1. Continue toward building a strong youth ministry at Calvary Church. 2. Discern future of and analyze the effectiveness of the Seeds of Hope radio program. 3. Visitation of all homebound members and discern what their needs are. 4. Strengthen ministry of Lay Eucharistic Visitors. 5. Support and promote Great Music at Calvary program in the wider community.

Sr. Warden’s Report: Stephen Munschauer

2019 in review: It was a privilege and honor to work with Fr. Robert, Jim Greno, Bryan Gorney and two active and engaged Vestries in the 2018 and 2019. In the five years that I have served, I’ve seen a tremendous positive improvement at Calvary. One example would be the Endowment Committee under the Chairmanship of Peter Howell. This group has spent 10’s of hours revising and updating the documents and policies that govern the Endowment. They orchestrated a positive change to the Episcopal Church Foundation to manage the Endowment funds. They have also instituted much tighter controls over the Endowment withdrawals and how the funds are allowed to be used. In coordination with ECF, they have reviewed all of the various funds within the Endowment and clarified the purposes and allowable use of each fund. While I was extremely disappointed with our fund raising efforts in 2019, I am very encouraged with the plans for 2020. We have challenges ahead. Our annual budget is razor thin breakeven, while our expenses have been cut to bare bone each year. Our issue is revenue. We need to grow our pledging base. While we have taken in many new members, we have lost many through deaths and moves, which has been a big factor. We also have some major overhauling of the carillon needed and so far our attempts to get grant money have fallen short.

2020 and beyond:

Looking forward to 2020 Calvary will be getting Air Conditioning in the Sanctuary and Reception Room. We will also be upgrading the lavatories off Hughson Hall which will include ADA compliance. These are things that have been on the long range planning list of the Finance and Property Committees for years. Calvary is a wonderful place to worship and gather together and we are all on a path together moving forward.

Jr. Warden’s Report: Bryan Gorney Where we are now: In 2018 I was chair of the Nominating Committee. As I was going through the names of candidates that were submitted by the congregation I was thinking of what I could say to get people to run, especially for Warden. Calvary is stable with a new rector in place, we are in a decent financial position and the church is alive with many activities and energy. I had been asked to run in the past and I declined. I thought for a while and said I should run for Warden. If not now, when? My first year was a learning experience. There is a lot of activity behind the scenes. Between signing checks, reading contracts, attending various committee meetings and making decisions you can get lost in the weeds. I want to get things done while I am in this position. We are making major capital improvements to the campus in 2020 without having to have a capital campaign. We have put structure around the budget process, the endowment committee and stewardship. The Music program is impressive, and “The Great Music at Calvary” series is more challenging and robust this season under Kevin Durkin’s leadership. Working with Stephen Munschauer this year has been a pleasure. We think the same way and want to accomplish things. We are organized and motivated. I will seek his guidance and knowledge in the coming year. 2020 Objectives: I want to finish what we started in 2019. By December 2020, the sanctuary and the reception room will have air conditioning. The two bathrooms in Hughson Hall will be remodeled and ADA compliant. I want to have a 2021 budget approved at the December vestry meeting. I want a clear memorial gift / bequest policy in place. The wardens will start the nominating committee process earlier and educate the congregation on the role of a vestryperson. In short, I want to get things accomplished. We discuss a lot at Calvary. We need to execute.

Music Report: Kevin Durkin The music program at Calvary continues to be one of the most active in Western New York. This season alone, the choir is presenting Bob Chilcott’s St. John Passion, Mozart’s Vesperae Solennes de Confessore, and Rheinberger’s Stabat Mater as well as other works with chamber orchestra. For the Feast of All Saints, the parish choir collaborated with the choirs Westminster Presbyterian Church and St. Joseph Cathedral to present Chilcott’s Requiem at Westminster. Through the generosity of parishioners at Calvary, five choral scholars have participated in the program this year, and five staff singers have helped to lead the choir. Support for Great Music at Calvary continues to be very strong. Hundreds of people visited Calvary for Great Music events over the past year, including many first-time guests. A goal for the coming year is to engage outside groups to perform as part of the Great Music at Calvary season to continue the expansion of our offerings, but not necessarily create such a heavy burden for the parish choir. The development of a children’s choir is also a goal, which will take careful planning and several years of work to establish.

There is no Sunday school on the last Sunday of the month. Instead, children and youth serve as lectors, oblation bearers, and usher helpers at the 10 am Children’s Service.

