The general control and management of the BCEC is with the Board of Directors of Nesco Limited. The day to day management, administration and maintenance of the Exhibition Centre is looked after and regulated by the Executive Director of the BCEC to whom duties are assigned on behalf of the BCEC. They shall, from time to time, prescribe rules and regulations governing the general management, administration, maintenance and use of the exhibition centre (referred to as “BCEC”) including the appointment and duties of employees connected with BCEC. These rules are subject to alteration at any time, at the discretion of the BCEC, without prior notice.

All the provisions in this manual are taken as read by the event organizers at the time of booking of space at BCEC and that they agree to the terms and conditions of licensing/hiring of services by BCEC spelt out in this manual. BCEC reserves the right to add new provisions/delete/change any of the provisions in this manual. The licence agreement for extending facilities by BCEC will be governed by rules and regulations as applicable at the time of the programme. WAIVING OR REDUCING CHARGES – BCEC shall have the authority to waive or reduce any or all of the charges above for such institutions or societies and in such cases it may in its discretion think firm subject to such regulations as may be laid down from time to time by BCEC. Any reservations as also all receipts for all payments of charges and dues shall BCECome valid only when signed by the office‐bearers of the BCEC. The office bearers are not to be held responsible when BCEC disallows for use – force majure. The use of facilities shall be available in the order of reservations made in advance but, if for any reason, it is not possible to allow the use thereof BCEC shall not be responsible in any respect, and in that event, the amount standing to the credit of the party shall be refunded, but the applicant shall not claim any damage or compensation on that account. NO RIGHT / IN FAVOUR OF ORGANISER – It is hereby agreed and understood that no right, title or interest is intended to be created in respect of the BCEC area allotted to the Exhibition Organiser(s) and the payment of maintenance charges shall be strictly in respect of the use of the Exhibition Centre for a specified period. B] ALLOCATION OF FACILITIES The facilities to be allotted for the Exhibition shall be entirely at the discretion of the centre once allotted, except under unforeseen circumstances. USE OF EXHIBITION FACILITIES – BCEC will permit for use at the discretion of the centre for holding Exhibitions on such days and such time when it is not required for use by the centre and on such terms and conditions as prescribed, from time to time, by the centre. BCEC will be permitted to be used for Exhibitions and promotional activities.

The minimum areas to be booked in respective halls are as under: Hall I 8000 sqm Hall V 3000 sqm Hall VI 4500 sqm Hall II As per blocks Confirmation of space booking will be done on first‐come‐first basis and on receipt of advance licence fee as per the schedule of payment. In the event of any failure to honour this payment schedule, BCEC reserves the right to cancel the reservation and allot halls to other exhibition organizer(s) requiring space.
BCEC will hand over possession of Halls only on receiving full payments against all dues along‐with photo‐copies of all the mandatory approvals from the statutory authorities.
C] TARIFFS
The tariffs for booking of exhibitions at BCEC upto FY 2011 – 12:

The following facilities will be chargeable for, as under:

Only air‐conditioning rentals of Rs. 85/‐ per square meter per day will be charged for 15% of gross exhibition space, booked initially, that is utilized non‐commercially such as for Registration, VIP Lounge, Cafeteria, Press Room, Exhibitors room, Rest Area, etc. This rule is specifically applicable for exhibitions happening in halls I, V & VI only and not for Hall II. The tariff for booking the open ground area is Rs. 100/‐ per square meter per day irrespective of whether the space so utilized is for commercial or non‐commercial purpose, including for storage of materials.
Prior permission of BCEC would be required for converting open space into covered space. The guidelines of the statutory authorities and Architect of BCEC will have to be adhered to.
The Wi‐Fi facility can be utilized in the exhibition halls I, V & VI at Rs.25,000/‐ per hall per day.

The above tariffs is exclusive of applicable service tax & other taxes, if any, and various other utility service charges; the electricity/power consumption charges are payable directly to Reliance Energy Ltd.
Payment schedule shall be as follows:
i) License Fee for Halls
‐ 15% of total licence fee on allotment ‐ 20% of total licence fee, 12 months before the event ‐ 25% six months before the event ‐ 30% three months before the event ‐ Remaining 10%, one month before the event
ii) Licence Fee for Facilities & Services. Payments to be made along‐with
the final installment.
Organisers are expected to follow the above payment schedule. Non‐adherence of the schedule will attract additional service charges at 3% per month of the due amount. Delay shall be worked out as per date of receipt of payment in BCEC and as per due date of payment as per the payment schedule. The BCEC reserves the right to cancel, withdraw or change the halls in the event of unforeseen/unavoidable circumstances or for non‐compliance of payment schedule.
Applicable Charges at the time of the event BCEC has prescribed license fee and hire charges for licensing/hiring halls and other facilities of Bombay Convention & Exhibition Centre. Organizers wishing to book space and other facilities in advance will be required to pay all dues on account of licence fee, charges for various services, penalty for surrender of space/cancellation, violation of guidelines, plan, etc. as per the rates/schedule as prevalent at the time of actual usage.
D] SECURITY DEPOSIT
Exhibition Organiser(s) who is allotted space will have to deposit, with the centre, an interest free sum as indicated in the schedule, as General Security Deposit for fulfillment of the terms and conditions applicable for proper utilization of the exhibition centre and other amenities.

