Saves Up to 20 Hours Weekly as Paper-Free Business

To achieve this goal, Centric Digital required a tool that not only allowed them to send and receive documents digitally, but that also provided a legally binding electronic signature so signatories could complete and return paperwork without having to print and scan. Additionally, the tool needed to allow for documents to be archived and accessible in the cloud and, because the transactions often involved sensitive contracts, bank statements, and invoices, top-line security was necessary so that from the time Centric Digital sent a document to the time the document returned into cloud storage, information remained private, secure and completely tamper-proof.

The ResolutionCentric Digital began investigating solutions that would help their offices become paper-free. After examining several options, Centric Digital selected DocuSign’s Digital Transaction Management (DTM) platform and its integration with Box as the ideal toolset for digitizing their contract processes. DocuSign stood out among competitors because it offered a 100% cloud-based solution, an intuitive user experience, and critical capabilities in its mobile app – all supported by bank-grade security and enterprise grade reliability. Additionally, DocuSign’s partner integration with Box automated the storage and archiving of completed versions of documents so that paperwork was never lost and remained accessible and easy to find for all parties involved in the transaction. Centric Digital rolled out DocuSign for Box toward the end of 2012 and reports significant results.

One of the key benefits Centric Digital has experienced since the DocuSign roll-out has been significant time and cost savings. Every week, Centric Digital prepares and sends up to 20 documents that range from legal contracts and paperwork to bank statements and vendor invoices. With the old, manual process, having to prepare, print, fax, scan, and overnight these documents ate up significant time for employees every week. By eliminating paper and allowing users instead to draw up, send, and sign documents digitally, DocuSign has helped Centric Digital employees save as much as 60 minutes per contract, which spells a weekly time savings of up to 20 hours per employee.

Brian Manning, president and chief digital officer at Centric Digital, explains that this in turn translates into significant dollar savings for the company: “Estimate the cost for us of managing documents from preparation to tracking to obtaining signatures can average $50 per hour. By lopping off up to 20 hours every week from the document management process, DocuSign enables us to save an estimated $50,000 per year.”

Centric Digital has also been able to eliminate spending on supplies for printers and fax machines, as well as courier services for sending out hardcopies. These savings add up to around $50,000 annually. Additionally, the need to archive and keep track of completed paperwork would necessitate an additional full-time contract administrator role at Centric Digital. DocuSign’s ability to automate manual processes has allowed Centric Digital to eliminate this role and save an additional $100,000 every year. “In all, DocuSign has allowed us to achieve a significant annual savings — more than $200,000 per year,” says Manning.
