technical consulting service and coordinate a series of training sessions and technical web sites each semester. As always, if there is some aspect of the CED computing environment, which is not clear, please feel free to consult with your departmental lab manager or any other computer staff member within the college.

University of California, Berkeley Design Support Area Support Options Network Support The Campus and the College provide the support of the network jointly.

In most cases this service is ubiquitous and transparent to the users until a problem arises. The departmental lab managers will usually be able to tell you if the building or campus is experiencing a network service interruption. In most cases service interruptions are wide spread and no reporting to campus entities on your part is required.

Student Hardware/Software support:

Students are entirely responsible for their own hardware, software and data back-ups and are encouraged to obtain service contracts.

Lab Hardware and Applications

• The departmental lab managers maintain all aspects of the hardware and software installations in the department run laboratories.

• Instructors in regular CED courses provide application

instruction and help. Instructors & GSIs have traditionally been the first line in helping students in computer specific classes.

Email Email services are provided by the Berkeley campus, which maintains

support resources for end users. The resources include the Calnet web site with technical resources and account maintenance options (http://calnet.berkeley.edu) or through one of the many other in-person and electronic help services provided by campus. A compendium of these services are listed at http://ist.berkeley.edu/.

Support Area Support Options Printing Printing services are provided through each department. Part of the

initial cost of the CED student computing account goes toward printing (see printing section of this document) When printing difficulties arise students should confirm the availability of service and trouble-shoot the problem with the peer consulting service. In some cases consultation with lab managers and network administrators in the departments may be required.

Training Campus training opportunities include the student computer consulting service located on the first floor of Moffitt library, residence hall computing assistance, web disk services, workstation and micro computing facilities throughout campus and financial aid for workstation purchases. Service may be obtained by contacting the appropriate Lab Manager (or their staff), or as otherwise instructed on a department-by-department basis. Normally, support hours are 10am to 4pm, Monday through Friday. Because the CED’s computing resources and staff are limited, it is not always possible for computing staff to provide immediate, personal service. However, the following minimum service level agreement (SLA) is offered:

• E-mail will be returned within one business day • Voicemail will be responded to within one business days • Personal appointments may be scheduled (time permitting) two business days in advance

5. Accounts 5.1 Computer Accounts There are several computing related accounts a student might need during their Berkeley and CED tenure. The Berkeley campus provides some of these services and the College and departments provide the rest. These accounts include: Account Type

Computer accounts for the Department of Architecture are set up at the Cardkey office, 477 Wurster Hall. The same form is used for both cardkey access and computer accounts. You may obtain the form from your own department lab managers or from the Cardkey office. All fees must be paid at the time the account is activated. We will only accept payment through Cal1 debit cards. UC Extension students may pay with money orders. You must have a Campus photo ID (also called the Cal1 Card) before coming to the card key office. Campus ID’s can be obtained in Lower Sproul Plaza in the Cal 1 Office. Your account will give you access to the network via your department computer account within CED. These networks will allow you to print to printers and plotters located in the computer labs and studios. You will also have access to personal network drive space as well as access to any space set aside for individual class use. At the time you set up your computer account you will be given a user name. Normally this will be a combination of the first letter of your first name with your last name (i.e.: mmouse for Mickey Mouse). All user names and passwords are lower case. Your initial password will be your Student ID number. You should change this password after the first login. Logging on in all the labs is the same… a key combination Ctrl+Alt+Del will bring up the login window.