The deposit shall be returned after adjustment of all outstanding dues and payable by the Exhibition Organiser(s). The Exhibition Organiser(s), in any event will have to make good any damage or alterations made to the premises of BCEC and other properties and installations of the BCEC on account of improper use / handling. All the display equipment, exhibits, fittings etc will have to be free‐standing and self‐supporting to avoid any damage to floors, walls and ceilings etc. of the premises. Nailing, digging etc. is strictly prohibited in any part of building premises. The deposit will be refunded only after satisfactory clearance of the site / space allotted and after adjusting amounts if any due from the Exhibition Organiser(s).
From the amount deposited as per the Rule above, such sums shall be deducted as are needed to cover the amount of damage, if any, done to the building, furniture, fittings, paintings, facades, electrical and other apparatus etc. during the use of the same by the Exhibition Organiser(s) and the balance, if any, shall be refunded. The decision of BCEC in these matters shall be final and binding on the Exhibition Organiser(s).
The security deposit shall be refunded on settlement of claims towards repairs / replacement / damages, etc, if any, attributable to your exhibition, within 30 days of post event.
ORAL AGREEMENTS – Oral agreements shall BCECome valid only after they have been confirmed in writing from both sides.
Space of suppliers of display aids and other material for construction, decoration and plants etc. shall be got allotted from Marketing Division and exhibition material would be allowed to enter Bombay Convention & Exhibition Centre only after due payments for the space and with a valid “in‐pass”.
No material will be allowed to be taken out of Bombay Convention & Exhibition Centre by the organizers without “out‐passes” issued by BCEC Authorities.
E] STATUTORY PERMISSIONS OBTAINING VARIOUS LICENSES FOR HOLDING THE EXHIBITIONS – If admission to exhibition is by sale of tickets, the license for the same must be obtained by the theatre department, office of the police commissioner. If any exception from entertainment tax is to be claimed, the same will have to be obtained prior to the commencement of the exhibition. If a Municipal License is necessary, the same shall be obtained. All formalities shall be completed by the Exhibition Organiser(s) before the start of the exhibition and copies of the

relevant document in token of having completed these formalities shall be given to BCEC. In case the event involves an activity which attracts Entertainment Tax, then organizers are advised to take necessary clearance/ NOC/ Authorization Certificate from Entertainment Tax Department before taking possession of the venue. BCEC reserves the right not to give possession of halls if the necessary approvals are not availed off. If the exhibition involves across‐the‐counter‐sales, the organizer has to ensure that the Sales Tax Department and VAT Department is informed in advance and all the payable tax is deposited by the exhibitors. The Organisers of musical and other events are also required to obtain Public Performance Licence from the concerned society such as Indian Performance Rights Society Ltd., Mumbai. The organizer is also required to follow all local rules and regulations governing such events. The allotment of halls is on the understanding that all liabilities on account of service tax will accrue to the organizers and that the organizer will indemnify BCEC against any amount payable/paid on this account. List of statutory permissions annexed F] JURISDICTION / INSURANCE / INFRINGEMENT INFRINGEMENT OF REGULATIONS – If at any time after the grant of permission for the use of BCEC, it considers that it has reason to opine that (i) The exhibition for which permission has been granted (a) is found to be objectionable or (b) is transgressing or likely to transgress the Rules and Regulations relating to the use of BCEC. (ii) If the applicant has made a false statement concerning the scope and object of the exhibition, the centre shall be at liberty to cancel the permission to use BCEC without assigning any reason. In such an event, the advance and deposit received from the applicant shall be refunded without interest. The opinion of BCEC shall not be questioned and shall be final and binding and the applicant shall not be entitled to claim any damage or compensation whatsoever by reason of such cancellation.

