Before you begin: This guide explains the basic concepts of selecting data, running simple to complex queries, and sending query results to other reporting tools. But before you can run queries successfully, the conditions outlined under Prerequisites/Assumption must be met. In addition, it is important to understand the construction and layout of this quick reference guide.

Prerequisites/Assumptions You are comfortable using Microsoft Windows You have a basic understanding of how to use the PeopleSoft application You have the appropriate security access for the steps and pages described herein. You have a general understanding of which applicant and student records reside in PeopleSoft (See

Banner and CMS PeopleSoft Transition, for more information). Student Groups are defined and setup

Banner and CMS PeopleSoft Transition By March of 2008, all student records will reside in CMS PeopleSoft. In the interim, student records are maintained on two separate systems, Banner and CMS PeopleSoft. The guideline for student record location is as follows:

Banner

– All student information for the Winter and Spring 2008 terms CMS PeopleSoft

– All student information for the Summer 2008 and Fall 2008 terms.

Quick Reference Guide Layout The Quick Reference Guide Layout begins with a general overview of the tasks involved in the process. Each task is presented as a separate section. The sections begin with a general description of the task. The process steps are presented as follows:

Steps – Left-hand side of the process – List of steps required to complete the process – May include optional information to assist in completing the step.

Illustrations – Right-hand side of the process – Pictures, screen shots, etc used to highlight and illustrate the step to be performed – May include optional information to assist in completing the step.

1.0 CSU Student Groups Overview

Student groups enable you to set up groups (such as Athlete or Freshman) and assign these groups to individuals. Then you can perform actions (such as run reports and processes) on a group, which affects all of the individuals in the group. CSU Student Groups is a modification to the PeopleSoft delivered Student Group. As delivered by PeopleSoft, Student Groups are set up manually via Admissions or Student Records pages. Security is such that, any user with access to the Student Group pages has update access to every student group. Based on CSU business processes, the need to restrict access to Student Groups needs based upon the user’s department or function within the institution is necessary. Allowing general access to all student groups could potentially allow users unfamiliar with certain student groups to unknowingly add or remove students from a group, causing data integrity issues. Student Groups may be used extensively throughout the entire Campus Solutions application. They are available through most major processes as selection criteria to simplify the selection of groups of students. Examples include:

• Student Records Mass Enrollment and Matriculation, • Academic Advising Requirement Checking, • Financial Aid Budgeting and Packaging and • Student Financials Tuition Calculation and Billing.

For example, Financial Aid could use Student Groups to identify all students eligible for EOP Grants or Federal Work Study simply by entering them into a Student Group. The Batch Packaging process can then utilize those student groups to automatically assign awards to those students. Student Groups may also be used for important and sensitive issues such as the President’s Scholars Program, financial aid awarding, and the GE certification process. To facilitate the administration of student groups, SU Student Groups provides three components: Inquire, Report, and Use.

• Student Group Inquiry The inquiry component allows you to lookup the Student Groups an individual is assigned to.

• Student Group Report The reporting component allows you to generate a report of students assigned to a specific Student Group

• Student Groups The Student Groups component allows you to assign, modify, or remove students to specific Student Groups.

2.0 Student Groups Overview

Once the Student Groups are defined, you will have access the designated Student Group access of read-only or read/write. You may add, delete, modify or review Student Groups for individual students as per your security access.

2.1 Navigation: Home > CSU SA Baseline > CSU Student Records > Student Groups > Use > Student Groups

2.2 Find an Existing Student Group Enter the student ID for which you wish to view an existing Student Group and click on Search. If the selected student is already assigned to one or more student groups, the Search Results will display multiple listings for the student as shown below. Simply click on the Student Group record you wish to view.

Note: If the selected student is not currently assigned to a Student Group or the User does not have security access to view the Student Group to which the student is assigned, the Search Results will display a message of “no matching values were found.”

2.3 Add a New Value The Add a New Value tab allows you to assign a Student Group to a student that is not assigned any Student Group. You will use this page if it is the first Student Group to which you are assigning a student. If your search on the Find an Existing Value displayed a message of “no matching values were found”, then you will use the Add a New Value to assign a Student group to the individual. To use the Add a New Value page:

• Enter the student’s ID • Enter the Academic Institution, which is BKCMP for CSU, Bakersfield • Click Add

2.4 Assigning Student Groups The CSU Student Groups page has three levels.

• Level 0: The uppermost level displays the student’s name and ID.

• Level 1: The second level allows you to select the Academic Institution and the Student Group. You can use the button to search for and select a Student Group.

You can assign the student to additional student groups or remove student groups from the student by clicking the respective or buttons. The Find, View All, First, Last, Previous and Next buttons, if not grayed out, are available to facilitate viewing and locating additional student groups to which the student is assigned.

