Setting up Outlook Start Outlook Click on the Tools menu at the top of the Outlook Window and select E-mail Accounts. In the E-mail Accounts window, click on Add a new e-mail account and then click Next.

In the Server Type window, click on IMAP. The click on Next.

Internet E-mail Settings (IMAP) In the Your Name box, type your first and last names as you want them to appear in the From field of your outgoing messages. In the E-mail Address box, type your Ramapo e-mail address (for example, rvandyke@ramapo.edu). In the User Name box, type your username (for example rvandyke). In the Password box, type your password By default, the Remember password box is checked so you don’t have to type your password every time you start Outlook. Be aware, however, that anyone who uses your computer will then be able to access your e-mail account. If privacy is an issue, click on Remember password to uncheck this box. In the Incoming mail server (IMAP) box, type: mail.ramapo.edu In the Outgoing mail (SMTP) server box, type: smtp.ramapo.edu NOTE: do not select logon using secure password authentication (SPA).

Click on More Settings.

Outlook automatically names your account mail.ramapo.edu change this to Ramapo.

Click on – Outgoing Server Tab Add your Reply E-mail Address

Make sure “ My outgoing server (SMTP) requires authentication” is checked on. Also make sure Use same settings as my incoming server is selected.

Click on Connection Tab.

Make sure “ Connect using my local area network (LAN)” is checked on.

Click on Advanced Tab.

Under Folders Section – Root folder path: mail/ (must be blank after new mail server migration in August)

Click OK

In the E-mail Accounts window, click on Next

The click on Finish.

Adding Purge Deleted Messages Button to Toolbar

Must be logged in to Ramapo Account Right click top toolbar Click on Customize Under Commands tab (must be clicked on IMAP folder) Edit/purge deleted messages Drag to toolbar

Additional Configuration Settings

After logging into Outlook Account -Remove INBOX icon from short cut bar (only the one that corresponds to local Inbox) -Remove NOTES, TASK, OUTLOOK TODAY buttons from short cut bar -View click on preview pane -View click folder list Tools/options/Mail Setup Send/Receive

Dial-up Uncheck – Hang up when finished with a manual Send/Receive Check – Send/Receive…

- Schedule an automatic send/receive every 5 minutes.

Check box – Use Microsoft Word to read Rich Text e-mail messages

Spelling Check – always check spelling before sending

Other Check – empty the deleted items folder upon exiting Uncheck – enable Instant Messaging in Microsoft Outlook

Other/Advanced Options Startup in this folder: Calendar

Must be logged into Ramapo Email Account Tools / IMAP FOLDERS uncheck – When displaying hierarchy in Outlook, show only subscribed folders.

Create Rule to Copy Sent Mail to IMAP Folder

To save “sent mail” on server. Tools / Rules Wizard Select New

Check – start from a blank rule High light – Check messages after sending

Click - next

Click next

Click Yes

Check - move a copy to the specified folder Under Rule Description (click on an underlined value to edit it) Move a copy to the specified folder

Select listed under Ramapo College Account “Sent”

Click – OK

Click - next

Original messages also get retained in the Local Sent Items Folder Name this rule – Copy Sent Messages to IMAP Sent Folder

Click Finish / OK
