from the desk of David R. Ketchens, MBA, CHFM, CEFP… The maintenance organization supporting UTMB recently reorganized from a geographical zone-based structure to an operations functional-based alignment. The operational alignment parallels the Research, Clinical, and Academic/Business components at UTMB. A fourth group was added in maintenance to focus on predictive and preventive maintenance of the fixed assets in the machine rooms. This group is there to ensure the reliability of these fixed assets! Each of these four groups is led by a Program Director who is responsible for all aspects of the buildings in their functional area. These program directors report to me in my role as Associate Vice President of Property Services. Property Services also includes Clinical Equipment Services and Environmental Services. The four Program Directors are Paul Gonzales for Academic/Business enterprises; Russell Rodecap for Research properties; David Reynolds for Asset/Reliability and the newest member of the team, Mike Lawson for Clinical enterprises. Mike is a Certified Healthcare Facilities Manager and has many years experience as a director, facilities management, for hospitals both not-for-profit and for-profit. Mike is from New Orleans and was there in a director’s role during hurricane Katrina. We welcome Mike as a very important addition to our team. As we rebuild our department, this restructuring will help us focus the appropriate expertise on each functional area. Furthermore, as we receive the resources required, we intend to create a pro-active effort in Maintenance that will take the concerns and associated burden of worry for asset and building systems reliability away from our customers. (See alignment map on the next page)

Working together to work wonders…. Here are a few of the significant

accomplishments completed in February by Business Operations and Facilities employees.

• Covered two weather related emergencies • Prepared Waverly Smith Pavilion 4th and 5th

floors for Post-Partum occupation • New baby warmers were installed and in-service

on their use was completed • New Field House equipment has been received

and installed (6 treadmills and 4 elliptical train-ers)

• Completed the annual inventory at the Book-store

• MOD Coffee house project is 100% complete • EVS employees, Jason Botkin and Brenda Kaye

Mears, earned their CHESP certifications (Certified Healthcare Environmental Services Professional)

• EVS received a GREEN level (which is the same as a 100) on SOX (Sarbanes Oxley Audit)

• All fire and smoke damper inspections for healthcare buildings have been completed

• Materials Management Warehouse and Hospital Supplies have both added night shifts.

• Awarded the construction agreement for the TDCJ Imaging Equipment Relocation and Renova-tion

• Contract for the Institute for Translational Sciences Children’s Hospital has been awarded.

• Finalized the agreement for the Syringe Pump Replacement project.

• Elevator replacement is underway in MRB and Basic Science Building.

• Patient room construction is underway in Tow-ers, 7 and 8.

• 1st phase of McCullough electric switchgear re-furbishment was completed.

February Breakfast with Bonnardel Leah Glenn, Data Analytics; Sarah Simmons and Pete Martin from Central Purchasing; Jane Ramos, Mail Ser-vices; James Gitrey, Materials Management Warehouse Inventory; and Keith Berry from Delivery all enjoyed breakfast and conversation with Jeff Bonnardel in February. James Gitrey talked about the new evening shift that Materials Management Inventory added. This new shift, from 4:00 pm— 12:30 am, was added to allow supplies to be brought to the hospital from the ware-house after 5:00 pm., thus freeing up the dock during the day for other uses. Jeff talked a little bit about the ‘You Count’ survey, and encouraged everyone to complete the survey if they hadn't already done so. He also thanked everyone for their hard work during the February weather emergencies. This brought us to the upcoming hurri-cane season. Jeff urged everyone to talk to their su-pervisors to confirm their work status during emergen-cies, and reminded everyone to review their area plans.

Utility Conservation = Savings for UTMB

In February, the Sustainability Department within Utilities Operations was contacted by representatives from the Specialty Clinics-5th floor UHC regarding an interest in reducing the number of light bulbs in light fixtures in their area in an effort to conserve energy. The conservation initiative all began through the promptings of James Wilson, LVN. Careful consideration was taken to affect only those areas that would not impede patient care or administrative office work. In fact, light measurements were recorded by representatives from Environmental Health and Safety and the Sustainability Department to guarantee safe lighting levels were not compromised through the initiative. All in all, thirty-three (33) fluorescent light bulbs were removed from James’ work area, which equates to more than a $500.00 annual savings to the institution. It is impressive to think of just how many other areas throughout the institution there are that may be much like Mr. Wilson’s, and could potentially add to the energy savings represented, and re-duce our overall utility consumption. Because of his initiative and Sustainability-conscious effort to save energy and money for UTMB, Sustainability awarded Mr. Wilson with a certificate of appreciation. THANK YOU, James! Chuck Miller joins the Mail Services Team What attracted you to UTMB? UTMB is a great organi-zation to be with. As a major employer in the Galveston area it made it the logical choice as the place to want to be. There are a lot of opportunities working at UTMB, and it’s a place I can really be proud to have as my employer. Briefly describe your job. I am a materials Handling Tech-nician. I sort incoming mail from the U.S. Postal Service for the campus community, case the mail for my various routes, and deliver and pickup mail from my routes. What do you like most about your job? I love the people I work with, and also being able to support this institution while having the opportunity to interact and provide cus-tomer service to the many customers at UTMB. What do you find is the most challenging part of your job? Sorting of the mail would have to be the most chal-lenging, especially if complete address information is miss-ing. Other than that, I would say learning all the different buildings and department locations on such a large spread-out campus. What do you like to do when you are not at work? I’m a gamer. I usually play WOW (World of Warcraft) online. Favorite movie? The Legend of Ron Burgundy, Anchor-man Favorite book? Lord of the Rings Favorite TV Show? That 70’s Show Favorite music? R&B and Rap Favorite vacation spot? Maui Anything else you want to tell us about yourself? “I am cooler than a Bud Light”