PROHIBITED AND UNSUITABLE EXHIBITS – BCEC reserves the right to prohibit exhibition, distribution or sale of any article including printed literature which it considers unsuitable or objectionable and to confiscate the same. BCEC reserves the right to de‐bar the exhibitor from selling / distributing or demonstrating to the public if his conduct or that of his agent is likely to cause offence to anyone or is otherwise considered objectionable in any manner. INTERPRETATION – The decision of the Centre as regards interpretation / relaxation of the Rules and Regulations shall be final and binding on the Exhibition Organiser(s). ARBITRATION – If any dispute or difference arises between the parties, the same shall be settled by Arbitration in Mumbai, in accordance with rules of the Indian Council of Arbitration and the award of pursuance thereof shall be finally binding on both parties. Arbitrator will be appointed by the CMD, BCEC. JURISDICTION – Courts of Mumbai alone shall have jurisdiction over all disputes between the Centre and the Exhibition Organiser(s). In case of any dispute or difference of opinion, the decision of BCEC would be final and binding. The Licensed Premises are public premises as defined in the Public Premises (Eviction of Unauthorized Occupants) Act, 1971 and rules framed there under which are now in force or which may hereafter come into force shall be applicable for all matters provided in the said Act. INSURANCE – The Exhibition Organiser(s) shall make his / their own arrangement for insurance coverage, for all types of risks, for his / their own third parties property and life, but not limited to any natural calamity, etc during entire license period. Similarly the exhibitors may be advised by the organizers to take insurance cover for their exhibits against fire, water, handling, transport, terrorism, theft and other risks. BCEC shall not accept any responsibility for any loss or damage to exhibits and life, in whatsoever manner, or ant liability towards the Exhibition Organiser(s) or their parties. INDEMNIFYING THE CENTRE – Every applicant shall hold an exhibition on his own risk. The applicant hereby agrees to indemnify the Centre and keep it indemnified against any legal proceeding or costs, charges, expenses and / or

damages that may be suffered, incurred or borne or which may arise from any non‐settlement of payments and injury or accident caused by property used by him or by his agents, representatives, contractors, employees or his participants. Neither the applicant nor his agents, representatives, contractors, employees or his participants will have any claim against the Centre for any damages, either for personal injury or damages to any of his property arising from negligence or default of any person or from any other cause or for any loss, sustained as a result of temporary non‐availability of any of the services. The applicant shall effectively indemnify the Centre against any liability whatsoever including that of any injury or harm to the visiting public arising out of the exhibition held at the hall. The applicant shall notify his agents, representatives, contractors and his employees of these conditions. THEFT OR DAMAGED MATERIAL – Misplacement, theft or damage of material / exhibits after the close of the exhibition will be the sole responsibility of the Exhibition Organiser / Exhibitor. STORAGE AND PACKING CASES – All empty cases or other material will be stocked in the store rooms and no empty cases of packing material will be allowed to be kept in and around the halls. The Exhibition Organiser(s) is / are advised to take adequate insurance cover against fire / theft, damage of any other nature etc. G] SURRENDER OF SPACE The organizer is permitted to surrender space booked by them subject to their paying penalty as follows: Exhibition Period (Notice period to be taken from the date of event)

H] POSTPONEMENT / CANCELLATION AUTOMATIC FORFEITURE – (i) In the event of cancellation of booking by the party for its own reasons, the amount as paid by the party for booking shall stand automatically forfeited. (ii) An application for postponement of a confirmed booking shall be treated as cancellation of the confirmed booking entailing forfeiture of the deposit. (iii) In case the Exhibition Organiser(s) back out, the maintenance charges paid at the time of application of thereafter shall be forfeited. NO CLAIM ENTERTAINED – BCEC shall reserve the right to revoke facilities & dates already granted/allotted to any applicant without assigning any reason, if falling within a period of 12 (Twelve) months. The applicant will be refunded the amount already paid by him with interest @ 12% per annum from the date of deposit to date of revocation. The decision of BCEC in such matters will be final and binding on the organizer. Rescheduling: The exhibition organizers may be permitted to reschedule their events subject to the following conditions:‐ Re‐scheduling will be permitted only once and the rescheduled dates should be within 6 months of the original booking and/ or within the same financial year. Any rescheduling not complying with above criteria will be treated as cancellation of original booking and applicable penalty has to be paid by the organizers. Minimum of 5 months notice from the date of the original tenancy of the booking. At least 50% of the committed License Fee should have been paid. The proposed re‐scheduling should be for the same quantum of area booked in terms of per sqm./day. In the event of shortfall, the applicable penalty will have to be paid before such re‐scheduling. Postponement / Cancellation Clause

All postponements / cancellations must be notified in writing to BCEC. If BCEC is informed of the exhibition / event being postponed / cancelled, in part or completely, the compensation paid at the time of booking the facilities will be forfeited. The balance compensation paid will be subject to the following postponement / cancellation fee: Period prior to the exhibition postponement / cancellation fee applicable Period of postponement / cancellation prior to the exhibition