Nursery In 2019, nursery care was available Sundays from 8:45 to 11:00 am during the program year, and from 9:45 to 11 am in the summer. In late summer, the Nursery and Children’s Chapel room was repainted in bright rainbow colors.

Youth Group In the spring of 2018, Fr. Robert and Deacon Mona began a Middle School Youth Group which collaborated on events with the Youth Group from St. Paul, Harris Hill. However, due to low attendance from Calvary’s youth, Calvary’s youth program was discontinued by the spring of 2019.

Promotion CYM published 9 e-newsletters, maintained a FaceBook page (thanks to Alice Brown), hosted coffee hour and led a 9 am forum (3/31). Thanks to Joan Scafani, CYM distributed handouts about our programming to recruit new families at Village events such as the Garden Walk 7/20 and Octoberfest 9/21.

3. CYM’s most needed resource is manpower in the form of volunteers and/or staff to provide adequate coverage in the Nursery, Sunday School, and Youth Program. All who work with children & youth must go through Safe-Church training and have a background check.

Christian Formation Adult Education: Dale Harten & Joan Scalfani

Committee: Lorrie Archdeacon, Stephen Dyson, Dale Harten (co-chair), Jim Marshall, Jack Newall, Joan

Scalfani (co-chair), Sue Schroeder, Emily Sityar, Craig Werner. The committee covers several areas including: Common Ground, Books & Bites, Bible study, Advent series and Lenten series. In each area, we summarize 2019 achievements, 2020 objectives and our vision for the next 3-5 years as follows. Adult Education is a ministry of supporting and encouraging our congregation on a journey together for spiritual growth, understanding, and reaching out to engage with the WNY community.

Common Ground Series – a public lecture forum, engaging the WNY community with notable guest speakers on issues of human concern; a chance as a church to foster mutual understanding and community.

-- May 2019. Walter Simpson, former University Energy Officer of the University at Buffalo, gave a presentation on renewable energy and climate change, with attendance of about 70.

-- Oct 2019. Common Ground: Being Mortal was a very moving panel discussion on elder care, end of life issues and caring for loved ones. Choice of these topics was inspired by the committee’s reading of Dr. Atul Gawande’s excellent book Being Mortal: Medicine and What Matters in the End. Our panelists were Dr. Harry Metcalf from Calvary, Kelley Clem from Hospice Buffalo, and the Rev. Canon Cathy Dempesy-Sims of the Diocese of WNY. Attendance was about 120.

-- Tentative plans for April/May 2020 plans are for a joint Common Ground / Great Music event, with both music and lecture: featuring musicians from Buffalo’s Colored Musicians Club and discussion in appreciation of Jazz and the Blues, and its origins and history in the struggles of the African American community.

-- We hope to continue and grow this series as a forum for engaging, sharing, learning, building community.

Work with Calvary Communications, media and outside groups, to feature remarkable speakers and topics.

From personal connections, and free publicity whenever possible, most speakers have come without cost.

Lent and Advent Potluck Discussion Series. During Lent and Advent, Calvary’s tradition of Wednesday evening potluck dinner discussions continued. In Lent Fr. Robert led discussions on prayer, and in Advent 2019 he led a series on “hopefulness.” If you were not there, you don’t know what you’re missing*, so plan on joining us on Wednesday evenings this Lent in Hughson Hall. (*Hint: good food, fellowship and stimulating reflection and conversation.)

“Books & Bites” – Calvary’s book club, meeting the first Sunday of the month at 9:00 AM in the reception room. The book club has at least 36 followers and is chaired by Lorrie Archdeacon and Wilma Cipolla. The next reading discussion is Feb. 2 on the historical novel Pachinko by Min Jin Lee. See Calvary’s website.

Bible Study There has been an informal Calvary Bible study group meeting for over 20 years. A small group continues to meet, now gathering on Tuesday mornings at Calvary.

Sunday Rector’s Forum and other activities The Sunday adult forum at 9:00 AM rotates weekly between presentations by the Rector, the Wardens, Books & Bites, and quarterly by the Treasurer.

Sunday sermons are recorded whenever possible, so that you can listen or download audio from Calvary’s website.

Goals and Resources. Our goal is full participation by members of the parish in Christian formation and

growth: in prayer, reading of the Scriptures and generally considering questions of how to live as followers of Jesus Christ in the world today. Our committee budget helps with receptions but does not cover travel expenses for big name guest speakers. Besides events at Calvary, we may join with other groups, and will invite parishioners to join in attending their events. e.g. Parishioners attended the lectures by Anthony Ray Hinton at Canisius College in December and by Richard Rothstein at Elim Christian Fellowship in January.