Its Never Too Early To Start Completing Your Mandatory Online Training

Alumni Field House News and Notes New equipment has arrived and we have gotten very positive feedback from our members. Six new Precor treadmills and four new Precor elliptical trainers arrived and replaced some of our more outdated machines. The treadmills are state of the art and are equipped with Inte-grated Foot-plant Technology™ (IFT) and Ground Effects® (GFX) impact control system, to deliver a smooth and natural feel when running or walking. The new Elliptical Crosstrainer (EFX) machines feature longer stride lengths and higher elevation than previous models, deliver-ing better recruitment of (hip and thigh) glute muscles. On the group exercises front, several new classes have begun. Beth has added Wednesday evening at 5:30pm to Yoga class offering. This class is great for both beginners and experienced Yogis. Zumba has really taken off and Adriana is now offering her class on Fridays at 12 noon. The very popular, instructor lead Boot Camp began another session and meets Monday, Wednesday and Friday from 11:00am till 12 noon. The class is full at the moment but if you are interested in the next session let us know. The full group exercise schedule is available at the front desk or on the Auxiliary Enterprise website. I will be performing routine industrial hygiene and safety duties. This includes performing chemical monitoring, respiratory fit testing, and emergency response. What do you like most about your job? I like performing safety procedures to ensure employees’ safety for themselves and their work environment. What do you find is the most challenging part of your job? The daily changing challenges of everyday activities. Every day is different in industrial hygiene and it requires you to use a different skill set to ac-complish your job. Warehouse Safety Tips

Working in a warehouse is challenging. Long hours, heavy lifting, and work overload can make it even more challenging. When working under challenging circumstances it is easy to make mistakes, and mistakes are how people get hurt. Always keep in mind the safety of yourself, fellow coworkers, and visitors. Here are some tips to

keep workers and visitors out of harm’s way. 1. Utilize necessary protective gear. 2. Don’t rush. Trying to get something done faster can lead to ‘shortcuts’ which

can end in disaster. 3. Take your scheduled breaks. Keep yourself hydrated and well fed. This will help

you fight off fatigue and keep your mind more focused on the task at hand. 4. No MP-3 players or i-Pods should be used in the warehouse. You need to be able

to hear, as well as see, everything going on around you. 5. Make sure everyone knows the evacuation route in case of emergency. 6. Limit cell phone usage to emergencies only….and step outside if at all possible. 7. DO NOT walk and text anywhere in the warehouse. 8. Training is key. Don’t let any of your coworkers operate machinery without hav-

ing the proper training. 9. Keep your eyes open for visitors to the warehouse. They may not know safety

protocol in the warehouse, and put themselves in a dangerous situation.

The Sustainability Department within Utilities- Business Operations and Facilities has recognized representatives from Health System Administration and Employee Health Promotion for their ongoing campaign “Stairway to Health”. According to Gerald Cleveland, Director of Employee Health Promotion, “The funding for this initiative came from a Resource Allocation Program grant with the Texas State Workers Compensation Fund. The original RAP grant funded in September of 2009 focused on creating an environment of health for the employees, students, patients and guests of UTMB. As construction issues, elevators in particular, in John Sealy came to the forefront, Health System Administration saw a need to address this as well and a collaboration arose with Ben Dzialo from HAS and myself with the Employee Health Promotion Program leading the effort. To date the first phase of the campaign has begun and we feel it has been a great success. Usage of the pilot stairwell has increased; employees are noticing the signage and awareness has been created around the need to take to the stairs”. In fact, in the two week period between February 18th and March 2nd, stairway usage increased over 257%!!

What is most exciting to Sustainability is that each time someone takes the stairwell for their health, there is also a potential energy savings. In an article from http://energyexperts.org/EnergySolutionsDatabase/ResourceDetail.aspx?id=1709, an elevator manufacturer, “…has calculated the average kWh required per day for a single elevator equipped with MG, SCR, and VVVF drives (see table below). Elevators with hydraulic drives would be expected to use about 25% more energy than the SCR drive. The average energy use values are given for elevators of various capacities, serving from 3 to 32 floors, and are based upon an 8-hour operating day and an elevator with a maximum full-load mass of 19,000 pounds.

Sustainability is always interested in cost-saving initiatives from everyone throughout the UTMB community, and UTMB has a great opportunity to lead the way when it comes to conserving energy consumption and resources. Because of the initiative demonstrated from

these areas, Sustainability awards Mr. Cleveland, and Mr. Dzialo with a certificate of appreciation.
