Collection
Management
Dissemination
If we associate the conference
organisation with the body then the
research dissemination is symbolised
by the legs carrying the body and
disseminating the knowledge into a
wider community. For the body to
exist we need to feed it with content
from host organisation and speakers.
When fed the content will be digested
/ managed and delivered to the right
place. In the following we look at
how Streamline Events provide
integrated solutions for the need of a
conference when it comes to content
management.
The Anatomy of Streamline Events
300 Delegates
30 Speakers
3 Streams
2 Days
5000 Delegates
750 Speakers
8 Streams
5 Days
In the following we will draw on our experience from the above
conferences where we supplied speaker content management.
The two conferences distinguished them themselves from one
another merely by size and required solutions to very similar
needs. Please find more information at our online case studies
here: http://streamlinedata.co.uk/Case_Studies.asp
The Anatomy of Streamline Events – Pre-event
• Call for Streams / Call for Abstracts
• Branding / Layout
• Program Management
• Host Content
We will now look closer at the pre-event preparations that provide
the skeleton for the management of content of the conference
and which thereafter provide seamless management and delivery
of content onsite as well as online post-event.
The Anatomy of Streamline Events – Pre-event
• Call for streams / Call for Abstracts
• Current development
• Front end
• Back end with management and program
building tool
We have been asked to extend our solution with functionality
enabling academics to manage calls for streams and calls for
abstracts. A solution will be available in the next release
(Streamline Events 2.8) due in mid February 2015. Any input or
request to this development is very welcome. Please contact
me on ese@streamlinedata.co.uk
The Anatomy of Streamline Events – Pre-event
• Branding / Layout
• Unified layout
• Sponsor exposure
• Dashboard for AV Crew
At Association Congress a unified layout was created for all three
streams and gave the host the opportunity to communicate the
host’s brand while at the same time providing sponsor exposure
in session rooms and hallways. At ICASA 2013 the brand was
integrated in the staging and the Unified layout provided here the
AV-Crew with a dashboard to access all speaker content
delivered from the Speaker Ready Room. A benefit that
Association Congress also took advantage of. Please see next
slide.
• Program management

Templates
We currently provide an excel template for managing the
program data which when imported into Streamline Events
automatically creates a full program overview, room agendas, as
well as session and presentation slides. Please see next slide.
The Anatomy of Streamline Events – Program Overview
The program overview covers all days and sessions of the conference.
At the above example each room is represented with a different colour
as reflected in the room layout. The program overview can be
interactive with links to room agendas and session slides.
The Anatomy of Streamline Events – Room Agenda
The room agenda shows all sessions and presentations (optional) for a
patricianly room on a specific day including information about chairs,
speakers, etc. The room agenda displays as well the current time and
highlights the current session or presentation.
The Anatomy of Streamline Events – Session slide
The session slide displays date and time of the session, session type,
session title and a description of the session. Information about
Chairs, Co-Chairs, Speakers, Moderators or Panellists and their
affiliations is displayed below the description. Please note the icon
next to the current time which links to the speaker content of the
session.
The Anatomy of Streamline Events
Conference Website
The conference website is the first point of communication with your
delegates and when supplied by Streamline Data, which fully integrates with
all content collected in the content library of Streamline Events including
program data, abstracts, host content as well as info about the host
organization. An online submission for e-posters and speaker content is also
available from the website.
The Anatomy of Streamline Events – Onsite
• Speaker Content Management

Speaker Ready Room
Association Congress ICASA
Association Congress was managed by only one person where we
at ICASA joined a team of three professional conference
organisers (PCOs), one IT-support staff and 10 volunteers
servicing speakers by submitting content on-site including
PowerPoints, Prezi, Images, PDF’s and Videos including content
from YouTube.
The Anatomy of Streamline Events – Onsite
Speaker Ready Room
At ICASA, the Speaker Ready Room 12
laptops were available for Anti Virus Scans,
Content submission and Speaker preparation.
All AV-Crews in the session rooms had real
time access to Speaker content as soon as it
was submitted in the Speaker Ready Room.