2019 Accomplishments

We organized the Bishops’ Visits, Mardi Gras, Newcomers’ Events, Coffee Hour re-organization, Calvary Gatherings, and welcomed new members to the Fellowship Ministry.

2020 (and beyond) Objectives

Coffee Hour: This is a wonderful time for parishioners to come together as a community to talk, share, and laugh. Last year, we had a major change in the organization of coffee hour. This change means that there is now a need for parishioner involvement. Coffee Hour is a ministry, but it will not happen without your help. Your participation would involve (once every year or so) simple snacks, set up and clean up. Coffee Hour has been simplified so that the “burden” is neither cost-prohibitive nor time-consuming. Coffee Hour is not brunch. It is a time to be with each other over a cup of coffee and snack. But we need volunteers!

Growing our sense of community: We want to encourage (and support) opening our homes for

gatherings of all types. It is our understanding that this was successfully done in the past. These events could be as simple as a glass of wine and some cheese after the 4:00 p.m. service, a simple brunch after the 10:00 a.m. service, a book discussion, ministry meetings, cocktail parties or full-fledged dinner parties. If opening your home does not work for you, we are asking for your help in organizing an event. This could be arranging a back-stage tour of Shea’s, the BPO, or Wegmans! You could contribute by arranging for car-pooling for those parishioners who don’t drive downtown or at night. Your contribution could be to make a lunch reservation for a group who has just been on the back-stage tour! If each family or “team” of friends would take one event per year, we could have a very full schedule of events. And you would have the support of the Fellowship Ministry. But our goals cannot, and will not, be achieved without a willingness to put ourselves out a little to foster a greater sense of community.

Newcomers: We want to incorporate the Newcomers into the life of Calvary. Welcoming them with

warmth and enthusiasm is lovely and important, but following through so that they become involved with our parish community is critical. You can help in small ways. If you see someone you don’t know during the Peace, seek them out after the last hymn and ask them to come with you to Coffee Hour! That’s a great way to begin to foster a sense of community for the Newcomers.

Pastoral Care Ministries Pastoral Care Ministries: Elizabeth Harten

Pastoral Care is so fundamental to the life of our parish that Calvary’s Pastoral Care Circle truly includes our entire congregation. We all minister to one another in countless ways, as we greet each other coming to services, in answering God’s call for us to love our neighbors as ourselves, in the Prayers of the People, as we pass the peace and share the sacrament of Holy Communion. The purpose of living and worshipping together in a Christian community is for mutual support in meeting life’s challenges and celebrating joys and accomplishments that lead to wholeness in Christ. The Pastoral Care Ministries Committee is grateful for all you do every day; we are so blessed to have such a loving parish family! Please refer to the organizational chart on the next page to see the various components of Pastoral Care at Calvary and our areas of focus. Accomplishments in 2019: Eleven Lay Eucharistic Visitors were commissioned during the 10:00 service on November 24th, four of whom were new to this ministry. All eleven LEVs have Safe Church Training and are licensed by the Diocese. Six of our LEVS also attended a Spiritual Care Day of Learning workshop at the Hospice Buffalo Education Center last June. Unfortunately, both the Prayer Chain and the Altar Flower Ministry lost committee members in 2019. The Prayer Chain always is looking for new people to pray for all the requests we receive from parishioners, friends and family, and our greater community. Requests may be given to Fr. Robert, sent to Alice in the Parish Office, or written on the cards in the pews and placed in the offering plate. Anyone may request prayers for oneself or others. The Altar Flower Ministry seeks new members to help with making and/or delivering bouquets. Even if you do not wish to be scheduled on a regular team to serve every other month, but live near one of our homebound parishioners, your help dropping off a bouquet on your way home from church would be greatly appreciated. Or, if you are a whiz at arranging flowers, but cannot make deliveries, your talents will be put to good use. Last year around 185 bouquets brought love and joy to our parish family. Please contact Ellie Yuhasz for more information. The Pet Ministry held its first paper towel drive in conjunction with the Sunday School Children. About thirty rolls of paper towels were delivered to A Purr-fect Fit Animal Rescue and Adoption Center on Wehrle Drive. Two Erie County Deputies and their mounts joined us for our annual Blessing of the Animals in October, which was held near (but not under, due to a lack of rain!) our new Pet Ministry “Pup Tent”, purchased with donations made in memory of many dear pets. Also purchased with memorial gift money was a 4-gallon water dispenser that was used at the Blessing of the Animals and will be placed outside the lower Milton Street entrance for use by our dog-walking neighbors during the warmer months. A donation of $545 was made to Pete’s Pet Food Pantry at The Episcopal Church of the Good Shepherd from the St. Francis Day collection for listing pet names in the Sunday service leaflet. Finally, donations of new and gently used pet items were made throughout the year to the Buffalo Animal Shelter, Buffalo C.A.R.E.S., and the Eastern Niagara Animal Welfare Alliance. In 2019, twelve Funeral Receptions were held at Calvary, and Karen Davidson’s bakers and servers provided a peaceful and caring setting for the grieving families and their friends to share memories and comfort one another.

