• To track emails to CRM without associating it to a Record:
• Select the email• Click on Track
• To track emails to CRM and associate them to a Record:
• Select the email• Click on Set Regarding• Choose the Entity of your Record• Search for your Record by name• Check the Record• Click Add

Best Practices for Outlook Client
• Utilize the Outlook Client as a Hybrid with Web
Client
• If sending over 100 emails at one time(through
Marketing, workflows, etc) utilize Server Side Sync
or Email Router to process outgoing email
• Set to Sync with CRM at the shortest amount of
time allowed
• This is set by your System Admin
• Utilize Set Regarding instead of Track if there is an
associated record in CRM
• The following are signs that the Outlook Client needs troubleshooting• Outlook Crashes when opening• Track/Set Regarding Buttons are greyed out• When accessing CRM in the Outlook Client it state “Trying to Connect
to CRM”• Any error messages
• Always make sure the email associated to your user in CRM is the same as your Outlook email address
• Lower right corner of Outlook states “Online with: Microsoft Exchange”• Your CRM link is not showing in the lower Ribbon Bar

“As an owner/manager how do I set it so I can track, get a report and or read each day what has been added to our CRM by each/all sales people in the way of notes, actions, opportunities, changes, follow up dates, etc?
• There are a couple of different options• Utilize report 500 – CRM Usage
• This will show Leads, Opportunities, Quotes, Accounts and Contacts during a specific
time period (can do 1 day)
• Utilize report 510 – CRM Activity Report• This will show the # of Activities created for leads, Opportunities, Quotes, Accounts and
Contacts during a specific time period (can do 1 day)
• Create a chart for Notes created by Owner based on a view of Notes created
Yesterday, repeat for Opportunities and Activities (by due date for follow up instead
of created date)
• Please note that if you are looking to track changes this is done by looking at
the modified on date and you can set a view and chart based on this for each
entity
“Is there a report that tells me how long an opportunity has been in CRM? The date it was first opened to the current date, so I know how many days our opportunities are remaining open.”
There is currently not a report that provides this information
• A workaround would be to:
• Create a view showing all open opportunities
• Add a column showing created on date
• Export to Excel
• Calculate the # of days open
• We currently only track Days in each Stage through Report 302
“How do I ... look up my customer groups pay history?”
Customers payments are not currently entered into CRM, this information is
housed in the Marketer’s 3rd Party ERP System
“How do I ...look up profit generated by customers?”
• I recommend utilizing Report 100/100b
• You can filter by Owner, Account, Order Date, etc
• Set to display in Gross Profit
• This Report will show all of your Accounts and ranked by Gross Profit generated
• The Report will also show the % of GP that account generates for your company
• Pick the reports you utilize most often
• Create a view through Advanced Find
• Filter to only include the reports you selected as utilized most often
• Include any additional columns you would like
• Save view and share with others if desired
How do I create a list of Top Reports?
“What Outlook plugins or other programs could interfere with the Outlook client when the user tries to link emails to CRM?"
• Taskbar installations: Google Taskbar, Ask Taskbar, Yahoo Taskbar
• If you are having issues with Outlook crashing this is a sign that there is
Outlook Add In Issues
• We highly recommend removing any non business essential Add Ins:
Google Apps, Hotmail, Social Connector, Skype and others
• To do this:• Navigate to Personal Options• Click on the Email Tab• Ensure the below box is checked
• This will create the sender of the email or organizer of the meeting as the contact only if you track the email or meeting
“Is there an automated ‘import’ from Outlook to CRM and if there is a
way to only select certain contacts in Outlook to be uploaded into CRM
"Does a new contact created in CRM get automatically added to their Outlook contacts?"
This is done automatically by default with the Outlook Client as long as the
Outlook user is the owner of the Contact Record

• The great news about Report 170 in Dashboard 97 is you have a lot more choices on filtering the data, and best of all, you get to select how the data is grouped.
• 200 – Product 13 Month Analysis• Document 097 has also been updated to explain the new reports.
• Added an Owner Filter to Report 330• In Active Products View we added the following columns:
• Product Category• Product Segment• Quantity Multiplier• Warehouse
• Supplier Logo Field on Quotes is now a Lookup Field• Turning on Auto Delete – Will run every month starting in July• The Qualify Button on Leads will be grayed out until the Lead is saved
