7.0 Business Arising from the minutes

7.1 Web site development - Bob Spurgeon

7.2 Membership renewal Options -

Bob Spurgeon have been in contact with Gordon MacDonald. To date the website has not changed or been updated with much new activity. It has been noted on other forums that the site is not active with inquiries as to whether the CDC still exists. There continues to be a need to have the website active and items changing on it consistency so that people keep going back to the site. Changes to the website only occurs when Gordie gets information usually through Bob to change something.

Members spoke about having to have a website that is current and mobile friendly. It need to link to other pages such as Facebook, Twitter, Instagram to get the next generation involved and engaged.

The updated website will include payment options as well as revised membership form.

Motion to form a group of three (3) volunteers to look at this issue and format a plan as how to deal with the website and to get back to the Directors by February 2018 or before moved by Ruth MacDonell.Seconded by Joan Lemieux.Motion Carried.

The electronic payment option is being used by Southern Ontario

Bob Spurgeon, Gordie MacDonald ( current webmaster) , Simon MacDonald, Nathan MacDonald and Alexander Mallwraite to engage in developing a plan to update the website and submit to the Directors prior to February 2018.

branch but it requires an email address and a credit card that is assigned to the account. At this time we do not have a credit card attached to the CDC group to enable this to occur.

The electronic registration form is currently being used by the Southern Ontario branch with success. Alexander is currently hosting the website on his own server so the website team will need to communicate with him to bring it onto the website. New form was developed at a cost of $200.00 to Nathan. Everyone agreed that the pamphlet was beautiful and representative of the CDC group. It will be used for distribution at all CD activities and a number were distributed to the group and were used at events over the summer and were well received. Nathan had 100 printed and JR MacDonell had 500 printed for distribution.

Motioned by Joan Lemieux that Nathan be reimbursed the $200.00 for the design of the pamphlet . Seconded by Sheila MacDonald Motion Carried.

Motioned by Bob Spurgeon that Nathan and JR be reimbursed for the printing of the pamphlets.Seconded by Wade MacDonald.Motion carried.

Bob Spurgeon ( Treasurer) to reimburse Nathan and JR for expenses once receipts are forwarded to him.

10.0 New Business 10.1 Newsletter - Priscilla Sharkey Priscilla spoke about the newsletter and the difficulties that have been

experienced with getting a newsletter together and out. Concerns centered around getting content for the newsletter, the cost and formatting without having a publishing program. there appears to be difficulty getting the content on time to publish a newsletter in the time allotted as information is not being forwarded in a timely manner and the person volunteering to put the newsletter together almost has to beg . The average cost to publish the colored newsletter is approximately $1500.00 per print with approximately $300.00 for postage.

Discussion ensued around how many newsletters per year; selling print ads to offset the costs; mailing lists; content; etc.

It was decided that there would be one colored newsletter designed

Members to send content to Simon MacDonald by October 15, 2017. Articles etc will be sent in a Word formatPhotos send in jpeg with a print / high resolution quality.

Content will need to go to the Director group prior to printing.

Wade MacDonald and Joan Lemieux will sent mailing lists to him.

and posted prior to November 15, 2017 and potentially a second newsletter or mailing with 2018 AGM content in the spring.

Simon MacDonald volunteered to make an attempt at publishing the newsletter and possibly to get some ads to offset the printing costs. Content must be submitted to Simon by mid October 2017. Nathan volunteered to assist as he has the format.

Nathan MacDonald stated that Southern Ontario was prepared to host the 2018 AGM. The members from Nova Scotia expressed concerns with having the AGM in Ontario two years in a row and with declining membership it would be good for NS to host it again. It was decided that the 2018 AGM will be hosted by Clan Donald Nova Scotia October 12 & 13, 2018 at Best Western Glengarry, Truro, NS and the 2019 AGM will be hosted by the Clan Donald Southern Ontario in St. Thomas with dates to be determined.