In addition to its regular monthly meetings, the Good Grief Group partnered with another grief support group from the Catholic Diocesan Cemeteries this year to offer two social outings to its members. One trip was to the Roycroft Inn and Museum, and the other went to the Marilla Country Store, Mayer Brothers Cider Mill, and the Elma Town Grill for lunch. The fifth annual Blue Christmas service was held on December 15th and featured wonderful music by Kevin Durkin and Joanne Peperone. The Congregational Care Committee did not meet all of its 2019 goals regarding recruiting new members and developing our partnership with Hearts & Hands, but continued to be busy sending cards and care packages, making phone calls, and assisting a number of parishioners with rides to church events. Also, a very talented group of Calvary cooks provided Healing Meals for some parishioners newly home from the hospital. Congregational Care was successful in launching our newest ministry, the Parent Ministry, which will spin-off to become a separate subcommittee in 2020. The Mothers Prayers Group was formed late last spring and has quickly become the cornerstone of our new Parent Ministry. Mothers Prayers was introduced to us at last year’s Women’s Retreat by Tina Reynolds, who became acquainted with the organization while she was living in England. The group meets monthly to pray for children and grandchildren and to share the special joys, fears, and concerns of motherhood. The prayers recited at these meetings are exceptionally beautiful and meaningful, and the group would be happy to provide more information about these prayers and their meetings to anyone interested. The Parent Ministry also welcomed new children and grandchildren into the world with handmade gifts, and we offered our first “Parent Free Day” in December, so parents could drop off their children and have an afternoon to themselves. Objectives for 2020: The primary goal of Pastoral Care at Calvary for 2020 is to increase communication. Despite our best efforts, it still seems that many parishioners are not aware of what we do. While the specifics of who we call, pray for, and visit are confidential, it is important for everyone to know what we can do for our parish family. It also is critical for us to be informed when you or someone you know needs our services. We need everyone to continue to be good pastoral caregivers to one another. It also is our goal to increase the numbers of members on the Prayer Chain, the Altar Flower Ministry, and the Congregation Care Committee. We need new ideas for supporting parents in our congregation and volunteers to lead our new Parent Ministry. Our Pet Ministry is planning a pet memorial service for the spring and another joint project with the Sunday School children to aid animals in Australia. Finally, the Good Grief Group will host a Mother’s Day Brunch at Calvary for those women who have no family to be with on that day. Long-term Goals and Resources Needed: Pastoral Care needs to develop a succession plan. While PCMC members continue to fund some of their own activities, we have made a big effort to roll our expenses into the annual budget, so that future activities continue to be financially viable. Still, we need volunteers to serve in leadership and helper roles. Our congregation is aging and people are busy, but God commands us to shepherd his flock as our first priority. You can make a difference in someone’s life in as little as an hour a month!

Outreach Ministries: Bill Clark & Kathy Marshall

2019 Accomplishments Tier 1:

• Friends of the Night People – Volunteers served evening meals on the third Sunday in the even numbered months. There were also sufficient volunteers to staff the clothing closet on the same dates, as well as the second and fourth Tuesdays in the odd numbered months. Calvary contributed $1,800 to FONP.

• Refugees – Calvary knitters made it possible to fill 49 bags with scarves, hats, and mittens for Journey’s End single refugees. The bags also contained toiletries, cookies, and socks. The Wakili family, Calvary’s refugee family, had twin boys born in August. Calvary parishioners contributed over $1,300 to help the family. $500 was contributed to Journey’s End at the end of the year.

