Region IV Advisor Responsibilities In Career Technical education, involvement in a youth group is a federal mandate. Region IV business educators participate in Business Professionals of America (BPA). BPA activities are co-curricular and are numerous; advisors at each school select the activities that fit their lesson plans. Region IV exists primarily to support competition activities; however advisors will assist with Torch Awards and Ohio Exemplary Chapter. Region IV Advisors and the schools they represent are listed under the Advisor Contact Information section. Advisor’s duties listed below are the fundamental duties and not exhaustive:

§ Familiarize yourself with the contents of this handbook. § Familiarize yourself with www.bpa.org; BPA’s national website § Update your personal information in August, each year. A request will be sent to you via

email. § Throughout the year, deal promptly with emails and phone messages from Region IV

advisors. § Register students and advisors in September, each year. § Process students and advisor annual dues in September, each year. § Print out competition material as a class reference. See Competition Preparation section. § Provide two (2) $10 gift cards. § Attend the Region IV Fall meeting held at the Delaware Area Career Center. See enclosed

calendar for dates and times. § Study the competition(s) you will proctor. § Prepare for transportation for both competition and the awards ceremony using the calendar

as a reference for times. Note: students will need to have personal transportation to arrive to school early and for transportation home.

§ Arrange for a substitute teacher, if needed. § Prepare field trip forms and plan to carry emergency forms for each student. § Register students for competition December - January, each year. Be aware and abide by

final dates for registration and changes. Present BPA competition in such a way to keep competition changes to a minimum.

§ Prepare yourself and your students for competition. Tip: study competition guidelines. § Complete all competition tasks assigned to you at the Fall Meeting.

Some advisors prefer to have their students in as many competitions as possible, some prefer judged events. The rule of thumb to consider is this; the more contests you have your students involved in, the more tasks you will contribute to competition activities. There is to be even work distribution across the board amongst all advisors. Your chapter number is provided on your first invoice of the year. To help, here is a listing:

Competition related activities are not the only tasks associated with BPA. Work distribution needs to consider Region IV activities outside competition. Advisors with year round responsibilities are:

CEAC is the acronym for Classroom Educator’s Advisory Council

Finally, Region IV Advisors are all business educators providing Region IV with a wealth of education and experience in business and communication skills. All advisors are expected to be positive contributors in their manner in which duties are managed. As educators and business people, superior people and communications skills are expected in dealing with advisors of other schools, your students and students other than your own, at all times.

Advisors that do not complete tasks as intended can expect regional directors to contact their principal and/or superintendent for assistance. Some advisors serve in specific leadership roles called Coordinators on a voluntary basis. The roles are defined and volunteers are listed on page 6.

BPA Region IV Coordinators BPA Region IV Coordinator’s Role: Lead a specific function within the BPA Region IV organization by being a communication and management channel that initiates information among BPA advisors to ensure connectedness among advisors task directions and task completion. Testing & Applications Contests Registration Coordinators – Tammy Klein, Dave Rashley, Nate Greene (Testing & Applications Contests Experts) These coordinators work together to assure correct registration of all students and manage all functions related to participating in Testing & Application contests. Judges’ Packets Coordinator – Tammy Klein This coordinator will obtain all supplies and prepare all judged events packets. Proctor’s Training Coordinator – Dave Rashley This coordinator will be the regional expert on all judged events. Conduct proctor’s training conference call, making certain proctor’s are prepared for competition. Prior to Judged Events Day, act as liaison and communication’s coordinator for competition questions. Regional Officer Coordinator – On hold ??????? Judges’ Coordinator – Tammy Klein, Dave Rashley, Nate Greene (Relationship Building / Coordinate Judges with Events) These coordinators will maintain a database of competition judges by communicating with advisors locating judges, communicating with judges to provide competition information and locating judges. Judged Events Coordinator – Tammy Klein, Dave Rashley, Nate Greene (Judged Events Expert & Judged Events Day) These coordinators work together to create the drafts and final plans order of the judged events site information, contestant names and times to create the Competition Schedule. Grading Coordinator – Tammy Klein This coordinator will organized all aspects of Grading Day, including notification emails, room setup, arranging for food for graders and Scantron. This coordinator will be responsible for being the region expert on open contests. Awards Ceremony Coordinators – Will Contact Trophies Unlimited Obtaining and distributing trophies & ribbons. Must be ordered a minimum of two weeks before awards ceremony! Archivist Coordinator – ?????????????? Assure complete judge’s events paperwork and orderly filing of. Special Olympics Coordinator – ???????????? Competition between the schools locally to raise money and the winning school will receive a traveling trophy. The winner will be announced on the Awards Broadcast. Track Special Olympics donations weekly and send out competition updates, weekly during the month of January.

