Section 1
How to Log In
Main Login ScreenMany other universities use Entrada. This URL is specific to the Rady Faculty of Health Sciences.entrada.radyfhs.umanitoba.ca
If you do not know your login credentials, please contact the IST Service Desk.
Your username is your U of M email address.Your password is not the same as your hospital email password.

How to complete an EPA that is assigned to you
Dashboard The Dashboard is the screen that loads after logging in.The green circle indicates how many outstanding assessments you have. To access assessments, click here.

If you are not the correct recipient of an assessment, you can delegate it another supervisor. This is shown later in Section 4.
To remove a task, such as a mock evaluation on Jane Psychiatry, select Remove Task. Note that if you remove a task that you are required to complete, that this is tracked, and it will be resent to you.

Use the drop down menus to select the variables applicable to the patient encounter.

An EPA is a task of a psychiatrist.Milestones are the abilities that are required to complete that task.
All fields must be answered. Often, not all Milestones are observed in a single patient encounter. For these, you may answer “Not observed.”

Under Comments and Next Steps, please answer the question using the 3 C’s of coaching-style feedback. (Note: starting July 1, there will only be one box “Next Steps” for narrative comments. All comments will go in the same box.

The Entrustability Scale (also sometimes called O-Score) asks the assessor to rate the resident’s ability to be entrusted to do the task (EPA) independently.

Any concerns about the resident that should be flagged can be entered here. The default response is “No,” but if “Yes” is selected, an additional text field will become available.
Any feedback about the form itself can be provided.
Once all fields are answered, click Submit.

How to create/initiate an assessment (for “on the fly” assessments)
Creating/initiating an assessmentThere may be a time when the attending chooses to initiate an assessment rather than the resident initiating it. The resident should know that you are initiating an assessment and the feedback should be discussed verbally in addition to in writing.

Search the resident by name. You only need to type the first few letters until the correct name comes up. Select the name you want.

Begin the assessment. After this step, completing the form is the same as in Section 2.

How to delegate an assessment
Delegating an Assessment
After opening an assessment by clicking View Task, you can Forward Task to the correct assessor.
Search for the correct Faculty Member, then Forward Task.

If you do not know the correct Faculty Member, then you can Remove Task.Please inform April Bodnarchuk that the task will need to be resent to the correct Faculty Member.

Using Elentra (mobile device)

• You must download Elentra from your app store (it is free)
• Enter the URL for the Rady Faculty of Health Sciences (you should only have to do this the first time you log in)

Begin by pressing the menu button.
Similar to Entrada, there is a circle indicating the number of outstanding assessments or evaluations. Click here.

Similar to Entrada, click on View Task. Completing the form is very similar to Entrada. All fields must be completed to Submit the form.
Similar to Entrada, an assessment can be created/initiated by clicking the green button. This is an easy way to complete an EPA “on the fly.”

Easier ways to monitor your U of M email
Easier ways to monitor your U of M email
• You must check your U of M email regularly
• Email notifications of new assessments in Entrada are ONLY sent to a U of M account
• You must accept the Usage Agreement on a yearly basis, therefore you must monitor this account to ensure you receive this notification email.
• Some options to ensure timely completion of resident assessments :
– Set up your Outlook on your work computer with two inboxes (one for work email, one for U of M)
– Forward your U of M email to another account that you monitor more regularly
– Set up your U of M email on your phone. You can either use the Mail app or use the Outlook app.
• I have included instructions for the first two options in the following slides

Setting up another inbox on Outlook on your desktop computer
• Open your hospital email on your desktop computer using Outlook
• Click File
Go to Add Account.
Follow the prompts, enter your U of M address and password.
Close Outlook, then re-open it.

This is your U of M email inbox. One way to check regularly for new assessments is to monitor this inbox here.
Note that you will be prompted to enter your U of M password when you open Outlook.

Forwarding your U of M email
• Go to umanitoba.ca/webmail
• Select Staff email
• Log in with your U of M email and password

• You will need to add your alternate (eg. hospital) email as a Contact
• On the upper left, “Search Mail and People”, “Search People”
• + New
• Create your other email as a contact
• Now go to Settings (upper right corner), Options
Click + to make a new rule.

Click the + to select this contact to forward the emails to, then Save

After clicking OK, you should receive the emails in the other inbox. There may be a lag time before forwarding occurs.
