An Overview of IFM R9“Who moved my Stuff……..”
IFM at R9
CISTECH Tuesday Education Session SeriesJim Boyer
CISTECH – Sr. XA Consultant
IFM R9 – Major Differences1. Not major differences between R7.8 and 9, but from R6 to R9 plan on time to get
familiar with where the Tables, Transactions, and processes are located2. Plan on modifications to your existing IFM Work Intructions if you are coming
from Release 6 3. R9 Power Link Icon Names have Changed – for example, Settlement Lines is
now AR or AP Amounts Due – this Webex will help you view these changes !4. R9 – Many IFM Tables and all Transactions are still performed at IDF Level 1
(Screen Scraper format)5. Tremendous use of Workspaces for separation of AR, AP and GL IFM
Transactions and processes.6. Improved Card Files, Cards and Summary Data7. Many of the IFM Table Maintenance functions can now be performed in Power
Link, but not all Tables. Many of the Tables are now located on the “Codes Compound Card” which you will see in this Webex
8. GL Interfaces are the same but have a different ‘look and feel’9. Aging and Statements generated from Personal Accounts10. IFM System Management – Now in Application Administration at Level 1
(Applications, Tasks, Users, IFM Suspension,etc.)11. Settlement Line Maintenance (Due Date/Narrative) must be done via Personal
Account Statistics or Personal Ledger Inquiry (with CTRL H Option) in XA R9 IFM at early releases.
IFM R9 Main Card – Old vs. New
You still have IFM Tables, Transactions and IFM System Management. Most functions are at IDF Level 1. The key is learning in advance where your processes and files are now located in R9.
R9 – IFM IDF Level 1 and IDF Level 2
IDF Level 1 is a Screen Scraper and functions just like Green Screen and EWP with a few exceptions
IDF Level 2 is basically the same as Browser with full Maintenance capabilities – notice the Icons for Add, Change, and Delete, etc.
IFM Table Maintenance at R9
XA R9 IFM Code Files
Finance
Codes
XA R9 – IFM Accounting Codes
XA R9 Code Files – Other Code Tasks
Maintain MOST of the codes using IDFL Level 1 – so make sure to get familiar with where you REALLY maintain your records !
Table Maintenance – Transaction Tables
Old R6 Transaction and Attribute Menu
Tax Tables = Tax Tables at R9
Old R6 Tax Table Menu
Tax Tables – IDF Level 1 Objects
Most Tax Objects maintained at IDF Level 1
Same functionality as Green Screen – and function keys can still be used along with the keyboard actions.
Structures and Agings at R9
Maintain Here at Level 1
View Only
Entities – Customer, Vendors, Banks and Employees
Only Entities/Customer/Vendors can be maintained at Level 2 – all others through Level 2
Inter-Division Tables
R9 – IFM AR
To Perform Transactions and MANY Table Maintenance in R9 – requires the use of IDF Level 1.
Basically a Screen Scraper of your old IFM Green Screen processes.
R9 – A Look at IDF Level 1 AR
R9 – AR Cash Transactions
All Tabs basically represent the AR
Processing Tasks in Green Screen or EWP
R9 Other AR Tasks – Cash Books
Same fields and functionality as R6 Green Screen – once again it is a matter of knowing if you need to use Level 1, or can maintain from the Power Link Cards Objects.
R9 Other AR Tasks – Personal Accounts
Where’s the Aging’ & Statements??
XA R9 – AR Personal Acct Host Jobs
XA R9 AR – Print Reports
A look at R9 AP
Power Link IDF Level 2 – Inquiry Only. Same files, just the use of Restricted Workspaces to only show AP Ledgers, Accounts, Transactions, etc.
All AP Transactions Performed with IDF Level 1 via “Other AP
Tasks”
IFM XA R9 – Other AP Tasks
As with AR and GL, most A/P functions are performed at IDF Level 1 – “Other AP Tasks” as illustrated above.
R9 - Other AP Tasks – AP Transactions
XA R9 – A/P Other Tasks
XA R9 – Tax Reports/Analysis
R9 AP – Checks
You would have thought to put A/P Payment Lists under
Checks, right ?
AP Additional Tasks
It is a great idea to make sure to put the “Personal and GL Inquiry” as well as the “On-Line Biz Inquiry” on your
AP, AR, and GL Additional Tasks Menu – still work great for your Team!
‘Additional Task’ Menus are limited to 13 Tasks (maintainable in CAS as normal). You can link to new ‘Additional Task Menus’ if necessary at R9 from Menu to Menu.
Important: You can only have 2 IDF Level 1 Menus open at a single time. This can become a bit frustrating but creating a Custom User Menu CAN help sooth a frustrated user who wants more than 2 processes open at the same time !!
A Look at XA R9 GL
All GL Transactions must be performed at IDF Level 1 under “Other GL Tasks”
R9 GL Processing Menu
The new R9 GL Transaction Processing Menu and Processes are all at IDF Level 1 !
Short Journal Entry at R9
No User Surprises here – same functionality from 6 through 9 !
XA R9 GL - Budgets
Oh let’s just put this on the Budget Card - ????
LSB – IFM Offline Transactions
Regardless of your need to load AR, AP or GL Transactions, the IFM Legacy System Bridge that allows you to feed Offline Files into IFM is located under the “Other GL Tasks – Offline Transactions” Card
Functionality of the Legacy System Bridge is the same, and all your existing LSB Transaction Types migrate without a problem.
Offline Transactions is available under Other AP, AR, and Other GL Tasks.
GL Interfaces at XA R9
Same functions at R9 for COM, IM and PCC (or REP)All GLI functions like Assign Accounts and Create GL Entries are performed via the 3 IDF Level 1 Menus above
GL Interfaces at XA R9
GL Interfaces at XA R9
R9 – IFM System Management
NEW R9
OLD
R9 – IFM System Management
Watch out for the new Names for some of the old Menu Options
What is this option ?
IFM R9 GL Suspension
Work with IFM Jobs
All IFM System Management is done at IDF Level 1 in XA R9 !
R9 Security Considerations
Security maintenance is split between IFM and CAS Security applications
• New PowerLink functions• Are secured using CAS Security
• Must be locked and authorized to appropriate personnel
• Corresponding green screen tasks are still active and are maintained separately
• If you configure security in test environment, you will need to re-apply when you go live
• Your auditors will want documentation of new security settings
R9 Security Considerations
R9 Security Considerations• IDF Level 1 security
– LOTS of new tasks in the task definition file that must be secured
– IFM• Access to tasks is still controlled by IFM Security• Lock these if you want to turn off some or all of these tasks
(roll them out as users are trained…)
– Other Applications• IDF L1 tasks control access to the application functions• Lock these and authorize users as appropriate
Q&A
Thanks for attending !!