Competition Preparation - Preparing Your Students

The acronym WSAP represents Workplace Skills Assessment Program. There are three (3) formats for competition:

§ Open Test – Taken at school, graded at Grading Day § Application – Taken at school, graded at Grading Day § Judged Events – Judged on Competition Day

Students may enter 1 Open Test, 1 Application Event and 1 judged event. You and your students will need a resource of competition information. Our suggestion is to: Obtain a 3” binder and plan to have it available for you and your students as a classroom resource. Binder Organization: Organizing this way will place events will be in numerical order

§ Place the Events at a Glance at the front of your binder. § Use section dividers and label them:

o Financial Services Events o Administrative Support Events o Information Technology Events o Management/Marketing/Human Resources Events o Style and Reference Manual o Human Resources Manual

§ It’s time to print binder material o Go to www.bpa.org o Click on The Workplace Skills Assessment Program (left side) o Scroll down to the bottom o Click on Click here to Enter the Download Center o Be certain to scroll down to the Secondary School Section o Print the Style and Reference Manual (about 40 pages) o Print the Human Resources Manual (about 40 pages) o Print 2014 WSAP Events at a Glance (2 pages)

Tip: When you and students use the binder, it will undoubtedly get out of order. Note the page numbers at the bottom and point this out to students. Tip: Prepare students for alternative transportation arrangements for both the morning and afternoon of Judged Events day, if the student is participating in Judged Events. Only students that participate in Judged Events attend Competition Day.

Preparation:

§ Advisors must study the competitions in order to instruct students. § Advisors can limit the competitions students are permitted to select. § Advisors can permit students to use other professionals as mentors; i.e. Graphic

Design contestants can work with art instructors.

Student Disqualification:

Region IV competitive events are student focused. Students will be disqualified for consequences which are student caused only. Since this is a Business Professionals of America event, advisors are to instruct their students that student’s language, behavior toward each other and behavior toward students of other schools is to be within the range of “professional”. Since this is a school event, all students are expected to abide by the rules of their home school at a BPA Region IV event. BPA Region IV directors reserve the right to disqualify a student from their competition for behavior outside the rules of the student’s home school or BPA standards. Disqualification decisions will be a consensus of the student’s advisor, Tammy Klein and at least one other advisor.

BPA Ohio Region IV Local Competition Guidelines

1. Application Events – 5 local contestants, per advisor, with a contest score of 50% on their local competition or better can proceed to regional level.

2. Open Contests - 5 local contestants, per advisor with a contest score of 50% on their local competition or better can proceed to regional level.

3. Individual Judged Events – 5 local contestants, per advisor, with a contest score of 50% on their local competition or better can proceed to regional level and 50% to the state level. Please note that interview skills will be capped at 3 local contestants per advisor.

4. Team Judged Events – 5 teams, per school, with a contest score of 50% on their local competition or better can proceed to regional level.

5. All Events – to proceed from regional competition to state competition, students must score a minimum of 50%.

6. Advisors will present their competitor’s local competition score sheet, the day of Judged Events, in alphabetical order by all competitors.

7. Open Contests: will be graded via Scantron 8. Application Tests: are hand graded requiring more advisor labor. Therefore, for each group

of 20 or partial group of application tests, the advisor is required to provide 1 qualified grader. · For example; for an advisor bringing 53 application tests to grade, the advisor would be

expected to come to grading day and bring 2 additional qualified graders. · For schools with less than 20 contestants, advisors have the opportunity to coordinate

with other advisors of less than 20 competitors to the sum of 20. A qualified grader, needs to be defined by our region’s advisors.

· The purpose of a qualified grader is to assure quality grading of student competition. · The purpose of these new grading guidelines is share fairly the burden of effort and

labor. Advisors that chose to have their students involved in multiple events will be expected to bring more qualified help to help with the workload.

