Our Ceremony Room is full of natural light from the courtyard with a beautiful backdrop ideal for photos. In fine weather, open air ceremonies can be held
in the secluded Courtyard and Garden, providing the perfect location for wedding photographs and reception drinks.
You will be responsible for booking the Superintendent Registrar to attend your ceremony. You will just need to inform them of the proposed date and time of
ceremony. For more information, please contact: The Registry Office on 01202 454945 The content of the Ceremony will need to be agreed by the Superintendent Registrar
in advance. Music may be allowed in the ceremony room but any music, reading, words of performance which forms part of the ceremony must be secular.

Those Special Little Extras
Exclusive UseBy reserving all of our 30 bedrooms we are able to offer our Couples Exclusive Use of the hotel. At the time of confirming your Wedding we would reserve all of our 30 bedrooms and you would sign a contract undertaking to fill all of the bedrooms at the special reduced rate applied for your guests.
Your guests could call individually to make their reservation meaning you do not have the hassle of organising this and we would keep you updated with rooming lists. The cost of any unsold rooms would be added to your final bill. Exclusive Use also gives you an Extension to 1am for your Entertainment, A late breakfast to 11am and a Late Checkout to Midday.
Accommodation ratesReduced Accommodation rates can be applied for your guests wishing to stay overnight on the day of your Wedding. Rooms can be placed on hold for you after you have confirmed your Wedding until 2 months prior to the day when any unsold rooms will be handed back for general sale.
EntertainmentWe are fortunate to have our own resident DJ that can host your Evening Reception at the rate of £200 to perform until Midnight. (1am if Exclusive use)A one to one meeting can be arranged to discuss your play listYou can provide your own DJ but please note they must have Public Liability Insurance and we must be in receipt of a copy of this prior to the event. Unfortunately due to the size of our hotel unless you have taken the Exclusive Use offer we are unable to allow Live Bands to perform.

All you Need to KnowTerms & Conditions of Booking
1. ConfirmationA completed and signed copy of the Contract together with a deposit of £500 is required to make a confirmed booking. The contract should be signed by all parties. ll deposits are non refundable and non transferable between dates or persons. Provisional bookings will be held without commitment for a maximum of two weeks; thereupon it is solely at the hotel s discretion as to it being held for a longer period.
2. PriceIn the event of any ta ation change, market uctuations in the wholesale price of goods
or any costing beyond the control of the hotel, the Orchid reserves the right to alter
uoted pricing to take these events into consideration.
3. Numbershould contracted number of guests reduce
by more than 20 , the hotel reserves the right to re-allocate facilities in line with this reduction. The hotel also reserves the right to charge a minimum number charge should the anticipated number fall against the contracted guest numbers.
4. Cancellationsa) By the Customer: Cancellation must be made in writing with confirmation of its receipt also made by the hotel in writing. In the event of a cancellation of a confirmed booking as minimum the deposit paid will be forfeit the hotel will undertake to mitigate its losses and to re-let the function room s with similar catering re uirements. The client will be responsible for any loss
incurred by the hotel in the event of the function room s remaining unoccupied, or becoming occupied at a lower rate than the original booking. The cancellation charges imposed by the hotel will therefore re ect the actual loss.
Cancellation Charges:- greater than three months prior to
the date 100 loss of deposit between one month and three months prior to the date 5 of the total booking will be charged as cancellation (less deposit paid);
less than one month prior to the event 100 of the total booking will be charged as cancellation less deposit paid .
b) By the Hotel: the otel reserves the right to cancel a booking in the event of any part of the hotel becomes closed or unavailable due to circumstances beyond its control
the booking may, in the reasonable opinion of the hotel, damage the reputation of the hotel
if either of the parties become insolvent.
5. Terms of Paymenta) non refundable deposit of 500 is required with the completed contract to secure reservationb) further 500 non refundable deposit is payable months prior to the event datec) Remainder of anticipated balance 4 weeks prior to event dated) ny additional charges should be settled the day after the event date.t

6. Finishing TimesAll guests must adhere to licensing laws. t the end of the evening all nonresidents are re uested to leave the premises. The bar may be closed at any time at the discretion of the hotel should there be a problem or perceived problem.
7. Corkage ChargesThe hotel reserves the right to implement a corkage charge for any drinks not purchased from the hotel. ll corkage must be pre arranged with the hotel management.
8. Noise LimiterThere is a noise limiter in place, which will be monitored and managed by the
otel Management during the event. It is the client s responsibility to ensure all entertainment not arranged directly by the hotel is aware of this and the hotel does not take responsibility for any disruptions damage caused on the day.
9. Parkingree onsite parking is available for up to 5 cars sub ect to availability .
10. Accommodationpecial reduced rates can be applied
for any of your guests wishing to stay overnight. Please discuss this further with your Wedding co ordinator.
11. Health & SafetyIf the client wishes to use the grounds/hotel for any activities other than photographs or sociali ing i.e. hiring of a bouncy castle, the client must inform the hotel with all details of the activity. The otel cannot be held responsible for in uries cause by or failings of e ternally sourced e uipment.
12. Loss or DamageThe client is responsible for any loss or damage caused to the hotel property, e uipment or any e uipment hired, caused by either the client or a guest of the client.
13. Damages Deposit 200 deposit will be taken with every
Wedding Reception to allow for any damages or deep cleaning required due to e cessive drinking resulting in vomiting or breakages. This will be refunded the morning after the Wedding.
14. GeneralThe hotel will take all reasonable steps to fulfil the reservation to the best of its abilities and in accordance with details provided. owever, it does reserve the right to provide alternative services of at least an e uivalent standard at no additional cost to the client. The client shall not be entitled to assign the booking to a third party or to use the hotel facilities other than for the stated purpose without the hotel s prior consent.
No variations of these conditions will be effective unless confirmed in writing and signed on behalf of the hotel.