More than 180 days prior 20% Between 180 days and 121 days 25% Between 120 days and 81 days 50% Between 80 days and 31 days 80% Between 30 days and less 100% Should the deposits received be insufficient to meet the postponement / cancellation fee amount, the organizer is liable to pay the balance to BCEC. BCEC reserves the right to postpone / cancel the booking in case of non‐payment of compensation as per schedule. All payments need to be made in favor of “Nesco Limited” payable at par in Mumbai. Except as otherwise provided neither organizer shall have the right to terminate their obligations under the letter of agreement. The letter of agreement is, however, subject to termination for cause without liability to the terminating organizer, under any of the following conditions: The organizers’ performance under the letter of agreement is subject to acts of God, war, government regulations, terrorism, disaster strikes, civil order, flood, fire, curtailment of transportation facilities, or any other emergency beyond the organisers’ control, making it inadvisable, illegal or which materially affects the organisers’ ability to perform its obligations under this letter of agreement. In such circumstances where the organizer is unable to perform its obligations, BCEC shall use its discretion and decide upon the appropriate action to be taken towards revisions / re‐adjustments / re‐allocations for the exhibition. Either party may terminate this agreement for anyone or more of such reasons upon written notice to the other party within three (3) days of such occurrences or receipt of notice of any of the above occurrences. Saturday and Sunday will be

treated as non‐working days for the purpose of this letter of agreement. I] HANDING AND TAKING OVER OF HALLS The hall(s) shall be handed over by the Estate Department on “as is where is” condition to the authorized representative of the Organiser (the name and signature of the representative of the organizer who would take possession should be conveyed in writing to BCEC at least 10 days in advance). The hall(s) shall be handed over by the organizer at 23.59 hours on the day of the last day of licence period. Should any excess space be utilized, additional compensation towards the same shall be payable by the organizer a week prior to the first day of the event. The representative would have to sign registers maintained by Estate Department of BCEC while handing/ taking over of halls and operation of the air‐conditioning/ air handling unit(s). The Organizer must remove all abandoned material/trash from the premises after close of the fair. If the exhibitors leave behind such items, it will result in the Organizer being billed for removal and disposal of the same. The organizer has to get the exhibition layout copy, mentioning the gross covered area, certified by BCEC, a week prior to exhibition. The compensation for the same has to be paid prior to taking possession of the hall. No vehicles shall be permitted within the complex before the scheduled possession date, for any reason whatsoever. J] ELECTRICAL REQUIREMENTS All the wirings and electrical requirements including fittings etc. will have to be arranged by Exhibition Organiser(s) at his / their own cost. All electrical installation, wiring and fittings including those provided to stalls and exhibits shall be done by the licensed electrical contractors of PWD as per PWD regulations. 3‐Phase/1‐Phase power requirement for display/operation of machines needs to be forwarded to General Manager Incharge at least one month before the start of the event. Sound engineering practice would be employed for work of electrical wiring

from the main switches to the lights and other fixtures. All electrical wiring work will be carried out only by licensed electrical contractors. No overloading of connection at any point of electrical output than the sanctioned load is permissible. Each stall should have an adequate rated switch fuse unit, MCB or cut‐out to enable isolation in case of any emergency/overloading. Electrical wiring under the carpets is a potential fire risk. Wherever these are unavoidable, adequate precaution should be taken by covering these wiring by wooden ramps. Wiring with joints should not be provided under the carpet. The electrical equipment installed must be earthed as per Indian Electricity Rules, 1956 amended up‐to‐date. Connections may be made to the nearest BCEC main earth lead. Power factor improvement capacitor should be provided with the connected equipment wherever motors of 5 hp or above are used. The Organizers should not draw electric power in excess of the requirements projected to BCEC and released by BCEC for the purpose. Overdraw of authorized power load will attract 100% penalty. The Organizer will be liable to restore or pay restoration charges, if any, on account of damage to BCEC property. BCEC will not be responsible for cancellation of licence in case some defects are noticed by the officials or PWD before or during the running period of the exhibition and will be subject to inspection and approval by the electrical engineer of the Centre and the power supply authority. The power supply will only be given after receipt of the test report and completion of all other formalities. K] WORK TIMINGS Timings and other relevant details of the exhibition should be intimated to BCEC. If no such intimation is received, it will be presumed that the timings are from 10.00 A.M. to 07.00 P.M. BCEC’s approval would be required if the