There are separate networking contexts for each department and for students, faculty and staff. The context assignments are self explanatory as shown in Figure 2. If the context is correct, and you have double-checked your password, see the lab monitors or Lab Manager. In Architecture you may also contact the computer staff by e-mailing to [email protected], by visiting the Architecture computing assistants’ office at room 477 Wurster (M-F 10am to 4pm) or on the web at http://ced.berkeley.edu/computing/arch/help. Be sure to include your user name as well as your student ID number in all correspondence. 5.2 Departmental Access Access to Wurster Hall after normal business hours is by cardkey only. Access to the computer labs and CAD/CAM lab in Wurster Hall is by cardkey at all times. Cardkey access is added to your Cal photo ID card (Cal1 card) and may be obtained from the Cardkey office 477 Wurster Hall. If you obtain cardkey access only no computer account will be established. All fees must be paid by Cal1 card. (See fig. 3 for fees)

The cardkey office staff will set up your computer account and transmit your access information to the UC Police department for activation of your Card. Activation of computer accounts takes minutes. Cardkey activation can take from 3 to 5 days. If your Cardkey fails to work in 5-7 days please report the matter to the cardkey office or to http://ced.berkeley.edu/computing/arch/help whether you are an architecture student or not since all Wurster access cardkey accounts are managed in the Architecture Department. We will need to have your name, SID and the number off the Cardkey. We have no way of knowing if your Card is working or not without you telling us.

6. Email Every UC Berkeley student is entitled to get a free email account. To set up an account, go to the Calmail web site at calmail.berkeley.edu. You will be asked to enter your desired username and password. It may take up to 24 hours for the account to activate. The standard method to access your email account and the only supported method in the CED computer labs is through a web browser (Netscape Navigator or Internet Explorer). The Campus supports POP3 mail clients on their mail servers, so students may install a mail program like Outlook or Mozilla Thunderbird on their personal workstations for email access, however, the college and departmental staff do not support these programs for email access. If you have a laptop equipped with a wireless Ethernet card, you can access your email through AirBears at places on campus where wireless LAN technology is deployed (airbears.Berkeley.edu). The Wurster wireless network is part of AirBears, and any problems with the AirBears network should be reported to AirBears support personnel.

(Other units in the college have web sites as well, see the CED website for details) The college provides standards and coordination between all college web sites. Additionally the college web site can make service available for special events in the college and for student organizations, which cross departmental boundaries. Group/Club Sites The web master and lab managers can provide only limited support to sites developed by student groups and clubs. We will provide limited web space and access to our servers for student clubs with the same restrictions as noted in the campus rules for individual and club sites. The departments and Dean’s office regulate these sites. Please see campus rules and policies noted in the last section of this document regarding these guidelines. To qualify for limited web space and access to our servers, you need to be an official student group within our college. Please see your department chair for authorization. After being an official student group, please contact the web master or lab manger for technical information. Course Sites The web team can provide support to sites developed by faculty and students for courses. The campus standard course website is BSpace (https://bspace.berkeley.edu/), which can be linked directly from the online Schedule and Catalog. We can provide web space and access to our servers for CED courses, with the same restrictions as noted in the campus rules for campus web sites. Please see campus rules regarding this. To qualify for web space and access to our servers,

the course needs to be an official course within CED. After being an official course, a single person must be designated as the course “web master” to work with the departmental or college staff to create and maintain your site. Each department has different rules regarding the archiving and availability of web sites after the semester has ended, so be sure to coordinate these activities with the staff. In addition to CED support for web sites, the campus and outside vendors provide other ways to publish course sites, often at no cost:

Individual Sites The departmental staff does not provide support for individual pages. However some departments do provide limited web space, with the same restrictions as noted in the campus rules for individual and club sites. Architecture Department: After setting up your personal account with the lab, each student, faculty, and staff will receive a “G:” drive on the network. Inside your “G:” drive, create a folder called “public.www”. That’s it! You are ready to go. Create your personal web page in this folder with the name index.html and it will be “live” to the World Wide Web under the following URL:

8. Printing Printers are available through out each building, which the departments occupy. Printing resources include black & white and color laser printers as well as large format plotters. These resources are available in each of the studios as well as the computer labs operated by the different departments. You should check with your own department lab manager for details as to availability in your own area.

The ability to print is linked to the status of your computer account and account balance. You must have a current CED computer account, to be able print documents on college provided printers. Each paid account allows an initial amount of printing to be done without additional charges. Printing beyond that allotment requires the payment of additional fees. All printing is software audited and charged to your account according to the type of printer used, amount, and size of paper. Figure 4 outlines the initial value of printing available to each student and the costs for subsequent printing.

