The purpose of this document is to present a high-level architectural view of each room type, the connectivity requirements and

solution patterns that address the use case examples presented in the AVI Service Requirements document.

This document has been written to align with and feed into the AVN Delivery Framework High Level Design and Detailed Design

documentation.

2.3 Audience

The intended audience for this is the Architecture Review Committee (ARC), engineering design and technical support teams. It

is expected that the reader is familiar with the AVI Service delivery framework design documentation and other relevant

documents within the proposed model.

2.4 Definitions

Lifecycle Status Description

Innovate These devices are typically an emerging technology which is under investigation and has either little or

no usage. These devices are not fully supported

Encourage These services have passed the “Test and Certification” process and been piloted successfully. They are

fully supported

Contain The purpose of this is to indicate services that can be re-deployed within the Deakin environment where

needed but no new instances of these are to be purchased.

Exit The purpose of this is to indicate services that can no longer be redeployed within the Deakin

environment and should be actively removed.

3. AVI Service Overview

3.1 Architecture Overview

The purpose of this service is to provide audio, video and presentation functions in a room or between either two or more

connected rooms. Connectivity for each room type varies with several service features including video conferencing, audio

conferencing, wireless presentation, interactive displays, unified communications, device monitoring and provide connectivity to

Deakins preferred content recording platforms.

3.2 Component Overview

The following section will depict an overview of each major design pattern available and its components.

3.2.1 In Room Control

The Audio-Visual device controller is in the space or room itself.

5. Pattern Usage Guide

This section presents a high-level guide for selecting video conferencing collaboration patterns and the related functions

available.

5.1 Pattern Determination

The process of determining the required pattern, functions and placement is outlined below:

1. Prior to requesting the service(s), the requestor or auditor needs to gather all critical room data and the relevant environmental features:

a. Where is the room located? (e.g. campus, building number and room number) b. What type of environment will it be installed in? (e.g. teaching spaces, lecture theatres meeting rooms,

personal spaces) c. What type of teaching style will this be used for? (e.g. General, Conversational, Collaborative, Connected,

Lecture Theatre) d. Does the physical attribute of the room match the tolerance of the solution room type selected? e. What functions are required in the space? (e.g. presentation, video conferencing, conversational learning) f. What furniture types are being integrated with technology? g. How dependent will the solution be on any building works prior to installation? h. What network capacity is available?

5.2 Environment Integration Options

Meeting Rooms will include this feature as standard but learning spaces will only include it by request. During the project

scoping stage, the assigned PM will add it to the feature list of the room when required. These may include:

• Integration into Lighting

• Integration into Heating and Cooling Systems

• Integration into existing and Space Management Systems

5.3 Room Names and Size Definitions

The AVN team has the capability to design, consult and integrate audio visual and video conferencing rooms to fit most of

Deakin University’s learning and staff meeting room environments.

The following are recommended room design groups which fit within the standard IPG environmental parameters. These

recommended room designs will provide optimal user experiences which are uniform across all learning and meeting room

venues within the Deakin network.

5.3.1 Meeting Room IPG Naming Standard

The first table will reflect the IPG Design standards which our solution design room types are based on.

The AV engineering team will create standard designs for standardised physical room sizes that will complement the IPG design

standards detailed in the previous table.

The following table will help to standardise the technical designs that make up the service and allow for a reasonable amount of

design flexibility.

These measurements are represented in meters as this rule will always dictate the type, size and amount of displays are

required in a space.

6. AVI Service Patterns

Available technical design patterns are presented in this section. Room pattern names will be defined as the following.

AV Only: Audio Visual technologies designed for presentation and teachings purposes. These rooms that will not have any

integrated Deakin Video Conferencing or Unified Communications services. This does not exclude a user from plugging in their

own device and using these services.

VC: Deakin Video Conferencing is core to the design utilising the existing Cisco platform and its endpoint hardware.

UC: Unified Communications technologies are at the core to the design. This includes endpoints that support Zoom Rooms and

Microsoft Teams.

6.1 Personal Video Conference (UC/VC)

This pattern is an optioned deployment pattern, which means that it can contain either the Cisco WebEx Series of devices

(legacy) or a Zoom solution while using the wireless connectivity as detailed in the below table. This solution cannot be

customised to accommodate other devices or interface configurations.

6.2 Basic Audio Visual Only (AV)

This pattern is a flexible deployment pattern, which means that it can contain various configuration options as required by the

room functionality and physical size. A basic solution can be customised to accommodate other devices or interface

configurations.

The Room type covers anything from a small, medium to large sized space. The Core system Basic is the only pattern to include a

“Keypad” for control.

detailed in the below table. This solution offers customised solutions that accommodate the quantity and sizes of display devices

7. Use Cases

7.1 AVI Service

In Room and Remote Learning

The university needs a campus-wide system where presenters are in classrooms with a small group of students, all observing

social distancing best practices. With room occupancy dropping, only a fraction of the student body will be on campus at one

time, so day by day, hour by hour, more classroom system needs to capture, transmit and record content, and then reset for the

next class, with all the audio and video content flowing where it is needed, as efficiently and reliably as possible, and of good

quality.

Room Overflow Learning

The second use case is in dealing with classroom overflow. Most classrooms were built for an occupancy of about 30 students

seated tightly together, but with social distancing, that number can drop to as low as just 8 to 10 students and a faculty

member, depending on the actual size of the room. The AV team needs to have a presenter in a room with a small group of

students, and then have adjacent rooms with additional small groups all listening to and participating in the same lecture. The

overflow rooms are equipped with cameras, microphones, displays/projectors, and sound systems as well to facilitate

interaction.

7.2 Audio Visual (AV) Only Spaces

A new or refresh room that requires a fit out with basic presentation features such as video, audio and a control interface. The

pattern type will be determined by the size of the space as to whether it is fitted with display or projection and the amount of

audio that will sufficiently cover the space. Capacity of connected services will also be considered by the engineering team.

7.3 Video Conferencing (VC) Rooms

A new or refresh room that requires a fit out with a high-end video conferencing experience. The Deakin video conferencing

platform covers a range of uses from personal to large conference rooms and Learning Spaces.

7.4 Unified Communications (UC) Rooms

A new or refresh room that requires a fit out with Zoom, Teams and potentially other Unified Communications platform

integration. User will be able to use their personal Zoom or Teams account to connect to their personal contacts. These rooms

will have a camera, microphone and the ability to plug in your BOYD device for content sharing.

7.5 Collaboration Rooms

A new or refresh room that requires a space design that is adaptable and facilitates group project work and team‐based

learning. They include a variety of work surfaces and spaces for groups of 4‐8 students. PODs are required for student to work in

as teams. These PODs could be technology free or have a central display for content sharing. Lectures do not require any

recording technologies in these spaces.

7.6 Connected Rooms

A new or refresh room that requires a space design that allows for simultaneous participation for both cloud and onsite

students. Video and audio communication between the lecture, offsite and onsite students will be clear and intelligible. This

design will be highly focussed on allowing cloud students to feel part of the session.

7.7 Lecture Theatre

A new or refresh room that requires traditional lecture theatre or auditorium design. Presentation of video and audio content to

a large audience with options for video conferencing and content recording features.