• Level 3: The last level is nested inside of Level 1. This level allows you to effective date the student group assignment, select the status, and add comments. Once the student group is selected in Level 2, the effective date is populated with the system date and the Status changed to Active. You may modify this information as you deem necessary. The Find, View All, First, Last, Previous and Next buttons, if not grayed out, are available to facilitate viewing and setting additional effective dates and statuses for the student. For example, you want to inactivate a student group after a date in the future.

2.5 Updating Student Groups Once a student is assigned to a student group, you may need to change or inactivate their assignment to a specific student group. To do so, you will use the Find an Existing Value page to specify your search criteria, click the Include History checkbox and then click the Search button.

If more than one row of search results appears, select the one you desire. On the CSU Student Groups page, add an Effective Date row. On the new row, you will need to change the Status to Inactive and save the information.

2.6 Adding Effective Date Rows to a Student Group The Student Group to which a student is assigned may vary by date. In those cases, you can use effective dated rows to facilitate student group maintenance. You can use effective dated rows to activate and inactivate the student group to which the student is assigned based on specific dates.

For example, the Orientation department may have different Orientation student groups defined for each of the orientation sessions given each term. You may want to assign a student to the Student Group for the Fall Orientation Session 1, ORF1 for March 16, 2008. After the session is held, you may want to inactivate the student from the ORF1 student group automatically. See the figure below for an illustration below of this example.

3. The Look Up Student Group page appears with search results for the Student Group you have the access to use. Click the Student Group you wish to assign to the student.

4. The CSU Student Groups page reappears, with the student group you selected, the Effective Date field populated with today’s date and the Status field set to Active. You may update these fields as you deem appropriate.

5. If appropriate, add comments.

6. Click .

7. To assign additional students groups to the same student. Click the button. 8. Repeat steps 1 - 6 on page 16, until you are finished. 9. When satisfied, you may either:

• Click button to return to the Find An Existing Value page • Click button to work with the next student from your search results • Click button to go to the Add a New Value page, in order to assign a student

group to a different student. • Skip to the section 2.11 Practice: Assigning a Student Group on page 20 to add Effective

Date rows.

10. The newly added row is visible. It is a duplicate of the prior row, which facilitates its modifications. Use the Status drop-down box to select Inactive.

11. The Effective Date will default to today’s date.

12. Add Comments, if appropriate.

Click the button.

2.11 Practice: Adding Effective Dated Rows for a Student

The Student Group to which a student is assigned may vary by date. In those cases, you can use effective dated rows to facilitate student group maintenance. For example, the Nursing department may have different student groups for each year of the nursing program. You can use effective dated rows to activate and inactivate a student group based on specific dates.

Steps Illustrations

1. On the CSU Student Groups page, make sure the Academic Institution is set to BKCMP.

2. Click Student Groups button.

17. The Look Up Student Group page appears with a list of Student Groups in the search results. Select the appropriate student group.

18. The CSU Student Group page reappears with the selected Student Group. Change the Effective Date to date after the date used to inactivate the previous Student Group.

3.0 Student Groups Inquiry Overview

The Student Groups Inquiry allows you to view all the students assigned to a Student Group. Once the Student Group you want to view is selected, the Student Group Inquiry page appears displaying a listing of all the students assigned to the Student Group.

The Student Group Inquiry page is printable by using your web browser print feature. You may use the Student Groups Report to produce a report of similar information.

3.1 Navigation:

Main Menu> CSU SA Baseline > CSU Student Records > Student Groups > Inquire > Student Group Inquiry

3.2 Find an Existing Value Select Search to find a Student Group to View. Note: Only groups with which the user has access to will appear. The page will list all students who belong to the selected Student Group.

3.3 Basic Search The Basic Search allows you to search for Student Groups using the Academic Institution or the Student Group fields and the “begins with” search operator.

• Academic Institution When using the Academic Institution field, you will need to enter BKCMP as the search value. The search results will display a list of the Student Groups that are accessible to you based on your security access configuration.

• Student Group

When using the Student Group field, you will need to enter student group code for the search value. If you do not know the Student Group Code, you can use the button to see a list of the Student Groups that are accessible to you based on your security access configuration. From the Look Up Student Group, you select the Student Group you desire to view. When you return the Find An Existing Value page, you will click Search.

3.4 Advanced Search The Advanced Search allows you to search for Student Groups using the Academic Institution and/or the Student Group fields and the search operator of your choice.

• Academic Institution When using the Academic Institution field, you will need to enter BKCMP as the search value. The search results will display a list of the Student Groups that are accessible to you based on your security access configuration.