Printers should not be used as copy machines for large quantities of printing. Only college provided paper should be used in printers. Plastic films, “sticky back”, label sheets and other non-standard printing materials are not to be used in CED printers. Doing so can cause damage requiring costly repairs. 10. Network Topology The CED network has two main branches: a 100 Mb/sec terrestrial network comprised of fiber optic cable for the backbone, and a CAT5+ cable for the station wiring. The terrestrial network serves as the primary network within the college and serves as the foundation for the CED wireless network. The network in Wurster Hall was designed to provide the best possible performance. When you are in a CED space outside of Wurster hall, network service is being provided to you by central campus and is usually a terrestrial connection rated at 10mb/sec. The terrestrial network provides service to the labs, faculty, staff and administration of the college. Students have access to the 100mb network only when they connect via a physical network jack at a lab machine, at a department provided workstation in the studio or if they are a part of a student organization or group. Personal machines connect to the network via wireless access points. In this way the wire will not limit you from using your computer wherever you wish. The wireless access can tie directly into the buildings wired network, if the user has a network account, which is tied into central campus and the rest of the world. 10.1 Services provided through the CED network The same services are available to you anywhere you go on the CED network. These services include: File Services

Access to a personal network file storage location that allows you to move from one machine to another on the network and still have access to your files. This portion of the network uses the Novell fileserver and network directory mappings. When you log into the Novell system you will see a number of new lettered drives appear on your desktop. These include:

Network Class folders • J: is typical of a class folder which contains additional storage space to those classes which require it. Inside will be a folder with the students name. They will only be able to see their own folder. K: is sometimes used as a share folder for the class. While L: is used as a drop box for project submissions. Items saved to the folder are not retrievable. Nor can anyone view the contents of the folder except the class instructor.

F: Network Applications • Contains some applications that might be useful such as QuickTime. Find them in the Program Files folder in this drive.

Print Services The Novell system also connects you to selected printers and plotters in your department. You can select the print location for your job and the network will monitor your use of printers and debit your account accordingly (see the printing section of this document). Web Services The departments also provide web services to their faculty, students and staff. Each department manages web services differently. See your department’s lab manager for more information. Applications Application services are provided by each department within their labs. The architecture department also provides applications through AirBears on student workstations. See section 2 of this document for information on which applications your department provides. 10.2 Troubleshooting Network Issues When experiencing problems with the network it is best to ask the person next to you if they are having a similar problem. This is usually the easiest way to see if your machine or the network is to blame. If you are having problems calling up one website but not another, you know that the network is working and that site is not. Knowing where the problem is, or you think it is, helps when reporting a problem. If you say you can’t print to a certain printer but printing to a different one works, we can isolate the problem and get it working quicker. If the problem only happens sometimes, you should document when and how it happens.

File, print, web and news services are provided separately by each department. You cannot log onto the wireless network until you have a CED computing account with one of the departments. Once you have your account and know your context (e.g. students.ARCH.ced) you can log into the network. In order to do this you will need to have the Novell client installed on your computer. A basic one is provided with the operating system. A more robust version is provided by the various departments or from the Novell website (http://www.novell.com). When logging into a lab machine, notice the location pull down menu. This must be selected correctly or you will not be able to login. Now when you use your name and password (correctly,) a dialogue box will appear and tell you it is adding network mapped drives to your computer. Knowing who is responsible for each part of the network can help you direct your questions to those who can help you. The campus network is broken down into units called domains. ced.berkeley.edu is a sub domain under berkeley.edu, which in turn is a sub domain under edu. When trying to determine whom to contact with your problem, the first thing to look at is the name. Problems with admissions at mit.edu would not be directed to yale.edu, so if you have a problem with calmail.berkeley.edu your questions should be directed to the campus support team listed in the service section of this document. If your problem is with the www.ced.berkeley.edu web-page, then direct your service questions to the college web master or your departmental lab manager