exhibition extends beyond 8.00 P.M. L] MEASUREMENT OF AREA The length of the gross area occupied by the exhibition should be measured column to column which is spaced in intervals of 9 meters each. If the length falls short of the column then such intermediate areas will be rounded of to the subsequent nearest column. Such occupied area should begin from the frontage of the hall entrance; not situated at a distance from the hall entrance with a pathway leading to the exhibition area. Measurement of the exhibition area will be taken everyday. Payment for utilization of additional space and any other facilities/ services during the exhibition schedule is required to be made before close of the exhibition. Joint Inspection of the exhibition space will be done by representatives of organizer and Architecture Division, BCEC on 1st day of exhibition at 2.00 PM failing which decision of BCEC would be final and binding. M] PROFILE PROTECTION BCEC in principle maintains 30 days buffer, pre & post exhibition, to shows competing with shows booked with BCEC. The buffer is maintained for / with exhibitions with focused profiles and not for shows having multiples profiles. O] BRANDING BANNERS HOARDINGS ETC. – NO hoardings / banners etc. will be allowed on the entry/ exit gates of the premises and the complex on the roads and in the vicinity unless their design, specialization, installation and location shall have been approved by the BCEC. BMC’s permission shall also be obtained wherever necessary by the Exhibition Organiser(s) at his / their own cost. HOARDINGS/BANNERS/DIRECTIONAL SIGNS

Display sites are allotted as per their availability. In case more than one event is taking place concurrently in Bombay Convention & Exhibition Centre, allotment of display sites is done as on the basis of event size and proximity to the Halls. This would also include signage’s at the main entry/ exit Gates. Sign Cubes at Gates: Organizers can set up sign cubes, independently standing, at the gate of BCEC for displaying the names of the exhibition. Directional Sign Boards: The organizer(s) can provide directional Signboards, independently standing, to be mounted at different locations within Bombay Convention & Exhibition Centre at the gates of Bombay Convention & Exhibition Centre or on the roads leading to the gates of BCEC. Bunting and Flag Poles: To decorate the roads within Bombay Convention & Exhibition Centre leading to various halls, Flag Poles and Buntings can be placed by exhibition organizers. Display of banners, buntings, hoardings etc without prior approval of BCEC, would attract compensatory payment and/or removal of such material, All display space/boards/poles will have to be restored to their original condition by the organizers at the end of the exhibition by ensuring that the banners, buntings and other display materials are removed before the Halls are handed over back to BCEC, post‐exhibition. A suitable gate shall be identified, to the organizer, for setting up arch. No exclusivity shall be offered for movement of vehicles or people. No signboard is to be suspended from the rooftop or parapets as well as the air‐condition ducts inside the hall.. Light weight hangings and buntings can be hung inside halls with high ceiling and from the existing hanging arrangements. No hanging, however, should be suspended from electric conduits, cables, fixtures and air – conditioning ducts/ventilator grills. In case the exhibitor intends to provide specific hanging arrangements, the same should have the prior approval of the Estate Maintenance Division of BCEC. The hanging arrangements shall be removed after the close of the event by the organizers.

P] SECURITY BCEC/ NESCO will always control the security at gates 1, 2, 3 and other gates. No organiser will have the permission to overrule NESCO’s security at these gates. However, the organiser’s can have their own security in their halls. The customers will have to abide on the allocated entry/exit gates, parking grounds and branding sites of any other facilities for the different halls. TRAFFIC CONTROL – Traffic control through Mumbai R.T.O. is recommended for controlling Vehicular Traffic or crowds on the days of the Exhibition. CAR PARK – Parking will not be permitted within the premises and around exhibition halls. Ample car parking space is available for visitors immediately within the BCEC complex. BCEC will charge for parking of vehicles at the allotted parking spaces as per the following table:

You are requested to ensure on the followings: 1) Trucks and other vehicles should vacate all grounds to avoid paying for parking. 2) Provide car Nos. stickers & other details of VIP’s & committee members 3) Co‐ordinate with our estate & security team members for ensuring harmony during the exhibition schedule. Neither Nesco security nor the organiser’s security will permit any parking on the internal roads and will allow parking only in the parking grounds. There are 4 gates in Bombay Convention & Exhibition Centre, which could be used for entry and exit. The number of gates to be utilized for entry and exit is decided depending upon the need. As far as possible entry & exit of all the vehicles carrying exhibition goods etc. will be allowed from Gate No.1 only and for maintaining services, entry of vehicles for the following categories is allowed on the basis of permits issued by the Security Division:

