Prime Bank Ltd. is itself is a Brand and it is a bank with difference. The bank was established in 1995 to offer diversified and innovative services to the general mass. As a result the Bank has introduced the following services for customers.

10. The bank has opened solely owned exchange houses in Singapore and England.

The above list is not comprehensive and the Bank has been trying to introduce more new products such as tele banking, mobile banking, internet Banking and much more.

Every countries of the world, index of stock exchanges are stable. Sometimes index ups & sometimes goes down and it depends on oil, gold & dollar price hike.

But in perspective of Bangladesh stock exchange collapse due to Regulatory Body i.e. Security Exchange Commission, Stock Exchange and Central Bank have many contradictions.

As a result Security Exchange Commission cannot take control over Merchant Banks or Brokerage Houses.

1) Central Bank imposed to all Commercial banks to reduce their investment and set limit of invest 10% of this capital.2) Not to allow investment black money in stock market.

3) No Tax debate facility in secondary investment.

4) Reduction of Margin loan ratio.5) Adverse political crisis.6) Dishonest syndicate investors, poor knowledge of investors regarding investment, market rumor are also reasons behind the stock exchange debacles.

Question-1. What is Business Communication? What are the types of Business communication?

Ans: The word communicate is derived from the Latin wordcommunicare which means to share, exchange, send along, transmit, talk, gesture, write, put, in use, and to relate. The word communication is the noun form of the word communicates. A number of definitions have been given to the term. A few important ones are:

Communication is sum of all things one person does, when he wants to create understanding in the mind of another. It is a bridge of meaning. It involves a systematic and continuous process of telling, listening and understanding (Allen Louis)

Important Characteristics of communication are:

1. Communication is a two way process

2. Communication always happens between or among two or more parties-sender and receiver.

3. Communication involves and exchange of facts, ideas, feelings or thoughts.

4. Communication uses verbal ways like words spoken or written, or non-verbal ways like gestures, postures, etc

5. Communication needs a mutuality of understanding between sender and receiver.

Type of Business Communication

These are mainly two types of Business Communications;

1. Internal Communication

Communication within an organization in called Internal Communication It includes all communication within an organization. It may be inform or formal function or a department is providing communication in various forms to the management or the employees. Internal communication may be as follows.

2. External Communication

Communication with the people outside the organization is called external communication. External Communications are made with the people for success outside the organization, such as vendors and customers.

When communication is made through the channels to attain goals of the organization is called a formal communication but when the communication is made without any use of channel and without any specific agenda is called an informal communication.

4. Oral and Written Communication:

If the communication is made face to face without any help of written material is called oral communication and when writing materials are used for communication purpose is called written communication.

5. Spoken Communication:

Spoken communication is one of the most effective communications where the situation does not permit any other form of communication. Spoken form of communication may be of different types.

Question-3. What is Business communication process cycle? How a Business communication is distorted? What measures would you suggest to check the distortion of business communication?

Ans: The Communication Process/Cycle

Before communication can take place, a purpose, expressed as a message to be conveyed is needed. It passes between a source (the sender)and a receiver. The message is encoded (converted to a symbolic form) and passed by way of some medium (channel) to the receiver, who retranslates (decodes) the message initiated by the sender. The result is the transfer of meaning from one person to another.

Components of communication Cycle are:

1. The source

The source is the place or the person form where the message being communicated emerges.

2. Encoding

In communication, the act of producing message, for speaking or writing is termed as encoding.

3. The message

The message is the actual physical product from the source encoding. When we speak the speech is the message.

4. The Channel

The channel is the medium through which the message travels. It is selected by the sources, who must determine whether to use formal or informal channel.

5. Decoding

The act of understanding messages is known as decoding. When the sound waves are translated into ideas thus, listeners and readers are often regarded as decoders.

6. Receiver

The receiver is the object to whom the message is directed. But before the message can be received the symbols in it must be translated into a form that can be understood by the receiver.

7. Feedback

The final link in the communication process is a feedback loop. Feedback is the check on how successful we have been, in transferring our messages as originally intended.

Noise refers to distractions and interference in the environment in which communication takes place.

a) Physical noise-noise in surroundings

b) Technical noise-failure in the channel or medium of communication

c) Social noise-difference in personality, culture or outlook of the sender and receiver.

d) Psychological noise-excessive emotion, prejudice or nervousness

e) Semantic noise-use of different language, not understanding to receiver

Distortion refers to the way in which the meaning of a communications is lost in handling. Problems of communication can be overcome by:

1. Proper planning of message

2. Not to omitting or overloading of information

3. Avoiding technical jargon and non-verbal cues

4. Checking the recipients status

5. Using appropriate channel or medium

6. Trying to make the source credible

7. Using free from bias language.

Question-4. What are the Principles of sound Report writing? What are the elements of a long

form report?

Ans: Characteristics of the short form reports:

1. The shorter forms of report are very common in business or for any other communication. Such type of report is prepared on daily basis for making purpose of the organization. These reports cover only the day to day problems of the organization.

2. If requires little or no introduction

3. Short report directly deals with the problems and furnished with recommendation and conclusion.

4. The body of a short form report contains the description of the incident or fact on which the report is prepared.

5. There may be a scanty analysis of events in report understanding of the reader for taking decision on business or organizational issues.

Long Formal Report:

A long formal report is written on a subject who covers wide area of a problem or to find a solution of the problem. A long formal report may be a thesis, a dissertation, on ternary report, on annual report of any organization or any report made for any special purpose.
