Information Note for Participants

I. General

1. The Asia-Pacific Civil Society Forum on Sustainable Development: Consolidating and reaching out for development justice (CSO SD Forum), is scheduled to be held at the Ibis Riverside Bangkok Hotel, from 15 to 17 May 2014, and will be inaugurated at 13:30 hours on Thursday 15 May 2014 in the Grand Meeting room.

II. Registration

5. Prior application and confirmation of registration is required for participation in the Asia-Pacific Civil Society Forum on Sustainable Development: Consolidating and reaching out for development justice and other above-mentioned meetings.

6. Participants are requested to ensure that they have received confirmation of registration and that the conditions for their participation are clearly and explicitly communicated, before making arrangements for their participation. Registration will take place starting from 13:00 pm on 15 May 2014 at the registration counter, located outside

of the meeting room. Only the names of duly registered participants will be included in the list of participants.

7. For identification and security reasons, all participants are requested to wear their meeting badges at all times during meetings and social functions.

III. Visa requirements

8. Participants are required to make their own arrangements for appropriate visas for entry to Thailand.

IV. Weather

9. The weather in Bangkok is usually warm and humid. Light tropical clothing would be appropriate. The meeting room will be air-conditioned with the temperature maintained in the range of 23-24 degrees Celsius (73-75 degrees Fahrenheit).

V. Health

10. Upon arrival at the port of entry in Thailand, participants who have travelled from or through countries listed below which have been declared yellow fever infected areas must provide an International Health Certificate proving that they have received a yellow fever vaccination.

11. Nationals of the countries listed below who have not travelled from/through those countries, will not require such a certificate.

13. The meeting room will be a smoke-free area.

VI. Hotel accommodation

14. Room reservations will be made for sponsored participants at the Ibis Bangkok Riverside hotel directly by ESCAP based on travel information for the duration of the meeting, and costs paid directly to the hotel (not including any extra charges, room, service, communication costs and other incidentals). 15. Participants whose participation in the CSO SD Forum has been sponsored, may also have received sponsorship for attending one or both of the related meetings being held on 18 May and 19-21 May in Pattaya (see section I and refer to information received on confirmation). Accommodation for sponsored CSO participants for the meetings held in Pattaya, will be provided at the Ibis Pattaya Hotel. A shuttle will be available to transport participants to and from the venue of the meetings (the Royal Cliff Hotel).

VII. Transportation from and to the airport

17. All participants arriving from other countries are expected to arrange their own transportation to and from the airport, whether sponsored or not.

18. Ibis Riverside Hotel is 40 km (approximately 40 minutes by car) from the Suvarnabhumi Airport. Participants should make their own transportation arrangements from Suvarnabhumi Airport to the hotel. Public taxi service can be taken from the airport to the hotel.

19. To use the public taxi service from the airport to Ibis Bangkok Riverside Hotel, it is strongly recommended that participants contact only the authorized officials at the counters locate outside the terminal, adjacent to the airport arrival zone. There are many taxi and company tours which may offer their services at Suvarnabhumi Airport. Participants may access public taxi counters by exiting gates 3 or 9 of the arrival zone – following signage for the public taxi counters. On arrival at the hotel, the passenger should pay the taxi meter rate, plus the toll charges on the tollway. The passenger must also pay a mandatory 50 Baht Airport Surcharge to the driver. The taxi meter fee to the hotel is approximately 450 Baht one-way (inclusive of Airport surcharge and toll charges). It is recommended to agree the rate with the driver before travel.

20. If not staying at the Ibis Bangkok Riverside Hotel, self-funded participants must take public or other transportation to make their way to the meetings.

21. Participants attending the CSO SD Forum in Bangkok, as well as the Regional Dialogue on Technology Facilitation for Sustainable Development and/or the Asia-Pacific Forum on Sustainable Development in Pattaya, will be provided transportation from Bangkok to Pattaya. Buses will depart the Ibis Bangkok Riverside Hotel on Sunday 18 May 2014. Those requiring such transportation are required to confirm their registration to use this service on the evening of 15 May 2015 or morning of 16 May 2014, on registration at the CSO SD Forum. Please be sure to register, or contact the secretariat if there are any sudden changes.

22. Participants staying at the Ibis Pattaya will be provided transfers to Suvarnabhumi airport by the hotel.

VIII. Daily subsistence allowance (where applicable)

23. Where a daily subsistence allowance (DSA) is payable (please refer to your acceptance letter for details), participants are requested to submit copies of passports (the page(s) with your picture and the entry stamp into Thailand), air tickets, boarding pass to the Secretariat staff in the meeting room on the first day of the meeting in order to facilitate payment of subsistence allowance. The DSA rate of the Asia-Pacific Forum on Women, Law and Development will be applied to all sponsored CSO participants throughout the CSO SD Forum and other abovementioned meetings unless otherwise communicated. Payments will be made on the evening of CSO SD Forum (15-17 May 2014) only.

24. Any participants who are unable to stay for the duration of the meeting are requested to inform the Secretariat as soon as possible after arrival, so that the subsistence allowance can be adjusted accordingly.

IX. Air travel arrangements and local transportation (Sponsored

participants)

25. Please refer to the travel/confirmation form received for details regarding travel and reimbursement arrangements. The costs of your air-ticket will be transferred to your bank account, after the meeting, and after we have received the receipt for your ticket. Please ensure that your bank transfer form has been completed and returned to [email protected], cc to: [email protected] and [email protected]. Reimbursements will be made by the Asia-Pacific Forum on Women, Law and Development using the published exchange rate. If you would like to use a specific exchange rate, please provide a bank statement with the exchange rate to US Dollars, current for two days before departure to Bangkok, Thailand. If unable to receive payment for your airfare through the above process please inform [email protected], cc to: [email protected] and [email protected], and provide details of an alternative means of making your payment.

26. Questions and request regarding air travel arrangement and reimbursements may be directed to Daungkamon Doncha-Um from APWLD: [email protected], cc to: [email protected]. Where changes are made to the travel schedule, the meeting secretariat must be informed as soon as possible after arrival.

X. Financial and administrative arrangements (only if applicable)

27. The meeting organizers will not assume responsibility for participant expenditures, including the following:

(i) Salary and related allowances for the participants during the period of the meeting;

(ii) Costs incurred by participants in respect of travel insurance, accident insurance, medical bills or hospitalization fees in connection with attending the meeting;

(iii) Compensation in the event of death or disability of participants in connection with attending the meeting;

(iv) Any loss or damage to personal property of participants while attending the meeting or losses or damages claimed by third parties as a result of any negligence on the part of the participants; and

(v) Any other expenses of a personal nature, not directly related to the purpose of the meeting.

XI. Preparing to participate

28. Please ensure that you are familiar with the objectives of the CSO SD Forum (and related events, if participating) and are ready to contribute.