• School 30 – School 30 remains Calvary’s largest Outreach project in terms of parish participation. The mentoring program is in its fourth year and mentors meet weekly for one hour with their students. There are fewer mentors this year than last. The Mitten Tree faced some major challenges with illnesses, but members of the parish stepped up to make it a success. This year over 90 families provided 164 gifts to the second and fourth grade classes. Over a dozen parishioners came together to wrap these gifts while Santa and his Outreach Elves delivered these gifts along with candy canes. Calvary funded the creation of a Discussion Garden in the school’s quadrangle for $1,500.

Tier 2: • Walk off Hunger(Feed More) – Walk off Hunger was held on July 27. The amount collected was

down this year and the event will be moving next year into the city of Buffalo. $500 was given as a year-end contribution.

• Eaton Summer Reading Camp – The Eaton Camp was not held in 2019 and it is uncertain whether it will be held in 2020.

• Family Justice Center – Calvary continued its designated cleaning of the Family Justice Center and a donation of $5,000 was given.

• United Thank Offering – $2,406.54 was collected. Other Outreach:

• $500 – Our Little Roses • $1,000 – City Mission • $500 – Hearts for the Homeless • $1,000 – Episcopal Relief and Development • African Team Ministries – several hundred dollars • Hurricane Relief – $300

2020 Objectives

• School 30-Develop a new liaison at School 30 because Amy Gorney is retiring. Attract more volunteers to join the program for next year. Consider attracting parishioners to volunteer in classrooms on a regular basis.

• Refugees-Continue providing knitted hats, mittens, and scarves to Journey’s End.

• Friends of Night People-Encourage more volunteers by providing more publicity on a regular basis about FONP. Continue our monthly schedule in the clothing closet and our every other month schedule serving food.

3-5 year Goals and Needed Resources

• Increase parish involvement in Outreach ministries.

• Strengthen ties with youth to increase awareness of opportunities for community service.

• Explore opportunities to work with other parishes and organizations for Outreach ministries.

The Communications Committee streamlined the publicity process for both in-house and community-based events. The use of the Event Publicity form allowed us to gather necessary information from the event leads in order to adequately publicize the event to encourage greater attendance. Information from the Event Publicity form was then emailed to all Communications Committee members so that they may complete assigned tasks including creating posters, posting on Calvary's website, posting on social media, creating a press release, and sending to print, radio, and tv news outlets. At events open to the public, the Communications Committee collected email addresses in order to expand our email distribution list for future events. Publicity efforts resulted in increased attendance at the following events:

• Common Ground

• Blessing of the Animals

• Blue Christmas Calvary is a member of the Williamsville Business Association (WBA). A Calvary representative attends monthly meetings to learn of Village events in which we can participate and to announce current Calvary events to the wider community. The Communications Committee began working on a consistent re-branding of all marketing materials for Calvary. We developed a brochure template that all committees will be able to use and met with the Churchyard Committee to update their brochure.

2020 Objectives:

The Communications Committee is committed to improving both internal and external communication in 20. One tool that may aid in internal document sharing is G Suite for Nonprofits. The trial use of this application has been approved and a focus of 20 will be on the setup and implementation of this to best meet Calvary’s needs. G Suite is a web-based application, meaning staff, Vestry, and committee members will be able to access shared documents from any computer, tablet, or phone. This application will allow for easy sharing and permission controls. The use of G Suite for Nonprofits may eliminate the need for an in-house server which would be very costly and require routine maintenance. The Communications Committee would like to collect data in 2020 to inform publicity efforts and encourage participation of Calvary church members. At public events, we would like to collect feedback regarding how attendees heard about the event so that we can know which marketing efforts are most effective. We would also like to use data metrics calculated from Facebook and Calvary's website to determine engagement of posts. Lastly, we would like to summarize data collected from Calvary Church members to identify interests, skill sets, and potential committees that members would like to participate in. In 2019 we began creating a consistent re-branding of all marketing materials/brochures so that all communication from Calvary has a unified look. In 2020, we would like to meet with more committees to assist in updating their materials.

3-5 Year Goals & Resources:

We plan to continue using various free media outlets to publicize events while continuing paid advertising in The Amherst Bee for Easter and Christmas services. We will continue to work with the same budget as in the past. We would like to evaluate alternative website hosts/builders to see if there are options within our budget that are user friendly and allow for more customization than Clover. If identified, we would need technical support in transitioning website and training for Alice Brown and any additional staff, Vestry, or committee members who would be responsible for website updates. We would like to create a Communications guide that outlines the various types of Marketing that our Committee has used with processes and procedures for how to advertise with each media for future Communications Committees to use.

