Step 1 Go to the KAUST Portal link, fill in your user ID and password and click enter.
Step 2 On the top of the portal, click on the Manager Self-Service tab.

Step 3 Once the MSS screen is loaded, then select full screen mode of the My Team Panel.

Step 4 The My Team full screen mode, ensure the ‘People’ view is selected.
Step 5 To search for an employee simply entering the employee’s name to the search box on the top right hand side of the My Team full screen.
When you start typing into this search box, the system will display possible employee reflecting on the text entered.
Click on the employee’s name you wish to process.

Step 6 From the employee box, click on the Action Menu.
Select ‘Initiate Employee Processes’ when the Action Menu appears.
Select the ‘Promotion’ process and click the ‘Continue’ button.

New window for requesting Promotion form for Employee will open.
Please note: Your internet browser must be set to allow pop-up in order for this to work. If you need assistance, please contact IT Helpdesk.
The Employee information is retrieved from the systems.
Step 8
Select the reason for Promotion from the drop down list.
Step 9
Enter the effective date of the promotion, under normal circumstance the effective date should be the beginning of the month.

Step 10
The system allows the employee to be promoted to a vacant position of higher grade.
Or for the employee to stays in existing position, which is broadbanded for a promoted grade.
Step 11 Add the attachments which are related to the Promotion in the Attachment section
available at the top
Step 12
The incremental percentage will be shown from the Recruitment step of the workflow.
Salary information is not available at the initiator step of the workflow.
The requestor can provide increment information within the Justification comment box with reason for recommendation.

Step 13
Use the Justification/Comments box, to provide more details to the approver with regards to why the employee is recommended for promotion and salary increment.
Step 14
Click the Check button, the system will verify your entry and inform you if any part of the form needs correcting. Once all critical errors are resolved then click on the Send button to submit the request.

Standard Operating Procedure
1. Purpose
The purpose of the document is to explain the process of promotion of an employee in the organization unit. Promotion is regarded as the movement of a person to a position which is classified at a higher level.
2. Scope
This shows the form that is filled out by the initiator and followed by approver.
3. Validations
Any regular employee is recommended for promotion only if the PMP rating is greater than 2 during the previous evaluation period.
Any regular employee is eligible only if he/she has completed two (2) years of service, OR one (1) year since recent promotion.
Faculty promotion is handled by the faculty promotion committee.
Promotion of Managerial Personnel (M1 - M3), Professional Personnel (P6-P7)
CFHRO Upon recommendation of the functionally responsible VP or equivalent level
Promotions of Professional Personnel (P1-P5), Teachers, Security Staff (C1-C6) and Support Staff (S2-S5)