Debris trucks, Water tankers, Ambulance, Cash Vans of Banks, Maintenance Vehicles, Vehicles for carrying musical instruments and artists in costumes, Police Patrol Vehicles. Entry of vehicles of all other purposes is strictly prohibited during exhibition hours to ensure free and unhindered movement of visitors. Security Agencies: BCEC provides general security in the exhibition complex. The fair organizers may engage private agencies for providing security during their exhibition. Services of any Security Agency verified by Mumbai Police could be availed of. A proper checking is carried out of the vehicles with the help of metal detectors/inverter mirrors by the Security Staff and Mumbai Police on duty under the overall supervision of shift‐in‐charge. A Log Book will be maintained at each entry points for entry of the vehicles through various gates, which will be checked and signed by the security supervisors on daily basis. Exit vehicles carrying exhibition materials etc. are allowed only with valid gate passes issued by Estate Maintenance/ Security Team(s). The movement of the exhibition material on the roads inside Bombay Convention & Exhibition Centre would be regulated in accordance with the guidelines specified by Security Division of BCEC. In‐Pass and Out‐Pass (Exit Permit) In order to regulate entry and exit of vehicles carrying exhibits, materials of contractors, permanent stallholders etc., a system of issuing IN‐PASS and OUT‐PASS has been introduced. With the IN‐PASS, vehicles will be allowed entry into the ground while with the OUT‐PASS (Exit‐Permit), vehicles could exit from the ground after fulfilling the formalities of clearance from the Marketing Division/Central Control Room. IN‐PASSES and OUT‐PASSES will be issued by the Marketing Division/ Estate Maintenance Team. Q] FIRE FIRE PREVENTION – The Exhibition Organiser(s) shall on his/their own provide and maintain additional fire fighting outfits at his / their stalls as per safety

regulations. He is/ they are requested to acquaint himself / themselves with the position of the nearest fire hydrant/ extinguisher. All fire fighting equipments and arrangements etc. will have to be approved and certified by the fire brigade authorities of the Mumbai Municipal Corporation as may be applicable. No gas stove and other implements using live flame are permitted for the purpose of any demonstration. The use of fire hazard material like thatch, dry grass and other similar inflammable materials is not permitted. The Organiser of the exhibition is expected to strictly adhere to the guidelines laid down by the Mumbai Fire Brigade in order to prevent fire. The Organiser is fully responsible for prevention of any mishap – fire, stampede – in the Halls and BCEC reserves the right to cancel the holding of an event at any time if the arrangements made by the organizer do not meet public safety norms. The organizers will ensure that no exhibitor keeps any hazardous chemicals, gases, firearms in the stalls. Public Safety/Miscellaneous: Organizers will ensure that preventive measures are taken for prevention of fire in line with the regulations and guidelines of the Fire Authorities in their respective cities. Cooking, live fire, operation of any machinery/equipment generating heat beyond normal tolerance level as adjudged by BCEC, will not be allowed in exhibition halls. Due care of hygiene and sanitation has to be maintained in and around exhibition halls. Public safety is of paramount importance. The organizers will ensure regulated inflow of visitors to the halls and ensure that no untoward incident takes place. The organizers will post trained personnel to manage visitors’ movement properly. Adequate first aid services/paramedical services/medical services should also be arranged by the organizers. The organizers will ensure that no exhibitor keeps any hazardous chemicals, gases and firearms in the stalls. Fire protection arrangements have been made in Bombay Convention &

Exhibition Centre. Additional requirement of fire safety equipment, for specific exhibits may be got assessed from competent fire safety personnel and provided. Additional precautionary fire safety implements like fire extinguishers etc. are to be provided by the organizers. The organizers will deploy adequate number of fire fighting personnel. Use of fire hazard material like thatch, dry grass and other similar inflammable materials is not permitted. Only fire retardant materials should be used for construction and decoration of booths. R] BADGES FOR ATTENDANTS The organizers shall provide proper identification badges to the attendants, staff and others who are required to work at BCEC. Visits of VIPs: The organizer should inform BCEC well in advance about visits of VIPs to co‐ordinate Protocol arrangements AUTHORITY TO ENTER EXHIBITION – The General Manager, Officers and staff of BCEC and of the Centre connected with the Exhibition Department shall have full authority to enter any part of BCEC during the use of the same by the applicant. P] DOs & DON’Ts CLEANING – General cleaning of the exhibition Centre and surrounding areas will be carried out by BCEC prior to handing over the facility/ facilities to the organiser. Cleaning of the space, individual stands both inside the covered space and in the open areas, if any, shall be the responsibility of the Exhibition Organiser(s) The organizers will ensure regulated inflow of visitors to the halls and ensure no untoward incident takes place. The organizers will appoint trained personnel to manage visitors movement properly. Adequate first aid services/paramedical services should also be arranged by the organizers.

