1. Delivery note - EDI:

1. Principles and goals:

BMW Motors Steyr uses EDI since a few years to transfer all delivery note data. Basically the EDI-Implementation-Guidelines from BMW AG (https://b2b.bmwgroup.net) also applies on BMW Steyr. The deviations are documented in this writing. The goals of delivery note EDI are:

- Reduction of the delivery notes (one EDI receipt document VDA 4912) - Simplification and quickening of the receiving process - Avoidance of registration errors - Precocious stock information for material control - Definite provision of data for credit note processing (VDA 4908)

Due to the feedback from our suppliers, BMW Motors Steyr expects 100% coverage through this communicational media. This process can only succeed if the data fulfils this high quality standard.

- The data must be available prior to the delivery of the material - Early information for receiving, material control, accountancy,...

Bad data quality would cause false information for all concerned departments, manual corrections and queries would be necessary and the benefits of this transfer would be reduced. For further information please contact:

2. Communicational standards and specifications:

BMW Motoren only uses EDI (delivery notes and transport data) for serial parts. The Applikation by delivery from spare parts, test parts, tools, consumables,... is planned in a later period. Per transport the delivery can be combined to one transfer. Two norms are available for data transfer:

- VDA 4913 Version 3 or 4 - EDIFACT DESADV (planned subsequent)

This manual enfolds the requirements according to VDA 4913to VDA 4913. The Transfer must take place with the character set EBCDIC. Alphabetical symbols must be written large. Set-up of a file name: W5.VDA4913.INB.ASN Before activating the EDI for productivity, a test phase will be started; the date must be coordinated with the contact person by BMW Motoren. For test ASN‟s please send the virtual filename W5T.VDA4913.INB.ASN

4. Application of single record types: In the BMW-receiving system basically all record types are used (except 716 and 717) structuring the record type sequence occurs according to the VDA-recommendation 4913. The record type 715 is stringently necessary by BMW Motoren for as packaging material is positional based. The field 03 “Packaging type code customer” must be filled in with the packaging type code of the external packaging. These packaging type codes will be posted from BMW-Steyr (packing-planning dept.) using a packing data sheet. If needed the department packaging planning will create a list of the container accounts of the supplier, from which the packaging numbers can be read. The record types 716 and 717 are not used by BMW Motoren and will not be processed.

5. Point of time for data transfer: The Data transfer can take place from 0am – 24pm. The transfer must occur immediately after dispatching the shipment. Our disposition- and material planning departments use these data already for their analysis. All changes of the actual data must be considered before the data transfer. The accompanying documents must be conform to the data transfer.


6. Data transfer to the forwarder:

BMW Steyr receives a remote data transmission (RDT) of the transport from the particular area forwarder. Basis for this is the consignment-nr. and the lading reference number (SLB), record type 712, field 03. Since this number identifies the whole load, the system may only generate one SLB-number per load. To ensure a smooth dispatch process, these numbers should be transferred together with the supplier code, container amount and total weight to the hauler automatically latest after the lorry leaves the site. Following possibilities of RDT are available to the haulers:

8. Implementations-/Testphase:

In the test Phase all delivery note data will be checked on its form and contents and agreed on with the contact person of the supplier. The test data should be based on actual dispatch data to hold problems as low as possible when first going productive. The start will be synchronised with the departments, after reaching a certain level of stability and faultless conditions. Simultaneously the EDI basic contract will be endorsed. To keep the effort of both sides low, and simultaneously assure high data quality, which is in mutual interest, following points are to observe:

- Data processing must be VDA or EDIFACT conform - BMW specific usage of VDA 4913 / EDIFACT DESADV correlative to the

description of the record types - Maintenance of the customer specific data and verification of the RDT – data

against the master data (order data; packing data) - Adoption of relevant LAB-data into the order/dispatch transaction

Presently BMW fills, according to the VDA-recommendation 4905 for version 01, the fields 512/11 unloading point and 512/19 store with material flow data. These information’s must be printed onto the VDA-voucher 4902 in the fields 02.1 unloading point and 02.2 storage place.


9. Running operation:

The data quality level and the in time transfer of data achieved during the test phase must also be achieved during the running operation. If already sent data needs to be corrected, a new data set with the correct data needs to be created and sent immediately. The receiving department needs to be informed as soon as possible. To ensure the data consistency of the EDI and vouchers, a time synchronic creation of following vouchers is necessary:

- EDI goods receipt slip VDA Norm 4912 For emergency strategy, and to input the freight data according to VDA Norm 4921 through the shipping company.

- Material tags VDA Norm 4902 Version 4

In case an EDI is not possible in time, please inform our receiving department immediately declaring the transaction number. In case the receiving department recognizes a faulty delivery note transaction, it will inform the contact person of the effected supplier, to support the faulty clearance with the supplier. For a fast recovery this communication should occur per telephone. For a smooth process it is necessary that the responsible contact persons change the following parameter in time, and inform our responsible departments:

Please send the record types 715 according to the VDA-Norm. When using a loading unit, the master label “M” will be assigned to the palette underneath. Record type sequence: For the description of the loading unit the previous described record (M Label) is to be transferred as 1st record type. Only the position 8 (package unit number from) may be filled. The S-labels that are within the loading unit, must be transferred as 2. record type. In case the loading unit numbers of the S-labels are consistently ascending, also the fields 08 (loading unit from) and 09 (loading unit until) may be used. The 3. record type is the cover, although it is to be transferred without label identification. When delivering more loading units this data structure must be used. 2. Container labeling according to VDA 4902: General: By BMW the VDA-voucher is used for the internal material flow. It is very important not to change any agreements print or attachment of the VDA-voucher one-side. The for the bar code reading necessary fields character “J” must also be filled with a barcode of the type code 39. To identify the fields, an identifier needs to be prefixed so that a reading in open sequence is possible. Barcode recognition:

2.2 Information sheet concerning the attachment of material tags: General: The material tags according to VDA 4902 must be attached, that a stationary mounted scanner is able to read and process the printed barcode. The containers are being moved on a conveyor system during the scanning process. The quality of the material tag VDA 4902 is to choose, so that it can still be read from the automatic scanner after three months. The horizontally attached material tags may not be covered by any safety lashes and also not extend the outer contours of the container.

Basically only one material tag according to VDA 4902 is to be attached per container. Supplier internal attachments must be removed before delivery to BMW Steyr.


Attaching the material tags: The VDA voucher must be attached according to the VDA recommendation (4 adhesive spots). It is not permitted to glue the complete VDA voucher onto the container. Please be aware not to damage or remove the VDA voucher when loading the lorry (This writing also goes to all forwarders). The adhesive characteristics must allow the removal of the vouchers without mechanical help. Location of attachment:

The VDA voucher must be attached onto the designated area. Containers with the dimension 1200 x 800 mm (L4444, L0062, L3694, L3695, L0016, L2560, L3657)

must be labeled on the long side of the container.

Container with the dimension 1200 x 800 must be labeled on the long side

(1200 mm).

The VDA voucher may not be adhered onto the lid. All 4 adhesive spots must be pasted on the

KLT´s.


Containers with the dimensions 800 x 600 mm (L3708, L6043, L6143) must be labeled edgewise (600 mm).

Any additional effort on our side due to faulty, wrong labeled or wrong positioned labels on the containers through the supplier will be billed with €46,--. Please inform your relevant colleagues about these measures so the implementation can take place as soon as possible.
