DEPOSITS & PAYMENTS

We require a $1,000 non-refundable deposit along with a signed contract to reserve your date. This deposit will later be used as your damage deposit. The damage deposit is refundable less damages. Six months prior to your event an additional $1,000 is due and will be applied toward your invoice. Ninety days prior to your event 50% of your estimated bill is due. Estimated final payment is due 14 days prior to your event along with your final

guest count. A validated credit card number is required for any remaining balance upon conclusion of your event.

SERVICE CHARGE & TAXES

A 17% service charge is applied to all food, beverage, equipment, labor and rental. Carlos Creek Winery has complete discretion as to its use and distribution. There will be a 6.875% (or current MN sales tax) sales tax applied to all food, beverage, equipment, labor and service charge. Alcohol

tax (2.5%) will be applied to all alcohol purchases.

NATURAL CATHEDRAL: Set in a natural arched canopy of trees this venue is perfect for any size of group. Includes a beautiful stone aisle and a wood arbor. 20-400 people.

VINEYARD AMPHITHEATER: The only ceremony venue set in the vineyard. Your guests will enjoy stadium-style seating while overlooking the rolling hills of grape vines. Includes a stage with a white wood pergola. 20-600 people

ORCHARD CREEK: Conveniently located to the social hour terrace and the reception hall this venue has wonderful landscaping including a pond with a wine barrel waterfall and fountain. Say your “I dos” a top a picturesque bridge surrounded by family and friends. 20-300 people.

RECEPTION

THE GRAND STABLES RECEPTION HALL: A beautiful mix of vineyard and rustic barn this venue is unique and elegant. Warm tones, rich woods and wine barrels will transport you and your guests to the rustic wine regions of France and California without ever leaving Minnesota. Includes white lanterns and mason jar decor to add to the rustic charm. Perfect size room for groups between 100-350.

WINE TASTING ROOM: Intimate setting for small groups. Includes wine barrel decor, wood dining tables, marble topped tables for buffet and gift tables and an authentic winery charm. For groups of 20-64 people.

h POLICIES & GUIDELINES

RECEPTION HALL RENTAL Rentals on Fridays, Saturdays and Holiday Sundays shall have use of The Grand Stables Reception Hall and the bridal dressing room from 10am-12am. Decoration set-up time will be between 10am-1pm. Doors to reception hall will be locked between 1pm and scheduled reception time. Music and alcohol service must cease 30 minutes prior to the end of the event or no later than 11:30pm. DJ or band and wedding couple have until 12:30am to remove all items from the premises including (but not limited to) any decorations, personal items, gifts or items other vendors supplied.

CEREMONY & SOCIAL HOURYou will have access to your chosen ceremony venue one hour prior to your scheduled ceremony time. Rental includes two hours of rental for the ceremony location including the one hour prior to ceremony.

Social hour venue will be set one hour prior to scheduled social hour. No alcohol will be served until scheduled social hour time begins.

REHEARSALSRehearsals are included in the rental at no charge. Rehearsals must be scheduled with your Wedding Coordinator one month prior to wedding date. Rehearsals may be scheduled Monday - Thursday 10am-5pm and on Fridays from 10am-12pm.

FACILITYWe only host one wedding a day at the winery, but we may schedule other non-wedding events the day of your wedding, including wedding rehearsals & groom’s dinners.

CANCELLATIONSCancellations must be submitted to the Director of Events in writing. In the case of a cancelation the following will be due to Carlos Creek Winery: 180 Days Before: $2,000 90 Days Before: $2,000 + 50% of estimated balance 30 Days Before: $2,000 + 75% of estimated balance 14 Days Before: $2,000 + 100% of estimated balance

Acts of god, natural disasters or civil disturbances will enable either party to cancel this agreement without prejudice.

DATE CHANGEYou may change your date up to 30 days after booking with no penalty. If you choose to change your event date within 90 days of the original booking date, half of your deposit can be applied to the new date. Any changes made after 90 days will require a new deposit.

ALCOHOLIC BEVERAGESSTATE LAW PROHIBITS BRINGING ALCOHOL ONTO THE CARLOS CREEK WINERY PREMISES. Carlos Creek Winery is licensed to allow the consumption of beverages provided by Carlos Creek Winery. Carlos Creek reserves the right to confiscate any alcoholic beverages that are brought onto the Carlos Creek Winery property. State Law prohibits consumption of alcohol by those less than 21 years of age and Carlos Creek Winery reserves the right to card anyone when purchasing alcohol. Any representative of Carlos Creek Winery reserves the right to refuse service to anyone who appears to be intoxicated. Failure to act responsibly and maintain self-discipline may result in removal from premises, legal intervention or termination of event.

Bar minimums may be met by a hosted bar, cash bar or combination of hosted and cash. The minimum does not include service charge or sales tax.

