OperationsThe most important department because it carries out all business operations & procedures
Main function is to carry out active tasks such as sending out technicians for I.T. implementation in another company
Technical Support is to ensure that implementations are performing efficiently, and are on roll call should clients require assistance
Research & Development’s function is to improve on current technology in order to keep up to date with the constantly improving industry
Office Administration is the mediator between the various departments, which also handles all the documentation & communication with clients

FinanceBasically, the financial department’s main task is to ensure that the firm’s accounts are balanced and that the firm’s finances are stable
The department is in charge of billing, invoicing & employees’ payroll
Collaborate heavily with Office Administration due to the large amounts of documentation involved
A budget committee within the department along with the President & Vice President present a Budget Report at the beginning of every year, and the department is responsible in making sure the firm sticks to that budget as close as possible

Step 1: Client registrationWhenever a new client requests for C&H’s services, the client is required to register with Administration first
Upon registration, the client is required to release certain information which is required for analysis
Confidentiality is of the highest priority
With the information gathered, Finance Dept. is then able to verify the client’s financial stability based on liquidity, net assets & so on
Once the client is proven financially stable, the necessary information is then sent to Operations Dept. for analysis

Step 2: PlanningThis process involves design of the new system & cost control
Using the analysis results, Operations Dept. is then able to design a new system based on the needs of the client
Once a draft is available, Operations Dept. then collaborates with Finance Dept. to ensure that costs are used at an optimum rate
Upon approval from higher management, the final blueprint is then designed while Finance Dept. prepares an invoice which is to be sent to client
Administration will then maintain contact with client and wait for a response. Should the client accept the design & the costs involved, the hardware & software will then be sourced as C&H is not a manufacturing firm.

Step 3: ImplementationThis step requires direct involvement from C&H, and is usually the most crucial & critical phase
Human Resource will assess the blueprint design & then delegate the job responsibility to the group/team with appropriate skills for the job
C&H technicians/engineers are then sent to the client’s firm during off-peak hours as to not interfere with client’s operations
The technicians/engineers will then install various hardware & software based on the system design
A system check/ run-through will be conducted to ensure that the system operates efficiently

Step 4: BillingOnce the job is done, the client is then billed & required to pay through various options
Once the client has been billed, he/she is required to at least pay up 60% within the next month
The remaining 40% will then be spread out over the next few months but with higher increments the longer the client takes to pay
Calvin & Hobbes’ method of payment is designed in such a way to accommodate firms which are not able to pay a huge lump sum of money at one go – this taken into consideration that the costs for new systems implementation is relatively high
The costs will include a service charge, as well as costs for the hardware & software

Step 5: Post Implementation AnalysisR&D Dept. requires feedback on the system performance in order to further develop better systems
From time to time, the client will be asked to submit feedback reports on the system’s performance
Using this report, R&D will then develop better, faster and more efficient systems to enhance productivity
Should the system perform with disappointing results, Customer Support is then sent to rectify whatever problems
Also based on feedback, Marketing will then use the responses to generate advertising & promotion for Calvin &Hobbes’ services