9. If a member of team helps to produce the work but cannot be present for the presentation portion of the competition, the rubric addresses this issue with a 10 point deduction.

BPA Student Dress Code for Competitive Events Special Olympics & Voting Rules

Professional business dress is required for conferences, judged events and award ceremonies for BPA activities. The following items are NOT permitted to be worn: T-shirts, jeans (of any color), sweat pants/suits, athletic/gym shoes, flip-flop sandals. Violation of the “official” BPA Region IV dress code will result in the disqualification of the student in violation.

Recommended Dress Code for BPA Region IV Events Female Students: 1. Clothing a. Blazer/business suit with dress blouse or b. Skirt or dress slacks with dress blouse or dress sweater or c. Business dress 2. Dress shoes and stockings Male Students: 1. Clothing a. Business suit with collared dress shirt and necktie or b. Sport coat/dress slacks, collared shirt and necktie c. Dress slacks and collared shirt (shirttails tucked in) 2. Dress shoes and socks (colors that match slacks is best)

Special Olympics & Region IV

BPA’s charity of choice is Special Olympics. Region IV participates by:

• Selling students raffle tickets at a cost of 50 cents each or 3 for $1.00. • Tickets will be emailed. • Money is turned in at Grading Day, Judged Events Day or the Awards Ceremony to Peg

Curts. • Each advisor is responsible for providing two (2) $10 gift cards. • Prizes are awarded at the Awards Ceremony • Students need not be present; teachers will be given raffle item

Voting Rules

It is ideal that each advisor attend Region 4 conference calls, the Fall Meeting and Spring Meeting when decisions are determined, usually by voting. Understanding the school expense associated when multiple advisors attend a meeting, an advisor may vote on behalf of their district’s co-advisors.

Trophies are awarded (1st or 2nd place) in alignment with the number of students eligible for state competition. Examples: Fundamental Accounting – can send 2 students to state

Therefore, Fundament Accounting gives out trophies to both 1st and 2nd place. Website Development Team – can send 1 team to state Therefore trophies are awarded to all team members of the 1st place team All other places, up to 6th Place, receive ribbons.

Judged Events Checklist

1. Review the items in this packet. 2. Meet with your proctor and review the processes of the day; s/he will keep you on schedule. We are

on a bus schedule; staying on time is critical. 3. Please set your cell phone to vibrate or silent. 4. Begin competition at 8:45

• You may need to abbreviate your business methods to meet contest time frames and guidelines.

• Write neatly and legibly. • Try to put each contestant at ease. A smile goes a long way toward making nervous students

feel comfortable! • Consistency in judging is important; maintain the same expectations of and enthusiasm for the

last participant as for the first. • When rating the first contestant, leave yourself room to score subsequent contestants

lower or higher. 5. Notify your proctor of any needs; drink, restroom break, phone call, etc. 6. Score the rubric or rating sheet for each individual/team. 7. Tally the final score(s) on one Judge’s Score Sheet and assemble each contestant or team’s papers

so the compiled score sheet is stapled on top of their work. 8. Feedback/Comments are welcome and encouraged to help students improve their skills. 9. Choose one judge’s score sheet to tally a final total for the individual/team. 10. Assemble each contestant’s papers so that the compiled score sheet is on top. 11. Grading Day The only advisors that attend Grading Day are those whose students take Open Test or Application Tests. Some advisors prefer to have their students in as many competitions as possible, some prefer judged events. Advisor attendance is based on the following formula: For each 20 contests/applications your chapter brings, the advisor will need to bring 1 qualified grader. Chapters that have less than 20 contests/applications may negotiate with other chapters so that only 1 teacher attends. However, in the case that the designated teacher cannot attend, one of the negotiating teachers must attend. Failure to arrive on time and serve the entire time will be reported to principals.

