Dear Parents
Please find enclosed the full school examination timetable for the academic year 2012-13. The school has no
choice over the timing of these examinations and I urge you to retain this booklet as a reminder of the dates
relevant to your son/daughter. This booklet provides an overview of ALL the examinations taking place in
school this academic year – pupils must refer to the individual candidate timetables issued to them before each
exam season, to ascertain which modular exams they are entered for.
Clearly it is essential that all pupils are in attendance for all of their examinations. Absentees due to illness will
be required to provide a medical note. Any other unauthorised absences may result in the school’s exam entry
costs being passed on to parents.
Also included in this booklet are copies of the “Notice to Candidates”, “Warning to Candidates” and “No
Mobile Phones” posters for 2012-13. These posters are displayed inside and outside the exam hall, and detail
the rules and regulations set out by the Joint Council for Qualifications regarding the conduct of GCSE
examinations.
It is very important that all pupils taking part in GCSE examinations this year understand what is expected of
them with regards to their conduct both inside and outside the examination hall. All cases of misconduct have
to be reported to the awarding body immediately. Misconduct can include talking to, or deliberately disturbing
other candidates, or being in possession of unauthorised items such as mobile phones. The full details can be
found in Section A of the Information to Candidates document. In serious cases, misconduct can result in a
candidate not only being disqualified from the current examination, but also from any future examinations.
I would therefore ask you to read through these notices with your son/daughter and ensure he/she fully
understands the regulations.
May I also remind you that all pupils have a responsibility to ensure they come to their exams properly
equipped. We have a limited amount of spare exam equipment which is loaned at the discretion of the exam
invigilation team. Unfortunately we cannot provide for everyone, and priority would always be given to pupils
whose own equipment fails on the day of the exam.
Please return the yellow Parent/Pupil Examination Rules and Regulations Agreement Form (insert at the back
of this booklet), to confirm you have received it and that your son/daughter is aware of his/her responsibilities.

TO ALL PUPILS – IMPORTANT INFORMATION
Before the start of the exams…
• You will receive a Statement of Entry and/or an Individual Candidate Timetable
• You MUST check the details carefully and inform me if you think there are any errors:
o Is your name spelled correctly? Is your date of birth correct?
o Does the “Name on Certificates” reflect what you actually want to appear on your certificates?
o Have you been entered for the correct exams? Have you been entered for the correct tier –
foundation or higher?
Whilst we make every effort to ensure that everyone is entered for the correct exams, mistakes can happen. It is
your responsibility to check your entries and inform me of any errors as soon as possible. Exam entries cost the
school money and we have to meet deadlines in order to avoid extra charges for late entries. You will be given
the deadline date for amendments when you receive your timetables. Failure to inform me of any changes
before that date will result in your parents being asked to pay the extra fees. If you are unsure of anything at
all, speak to your teachers or come and see me in the exams office.
Please make sure you come to your exams properly equipped – you will be expected to write in BLACK pen,
so make sure you have plenty of these. In some subjects you may need other stationery, pencils, ruler,
colouring pencils etc. Your teacher will make you aware of this well in advance.
Calculators: You must provide your own calculator, we can’t provide calculators for everyone. If you
have a Maths or Science exam you will need a calculator, so please bring it!
Exams Noticeboard
The noticeboard outside the exams office will be updated regularly – please keep an eye on it, especially when
we approach the Summer exams.
Timetable clashes
Some of you may find you have been entered for exams that are scheduled to take place at the same time on the
same day. Where the two exams are in the same subject (eg. Spanish Reading & Spanish Writing) you will just
take the two papers consecutively. If the two exams are in different subjects, we can make arrangements for
you to have a slight timetable variation. This is not a problem at all, but you would have to be supervised in the
break between the two exams to ensure you didn’t communicate with any other candidates who had already
done the exam at the published start time.
Exam start times - It is absolutely essential that you arrive on time for your exams!!!!
The exam boards could refuse to accept your work if you arrive late.
The start time is the time we tell you to start writing, not the time we expect you to be sitting down at your
desks! Late-comers not only disturb the concentration of other candidates, but often come badly prepared,
badly equipped and stressed, which is bound to affect their performance.
Morning exams start at 9:00am – you should be in school by 8:45am at the latest and ready to come into the
exam hall BEFORE 9am.
Afternoon exams start at 1:30pm – this only applies during the Summer exam season – particularly important
when you may be on study leave.
If you have an 2 hour afternoon exam, you will start at 1:00pm – this gives you chance to catch buses etc
at the end of the school day.
Absences – If you are genuinely unable to attend any of your exams, please phone school before 9am on the
morning of the exam to let us know.
If you are ill but still able to sit your exams, please let one of the exam team know. In extreme cases we can
apply for special consideration, but this would also require medical evidence.
Everyday coughs and colds are not acceptable reasons for absence!
EXAMINATION ENTRY FEES AND OTHER CHARGES
The cost of initial examination entries is borne by the school, the only exception to this being if a pupil is
studying a subject outside school and wishes to be entered for the examination in that subject through school.
In this instance, the pupil/parents would be asked to pay the entry fee.
GCSE subjects are now widely assessed through modular examinations. Previously, syllabus structures meant
that pupils would sit their final examinations at the end of Year 11. The assessment and examination process
now continues throughout Years 10 and 11. Many of you will already be familiar with the idea of modular
exams through Science and Maths.
Re-sitting modules has become more widespread. At Cardinal Allen our need is to determine which pupils are
deserving of re-sit opportunities. This decision will be made in consultation with the Governing Body,
Headteacher, Curriculum Leaders, Subject Staff and Examinations Officer. The decision will be based on the
pupil’s work ethic, target grade, performance in recent assessments, personal circumstances etc.
Realistically, the school’s examination budget cannot stretch to fund re-sits for every pupil who
underachieves in a modular examination. We feel that it is fair to ask parents to make a contribution
towards the cost of re-sits for their child, if the re-sit request is accepted. There may be individual student
exceptions in the case of demonstrable financial hardship.
The Department for Education informs us that parents can be charged for the cost of an examination entry if a
pupil fails, without good reason, to meet any examination requirement of a syllabus. An example of this would
be a failure to complete coursework that is a requirement for the assessment of that exam. This is particularly
relevant to Btec subjects which are coursework based and have no examined units. If a pupil registered on a
Btec course fails to meet the criteria to pass any unit of the specification by the deadline for submission of
marks, meaning the award for which the pupils was originally registered cannot be achieved, parents will be
asked to pay the original entry fee. If the pupil is able to certify for a lesser award, parents will be asked to pay
the difference in cost of registration for the two awards.
Other charges – Enquiries About Results
It is often the case that pupils do not achieve their target grade in examinations. If parents, pupils or teachers
feel that an enquiry into a pupil’s mark or grade may result in the grade or mark being increased, a results
enquiry can be submitted. These services can include a review of marking, clerical re-check, or access to the
original examination scripts.
An enquiry can only be made if all three parties agree and consent forms must be signed. If a parent or pupil is
requesting the enquiry, any resulting charges will be passed on to parents. If a member of staff requests an
appeal, their department will usually fund any costs. If an enquiry results in the overall grade being increased,
there is no charge.
Under Performance in Examinations
If a pupil’s performance in an examination could have been affected by factors such as illness at the time of the
exam, recent bereavement, family illness, circumstances at home or for any other reason, it is essential that
Miss McGovern is informed of this, preferably by the pupil’s parent/guardian at the time of the examination.
In some cases we may be able to apply for Special Consideration. If a pupil is ill, a medical note will be
required to support the claim.

