Terms and conditions are the rules that make up an
agreement. For example – the rules for using the
money Awards for All gives. Your organisation must
follow the rules. If any new people join your
organisation, you must make sure they know the
rules too.
Your organisation
You must use the money we give you just for the
project and nothing else. If you do not use all the
money we give you, we will ask you to give the rest of
it back to us.
Your organisation must treat everyone fairly. Do not
let anybody in your organisation discriminate against
a person for any reason.
You must give a copy of these terms and conditions
to everyone who works for your organisation on the
project. Anyone who joins your organisation and
works on the project must also have a copy.
Your organisation must follow all the laws for your
kind of organisation.
To discriminate - to treat someone less fairly because of
their age, race, religion, gender, sexuality or disability.
Solicitors - experts in the law. They can explain how
different laws work.

You may want to join with another organisation or to
change the goals of your organisation. If so, you will
ask us to agree to the changes in writing.
You will let us know if any person or organisation
takes you to court because of the project.
You will tell us if any official organisation investigates
your project.
You will meet with us from time to time to tell us how
the project is going.
You will tell us if your governing body (or Board of
Trustees) has less than 3 people. You will try to find
3 people as soon as possible.
If your project works with children, young people or
vulnerable adults, you must make sure they are safe
at all times.
You will work with carers, making sure they know
what the people they care for do on the project.
If you are a charity you will be registered with the
Charity Commission.

You will have the right kind of insurance for the
project.
You will let us talk about your project in our publicity if
we want to do this.
The Project
We agreed to give the grant to your organisation
because of what you told us in your application. If
you want to change any part of the project, you must
write to us and tell us:
What you want to change.
Why you want to change it.
Why we should keep on supporting you.
Before you make any changes, you must wait for
us to agree to the changes in writing.
You must start your project no more than 3 months
after getting the grant. If that is not possible, you
must write and tell us why the project has not started.
You must finish the project no more than 1 year after
getting the grant.

You cannot use any grant money for things you said
you would do before you applied to Awards for All.
You will tell us if anyone else has offered you money
to support your project.
If you finish the project and do not use all the money
in the grant, you will give us back the money you
have not spent.
If you are publicising the project you should mention
who has helped with your funding.
You will let us say that we are supporting your project
in our publicity.
You will tell us if your contact details change or if
people change in your organisation.
You will keep to the law. You will have an equal
opportunities policy. You will make sure your staff
know what this policy says and how they should
behave.

Value Added Tax (VAT)
If the taxman gives you back any money for any items
or activities for your project because of VAT, you will
give it to Awards for All. If you need more
information about VAT, please ask someone to help
you go through the information in the full document
(not Easy Read).
Annual Report and accounts
You will show the payment of our grant in your annual
report and accounts. You will call it “Big Lottery Fund
Grant” in the accounts.
You will keep records for 7 years after your project
has finished, to show how you spent the money. The
records will show how much you paid people who
worked on the project. You will give copies of the
records to Awards for All if we ask you to.
You will give the Awards for All bosses regular
reports on:
How the project is going.
How much money has been spent.

Grants for assets or services
If you buy things costing more than £250, you must
ask at least 3 companies to give you their price. You
must let us look at the quotes if we ask to. If you buy
a car or van you must give us a copy of the
registration document no more than 3 months later.
If you wish to sell items that you bought with grant
money you must write to us and ask us to agree to
this.
Monitoring (Checking)
You will let us know how the project is going. You will
use any forms we give you for this information. We
may ask how many people you are helping with the
project. We may then use your answers to let the
public know how grant money is helping people.
When you finish the project, you will tell us:
How much you have spent.
What you did on the project.
You will write to us if anything stops the project
starting on time. You will tell us if you decide to run
the project in a different way from how you first said
you would do it.

Payment of Grant
You will open a separate bank account for the grant
money, if we ask you to. You will give us copies of
bank statements, if we ask for them.
The Bank account must be with a UK Bank or
Building Society. You cannot use cash machines to
take out money to pay for goods used on the project.
If you pay more than £100 for any goods used on the
project, you must pay by cheque and keep a receipt.
You must not buy goods on the internet unless we
agree to this.
Length of Grant agreement
The terms and conditions continue for whichever of
these is longest:
1 year after you get the grant money
or
You have done everything we asked you to – for
example, writing reports about your work. This
could take longer than 1 year after the project
finishes.

Other matters
Awards for All can only give out money while the
National Lottery has funds to give away.
We may tell others about your grant if they ask. They
may show details on TV, in newspapers or on the
internet.
If you spend more money than you have in the grant,
we will not give you any more to cover it.
Awards for All will not take the blame if anything bad
happens due to the way you run the project.
Awards for All will ask you to pay back all or part of
the grant if:
You do not do what you said you would when
you asked for the Grant.
Something on the application form was a lie.
You gave wrong information when you first
made the application.
Somebody who works for you does something
that makes Awards for All look bad.

There is an investigation by an official
organisation into how the project is run.
Someone else gives you money for the project.
Something changes, making the project fail.
You do not tell Awards for All that things have
changed and will affect the project.
Awards for All thinks it needs to protect its
money.
We may ask for the money back if it seems you may
have to close your organisation.
If paying grant money to you breaks the law, you will
return the grant. You will not give the grant money to
another organisation unless Awards for All agrees.
Awards for All may not give you grants for future
projects if you break any of its terms and conditions.
We can add more conditions if:
You break this agreement.
People who work for you or manage you do
something that makes Awards for All look bad.
Awards for All thinks that more conditions will
help your project.