11. Use Policy Students, faculty and staff of the College of Environmental Design are governed by the Computer Use Policies of the University, Campus and Departments. The Computer Use Policies of the University and Campus are detailed at the following web sites: Campus Policies cio.berkeley.edu/policies.html University Policies www.ucop.edu/ucophome/coordrev/ucpolicies/policyindex.html In addition the college and its departments have some refinements to these policies intended to insure a clean, efficient and productive working environment, these policies are: 11.1 College Computer Use Policies • CED Computing accounts are required for network access in any location in which the departments

operate. Unauthorized use of the CED network and resources shall be terminated and referred to the originating unit for disciplinary action.

• Students are responsible for archiving and backing up their own work. No commitment is made by any

CED department or unit regarding the accessibility of previously archived work. • Respectful use of resources is required of all users. This applies to all labs, equipment and to

potentially objectionable material accessed on the network, web sites or in personal files.

11.2 Computer Lab Policies

1. You must have a current computer account and cardkey to use these labs: Computer accounts, passwords, and cardkeys are non-transferable, they may not be lent or borrowed. Accounts found being loaned will be disabled. All computer lab facilities are provided for UC instruction related work only. Doors are not to be propped open, do not open them to anyone not having cardkey access.

2. Any act intended to interfere with the normal operation of the CED network or

computers, or that results in damage to them may result in the termination of your computer account. Do not purposely attempt to undermine the security of the CED network. Do not delete, alter, copy or view files that are not your own without permission of the owner. You may not use email or other Internet resource to harass others, send chain mail, violate existing laws, or violate the University’s code of conduct.

3. Please keep the Lab areas tidy and act in a considerate fashion: No food or drink in the

labs at any time. Bicycles are not to be parked in the labs or hallway areas. Clean up your workstation area when you leave; personal items left in the lab will be discarded. Please talk quietly in the labs; do not interfere with the work of other students. Be considerate of cell phone use. Lab phones are for emergency or campus calls only. Please remember to log off when you leave the lab. (Ctrl+Alt+Del)

4. 3. Do not “mess” with our equipment or software: Do not attempt to add, alter, deface,

disconnect, re-cable, attach, borrow, and/or remove any of the hardware components of CED lab equipment. Do not delete or in any way alter or add to system files or folders on CED computers. This includes trying to install software on lab computers or network disk drives without permission. If found they will be deleted without warning. Do not store any files on the local hard disks of lab computers, they may be deleted without warning. Do not attempt to copy lab software.

5. 4. Do not mistreat Lab printers, plotters or scanners: You may not use the lab printers

as copy machines to make multiple copies of documents. Do not place anything other than lab provided paper in the printers at any time. Attempting to print on plastic, vellum, “clear print”, “sticky back” or any other product not approved by the Lab staff is forbidden. Any repair costs to printers through user negligence will be recharged to that user.

6. Protect your own stuff: Back up your files to removable media, CD-R, CD-RW, DVD or

to your class folders that your instructors should have set up for your use. We are not responsible for deleted files. While in the labs watch your personal belongings.

7. Classes have priority for workstation use. When necessary, a waiting list for

workstations will be started and session time limits set.

8. Log off when done. Do not lock lab workstations- you will be logged off by the lab manager and any unsaved data will be lost. Also, there is a 15-minute limit for unattended workstations. After 15 minutes of absence, you may be logged off.

9. Keep the lab door closed (do not prop it open). If you have lost your card key, you may

obtain another at the Cal 1 office (Lower Sproul Plaza), be sure to bring it to room 477 for activation.

10. Promptly report all hardware problems to the lab manager.

11. Password changes will be forced if any unusual activity is observed on an account.

12. The standard G: drive quotas range from 100 to 500MB. More disk space can be allocated

if requested (within reason) but on a temporary basis (semester) please see your departmental lab manager for details.

13. Students who do not follow the computing facility policy will have their accounts

disabled and will be banned from using the facility.