Judged Events Day If an advisor has:

§ completed all tasks on the Tasks List in an accurate and timely fashion § prepared students to meet the stipulations of the judged event § communicate special circumstances to the appropriate person § studied competition materials for the proctored events

the advisor is ready for competition day! All advisors are expected to attend Judged Events Day, if you have at least one student competing. If you cannot attend, you must arrange for a qualified replacement and provide the name and qualifications to one of the regional directors as soon as possible. Notes & Tips for Success: - Plan to arrive at the competition site by 8:30, plan to stay until your student’s competition is complete and

your assigned event is complete. - All BPA Region IV Advisors will be distinguished by: nametag with large letters. - Take attendance on your bus. Advisors turn attendance into the registration desk immediately upon

arrival. - Students proceed directly to the student waiting area. - Region IV Advisors need to stay at their assigned event site until the event is completed, but should not

be in the room while a contestant or team is presenting. - Students will use contestant numbers. - Travel time is considered in scheduling competition. - Inform students of lunch plans. Snacks and drinks that are carried in are permitted. - Lunch is provided for judges. - Let your students know where you will be. - Offer to get drinks and refreshments for your judges. - Prepare your students they are participating in a Judged Events Day for Business Professionals of

America. Vulgar language and behavior towards all others is offensive, unprofessional, cause for discipline and possible disqualification from their event. The rule applies to both Judged Events Day and the Awards Ceremony Day.

Region IV Competition Standards:

1. Region IV will avoid all perception of inequity to the best of its ability. 2. No students (especially from the hosting schools) will have access to their competition rooms prior to

the contest as this provides an unfair advantage. 3. When Proctor Training takes place, minute details of each competition will be discussed to eliminate

any differences in instructions to students. 4. If a student or team does not meet a minimum standard at Region IV competition, s/he/they will not

proceed to state competition. The percentage level of performance required will be determined at the Fall Meeting.

5. Timed tests will be used as a tiebreaker instead of ranking by who missed the first question.

Awards Ceremony

§ Student Dress Code in enforced at the Awards Ceremony. Dress codes violation will lead to disqualification in every event.

§ Students Intention to Compete at State Level: o Students can only attend 1 contest at the state level. o Students need to declare their intention to compete at the State level at the

conclusion of the Region IV Awards Ceremony whether an individual or team event. § Choosing an individual contest would eliminate their team from being eligible –

see the NEW ruling I received from the BPA state advisor below: • ““If a team member chooses to compete in his or her individual contest

rather than the team event, the team can replace him or her for state competition. This is especially important for a two-member team. If a team has only one remaining member, that individual would not be able to compete at state. By virtue of its name, a team must have at least two members. The same is true for National. If one member of the winning state team is unable to attend NLC for some reason, he or she can be replaced.

This information may enable students to make a better choice for state. By replacing a team member, the remaining members can still compete and there is sufficient time to bring the new member up to speed. For some, it may seem unfair that a student who did not place at regional can now go to state. I would assume that the replacement would be a student who competed at regional’s but did not place in the top two or whose team was in second place.”

§ NOTE: If a replacement will be made for state competition, be prepared to

declare the replacement immediately following the Region IV Awards Ceremony.

§ Reminder – if a student is not recognized for a contest, it may be because he/she was

disqualified for not scoring 50% or above the maximum score.

State & National Competition BPA State Leadership Conference (SLC)

8 SLC is held March 12-13 at the Hyatt Regency, Columbus.

8 Students qualifying at the Regional Awards Ceremony may only attend one competitive event at SLC.

o Advise Tammy Klein at the conclusion of the Region IV Awards Ceremony, which contest your student(s) are participating in so that she can notify the next eligible contestant ASAP.

o There is only about a 1-week turn around time to complete SLC registrations. 8 Even if you do not have a PO processed, the registration form must be submitted by this date. 8 Registration Instructions are located at:

o www.ohiobpa.org. 8 SLC Registration fee and Room rates are listed on the website listed above.

o Single rooms are at a premium, use with discretion. o You can elect to stay at the Crown Hotel across the street and walk through the

underground tunnel. o You will receive an e-mail confirmation upon receipt of your SLC registration.

8 Event Concerns: o Review the “Ohio BPA Contest Deadlines” and “Ohio SLC 2014 Computer Software

Listing” at the website listed above. o Be aware of events that need to be submitted prior to the SLC, the place and date due. o The “Ohio SLC 2014 Computer Software Listing” describes computer software for

each contest taken on-site at the SLC. Remember – the only contests where students may bring their own computers are for Judged Events.

o Some of the contests have additional scenarios/elements that will be given to the contestants on-site for their state competitions (i.e. Small Business. Management, Software Engineering. Team, etc.)

o Read the contest specs in the WSAP for more detail. 8 The schedule for State contest testing will be similar as last year. 8 The Awards Ceremony for SLC will be in Grove City this year.
