Executive Summary

During the 2015-2016 reporting year, The Centre for Excellence in Teaching

and Learning, St. Augustine Campus (CETL-STA), has experienced tremendous

change. Over the past 16 months, five staff members including the former director, Dr.

Edwards-Henry, have either retired or resigned leaving a gap in the Centre’s

operational knowledge. The challenges associated with staffing issues have been

partially addressed through hiring temporary staff and mentoring ATS staff to assume

more responsibilities. However, only the director’s position was permanently filled. Dr.

Margo Burns assumed responsibilities for the Centre in February 2016.

Responsibilities associated with the Research Fellow’s position (vacant since May

2015) were distributed among the professional staff. Ms. Neisha Byron assumed the

duties associated with the vacant Administrative Assistant position; she will

permanently assume this position in August 2016.

Staffing and budget issues have impacted on several areas within the Centre’s

mandate. The activities associated with the Research Fellow’s position has been

suspended pending a re-hire into this position. This includes the Caribbean Teaching

Scholar Journal which was reduced to one publication for this reporting year and will

be fully suspended in Jan 2017. Analysis of data linked to student evaluation of

courses and lecturers has not been initiated. However, despite staffing issues,

activities and workshops associated with the Centre’s primary purpose, teaching and

learning, continued without interruption.

The Centre’s flagships programmes, CUTL and MHED, remained the focus of

the teaching and learning activities conducted during the reporting year resulting in 27

teaching staff members completing CUTL and the graduation of two MHED students.

Activities associated with blended learning have continued with concentration on

preparing for the launch of the new version of the Campus’s learning management

system. Seventy-seven course outlines were reviewed and approved in conjunction

with the Campus’ QA process. Fifty-eight professional development workshops were

run, with 6 associated with blended learning. Seventy-eight courses and three

programmes were evaluated. Three new Engineering programmes developed with

considerable assistance from CETL.

Promoting Best Practice in Teaching and Learning at UWI

A summary of training and development activities (Appendix I) as follows:

Conducted 58 workshops (Appendices II & III) concentrating teaching and learning using a variety of delivery modes.

Facilitated twenty-seven staff members to complete the UWI Postgraduate Certificate in University Teaching and Learning (CUTL). We currently have a register of 161 persons successfully completing the programme since 2009. Thirty-one staff have been registered for the next cycle of CUTL training.

• Two students completed the Master in Higher Education (MHED) programme and a 3rd student completed the diploma. The MHED programme is on hold for the next academic year, allowing for exploration on how to increase enrolment both at the diploma and graduate degree level.

Special Events

CETL Programme Review-February 2016 A review of CETL-St Augustine was conducted on February 25 and 26, 2016

as part of the quality assurance process of The UWI. This was the second quality

assurance review of the department. The first review was conducted in 2003, when

the department was called the Instructional Development Unit (IDU). To support the

review, Staff of CETL-St Augustine prepared a Self-Assessment Report, which

provided the outcomes of an internal reflection process, aimed at identifying good

practices, the extent to which the goals of CETL had been achieved since the 2003

review and areas for improvement. The Self-Assessment Report covering the period

2003-2015 provided the foundation from which the review team could conduct their

assessment and. was based on information from existing data, internal reports and

archived materials. To date a draft Review Team Report has been circulated which

indicated a favourable report. The Centre is awaiting the circulation of a final report.

Faculty Professional Development

Orientation to University Teaching CETL staff continued to work closely with the Human Resources to facilitate a two-

day workshop for new member of the teaching staff as part of HR’s Staff Orientation programme offered in mid-August each year. In these interactive sessions, CETL encourages reflective practice, exposes participants to the role of the Centre in supporting faculty development and quality teaching, promoted the scholarship in teaching and learning and highlighted blended learning initiatives and opportunities. Notably the 2015 sessions were redesigned to include more emphasis on getting the lecturers to actively consider the development of the Distinctive UWI graduate through more thoughtful and reflective classroom teaching practice.

The UWI Certificate in University Teaching and Learning

The UWI Certificate in University Teaching and Learning (CUTL) has been offered by the CETL (formerly IDU) since 2008. The programme, which is contractually required by new members of academic staff, has completed eight cohorts or graduated 161 teaching staff members to date. During the 2015/2016 academic year 27 persons (cohort 8) completed the programme.

