Keeping costs low today and anticipating future needs

BTS set Carillion the dual challenges to use legacy infrastructure to keep costs as low as possible, and to future-proof the installations for ten years.

Sucha Ballay describes the project drivers’: “We wanted to install swappable components to achieve a smooth upgrade path and we wanted to achieve it at the best total cost of ownership over many years. We essentially asked Carillion to look at the future of our business to ensure that we are efficient and effective. What we did not want to do was to re-invent the wheel.”

Comparison with previous systems

When asked what the difference is now compared with the previous BTS office, Sucha Ballay replies, “The difference is massive. The video conferencing is properly integrated, everything! No wires, very simple to use, everything swappable, wireless presenting, Clickshare compared with clunky HDMI.”

Sucha Ballay also explains how flexible the new systems are and how connected people have become. People can present on systems using any technology including mobile phones and tablets. Booking rooms is simple, on-the-spot via an iPort outside the meeting rooms or via Microsoft 365.

He also comments that everything is now so remarkably tidy: no cable cubbies; speakers properly integrated and housed in the ceiling.

Many rooms, many uses: positive user feedback

The rooms are used a lot, for many different types of activity.

Brainstorming on client material is an important company activity that is made more immersive in the new rooms. Video conferencing is used extensively with clients and with other BTS offices.

Skills transfer and mentoring is another important aspect of BTS’s work, so the rooms are used frequently for train-the-trainer sessions.

When asked what users think of the new facility, Sucha Bally says: “Really good; they love it! Previously there were just too many challenges, to set up, to present, to deploy the systems. All these challenges have been overcome. People can just book a room and ‘get on with it.’ Minimum IT response time is needed. Management can see that the changes have just been phenomenal.”

What is it like to work with Carillion?

Sucha Ballay says that one of things they really wanted from Carillion was advice. “There is a lot of technology out there: iPort, digital presenting, even TV screens. We wanted Carillion to help us to find the right tools. And they did.

“Rather incredibly, the systems have been running for months now and we haven’t had to make a single support call to Carillion.

“The changes are clear. Everyone’s spirits have been uplifted. And we can track usage online. We can see what is being used and what it is being used for, and productivity is definitely up. We are making the most of our space and saving a lot of time.”

Sucha Ballay speculates that nine meeting rooms and four phone ‘booths’ might be considered a lot for 50 people in the office, but says they are always being used.

As a veteran of 13 years in IT, Sucha says technology has really come of age, and “as an agile, collaborative company we are very pleased with the investments we have made based on Carillion’s advice.”

Right first time and ‘bubbliness’

Sucha Ballay says he worked closely with Martin Higham, his key Account Manager at Carillion, but got to know many others as well, designers, engineers and project managers.

“They definitely have a consistent approach, and these guys know what they’re doing. Their advice is important: we can do our Google research, but we can’t know everything. They are specialists. They guided us to the best technology.

“There’s definitely a strong relationship. And there’s definitely a culture fit. For example, they knew the hours we work as a business and they always planned the works to accommodate us.

Carillion’s approach is the same as BTS’s approach.

“There was nothing wrong with the other AV companies that were in the RFP, but Carillion came across as more passionate, and showed more flair.

“Martin is bubbly and wanted to help us. He wanted to get things right first time round.

“We hire people not only for their talent and skill but for their “fit” at BTS.

“They’re a great bunch at Carillion. They all knew what they were doing; which made my job easier as I could just step aside and let them get on.”