Information for candidates For written examinations – effective from 1 September 2012
This document has been written to help you. Read it carefully and follow the instructions.
If there is anything you do not understand, especially which calculator you may use, ask your teacher. A Regulations – Make sure you understand the rules 1 Be on time for all your exams. If you are late, your work might not be accepted. 2 Do not become involved in any unfair or dishonest practice during the exam. 3 If you try to cheat, or break the rules in any way, you could be disqualified from all your subjects. 4 You must not take into the exam room:
• notes; • a calculator case/instruction leaflet; • a reading pen;
• a mobile phone, iPod, MP3/4 player, a wrist watch which has a data storage device or any other product with text/digital facilities.
Any pencil cases taken into the exam room must be see-through.
Remember: possession of unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification.
5 Do not use correcting pens, fluid or tape, erasable pens, highlighters or gel pens in your answers. 6 Do not talk to or try to communicate with, or disturb other candidates once the exam has started. 7 If you leave the exam room unaccompanied by an invigilator before the exam has finished, you will not be allowed to return. 8 Do not borrow anything from another candidate during the exam. B Information – Make sure you attend your exams and bring what you need 1 Know the dates and times of all your exams. 2 Arrive at least ten minutes before the start of each exam. 3 If you arrive late for an exam, report to the invigilator running the exam. 4 If you arrive more than one hour after the published starting time for the exam, you may not be allowed to take it. 5 Only take into the exam room the pens, pencils, erasers and any other equipment which you need for the exam. 6 You must write in black ink. Coloured pencils or inks may be used only for diagrams, maps, charts, etc. unless the instructions
printed on the front of the question paper state otherwise. C Calculators, Dictionaries and Computer Spell-checkers 1 You may use a calculator unless you are told otherwise. 2 If you use a calculator
• make sure it works properly; check that the batteries are working properly; • clear anything stored in it; • remove any parts such as cases, lids or covers which have printed instructions or formulas; • do not bring into the exam room any operating instructions or prepared programs.
3 Do not use a dictionary or computer spell checker unless you are told otherwise. D Instructions during the exam 1 Listen to the invigilator and follow their instructions at all times. 2 Tell the invigilator at once:
• if you think you have not been given the right question paper or all of the materials listed on the front of the paper;
• if the question paper is incomplete or badly printed. 3 Read carefully and follow the instructions printed on the question paper and/or on the answer booklet. 4 Fill in all the details required on the front of the question paper and/or the answer booklet before you start the exam.
Make sure you fill these details in on any additional answer sheets that you use. 5 Remember to write your answers within the designated sections of the answer booklet. 6 Do your rough work on the proper exam stationery. Cross it through and hand it in with your answers.
Make sure you add your candidate details to any additional answer sheets that you use. E Advice and assistance 1 If on the day of the exam you feel that your work may be affected by ill health or any other reason, tell the invigilator. 2 Put up your hand during the exam if:
• you have a problem and are in doubt about what you should do; • you do not feel well; • you need more paper.
3 You must not ask for, and will not be given, any explanation of the questions. F At the end of the exam 1 If you have used more than one answer booklet and/or any loose sheets of paper, place them in the correct order. Remember
to fasten them together with a treasury tag before you leave. Make sure you add your candidate details to any additional answer sheets that you use.
2 Do not leave the exam room until told to do so by the invigilator. 3 Do not take from the exam room any stationery, this includes the question paper, answer booklets used or unused, rough
work or any other materials provided for the exam.