SMOKING AND OTHER PUBLIC NUISANCE FORBIDDEN – Spitting, smoking, committing nuisance of any kind or otherwise making any is strictly prohibited and the organizers shall be responsible for the observance of these Rules. Clear access to main electrical distribution board’s emergency exits, staircases, service doors, public conveniences and fire safety equipment must be ensured. Adequate working space must be provided in front of main electrical distribution boards and fire safety equipment for easy operation. Bare space marking has to be undertaken during the day, after taking possession of the hall, and unloading of materials done during the evening of the day prior to taking actual possession of the halls. BCEC/ Nesco will always have the right to appoint their own caterers or to do their own catering from either the auditorium or hall 2 or international lounge or any of the service centres. However, in case, the organizer desires to have the own catering, they may do so from within their exhibition space (saleable area). The Organiser will ensure removal of the packing boxes, unused display aids, handling equipment from the hall before opening of the exhibition. If storage space is required, the same would be made available on payment to BCEC. The damages caused during the exhibition schedule to BCECs premises and infrastructure, if any, will be jointly inspected to see the extent of damages and assess the cost of restoration. Such cost will be directly deducted from the organizers security deposit or be payable by the organizer within 7 days of intimation of the same. All precautionary measures towards safety of workers inside Bombay Convention & Exhibition Centre halls will be the organizer’s responsibility. The sound decibel inside the Hall is to be regulated in the interest of all other users and visitors. The sound decibel in common areas and in passages should not exceed 70 decibels, from a distance of 10 metres.

ORDERLY CONDUCT OF PROGRAMME BINDING ON APPLICANT – All programmes and activities of the exhibition conducted by the applicant shall be orderly and entirely lawful and strictly within the scope of the objects for which the use of BCEC is applied for permission. The applicant shall undertake all responsibilities and the management of BCEC shall be in now way held responsible in this manner. Exhibitions are business‐oriented events and attended by domestic and overseas business personnel and visitors. It is therefore necessary that hosts/hostesses and presenters, who often promote different products and services on behalf of the exhibitors, are decently attired, keeping in view the law of the land and India’s cultural ethos. The Organizers and their designers must inspect the hall(s) and make note of salient features like locations of columns, fire safety equipment, main electricity distribution board, arrangement for water supply/disposal, arrangements for compressed air supply, service doors, entry/exit doors and approach to toilets etc. Every Gate of the Hall shall be free from display as also the area leading to toilet or outside. All passages should be of minimum 3 metres width and planned in such a way that it will either emerge or terminate at the gates. The layout of the exhibition must clearly show all such features. Clear access to main electrical distribution boards emergency exits, stair cases, service doors, public conveniences and fire safety equipment must be ensured. Adequate working space must be provided in front of main electrical distribution boards and fire safety equipment for easy operation. Minimum 3.0 meter wide passages in respect of product specific, business fairs and minimum 4.0 mtr. wide passages in respect of general fairs meant for public are to be provided. Passages are to be kept free of any display aids/exhibits. PENALTIES: The Organizers will prepare and submit to BCEC the layout of exhibition keeping in mind the guidelines mentioned in the succeeding paragraphs. Penalty for non‐submission of layout plan will be as follows: Space Penalty 0‐5000 sqm. Rs.1,00,000/‐ 5001 sqm. & above Rs.1,00,000/‐ plus Rs.50,000/‐ per 5000

In the case of non‐adherence of any of the approved guidelines/plan, penalty of Rs. 20,000/‐ per violation will be charged. Compoundable: ‐ Passage less than 3.0 m ‐ Height beyond permissible limit of 3.5 m ‐ No access to electrical panels services like toilets, etc. ‐ Mezzanine construction without approval. ‐ Closing of emergency exit. Non‐Compoundable ‐ Emergency exists closed and removal charges to be levied. Penalty shall be imposed in case of not following the approved plan/deviation from BCEC guidelines at Rs.20,000/‐ per violation. In case of violation of any Guidelines specified above or specified by any other law enforcing agency, BCEC reserves the right to close the stand/stall/pavilion or levy a fine or get the construction removed at the risk and cost of the Organizer/exhibitor. T] MISCELLANEOUS WATER SUPPLY – Water will be available at the existing points for normal use. Any special requirements will have to be arranged by the Exhibition Organiser(s) at his/their own cost with prior approval, in writing, of the maintenance department of BCEC. TELEPHONES – BCEC is well equipped with 400 Telephone lines provided by MTNL. Exhibition Organiser(s) will have to notify their requirement of telephone connections to MTNL and charges will have to be paid directly by them. MTNL will accordingly activate the lines demanded for. EXHIBITION SPACE License Fee for exhibition space is charged on the basis of per sq.mtr. per day for gross area. The license fee includes general lighting infrastructure in the ceilings of the halls, air‐conditioning infrastructure, street lighting and general security of the gates at BCEC. The license fee excludes electricity/ power consumption for