As of July 2016, twenty-seven (27) staff members have been admitted to the 9th cohort of CUTL. The 9th cohort will commence studies in September 2016. An additional four members of staff from the 8th cohort, who would have taken a leave of absence, will resume their enrolment in the programme making a total of 31 participants for the 2016/17 academic year (cohort 9).

The CUTL programme coordinator, Dr Keisha Valdez Noel, has been working with the Office of Planning during semester 2 and 3 of the reporting year to develop protocols and instruments for assessing the impact of the programme on the teaching practices of CUTL graduates.

The Masters in Higher Education

The fourth cohort of the Masters in Higher Education (MHED) began their studies in September 2014 after the programme gained approval for significant curriculum changes. During the 2015/2016 academic year members of the cohort participated in two research seminars where they were able to present their research proposal and findings to members of the wider UWI research community.

During this reporting year, two students completed the MHED programme and one completed the requirements for the PG Diploma in Higher Education. The associated paperwork has been advanced for the conferring of the degrees. There is an additional four students from the cohort who will be beginning or continuing their final research project in the 2016/2017 academic year.

In the interest of boosting enrolment, CETL opted to postpone its intake for 2016/2017 and seek approvals from Post Graduate Studies to advertise both the MHED and the Diploma option. This proposal will be developed with the hopes of recruiting qualified candidates who may be interested in the one-year Diploma in Higher Education. As it currently stands, the Diploma is only open to enrolled MHED students, and is not advertised as a stand-alone programme.

Enhancing Medical Sciences PECH Tutors CETL successfully design and facilitate a workshop series targeting tutors of

Professionalism, Ethics and Communication in Health (PECH) courses offered at the Faculty of Medical Sciences. Initial meetings were held prior to the start of the 2015/2016 academic year between CETL and PECH coordinators to pinpoint concerns about classroom approaches, conceptions of learning and teaching skills of their largely part time tutoring staff. The four-part workshop series was held over the course of the academic year with eleven registered participants. The topics focused on areas such as developing a shared vision of PECH courses, developing reflective learners, active engagement, supervising and managing authentic assessment.

Professional Development Workshops and Presentations The Centre advertises its professional development (PD) workshops,

presentations and varied outreach activities in its annual Dates for Your Diary (see Appendix 1). Workshops and presentations typically are designed to run over one or two days, lasting for 3 hours per day. The Dates are disseminated to the Campus community at the start of each academic year via the CETL’s website and the Intranet. Individual workshops are advertised via email to Academic-All, as well as the e-News, two weeks before they are scheduled to begin. Notwithstanding the scheduled workshops, every attempt is made to facilitate the ad-hoc training and consultation requests that arise during the semester.

For the AY 2015-2016 approximately 58 professional development workshops were facilitated by CETL. This figure includes the professional development workshops that form part of the UWI Postgraduate Certificate in University Teaching and Learning (CUTL) or the Master in Higher Education (MHED) Tertiary Level Teaching and Learning.

Learning Technologies

Blended Learning CETL continues to implement the Campus’ Blended Learning programme

started in 2012 with the on-going facilitation of training and individual consultations with staff. Discussions are on-going with the Faculty of Engineering, the School of Education and the Faculty of Science and Technology on the implementation of three additional blended programmes, which are targeted to come on stream between 2016 and 2018. St. Augustine’s flagship-blended programmes are the Postgraduate Diploma in Sport Management, The Diploma in Management of HIV Infection, Diploma and MScAgri-food Safety and Quality Assurance Programme. Support for these progammes include staff and student orientation as required and periodic monitoring of courses in myeLearning to ensure course access and facilitation.

In September 2015 a pilot of Moodle 2.9 was conducted with lecturers teaching the Level 1 courses in the Bachelors in Education (Primary). These lecturers had attended a series of three workshops in Moodle 2.9, which is very similar to Moodle 3.0. These workshops were facilitated by the CETL and oriented participants to the upgraded interface as they design the online components of their courses for blended delivery in the 2016/17 academic year. The outcome of the pilot provided information for the roll out of Moodle 3.0 in September 2016.

