Planning-the first step of the event management process- the process by which the manager or organizer looks towards the event to discover what various courses of action are available to arrange it, and which course of action would be the best

(Shone and Parry, 2004,S.90)

PlanningThe planning should involve the following steps:1. Appointing an Event Committee2. Appointing an Event Coordinator3. Making Budget Proposal4. Event Marketing Plan5. Booking the venues and sports equipment6. Securing Permits7. Acquiring Medical Assistance8. Preparing Prizes and Ceremonies

The Event Committee- a very good tool to ensure a sound planning process of your tournament is to appoint an event committee

- The members of the committee have to be trustworthy, skilled, committed, and reliable.

- The size of the committee depends on the size and complexity of an event.

- For events in the community you don’t need a big number of members

The Event Committee- To sum it up, the event committee is responsible for strategic decisions about the event

- In some cases the event committee is also responsible for appointing and overseeing the event coordinator

Leading- the process of directing the operations of the nature of work of the assigned committee

LeadingOver-all In-charge of the Event/ Event Coordinator-oversees the flow of the work of the different committee-Ensures the smooth run of the event implementation

Logistics- Responsible for working all paperwork- related activities such as CERTIFICATES, REGISTRATION, RESULTS OF THE GAME, BOOKINGS, PERMITS, etc.

Logistics- Coordinates with the program committee especially during awarding ceremony in distributing certificates, medals, and trophies to the winners

Program Committee-Responsible in organizing live events such as OPENING CEREMONY, PA Booth and AWARDING CEREMONY.- Provide entertainment to all participants

The Event CommitteeOfficiating Officials-Responsible in organizing the game.-Act as referee, umpire, linesmen, commentator, time keeper, scorer and the like

Marketing/Sponsorship-responsible for looking for potential participants who will join the event by sending formal letter of invitation- responsible for looking for potential sponsors who will help in financial matters of the event

Food-responsible for preparing food to the different working committees- feed the hardworking people behind the event

First-Aid- responsible in providing medical health care assistance to all participants in case of sports-related injuries and/or emergencies

Controlling- the process of having the power to control how the event is managed or done

Making Budget Proposal-Process of anticipating possible expenses for the event to control the flow of the money