Property Committee Churchyard: Pat Zebrowski

The board had diligently worked on a revised version of the Churchyard brochure. The finished product is now available. Our thanks to Alana Eaton for her hard work assisting the Board with this project. Thank you also to Joan Scalfani and Alice Brown for working with the printer. There have been 4 purchases in 2019. We have had 13 interments and 20 funerals. There have been 15 incisings performed, some partial. Our new computer now has all the information regarding sold and available sites and plots along with photos of each plot location for easy reference. There is a need for wall repair on the Cayuga section of the wall. This will be accomplished once the weather breaks this spring. We will also be addressing the uneven ground in the lawn area where the lawn is rutted. This is a trip hazard to those attending interments and those wishing to visit their loved ones. The Board will also address ongoing lawn spraying and garden work. We will get quotes for this and the lawn issue for approval by the Board in the spring. Property Committee Housing: Jim Greno

This report is submitted at the request of the Administration. The bylaws do not currently define a "Housing Committee" or scope or responsibility for a "Housing" function. This report intends to review current status of the two houses on the Church Campus (the Rectory and 28 Milton St.), and on the status of the potential rental income areas available elsewhere on the campus. It is suggested here that the Vestry define, and enter into the bylaws, establishment of a Housing Committee, scope of duties, purview, and stand-alone or subcommittee status, if the Vestry deems it appropriate.

Rectory: 2019-Fr. Robert and Anne continue to be good stewards of the Rectory. Some interior repairs and new driveway installed. 2020- Replace 3" Cast Iron drain in basement; insulate Kitchen floor; rebuild a portion of back yard fencing: spring cleanup will include a paid service for cleaning gutters. Longer term- flue replacement

28 Milton: 2019- Rented in October for $1550/mo. completed Backyard landscaping, new driveway and interior maintenance. 2020- New roof is needed, with some gutter repair Longer term- exterior trim painting

Tower Offices: 2019- Two offices available, 10 X 12 and 11 X 15, Independent WiFi service is included. 2020- Advertise rental opportunity in bulletin. Previous rental income was $300 monthly for the larger office. Longer term- clean carpets; dress up common area as a possible rental.

AAUW Rental, Church Basement. 2019-Currently rented for $2736 annually. 2020- Monitor Elevator and automatic door maintenance to determine costs relative to the heavier usage by AAUW. Longer Term- evaluate fair market value.

Montessori Rooms: 2019-Space completed with furnishings and supplies for the Montessori Program. Currently charging $1.00/mo. in the hopes enrollment will succeed to facilitate potential $500 to $800/mo. 2020- Marketing for student enrollment will proceed for September start. Longer term- hopeful for success of the program, but refurbished space is an attractive income potential regardless.

Kitchen: 2019-Small start-up food service businesses have previously been interested in renting part time usage. Food Service businesses such as LLoyd's Taco have started this way. $150/mo. had been established as a fair value for part time use. Calvary's Kitchen is licensed/Certified by Erie County for such purposes. 2020- Inquiries can be made with previously interested parties to identify rental opportunity. Longer term- painting: bring dishwasher preheater on-line.

Property Committee Arts & Furnishing: Jim Porter

Past year:

It was a relatively quiet one for the A&F committee. We mourned the death of our dear friend and committee member, Dick Welte. His participation and valued input will be sadly missed. - Church doors: Since the doors to the church proper, the reception room and Cayuga Street

entrance were in a condition beyond refinishing it was decided that they be painted. A shade of red was chosen and the work was sourced to an outside contractor.

- Video monitors: The other project tasked to the committee was to select the most suitable locations for the video monitors in the reception room and the lobby link. The committee decisions were overridden with the explanation that it was easier for the installer.

Coming year:

- The committee will undergo a bit of restructuring and the addition of some new members. - A tour by the committee of the church buildings will be conducted to identify the needs required

for maintaining the assets under our care up to the high standard we all expect. - Inventory of all donations and acquisitions of physical property will be made. Any items not already

included in the record book will be photographed and included along with descriptive information and donor names.

- Work with and support the Property Committee in the updating of the Hughson Hall rest rooms. - Consider painting the Baptistry entrance door to correspond with the other red doors.

Stewardship: Cindy Munschauer

Thank You! – On behalf of our parish, and those who are served by our ministries, thank you for your

compassionate support this year. Thanks to you we will be able to accomplish so much in the coming year.

