number of days. If the booking does not meet the requirements, the system responds with an error.

• Guarantee field - Certain rates may require a

deposit/guarantee or full prepayment. If a sell does not contain a guarantee and one is required, the system responds with an error message. If a credit card is used, it is validated against the list of -deposit cc- and -guarantee cc- in the rules, and against the credit authorization program.

• Special equipment – Equipment listed in the special

equip (/SQ-) field not offered at the rental location, generates an error message.

Direct selling a car is the quickest and most efficient method of booking a car. Use this method when you know the vehicle code, rate category, pick-up, and drop-off dates. Direct sell entries from a flight segment adds the /ARR- field with the flight arrival information and time. Return date is assumed from the next flight segment in an itinerary (unless manually input) when selling from a flight segment. The drop-time /DT-) is added to the sold segment (24-hour clock) by subtracting one hour from the actual departure time on the next flight in the itinerary.

The drop time and return date are not assumed when the departure city does not match the pick-up and drop-off city, or if there is not a continuing flight segment in the PNR. The following elements are mandatory for direct sell:

AccessPlus Associates

þ Instructors’ Notes

AccessPlus associates return confirmation numbers before end transaction. They use Best Rate processing (/RC-BEST) and some provide the capability to display the reservation in their own database. When an AccessPlus segment is sold, the sell entry is sent to the AccessPlus associate’s system. The rate is verified and a confirmation number is returned before end transaction. A $XX$ is appended to the segment acknowledging the booking. If $XX$ does not appear, the booking was processed through the Worldspan database and the confirmation number is returned after end transaction. If the communications link is unavailable between Worldspan and the associate, the response AP LINK UNAVAILABLE is received. The sell entry is edited and sold through the Worldspan database. Without a booked flight segment, AccessPlus requests require:

Car Source Associates respond directly from the associate’s database and require a rate code to confirm a rate. If the car segment is sold without a rate code, there is no rate until the vendor responds. A specific rate code or corporate discount (e.g., /RC-, /CD-, and /ID-) should be used for a successful Car Source booking.

Compare the rate. When the CD number and ID number are used, the negotiated rate is returned. In some cases, it could be possible these rates are slightly higher due to benefits included in the corporate contract. The important thing to remember some AccessPlus Associates require either require a rate code or corporate ID in order to return a rate.

The Rate Plan determines length of rental (i.e., daily, weekly, weekend) The Rate Category searches for the specific type of rate. Category determines cost, such as Corporate, Negotiated, Association, etc. Let’s look at some examples.

The purpose of the /RC-BEST option is to ensure the * Best * rate when processing the sell. How best rate is determined - The best processing looks at the vehicle type and checks:

* Vehicle status * Rules • Rate levels (i.e. ECAR-ECAR9) It then compares:

* Standard and promotional rate categories ∗ Daily/Weekly/Weekend/Monthly rate plans

Rate plan sell option - If a sell includes a /P field to specify a rate plan such as Daily or Weekly, the Worldspan * Best * option determines the rate category (Standard or Promotional).

Rate category sell option - If the sell includes a /P field to specify a rate category such as Association or Corporate, the Worldspan *Best * option determines the rate plan (Daily/Weekly/Weekend or Monthly). Worldspan searches for the best rate when selling non-AccessPlus car associates to ensure the best rate. If /RC-BEST is used in a sell entry with a valid corporate number (/CD-), the car associate’s system compares the corporate and leisure rates and returns the best.

If the best rate is a leisure rate, the amenities in the client’s contract might not apply. The amenities affected could include insurance or waiver of age requirements for clients

Optional field identifiers can be included in an initial car availability entry to customize a request or with the function identifier, CRA/, as a short cut to add, change, or delete information. The options can be input in any order after the required information (date, city, arrival and drop time). The options discussed in this lesson are:

• /QR- Sort for cars with guaranteed rates only and unlimited mileage only

• /AV-S – Available Status

The sort option (/QR-) has two purposes: to request only guaranteed rates (G), and to request rates with unlimited mileage (U). When requesting both fields, the first option can be requested with or without the dash separating the option (/QR-U or /QRU), but a dash is required between the first and second optional field. 39. When the confirmation number is obtained on a Pending Need segment, the status code is changed to “KK,” and placed on the subscriber’s Confirmation Queue (Q1). If the Worldwide Product Desk is unable to obtain a confirmation on the segment, or if a “UC” is received, a message of explanation is placed in the phone field, and the PNR is queued to the subscriber’s Q0.

• Non-AccessPlus associates process by teletype and return a confirmation number after end transaction.

• Unless a corporate number is included for non-AccessPlus, Worldspan searches and returns the best rate.