Special order bar items (such as kegs of beer) must be ordered at least 2 month in advance of scheduled event.

CATERINGAll food and beverages must be purchased from Carlos Creek Winery, with the exception of wedding cakes. All wedding cakes brought onto the property must be from a licensed baker. If food or beverages from an outside source are brought onto the property, Carlos Creek Winery reserves the right to hold those items and return following the event, or assess an appropriate charge. Due to health and insurance regulations, we cannot allow any leftover food or beverages to be taken off the property.

SPECIAL EVENT INSURANCEThe host of the event is required to get a liability insurance policy for $1,000,000 per occurrence/$2,000,000 general aggregate with Carlos Creek Winery listed as additionally insured. Proof of policy will be due to Carlos Creek Winery fourteen (14) days prior to event.

FINAL COUNTFinal count is due to Carlos Creek Winery fourteen (14) days prior to event. Minimum charges will be based on final count given at this time. If count is lower than actual number of attendees, you will be charged per person above final count. Final count should include all children, vendors and special request meals if applicable.

SMOKINGSmoking is not allowed inside any buildings and is only allowed outside in a designated smoking area.

TENTCarlos Creek Winery does not rent out tents for special events, however, tents can be rented from recommended vendors to be brought onto the property. There will be a $250 tent fee charged to cover wear & tear caused by tent set-up and take-down.

TABLE DIAGRAMDirector of Events will provide a table and chair diagram for the special event. The table and chair diagram must be approved by the client at least one month prior to event. For plated meals, client must provide Carlos Creek Winery with table assignments and meal choices for each guest. �

h POLICIES & GUIDELINES CONTINUED

WEATHERCarlos Creek Winery cannot be held responsible for inclement weather conditions. You and your Wedding Coordinator will come up with inclimate weather options to ensure there are no last minute issues. On the day of the event, you must decide venue location at least three hours prior to your first outdoor event. In no way are we responsible for the actions of animal(s) (wild or domestic), insects or any disruption, inconvenience or injury that may occur as a result of their actions.

INCLUDED DECORATIONSCarlos Creek Winery includes decorating services in all of our rentals. This includes: centerpieces and head table, escort table, guest book table, fireplace & bar décor. There are available options to upgrade & enhance all provided decorations.

DIY DECORATIONSIf you choose not to use our decorating services you will not receive any refunds nor have the use of any of the items included in our centerpieces. We will set-up your centerpieces, which must arrive to the winery two days prior to your event. You are responsible for the removal of your own decorations.

When planning decorations, these items are not allowed: rice, glitter, confetti, birdseed, unguarded candles (open flames), fog machines, bubble makers, oil/kerosene lamps, real flower petals (indoors), synthetic flower petals (outdoors) and sky Chinese lanterns. NO ON SITE ASSEMBLY & NO FLORAL STORAGE. Fireworks are allowed as long as they are set-up and set-off by a licensed vendor. Taping, gluing, nailing, stapling or any other form of adhering decorations to the structure is strictly prohibited.

COORDINATIONTo ensure an easy planning process you will be working directly with your Wedding Coordinator for all of your pre-event meetings and questions. Your Wedding Coordinator will also be handling all day-of activities for your wedding.

BAR OPTIONS AND POLICIESEnjoy award winning wines from our wine maker Russ Funk while you celebrate with family and friends. Choose five of our wines for your wedding bar selection. We also supply domestic or imported beers for your special occasion. We do not allow hard alcohol

on our property. We use plastic, logoed beverage containers during outdoor portions of your event and after 9:00 PM.

OPEN BAR OPTIONS

We offer several options for a hosted bar including: open for a set time frame, open for a set budget, open all night or

drink tickets. All options go toward your beverage minimum.

Wine: $5-7 per glass(price depends on the wines you choose)

Beer:$4 per 16oz. glass

or$375-425 per keg

(If you choose to provide beer for your guests by the keg, you must have wine open by the glass during the time your kegs are

open. No refunds for unconsumed beer in the keg)

Tickets:You may purchase drink tickets from the winery at $5.00 per ticket.

There will be no refunds for unconsumed tickets purchased.

CASH BAR PRICES

Wine Slushies:Your choice of Margarita, Sangria, Peach Bellini or Cosmopolitan.

MENU TASTING POLICYAll couples booked before January of their wedding year will have the opportunity to attend our Wedding Open House where the couple and up to four guests may come and sample food and wine. If you would like to sample items that were not featured at the open house, you may set-up a separate date to sample. There is no charge for the bride and groom to do sampling, but for extra guests there is a $10/person charge. You may sample up to three entrees and up to three side choices. Menu choices must be made at least one month in advance of wedding date. No food sampling appointments will be made less than one month until wedding date.
