APPENDIX G TO CAAP 5.14-2(0) – TRAINEE PROGRESS – MANAGEMENT AND RECORDING SYSTEM
All flying schools should already have in place some form of trainee progress management and
recording system. This may be a simple as hand written progress sheets combined with the trainee
pilot logbook. Experience has shown that this type of recording system may work for flight
instructor training. However due to the complex nature of this course, there is significant potential
for trainee progress monitoring failure or breakdown. On this basis it is recommended CFI’s review
their existing systems to look for potential failure points.
To assist CFI’s who wish to develop a robust trainee progress management and recording system an
example of such a system has been developed and published in this Appendix. While the example
may appear complex, a FITC, particularly where multiple trainees are participating in the course,
will be a complex program to manage. This Appendix provides detailed trainee progress recording
and management system templates that CFIs can modify to suit their specific needs. While CFI’s
may not wish to adopt it in total, they should as a minimum consider implementing the basic
principles and systems to minimise the risk of system failure.
A ‘whole of course’ overview on a single page is provided on Page G3 of this Appendix. The
various course phases are arranged across the top of the table with the lessons contained in each
phase immediately below. Immediately below the lesson row are 10 rows devoted to planned and
achieved for each lesson and cumulative hours. The next row makes provision for recording the
assessment grading for each lesson. The remainder of the table presents a matrix demonstrating the
relationship between individual lessons and training elements.
The last two columns on the right hand side of the table provide for final sign off against each of the
training elements.
This table can be used as a hard copy document or as an electronic spreadsheet. If CFIs wish to
access the electronic version, please contact the CASA Flying Standards Branch on 131 757 to
obtain a copy of the electronic file.
An example competency grading system for use during instructor training is provided on Page G5 of
this Appendix.
The remaining pages of this Appendix provide a comprehensive trainee progress recording system
with dedicated forms for each long briefing, pre-flight briefing, air exercise and post flight de-
briefing. These forms have provision for recording the read-backs and assessments embedded within
each lesson.

Example Flight Instructor Trainee Competency Grading System
Competency is assessed against the criteria of:
what a person is required to do
the conditions under which it is to be done
how well it is to be done
Competency therefore measures the knowledge, skill and attitude required of a person to perform a task to a required standard.
In assessing the flight instructor trainees competency during the training process, this section presents a list of competencies measured against the trainees:
Flying skill
Airborne instructional training ability
Ground instructional training ability
Fault analysis and remedial training technique
Overall lesson management
The table below contains the competencies required of the flight instructor trainee to enable progression from dual practice required, to mutual practice authorised and finally to reach of the grade 3 standard.
Flight Instructor Trainee Competency Grading System
Element 3 – Dual Practice Required 2 – Mutual Practice Authorised 1 – Grade 3 Test Standard
Flying Skill 1. Control inputs are uncoordinated, not in the correct order and require significant adjustment. 2. Flying tolerances are not CPL Standard.

Fault Analysis And Remedial Training
1. Faults are not always identified or communicated to the student in a constructive manner. 2. Student errors are addressed in a criticising manner which affects their confidence. 3. Analysis is poor and route cause technique deficiencies are not identified. 4. Trainee can not apply appropriate remedial action. 5. Remedial training is not effective and student errors remain uncorrected
1. Most faults are identified and communicated to the student in a constructive manner. 2. Student errors are addressed by prioritisation to maintain student confidence. 3. Analysis is developing and route cause technique error correction is usually applied. 4. Trainee applies appropriate development of remedial exercises. 5.