A new approach to the delivery of myeLearning clinics was piloted in semester 2 of AY 2015-2016 using adult learning principles. Teaching faculty who participated in the pilot, were allowed to determine at the start of a session the content that would be covered. Constructing PD sessions that are learner-centred allows participants more control over their own learning. The success of this pilot indicates the continuation of this design method for future myeLearning sessions.

St. Augustine’s Learning Management System (LMS) is undergoing an upgrade from 1.9 to 3.0 with a launch date of 28 August 2016. In anticipation of this change, the Blended Learning Team created learning material to support the technology training scheduled to commence in early September 2016. Teaching staff will continue

to have access to myeLearning 101 module, a self-directed course on how to use various components of the new version.

During the reporting period, the Blended Learning team conducted 18 workshops, inclusive of professional development series (see Appendix 1), and 93 blended learning clinics. The projected activities in the implementation plan are:

An assessment of the current situation with regard to adoption of blended learning at St Augustine;

Preparing for adoption of Moodle 3.0, which is a major upgrade from the current version Moodle 1.9, and

Increasing the number of blended/online courses and programmes

Learning Technologies Cool Tools in Education was offered throughout the year. In addition to being

offered campus-wide, this workshop was also done as per ad hoc requests by various departments.

Make me Shine, Like the Star I Am, an ePortfolio PD workshop using Weebly was offered to teaching staff considering submitting an application for the bi-annual Teaching Excellence Awards sponsored by Guardian Group Life. The attendance at the sessions and requests from other teaching staff indicates a continual need for this PD workshop.

Supporting Student Learning

MSc Management Students Annual Workshop An annual a three-day workshop for MSc students of the Department of

Management Studies was conducted in April 2016. The workshop focused on the fundamental skills and strategies of teaching and in making effective presentations. The future career interests of the students represented a range of occupations so the workshop was carefully designed to provide transferrable skills related to lecturing, HR and corporate training, making formal presentations or public speaking. The workshop was successfully completed by 13 Management Studies students.

Student Orientation Presentations As part of the regular student orientation organized and hosted by the St.

Augustine Association of Postgraduate Students, two members of CETL staff presented at the Post Graduate Experience sessions held in September and October 2015. CETL’s presentations provided graduate students with an overview of Turnitin and the principles of effective academic presentations. Participants included both new and continuing PG students.

Excellence in Teaching and Learning

Course/Programme Documentation and Review As part of CETL’s on-going role and responsibilities on Academic Board and its

sub-committee the Academic Quality Assurance Committee (AQAC), the Centre

continued to review and direct the development and documentation of courses and

programmes that lecturers/ departments/faculties wish to introduce and/or update. In

this reporting year, 78 courses were reviewed, individually and as programme

components. It should be noted that this process is seen by the CETL as the beginning

of quality assurance in the teaching/learning cycle, and continues to be an important

part of the Centre’s responsibilities.

Four new programmes were developed with assistance from CETL:

Master’s in Engineering Petroleum (Guyana Cohort)

Bachelors of Applied Engineering-Electrical

Bachelors of Applied Engineering-Mechanical

Neurosurgery Medical Residency Programme

Student Evaluation of Courses and Lecturers The Student Evaluation of Courses and Lectures (SECL) system is an integral

of the University’s process for improving teaching and learning across all campuses. Lecturers and Heads of Departments receive a report from each course that has been evaluated. Relevant personnel should receive a report back within 5 months of the end of a semester. Students look for appropriate changes and adjustments when they provide feedback on their courses.

At St. Augustine the student evaluation process is both paper-based and online. The ultimate goal is for students to evaluate both the course and the lecturer for each course they are registered in each semester. While the quality standard is to return the reports to relevant personnel within 5 months, in reality is it may take up to 8 months for reports to be processed and returned.

The slow process is based upon the design of the paper-based process, in which approximately 10,000 completed surveys arrive at CETL at the end of every semester. The survey forms used are printed from St. Augustine’s printing department and require many tweaks prior to printing to ensure a high quality product. Unfortunately, despite these quality assurance tests, a high percentage of scanned-in results are not captured and require manual data entry. Further, only 1.5 FTEs are devoted to this process with the full staff compliment of 3 FTEs completing a variety of other duties including the administrative assistance to CULT, the MHED programme and the Caribbean Teaching Scholar Journal.