2019 Accomplishments

Pledges to date – As of 1/18/20, we have received 204 pledges for $436,506. We have a goal of $460,000 and are still hoping that 17 people who made pledges last year, will do so again this year. If this happens, it is projected that we could come in at $459,300. Once again, however, we have been hurt by significant deaths and the loss of parishioners who have moved away, but many generous people also increased their pledges. Our sincere thanks to everyone for your generous support. Many things contributed to this year’s campaign.

Solicitation Letters – Solicitation letters, pledge cards and return envelopes were sent out in

September. Father Robert personally wrote and signed all of the letters, which was really remarkable, as personal attention from our Rector is pivotal to the success of our efforts. Father Robert also personally wrote all of the thank you notes that were sent to everyone who made a pledge. So much appreciated!

Stewardship Testimonials – Parishioners shared their personal reflections about Calvary during

several services again this year. These speakers were inspirational, well-received, and moved others to make their own pledges. They spoke from the heart, and that made such a difference.

Service Bulletins – Each week we gave updates about the Stewardship Campaign in the service

bulletins to keep parishioners informed. We also listed the names of people who had made their pledges, encouraging those who had not to submit their pledges. Father Robert was also very effective in reinforcing this during the services. A Stewardship Thermometer was also placed in the Reception Room for everyone to see, showing the progress of the campaign.

Calendars – A 2020 Calvary Calendar, designed by Emily Sityar, was provided to all parishioners as a

thank you for everyone’s generous support. The gifts received provided the finances needed to sustain our operations, to provide our important ministries and to reach out to others in very significant ways. The calendar featured countless photos of our life together at Calvary – a year-long reminder of what we are able to accomplish thanks to everyone’s financial support.

Other Activities – Members of the Stewardship Committee hosted a Coffee Hour and worked on

other activities and are always looking for other opportunities to reach out to parishioners in other very meaningful ways. All ideas are welcomed!

2020 Objectives & 3-5 Year Goals The objectives and goals of the Stewardship Committee are to continue to raise as much funding as possible to meet the financial needs of Calvary, to help balance the church’s budget and to continue our important ministries. Important to note:

• Stewardship has been called “the joyful journey of Christian generosity”

• Stewardship is about “growth” not “guilt”

• We all need to support our church family, and we urge everyone to become more involved with our church. Please help out with an event, join a committee, volunteer to serve at our worship services, reach out to others in the community. The more engaged we are, the more grateful we will be for our wonderful parish life together.

• Please always consider increasing your annual gifts to Calvary.

• If you haven’t made your 2020 pledge, or picked up your box of envelopes, please do so.

Parish Growth/Support Planned Giving

The Planned Giving Committee has two principal responsibilities:

• Educating the congregation about the need for planned giving to Calvary and the various ways to make such gifts; and

• Welcoming members to the Legacy Society, and recognizing them for remembering Calvary in their estate plans.

2019 Accomplishments The Planned Giving Committee hosts an annual Legacy Society Luncheon in May, in appreciation of the contributions of Legacy Society members to the future of Calvary Church. The Committee also sends cards of thanks to Legacy Society members – most recently, this past Thanksgiving. This report seeks a Chair for the Planned Giving Committee. A new Chair would lead the Committee, stimulating new membership in the Legacy Society, and thanking the Society’s members for their commitment to Calvary’s future. 2020 Objectives

It is hoped that the Planned Giving Committee may be reactivated in 2020, with a Committee Chair and at least two active Committee members. The Committee could then play its important roles:

• Recognizing Legacy Society members with a Spring appreciation event, and thanking them for their vital commitment to Calvary; and

• Raising the profile of Planned Giving by hosting an occasional Sunday morning Planned Giving Forum and coffee hour.

3-to-5-year Goals and Needed Resources

• New energy and ideas are needed to sustain Calvary’s Legacy Society and to keep the message of Planned Giving fresh and appealing.

• Going forward, it is hoped that the number of Legacy Society members might increase, perhaps by three-to-five new members each year.

• No financial resources are anticipated for the Planned Giving Committee over the next 3-to-5 years.

2019 Accomplishments

• At the request of the Endowment Committee, streamlined Calvary’s Endowment structure by transferring (a) the Memorial Fund and the Porter Memorial Fund, and (b) the Operating Investments Fund (formerly the Due (to)/From Operating Account) from Calvary’s Endowment investments to its M&T Bank Money Market account – while substantially reducing the size of the Operating Investment Fund to no more than $5,000.

• Collaborated with the Property Committee in Calvary’s successful two-year lease (at a higher rate) of the rental property at 28 Milton Street.