Glenda Spoke about the need to document the history of CDC as members are getting older and the story may be lost. CDC started about 1992 with Brundage and John H . Joan remembers that Marian Tobin has begun this work and thinks that it may be documented in the minute books from then. Priscilla stated that she has the minutes but she does not know if what she has goes back that far.

Barry spoke about the concerns that the CDNS had regarding their poor financial situation and with few new members joining in order to bring in revenue. He suggested that for the most part that the AGM is a fund raising event that he wanted the membership to consider the possibility of splitting the profit from the AGM with the hosting branch. 50% going to the branch that hosts the AGM and 50% to CDC. Discussion ensued as to how a deficit or loss from the AGM would be handled. It was decided that the loss would be assumed by the CDC. A caution was expressed by one member concerning the financial situation of CDC where the financial statement identified a deficit for the 2017 year and that this issue may have to be revisited in the future.

AGM 2018 hosted by Clan Donald Nova Scotia October 12 & 13, 2018 at Best Western Glengarry, Truro, NS AGM 2019 will be hosted by the Clan Donald Southern Ontario in St. Thomas with dates to be determined.

Priscilla Sharkey will review the minute books that she has to establish if there is any content or documentation there that Marian may have written.

Motioned by Barry MacDonald that beginning with the 2017 AGM, that the profits of the AGM be split equally among the host branch and CDC.Seconded by Joan Lemieux. Motion Carried.

Gail Gordon spoke about Maggie MacDonnell who recently won the $1 Million Global Teacher Prize. Gail suggested that CDC should send her a letter of acknowledgement of her accomplishment.

Simon spoke about the research he has done since becoming interested in CDC. He has identified three areas that should be the focus of CDC:1) Membership, 2) Fundraising and 3) Outreach.

Motioned by Simon MacDonald that CDC should establish a call to action committee to discuss these issues and develop a action plan.Seconded by Barry MacDonald.Motion carried.

Call to action Volunteers include Simon MacDonald; Joan Lemieux; Nathan MacDonald & Wade MacDonald and other who wish to join in the future.

Beginning 2017, the hosting branch of the AGM and CDC will equally split the profits from the AGM.

Annapolis Valley

Since September 2016, our branch has met 6 times. We decided against a March meeting this year. We celebrated St Andrews Day and Tartan Day, many invite guests. This year at Tartan day we heard an interesting story and got to see a small piece of Fraser of Boblany. Our Kirkin this year, we honoured this tartan. A new decision was to attend the Robbie Burns night hosted by the Scottish Country dancers in our area instead of holding our own. We welcome our new Commissioner, John Mac Donald, the newest member of the Valley group. He is also a Councillor of the Municipality of County of Annapolis; a busy man with lots of energy and some new ideas.

Due to extenuating circumstances in the lives of our most active volunteers, Clan Donald Southern Ontario was unable to participate in as many activities as we have in recent years. In November we laid wreaths at cenotaphs in Ajax and Cambridge on behalf of Clan Donald.

We hosted clan tents at three Scottish Festivals this summer: The Georgetown Highland Games, The Cambridge Scottish Festival and The Fergus Scottish Festival

9 new members were signed up at Fergus and we had our biggest turnout yet for the parade of the Clans.

Clan Donald Southern Ontario Commissioner Nathan MacDonald was honoured to serve as the Clan Chieftain for the Cambridge Scottish Festival. His duties included, speaking at a media day in advance of the games as well as delivering opening remarks at the games, declaring the games officially open, handing out trophies to the pipe band competitors and officially closing the games.

Renewals were rather strong this summer but more work needs to be done to reach out to individuals with lapsed memberships, especially those who reside in communities such as Cobourg, Kincardine and Uxbridge as we did not return to games there this summer.

Efforts are underway to construct a memorial cairn to the Massacre of Glencoe in Glencoe, Ontario but as yet, there has not been a strong local buy in.
