Overview

The following CIO Solution provides the steps required to install and configure the Blackberry

device with the shared mailbox, and to the Blackberry Enterprise Server (BES) through the

Blackberry Desktop Manager software, and enable near real time access to the Shared Mailbox

emails on Exchange server.

The appropriate screen shots will be listed below each instruction, as required.

Section 1 - Prerequisites for Blackberry Usage

Prior to using a personally purchased Blackberry device with Accenture’s Outlook/Exchange

environment, the following conditions must be met:

1. You have already signed up for the Accenture Blackberry Enterprise program at the

following Web link: https://ts2amr.accenture.com/sites/BES/Lists/Request

%20Participation/AllItems.aspx

Note: With the growing popularity and availability of Windows Mobile and other

devices that work directly with Exchange via ActiveSync (Nokia, Palm, pending

iPhone), CIO will no longer accept BlackBerry service requests from

employees below the senior executive level.

All employees are urged to consider a Windows Mobile device when investigating

new smart phone devices.

Once your account is completed you will receive a welcome memo, DO NOT install

any Blackberry software until the Welcome Memo is received.

2. If your machine has any other PDA (ex. Palm) or Phone Sync software installed it

must be uninstalled prior to installing the Blackberry software.

3. You will need to contact your carrier / provider and verify your account is

configured correctly:o Your usage plan must have Data Transfer capabilities on it. This is the

service that allows your device to browse the internet.o Your usage plan must support connections to a Blackberry Enterprise

Server (BES) or Corporate Email (Exchange 2003). Also called as Blackberry

Enterprise Level of service.

Vodaphone UK users

You phone must be listed on a Corporate Plan

The VPN connection is active and running on your account

T-Mobile USA users

Make sure the text messaging service is active on your

account

4. Do not connect your device until instructed.

5. For questions about SIM cards and their configuration or setup, contact your

wireless carrier support group for assistance.

Section 2 - Setting up Shared Mailbox on the computer

 

1. To request for a shared mailbox logon to

https://services.accenture.com/Sharedmailbox/SMBhome.aspx.

2. Refer Adding a Shared Mailbox Profile to your Microsoft Outlook document on

Technology Support website for configuring the shared mailbox on to outlook.

 

Section 3 – Desktop Manager Software - Download the Approved version

 

The currently approved version of the Desktop Manager software is v4.2.1: a 45MB

download and it is being hosted on Software.Accenture.Com.

 

1. Use the following steps to download the installation file.

Access the file at Software.Accenture.Com:

https://software.accenture.com/display.asp?id=1518

2. Login with your Enterprise ID & Password

3. Click < Agree > button

4. Once the page loads, Click < Install Instructions > for assistance with downloading

the version required

5. Save the file to you local hard drive and note the location where it saved.

NOTE:

In order to properly install the software, you are required to have Outlook running

and connected to your mail server before installation

The Blackberry Software installation cannot be done over a dial up connection or

when using the VPN

You must use a high speed line, such as Cable/DSL or an Accenture office to

complete the setup

Please make sure your device is not connected to your machine at this time

Section 4 – Software Installation

 

1. Start Outlook and ensure that you have chosen the shared Mailbox profile to login,

Enter your password, and then hit F9 to force a connection

2. Run the previously downloaded file

3. Click < Next > on the ‘Welcome to the BlackBerry Desktop…” screen

4. Select the appropriate language (if prompted) for the installation and Click < Next

>. The installation will then commence

5. Review the License Agreement. Click < I Accept > to consent to the Agreement’s

contents, and click < Next >

6. Provide your Accenture Enterprise ID as the User Name, and ‘Accenture’ as the

Company Name and Click < Next >

7. Accept the default location for the Destination folder, and Click < Next >.

8. Choose “Typical” for the setup type and Click < Next >.

9. Select the first option, ‘BlackBerry Enterprise Server or BlackBerry Desktop

Redirector’ and Click < Next >.

10. Select Microsoft Exchange, and Click < Next >.

11. Select ‘Redirect messages using the BlackBerry Enterprise Server’ and Click < Next

12. Optional - Uncheck the < Start Desktop Manager automatically > Click < Next >.

You will then need to manually start the Desktop Manager as needed in the future.

13. Click < Install >.

14. The Blackberry Desktop software will install. This process will take several minutes.

15. Uncheck the option for the ReadMe file, Click < Finish > to complete the install and

start the Desktop Manager program.

Section 5 - Communication Configuration and Connecting the Hardware

1. If your device is currently connected to your machine, disconnect it now, and you

will be instructed when to reconnect it.

2. When prompted for a profile, select < Shared mailbox > from the drop down box.

o The software may prompt you with a Warning window with the following

information:

Use the < Connection Settings > dialog under < Options > menu to specify

the communications setting you wish to use. Click < OK >

3. Click < Options menu >, and select < Connection Settings >.

4. Select the appropriate connection type between the device and your PC (USB is

recommended). Click < OK >.

5. Now you can connect the device to your PC. You may be prompted to enter your

Blackberry password.

6. The Operating System will automatically detect the new hardware.o After the process has completed, you will be prompted to generate a new

encryption keyo Click < OK >

7. To help with key generation, move the mouse as requested.

8. Double Click < Email Settings > icon.

o Uncheck the < Disable message redirection > option. This will allow your

unit to continue to send and receive email even when it's docked

o You can also set the signature lines that will appear on outgoing mail from

your unito Click Apply > OK when finished

9. Double-click on < Synchronize > icon.

10. In the top section , check both < Reconcile Messages > and < Synchronize

organizer data >.

11. Click < Configuration Tab > and under Configuration click < Configure

reconciliation button >.

12. Make sure < Synchronize moves and deletes > is selected. Make sure < Mailbox

wins > is selected.

13. Click < OK >.

14. Click < Configure synch > button.

15. Wait while the initial setup is configured.

16. Click < OK > when Synchronization Warning box appears.

17. Highlight the Calendar line and click < Choose >.

o In the drop down list, locate and click on < Blackberry Wireless Sync >

o Make sure Synchronize is selected and Click < OK >

18. Click < OK > again to close the PIM settings.

19. You may get a box with the following information:

Note: Enabling Blackberry Wireless Calendar synchronization will replace your

existing handheld appointments with your desktop calendar

Click < OK > to continue

20. After this configuration is complete, Click < OK > through the remaining

prompts/menus.

21. Click < OK > when finished with configuration.

22. Click < Synchronize > and Click under Automatic synchronization (personal

preference) desired.

23. Then at the top of the windows, click < Synchronize Now > button to manually sync

your unit.

24. Wait while all of your information is processed.

25. You may get a box with the following information:

Note: Enabling Blackberry Wireless Calendar synchronization will replace your

existing handheld appointments with your desktop calendar.

26. Click < OK > to continue.

27. When you return to the Synchronize screen, Click < Close > to exit.

28. You can then close the Desktop Manager program.

29. Now you can Disconnect the device to your PC.

Note: Once the device is disconnected from the PC, the device screen may display the

Enterprise Activation status as shown in the screenshot below, if this is the first time the

Blackberry is being configured.

 

 

Once complete, Blackberry screen would display Activation is complete!

 

 

Now you are ready to send and receive emails using Blackberry.
