Part Time Office Manager Position (6 month contract, 15 hours per week) Canberra Community Law (CCL) is a leading not for profit community legal centre in the ACT and its region committed to social justice and human rights. We are seeking an experienced Office Manager. This is an excellent opportunity to join a team committed to making a difference to the lives of disadvantaged people. Key aspects of the role include: Providing administrative support to CCL’s Co-ordinator/Principal Solicitor and other Centre staff as required; Overseeing the efficient management of CCL and assisting with the co-ordination and administration of CCL’s Night Time Legal Advice Service; and Assisting with the management of CCL’s administration internship program and supervising students in the performance of administrative duties. Canberra Community Law (CCL) is a leading not for profit community legal centre in the ACT and its region committed to social justice and human rights. We are seeking an experienced Office Manager.

Part Time Office Manager Position Description and Selection Criteria

Position: Part Time Office Manager

Status: 15 hours per week, 6 month contract

Classification: Level 5 as per Community Sector Multiple Enterprise Agreement 2009 (Australian Capital Territory) and CCL’s salary scale

Salary range: $61 997.52 to $65 031.72 pro rata per annum

(Salary Packaging also available)

Hours: 15 hours per week

Purpose of the Position: To provide high quality administrative support to CCL staff and to oversee the efficient and effective administration of CCL.

Duties and Responsibilities:

Provide Administrative Co-ordination Ensure CCL and its programs, administration systems and processes

operate in an efficient and effective manner and are consistent with CCL’s policies and procedures.

Ensure that all administrative procedures and policies are documented. Communicate any issues which may affect the smooth and efficient

running of the office to the Co-ordinator/Principal Solicitor. Assist with the management of CCL’s administration internship program

and supervise and assist interns, casual administrative staff, students and volunteers in the performance of administrative duties.

Assist in the induction of staff, volunteers and students. Assist with the co-ordination and administration of the Night Time Legal

Advice Service. Liaise with CCL service and product suppliers (eg IT and phone system)

and troubleshoot any issues as they arise. Liaise with CCL’s IT contractor to ensure that Centre data is regularly

submitted as per the Centre’s funding requirements.

Provide and/or Supervise the Provision of General Administrative Support for Staff

Provide administrative support to CCL’s Co-ordinator/Principal Solicitor and other Centre staff as required including file management administration;

Arrange catering as required; Manage Legal Practice meeting and Centre meeting minutes

(typing, circulating and filing); Analyse Centre data and provide descriptive statistics for CCL

reports; Create and amend forms and templates; and Other administrative duties as required.

1. Ability to exercise judgment and discretion, and to maintain confidentiality.

2. Strong time management skills and the ability to prioritise competing demands.

3. Strong experience in office administration and management.4. Intermediate skills, including experience with IT troubleshooting and

Microsoft Office.5. Experience with or demonstrated ability to supervise volunteers and

students.6. Ability to work in a team environment with minimal supervision.7. Demonstrated commitment to social justice and human rights.

Desirable

1. Experience working in a similar role in a community legal centre or community based environment.