• Evaluated storage-rate “comparables” on the successful rental (also at a higher rate) of the AAUW book storage space in Calvary’s basement.

• Worked with the Budget Sub-Committee to produce a balanced budget for 2020.

2020 Objectives

• Improve how each of Calvary’s individual committees is informed of its detailed annual budget allocation.

• Collaborate with the Housing Committee to lease the two bell tower offices.

• Work with the Vestry, the Endowment Committee and the Property Committee: o To help clarify Calvary’s rules for allocation/investment of bequests and other gifts to

the Parish; and o To strengthen Calvary’s capital planning process.

• Work with others at Calvary to examine of how Calvary might respond to two challenges to our aging congregation: o Declining Parish income (and thus, spending) through lost pledges; and o Decreasing parishioner availability to lead/support Calvary’s many committee

activities. 3-to-5-Year Goals, and the Resources needed to get there

To address the above two challenges to our aging congregation, Calvary could do some strategic planning to anticipate leaner, and perhaps different, times: A Calvary “futures” group might consider how to improve/evolve/broaden our programs while perhaps cutting costs – while especially encouraging new, active members of the congregation. Such discussions should not require significantly additional financial resources. Please see Chart 1 and Table 1 on the following page.

In 2018, the Committee recommended to the Vestry total 2019 withdrawals of 4.25% or $66,814. The following aggregated activities occurred in the Investment Funds in 2019:

• Deposits, $253,316

• Withdrawals, $336,291

There was a Vestry Resolution passed in October that directed $250,000 of bequests be added to the General Endowment Fund with the balance of $125,121 to be used for capital projects. An exception to the Bequest Policy was properly requested and the transaction was approved by the Vestry. The withdrawals noted above reflect the movement of the Memorial Fund, Porter Memorial Fund, and Bequests for the capital projects to a liquid commercial savings account. 2020 Goals

• Finalize categorization and treatment of remaining Endowment sub-funds

Finance Budget Sub-Committee: Robert Firestine

2019 Accomplishments

Although faced with tightening prospects for Other Income (see Finance Committee Report), the Budget Sub-Committee produced a balanced budget for 2020 – closely collaborating with the Property Committee and double-checking potential spending estimates with several other committees as well as Calvary’s Accountant and Sexton.

2020 Objectives:

Keep a close watch on Income trends If Income flows continue to tighten into 2020, the Budget Sub-Committee might well need to:

• Work with the Finance Committee to review our spending levels and patterns as we move through the year; and/or

• Strengthen the Sub-Committee’s future approach to expense budgeting. Work more closely with Committee Chairs regarding Budget Requests and Budget Allocations The Budget Sub-Committee would like to start the budget planning process earlier September, to provide:

• More time in September to clarify each Committee’s budget request; and

• More time in late October-November to review each Committee’s 2021 budget allocation with its Committee Chair.

3-5 year Goals and Needed Resources

The Sub-Committee’s goals over this period are as follows:

• To produce Calvary’s Budget for the following year in time for Vestry consideration by mid-November and Vestry approval by mid-December each year, and

• To improve the way detailed final budget allocations are communicated to the individual program committees.

No financial resources are anticipated for the Budget Sub-Committee over the next 3-to-5 years.

Finance Scholarship Committee: Craig Werner

• Reviewed and slightly revised scholarship application.

• Publicized availability of scholarship and entertained applications.

• Awarded two scholarships for $1,000 each ($2,072 was made available based on 4.35% fund draw).

• Gave informal presentation during Rector’s Forum and sponsored coffee hour on Nov. 10, discussed history of Calvary Scholarship Fund and current practices.

• Presented program “Scholarship Success” on Nov. 11, 2019, with advice applying for Calvary and other scholarships. Speakers were Dr. Mark Veronica from the Western New York School Counselors Association (how to use online resources to find appropriate scholarships); Dr. Betty Krist from the AAUW Scholarship Programs for Western New York (importance of following directions, selecting suitable references); and Dr. Craig Werner, retired from Buffalo State College (essay preparation). Mary Bashore served as moderator and provided refreshments. There was strong support noted for continuing this community-wide initiative.

2020 Goals

• Publicize scholarship availability within Calvary church family.

• Obtain adequate funds to support qualified applicants (Scholarship Fund in good shape contingent on sensible draw rate).

• Continue to seek ways to help our population obtain scholarships, inside and outside of Calvary’s walls.

2020 Resources

• Funding on at least the order of what we have had for the last two years.

• Committee members who will perform imaginatively, professionally, and competently.