In semester 1 (AY 2015-2016) SECL evaluated the completed survey questionnaires from 1018 courses. Results from these surveys were distributed each relevant lecturer and Head of Departments during the period February 2016 through June 2016. In semester 2 (AY 2015-16) SECL evaluated the completed survey questionnaires from 858 courses. Reports from these questionnaires will be distributed to the relevant faculty by late December 2016. Current turn-around is from 6 to 8 months.

Of special note is the evaluation of semester 3’s courses. This is the first academic year in which courses from all three semesters have been evaluated. Semester 3 was used as a pilot for conducting the student evaluations online. Approximately 270 courses were evaluated online with a response rate nearing 30%. Despite best efforts to return the student evaluations in a timely fashion, the process takes from 5 to 8 months. Neither teaching nor Heads of Departments receive the evaluation reports in a timely manner to make changes during the academic year. Students also need to feel that their comments and input has been taken seriously and are looking for immediate changes to a how a course is delivered.

In February 2016, it was decided to implement a process that would lead to a fully online course and teaching evaluation system by December 2016. The decision to move fully online included on-going staffing shortages, high usage of paper, minimal data analysis capabilities using a paper-based system and a requirement to address specific needs of faculties that have unique evaluation structures: Faculty of Medical Sciences, Education, Humanities and Engineering. Each of these faculties has some type of professional or clinical placement where students are evaluated by multiple personnel.

A marketing campaign will be launched in October 2016 along with introductory sessions for teaching staff. Both methods should increase student response rates. Research suggests the use of external motivators, such as gift vouchers, improves completed online surveys. This approach is used by the Mona Campus. External sponsors have been identified and related meetings are scheduled for early September 2016. The marketing campaign will be conducted throughout the year with revisions made in June 2017. CETL anticipates working closely with the Student Guild to implement the online course evaluation survey plan

The Caribbean Teaching Scholar (CTS) Journal CETL, despite the resignation of its Research Fellow, continued with the

production of its peer-reviewed online journal, The Caribbean Teaching Scholar (CTS). However, only one volume, Volume 5, Number 1 was produced during this reporting year due to either the retirement or resignation of key staff. The context for this issue was the St. Augustine Campus of the University of the West Indies (UWI), Trinidad and Tobago, the location for the conference Institutionalising Best Practice in Higher Education in June 2015. The published articles can be accessed online at http://journals.sta.uwi.edu/cts/. CTS is indexed by Scientific Indexing Services (SIS) and the Educational Research Abstracts online database (ERA). Abstracts from our journal are also included in the Research in Higher Education Abstracts.

The registration of the Centre’s Research Fellow in April 2015 has had a significant impact on the recruitment for articles for the CTS journal resulting in a reduction to one published volume. Unless funding becomes available once again to fund the Research Fellow’s position, the CTS will suspend publication starting January 2017.

CETL Departmental Activities

Staffing The Centre’s establishment stands at twelve positions. However, five of these

positions remain vacant as of 01 September 2016, with three temporary staff completing some of the fundamental responsibilities of the ATS. The Research Fellow’s position remains unfilled. Table one illustrates the Centre’s current staffing complement.

Graduate students have been used for a short period (1 month) to provide additional assistance in the student evaluation of course and lectures process. The Centre has applied for five (5) OJT positions associated with curriculum design, systems design, and multimedia developed. OJT is funded by the Trinidad and Tobago government. Staff Professional Development Activities Finding time to fit in their own professional development (PD) activities is

always a challenge for staff working in Centres for Excellence in Teaching and

Learning simply because these Centres provide the majority of the activities for

academic staff. Given this, a concentrated effort to increase opportunities to attend PD

sessions both within the UWI community and outside has occurred during this

reporting year particularly for ATS staff members. Professional staff continue to serve

on a variety of campus committees, publish and present papers and various

conferences. CETL’s PD activities for this reporting year are outlined in table two.