• Student Group

3.5 Use Saved Search You may find that are working with a specific student group or groups. In this situation, you may want to save your search criteria. Once you save your search criteria and give it a meaningful name, such as Honors Students, you can select the Saved Search from the Use Saved Search drop-down box to select the saved search you desire. Once selected, Student Group Inquiry page opens with a listing of the students assigned to the selected Student Group.

4.0 Student Groups Reports Overview

The Student Groups Report will provide a listing of all current and active records within a Student Group, sorted by last name. Inactive and Future Effective dated rows will not display on this report. The Student Group Report is generated on the server in Utah. To generate the report, you will need to request that the server processes your request based on your criteria, schedules the request, process the request, and then distributes the report output to the destination you selected. To begin this process, you will need to follow seven (7) steps outlined below to request, schedule, process, and distribute your report:

• Run Control ID • Process Request Parameters • Process Scheduler • Process Monitor • Process List • Process Detail • Trace File

4.1 Student Groups Reports Process Flow The process for generating a Student Group Report involves seven (7) steps. The figure below illustrates the flow of these steps.

4.2 Navigation:

Main Menu> CSU SA Baseline > CSU Student Records > Student Groups > Report > Student Group Report

4.3 Run Control ID The Run Control ID facilitates the process tracking of your run request. You can create or select an existing Run Control ID. To create a Run Control ID:

• Enter a meaningful name in the Run Control ID field (No spaces are allowed in the field) • Click Add

To select an existing Run Control ID, you will use the Find an Existing Value tab. You can search for the existing Run Control ID using either the Advanced or Basic search pages. On the search page, you can:

• Enter your search criteria • Click Search

Once you click Search, any existing Run Control IDs are listed in your search results. You can click the desired Run Control ID to enter your process request parameters.

4.4 Process Request Parameters The Process Request Parameters page allows you to specify the parameters for your process request. You will need to select the following parameters for your Student Groups Report:

• Academic Institution • Student Group • Click Save and Run

Note: Only those Student Groups for which the user has been assigned either Inquiry or Update Indicator access will be available for selection. After you click Run, the Process Scheduler page will appear allowing you to specify the parameters for the Process Scheduler.

4.5 Process Scheduler The Process Scheduler Request page allows you to specify the parameters for your scheduler request. You will need to specify the following information:

• Server Name (PSUNX) • Check the Process Description for your report • Type (Web, Email, File, Printer) • Format (PDF, CSV, HTM, HP, LP, SPF, or PS) • Distribution

4.5.1 Distribution Detail The Distribution Detail link opens the Distribution Detail page. On this page, you specify additional information for the distribution of your report. You can select to distribute the report by email, or distribute the report to more than one person for the recipient can the report using their Report Manager. For example if you selected Email as the Type on the Process Scheduler page, then you would enter information for the message text, email address or email addresses, whether to include a email log, and whether to email the web report.

4.6 Process Monitor Once you complete the Distribution Detail page, you are returned to the Process Scheduler. When you complete your entries for the Process Scheduler and click Ok. The server schedules and

processes your request, based on the criteria you specified. You can use the Process Monitor, to monitor the status of your request. From the Process Scheduler, click the Process Monitor link.

The Process Monitor link will open the Process List.

4.7 Process List The Process List allows you to view a list of your process requests. You can filter the results of the Process list by making selections in the View Process Request For section. If the Run Status for your process does not display Success, you can click the Refresh button to update the information on the screen, until the Run Status changes to Success.

Once the Run Status shows Success, you can click the Details link to view your report and additional information related to the processing of your request.

4.8 Process Detail The Process Detail page allows you to view the information related to the processing of your request.

• Process Displays process information: instance, type, name, description, run status, and distribution status.

• Run Shows the run control id used, location, server name, and recurrence information

• Update Process Allows you to specify update process, such as holding, queuing, cancelling, deleting, or restarting the request

• Date/Time Shows the date and time information for: request creation, run anytime after, process start,

Allows you view the parameters used for the run request, message log, batch timings, and the log/trace.

The View Log/Trace link allows you to open the View Log/Trace File page, which contains your report output.

4.9 View Log/Trace The View Log/Trace page shows you the report information. The page has four sections:

• Report Display the report id, process instance, report name, process type, and run status

• Distribution Details Shows the Distribution Name and the Expiration Date

• File List Shows the files created as part of the process: Message log, report output, and Trace File. The Message log lists the server details associated with process. The report output, which has server generated name, contains your report in the format you specified earlier. The Trace File lists any errors that occurred during processing

• Distributed To Lists the IDs of the individuals to whom the report was distributed.

To view your report results, click the link in the File List with the server generated name. The report output will open in a new browser window.

4.10 Student Group Report The Student Group Report appears after you click the appropriate link in the File List of the View Log/Trace page. The report opens in a new browser window. From this window, you can save or print the report using your web browser buttons.
