Building Relationships and Overcoming Copyright

Anxieties

Susie Quartey, November 2009

HistoryYou must first know where you’ve been before you can lead the present into the future.

Cumbersome, manual, labor-intensive process, disjointed, and prone to mistakes

Lost papers, illegible hand-writing, difficult to trackFaculty © clueless/ignorant

No proof of permissionRequired proof met with great resistance/avoidance

I wanted out!

History

History

VisionIn 1993 “Three Cups of Tea” author Greg Mortensen had a vision of building a school in Pakistan.

Envisioned an automated system, three separate components, joined in purpose

Knew there would be challenges but determination prevailed

The system was built and my vision was realized

Vision

SupportImmediate and constant. Continual

encouragement.

Copyright law was the impetusCopyright Licensing Office (CLO)

established,1999Docutek purchased, 2000Joined the CLO, 2001RMEO foundation laid and developed,

2005

Support

ResourcesNearly unlimited resources provided

to create RMEO.

Large LIS departmentSkilled/knowledgeable staffDesire

Resources

PatienceA virtue beyond measure.

Progress takes timeDays of frustration—would it be worth

it?Testing takes more timeOnce completed, continued patience

necessary to work through the bugsProcess repeated with each upgrade

Patience

FacultyFriend or foe? Friend to the service;

foe to copyright.

Visit with faculty; asked them what they want

24/7 accessno paper formspersonal interaction with staffBb integrationAbility to renew online Faculty

ConfidenceThere is power in belief—believe in what you can accomplish.

Positive attitude is a necessity Market your services—if you don’t, who

will?Smooth out difficulties when bumps

occurr—essential with new systemBelieve in yourself and your service

Confidence

CommunicationMost difficult hurdle to overcome. The key component to continued success.

Met often during development; continue to meet monthly

“RMEO has helped Copyright and Reserve have better and more immediate communication. The communication back and forth is quick and clear, and compels a response.” Bonnie

CLO launched © education/compliance initiative Provided basicsResulted in reduced faculty anxieties; Tenured faculty were difficultNew faculty more accepting

Communication

StaffImpossible without. Irreplaceable and valued.

“RMEO makes our work much faster and more efficient. Our service to the faculty is greatly improved.” Megan, Reserve Assistant

“The CLO staff have a thorough understanding of copyright law. They do everything they can to help us aid the students in their studies and the professors in their teaching.”

Bonnie Jacobs, Reserve Manager

Staff

Shortfalls of RMEONothing’s perfect.

Used in conjunction with Docutek, OPAC, and Excel. Hopefully someday, one system will do all!

Some professors prefer to upload a PDF in Bb because its easier for them, however, there is no guarantee of © compliance

Not a good way to keep track of cross-listed classes

Need improved reports options When RMEO was born, some faculty still

wanted concierge service

Benefits of RMEOReal and tangible. Environmentally

friendly.

Available 24/7Professors may check the status of their

requests onlinePulls course information from University

registration systemRequirees complete information from

professorsProfessors and staff can track requests

and permissions

“Delivering requests” part of natural workflow—not a task someone must remember to do each Friday

Allows Reserve to see the status of copyright

No more massive pull-off sessions!!!Reduced human error—no more illegible

handwriting or “lost” papersEase of use encourages © complianceReserve/Copyright relations improved as

both sides gained understanding of each other's responsibilities

Open source code usedReduced staff in Reserve and CLOPartnered with Docutek and Sirsi/Dynix

SummaryHard work? Definitely! Worth it? Absolutely!

“I have never encountered administrative units so dedicated to being of real, not pretended, use to the faculty.”

Dr. Valerie Hudson, Political Science

“Excellent service. Wonderful cooperation. Occasional glitch. Face-to-face interaction is my favorite. Can’t say enough good about the system or the staff.”

Dr. Bruce Jorgensen, English
