1. General WebStars is a web-based system for transport administration and monitoring. The purpose of this tool is to, in a better way, connect Scania with its suppliers, carriers and Lead Logistic Provider (LLP) to improve the control of material flow from suppliers to Scania.
The content of the application can briefly be described in the following way. A copy of the call off for the next coming day will be shown in WebStars. Each supplier connects, via User ID and Password, to WebStars and then makes the transport booking according to displayed call off. When the supplier has made the transport booking, the LLP/carrier will download the bookings for all suppliers into his own system and start to plan the collections for the next working day. After goods collection, the picked up information will be updated either manually or automatically via information in the AVIEXP message. The LLP/carrier will then fill in information in WebStars to make everything visible for Scania and suppliers. WebStars is used by nearly all Scania units in Europe and Latin America. Not yet using the application are the Scania units in Luleå (Sweden), Slupsk (Poland), Meppel (Netherlands) and 220X Södertälje (Sweden). Transport bookings for these units have to be made by fax. Training material including an instruction demo is available at the WebStars home page http://webstars.scania.com.

2. Getting started with WebStars This chapter contains some of WebStars basic functions, for further details please see the Help menu in WebStars or contact your material planner.
2.1 Login instruction
You must allow pop-up in order to be able to change your password 1. Open Internet explorer with the address http://webstars.scania.com
2. Fill in your User ID and Password (provided by Scania)
a. For your first connection you need to change your password, rules for the password are
8 characters (maximum 12 characters)
one upper case letter
one lower case letter
one numeric character
one of these special characters (;:!*%$#@&’/+ -)
b. Enter your new desired password in the New password field c. Enter the same password once again in the Confirmation field d. Click Submit
3. You have now logged in, click the Help button 4. In the help menu, click Demo to get more information.

2.2 Maintain organization
The Maintain organisation screen in WebStars is used for maintaining contact information and goods pick up address. It is possible to add different sub sites / pick up addresses in up to three different levels.
Click My Home => Maintain organization
The top part of the screen shows the contact info and pick up address for the main company, please make sure that all information are up to date.
Adding a new sub site In dialogue with your Material Planner you may add a new sub site / pick up address, this is done under Level 2 sites, click .
Fill in information about the new sub site / pick up address, then click Confirm. Please note that the User Id for sub site shall be created by the main company (not provided by Scania) and must be unique.
Your new sub site will now be visible in the list under Level 2 sites
Modifying existing sub site You may also modify an existing sub site by first selecting ( ) a sub site and then click .

2.3 Part / site affectation
If a supplier has one or several sub sites / pick up addresses, the supplier needs to connect a part number for a specific Production Unit (PRU) to the right sub site / pick up address. This is done using the Part / Site affectation screen in WebStars.
Click My home => Part / site affectation
Change current setup To connect one part number for a specific Scania unit to a certain sub site / pick up address:

2.4 Create a transport booking
1. Login to WebStars (see 2.1 Login instruction)
2. Click Bookings > Scheduled booking
You will now see the PRUs that requires a transport booking for today. If no PRUs are visible no bookings needs to be done
3. Click the first available non-booked

You will now see the required part numbers and quantities for booking. You may change quantity and add parts in dialogue with your Material Planner
4. Click Confirm to confirm quantities.
In case your booking contains boxes, you will now see the box configuration screen that tells you how to pack boxes on pallets. Click Confirm to confirm your configuration. You will also see the total box quantities. For details about box codes, please click See box types.
When a booking row is done, you will see an . Go back to step 3 until all the rows are marked .

3.2 Call off release
Call offs for batch and sequence parts are retrieved from Scania’s Material Control system (MC) and displayed in WebStars in the morning the day before pick up day (Status 0). Call offs are available for booking just after 08:00 CET.
No backlogs are shown in WebStars. Modification When a call off has been released and is in Status 0 or 1 it is possible for the supplier or Material Planner at Scania to modify the called off quantity in WebStars. The supplier or Material Planner has the possibility to add a part number to an existing order. The Material Planner can also create a totally new order by adding a part. This has to be made before the agreed booking deadline and always after agreement between Material Planner and supplier.

3.3 Transport booking and acceptance
The supplier has to book a transport in WebStars before the agreed deadline (Status 1). The supplier shall always book even if planning to send nothing. In this case the supplier shall book quantity=0. After the agreed deadline, the LLP will accept the bookings (Status 2). Then it is NOT possible for the suppliers to modify the bookings. When the bookings have been accepted it is possible for all parties to print Pick up Sheet and CMR from WebStars. When the booking is in Status 2 the LLP has to update WebStars with a consignment number for each and every booking. Consignment numbers shall be updated the booking day before ~15:00 local time.

3.4 Goods collection
When the carrier has left the supplier there are two ways of updating collected part numbers and volumes in WebStars. 1) For suppliers sending AVIEXP-messages by EDI, these shall be sent within one (1) hour after goods dispatch. WebStars will then be updated with the information in the AVIEXP-message. 2) Non-EDI suppliers have to manually advise dispatched quantities in the Departure > Confirm departure menu
and delivery note numbers in WebStars within one (1) hour. When doing this, the supplier always has to indicate any deviations that occurred for shipped quantities compared with booked ones (on part number level). The remarks made on the pick-up Sheet will be used for this purpose.