operating air‐conditioning, general lighting, etc. USE FOR ALLOTTED PURPOSE – Space allotted to the Exhibition Organiser(s) shall be used by him / them only for the purpose as enumerated in the application of the Exhibition Organiser(s) and accepted by BCEC. USE OF LIMITED TO SPECIFIED AREA – The permission to use BCEC shall be strictly limited to the area notified and shall not include access to any other part or other hall within the complex. RIGHT TO ALTER AREA – BCEC reserves the right to alter, under special circumstances, the areas and dimensions of the facilities applied for. Only the contracted area of the exhibition Hall will be handed over to the organisers. BCEC will not permit nor engage in post contract discussions involving: (a) Reduction of exhibition area (b) Reduction in exhibition schedule (build‐up/break‐down) after the initial deposit has been paid. Confirmation of space booking will be done on receipt of advance licence fee as per the schedule of payment. In the event of any failure to honor this payment schedule, BCEC is at liberty to cancel the booking and allot halls to any other organizer(s) requiring space. Payment for utilization of additional space and any other additional facilities/services during the currency of the exhibition is required to be made before availing of such facilities. BCEC NOT RESPONSIBLE FOR FAILURE OF SERVICES – BCEC is equipped with electric supply and water facility infrastructure, etc. While every effort shall be made to maintain the services in order, BCEC shall not be responsible for any failure or breakdown or curtailment thereof or any damage / loss caused to the Exhibition Organiser(s) thereby. Office space can be hired on temporary basis by organizers for setting up Offices/Conference/Meeting facilities. These Office space can be made available only to such Organisers who are organizing exhibition in these halls.

A fully furnished air‐conditioned Lounge is available in Hall I. This Lounge can be utilized for reception of VIPs. The Lounge can be used on payment by Exhibition Organisers. The customers will be permitted to utilize the existing facilities of Piped/ Background music to play music of their choice. No rentals will be charged for usage of this facility. BCEC can set up PA system as per requirement of customers on a chargeable basis. Stand lighting and air conditioning charges (mentioned at Annexure II) are for 10 hours usage per day. For extended hours additional charges at pro‐rata basis will be payable by the organizers. The permissible height of stand construction is 2.5 mtrs. Only few features like logo in bigger stalls can go up till the height of 3.5 mtrs. Mezzanine Construction: Mezzanine construction should be taken up only on BCEC’s approval. Stand construction should be independent of the walls, columns and roof of the halls. The extent of area of Mezzanine construction will be governed by the following: ‐ Floor at 2.5 m+1.0 m parapet in (Hall 1,5 & 6) ‐ No Mezzanine in Hall 2, ‐ All mezzanine construction should have a clearance of 2 m from the air‐
condition ducts of Hall I,5 & 6 The exhibitor shall submit the plan with structural stability certificate from a qualified structural engineer of the stall for consideration of BCEC. The responsibility of safety of structure shall lie solely on the exhibitor/organizer. ERECTION, DISMANTLING AND REMOVAL OF STANDS, EXHIBITS ETC. – Moving machinery / exhibits shall be enclosed by continuous rigid expanded metal mesh and / or guard‐rail of suitable height from the ground. Such machinery shall be manned by responsible and competent technicians on duty to control any machinery in motion. All stands, exhibits and temporary installations shall be removed to their original positions and condition at the Exhibition

Organiser(s) cost and responsibility. Failure to clear the site within the stipulated period shall render the Exhibition Organiser(s) liable to pay damages at twice the daily proportionate maintenance charges. Notwithstanding this, the centre shall have the discretion to remove such exhibition structures / stands/ exhibits etc. at the end of the stipulated period at the Exhibition Organiser(s) cost and risk. If dues are not settled, the exhibition materials would not be allowed to be taken out of Bombay Convention & Exhibition Centre. Delayed removal of exhibits on account of default in settling dues is liable to be penalized as decided by BCEC. The total compensation for the booked area alongwith compensation for the additional area, applicable service tax & security deposit has to be paid a week prior, along‐with copies of various statutory permissions, to taking possession of the halls. A team of BCEC officers will visit the site of the exhibition. Any violation of the Guidelines by the organizers would result in imposition of compensatory payment and dismantling of contravening booths/structures at the cost and risk of the organizer. Serious violations may result in closing down of the exhibition keeping in view the safety of public without any liability to BCEC. Requisitioning of Services: The services requisitioned by the organizer for Conference Halls, air conditioning, blowers for ventilation, stand lighting, temporary power load, trolleys, protocol room, buntings, directional sign boards, fire extinguishers, walkie talkie sets etc. are provided subject to actual availability. Only those facilities and services, for which request has been received from the Organizer and acceptance of the same has been conveyed in writing by BCEC, will be provided.
Blacklisted contractors The organisers should not avail services from the contractors blacklised by BCEC. Any deviation from BCEC directives in this regard will entail penalty of Rs. 1,00,000/‐, debited from security deposit and/ or restriction from continuing with the services for which they have been appointed as well as barring entering into BCEC premises.