Information for candidates - controlled assessments This document tells you about some things that you must and must not do when you are completing your work. Before you submit any work for marking, you will be asked to sign an authentication statement confirming that you have read and followed these regulations.
If there is anything that you do not understand, you must ask your teacher or lecturer.
Controlled Assessment will provide you with an opportunity to do some independent research into a topic. The research you do may involve looking for information in published sources such as textbooks, encyclopedias, journals, TV, radio, and on the internet.
Using information from published sources (including the internet) as the basis for your assignment is a good way to demonstrate your knowledge and understanding of a subject, but you must take care how
you use this material - you cannot copy it and claim it as your own work.
The regulations state that:
“the work which you submit for assessment must be your own”,
“you must not copy from someone else or allow another candidate to copy from you”.
If you use the same wording as a published source, you must place quotation marks around the passage and state where it came from. This is called “referencing”. You must make sure that you give detailed references for everything in your work which is not in your own words. A reference from a
printed book or journal should show the name of the author, the year of publication and the page
number, for example: (Morrison, 2000, pg.29).
For material taken from the internet, your reference should show the date when the material was
downloaded and must show the precise web page, not the search engine used to locate it. This can be copied from the address line. For example:

You may be required to include a bibliography at the end of your work. Your teacher or lecturer will tell you whether a bibliography is necessary. Where required, your bibliography must list the full details of publications you have used in your research, even where these are not directly referred to, for
example: Morrison, A. (2000) ‘Mary, Queen of Scots’, London: Weston Press.
If you copy the words or ideas of others and don’t show your sources in references and a bibliography, this will be considered as cheating.

Preparing your work – good practice If you receive help and guidance from someone other than your teacher, you must tell your teacher who will then record the nature of the assistance given to you. If you worked as part of a group on an assignment, for example, undertaking field research, you must
each write up your own account of the assignment. Even if the data you have is the same, the description of how that data was obtained and the conclusions you draw from it should be in your own
words. You must meet the deadlines that your teacher gives you. Remember - your teachers are there to guide you. Although they cannot give you direct assistance, they can help you to sort out any problems before it is too late. Take care of your work and keep it safe. Don’t leave it lying around where your classmates can find it. You must always keep your work secure and confidential whilst you are preparing it; do not share it
with your classmates. If it is stored on the computer network, keep your password secure. Collect all copies from the printer and destroy those you don’t need. Don’t be tempted to use essays from online essay banks — this is cheating. Electronic tools used by
awarding bodies can detect this sort of copying.
Plagiarism Plagiarism involves taking someone else’s words, thoughts or ideas and trying to pass them off as your own. It is a form of cheating which is taken very seriously. Don’t think you won’t be caught; there are many ways to detect plagiarism.
� Markers can spot changes in the style of writing and use of language.
� Markers are highly experienced subject specialists who are very familiar with work on the topic
concerned — they may have read the source you are using (or even marked the essay you have copied from!).
� Internet search engines and specialised computer software can be used to match phrases or pieces
of text with original sources and to detect changes in the grammar and style of writing or
punctuation.
Penalties for breaking the regulations If your work is submitted and it is discovered that you have broken the regulations, one of the
following penalties will be applied:
� the piece of work will be awarded zero marks;
� you will be disqualified from that unit for the examination series in question;
� you will be disqualified from the whole subject for that examination series;
� you will be disqualified from all subjects and barred from entering again for a period of time.
Your awarding body will decide which penalty is appropriate.

Warning to Candidates
1. You must be on time for all your examinations.
2. You must not become involved in any unfair or dishonest practice in any part of the examination.
3. You must not:
• sit an examination in the name of another candidate;
• have in your possession any unauthorised material or equipment which might give you an unfair advantage.
4. Possession of a mobile phone or other unauthorised material is breaking the rules, even if you do not intend to use it, and you will be subject to penalty and possible disqualification.
5. You must not talk to, attempt to communicate with or disturb other candidates once you have entered the examination room.
6. You must follow the instructions of the invigilator.
7. If you are in any doubt speak to the invigilator. The W arni ng t o Cand ida tes must be displayed in a prominent place outside each examination room.
This may be a hard copy A3 paper version or an image of the poster projected onto a wall or screen for all candidates to see.
